2 Hootenanny 2018 North Vancouver Cruisers Aquatics Hootenanny Watermania, July 5 th 8 th, 2018 Thank you for participating in the 10th Annual North Vancouver Cruisers Aquatics Hootenanny. The North Vancouver Cruisers are dedicated to the promotion of four aquatic sports Competitive Swimming, Water Polo, Diving, and Synchronized Swimming. In this package you will find all the necessary information for registration and scheduling for the swimming, water polo, and synchro events at Watermania. The dive meet will be at Ron Andrews, North Vancouver June 22 nd, 2018 Location WATERMANIA ENTERTAINMENT BLVD. RICHMOND, BC V6W 1K3 Facilities: Watermania is a comprehensive world class facility with an eight-lane competition tank for swimming, diving, synchro, and water polo. Bleacher seating is available to observers. The competition tank will be available as follows: Water Polo Tournament: Thursday, July 5 th from 1pm - 7 pm Synchro Figures: Thursday, July 5 th from 7pm - 10pm Water Polo Tournament Friday, July 6 th from 8am - 8pm Swim Meet: Sat/Sun, July 7 th 8 th from 6am - 6pm Please respect all closed off entrances and exits to ensure the smooth operation of the competition. Also, please note that public swim is scheduled for the shallow end of the pool throughout the event and are not available to Hootenanny participants except during swim warm up. However, lanes 7 and 8 of the shallow end will be open to swimmers throughout the swim meet on Saturday and Sunday for warm up and cool down. Younger (Div 3 and below) swimmers will need their coaches supervision for those lanes during the swim meet. Version 1 Page 2

3 General Information PARENT VOLUNTEERS All clubs are requested to supply a list of available qualified senior deck officials (referees, back-up referees, starters, stroke and turn judges, and diving judges). Please provide a list of names and times available to Meet Referee, Herbert Tung at herbert@llnpartners.ca as soon as possible. Participating clubs are also asked to provide timers and recorders throughout the meet on both days. THREE TIMERS are required for each lane. Clubs are reminded that the meet cannot function without the aid of volunteer officials & parents. SILENT AUCTION AND CONCESSION Check out the silent auction and concession. The concession stand will be serving homemade pancakes for breakfast with berries and whipped cream. PLEASE REMEMBER YOUR WATER BOTTLE Officials and volunteers, please bring a reusable water bottle for filling while you are on deck. We want to reduce the number of plastic water bottles used. 4 Entry Fees Water Polo $375 per registered water polo team Cheques must be delivered to the main Water polo desk by 8 am on Friday, July 6th. Speed Swimming $8.00 per individual event $12.00 per relay event Cheques must be delivered to Clerk of the Course by 9 am on Saturday July 7 th. Diving $10.00 registration per diver $6.00 for each event (Summer Combined, Open 1m, Open 3m) Cheques must be delivered to Jane Schieman by 4pm on June 22nd. Synchronized Swimming $8.00 registration per swimmer $6.00 for each event Cheques must be delivered to Joanna Zander by 7pm on Thursday, July 5 th. Note: Each club should write separate cheques for each sport, as they must be delivered to different places at different times. Please make cheques payable to North Vancouver Cruisers. 5 Speed Swimming RULES: BCSSA Rules published April 2016 will apply, plus all rules changes as listed on the BCSSA website. The meet will be a heats and finals, cardless meet, seeded in the Multi-Division/Open format with A & B swimmers seeded together (based on entry time submitted). Swimmers will be seeded in the preliminaries for each event according to their entry times, regardless of their division (See Event list for division splits - ie: 100 IM Div 1-3 & 200 IM Div 4-8). In finals, swimmers will swim against the fastest qualifiers in their specific division within each event. Swimmers entered with no time will be seeded in the slowest heats. If a swimmer does not have a current time for an event, the most recent time is acceptable. It is very important that coaches enter swimmers with a time to avoid NT entries, which will be seeded in the first heat of the multi-division event. At the completion of heats there will be a short break to print the final event sheets and a warm-up for finals. There will be only one heat of swimmers for finals in all divisions. Marshalling will be in place for all events and finals. Relays will be swum as timed finals at the end of heats, prior to the break. Due to the expected size of the meet, NO deck entries will be allowed. No Place Judges: The Hootenanny has elected not to use place judges as permitted in Swimming Section of the BCSSA Rulebook (2016 edition). SPEED SWIMMING SCHEDULE FOR SATURDAY AND SUNDAY, JULY 7-8 A.M. Warm-ups: Officials Meeting: Coaches Meeting: Meet Starts: Warm-Ups (Finals): 6:15 7:45am 7: 15 am 7:30 am 8 am 30 minutes immediately after heats WARM-UP There will be 14 lanes available for warm up from 6:15-7:45 am on Saturday and Sunday morning for heats. There will be a 30-minute warm-up immediately after the heats both days. Team lane and time assignments for warm-ups will be sent out on Thursday, July 5 and posted the morning of each day. There will also be 2 lanes open throughout the meet for warm up and cool down between events. Coaches are required to supervise swimmers during warm-up. Version 1 Page 5

6 ENTRIES Entries for speed swimming must be received, electronically, no later than Sunday, July 1 3:00 pm. Send to Carrie Matheson at c_math@shaw.ca. Clubs MUST use either Hy-Tek Team Manager 6.0 or newer or Swim Manager to enter into this meet. Please visit the BCSSA website to obtain the Hy-Tek Event List. Entries must be generated from the Export Meet Entries function within Hy-Tek s Team Manager or Swim Manager. A Team roster must be submitted from Team Manager or an Excel spreadsheet exported from Swim Manager with first name, last name, birthdate, BCSSA ID number, S or O swimmer and division of athlete along with each team s entry file. Swimmers may enter a maximum of four individual events and two relays. There will be NO SIX AND UNDER EVENTS. There will be a maximum of two relay teams/division/team. Complete your entries carefully and reference the event number in this package when entering swimmers. Hy-Tek Team Manager and Swim Manager does not restrict entries into an event, as no specific division is assigned to each event. Please note that we have limited the number of participants to 800 (approx.), and this number may be increased based on the time-out of the meet. Entries from clubs will be entered into the meet on a first come, first served basis. LATE ENTRIES Late entries will be permitted but are discouraged. Any late entry must be sent to Jeff Wong no later than Tuesday July 3 rd at 4:00 pm. NO EXCEPTIONS. A late entry will be charged $15.00 for an individual race and $20.00 for a relay. Payment is due at 9:00 am on Saturday, July 7 th, along with your meet fees. Late entries will only be accepted if there is an empty lane in a current heat. There will be no re-seeding of the meet and no new heats will be created. SCRATCHES Please notify Carrie no later than Thursday July 5th at 4:00 pm of any scratches. Note: There will be no refunds provided for scratches. After Thursday July 5 th at 4:00 pm, please complete a BCSSA Scratch sheet, available on the BCSSA website and hand it in to the Clerk of the Course by 8:00am on both days. DECK ENTRIES DECK ENTRIES WILL NOT BE PERMITTED AT ANY TIME. RELAYS Relay Cards must be submitted to the Clerk of the Course no later than 10:30am on both days. NOTE: There are no deck entries allowed. Coaches must fill out BCSSA yellow relay cards (not provided). Version 1 Page 6

7 TIMING SYSTEM Omega Timing System (ARES) will be used as the automatic judging and timing system in accordance with the BCSSA rules. Automatic timing system will be backed up by three electronic plungers per lane. Plungers will be operated by the lane timers and recorder. Should the automatic judging and timing system fail for an extended period of time; the meet will proceed with manual timing (3 stopwatches with starting gun ). RESULTS Results from heats will be posted following each event. Results will be available on Meet Mobile during the Meet. The App is available in the App Store. Final results will be posted on the BCSSA website. AWARDS Individual Finals: 1 st to 3 rd place medals for ALL DIVISIONS and 4 th to 8 th place ribbons ONLY AWARDED UP TO AND INCLUDING DIVISION 4 BUT NOT O CAT 1. Relays: 1 st to 8 th place ribbons for Divisions 1-4 Medal award ceremonies will directly follow each individual final event. Photographs of the medal recipients will be made available on the Cruiser Aquatics website. All teams should pick-up their awards at the end of the meet. COURTESY MARSHALLING ANNOUNCEMENTS Courtesy marshalling calls will be announced throughout the meet. Again, this is simply a courtesy announcement. 9 Water Polo MEET INFORMATION The tournament (P1-U12, P2-U14, and P3-U16) will take place on Thursday, July 5th for P3s from 1 7 pm and Friday, July 6th for P1s and P2s from 8 am 8 pm. FINA Rules in accordance with BCSSA regulations (May 2016) will apply. The indoor 25m deep end will be used. Clubs will supply both Dark and White caps for their competing teams. Tournament Schedule: Round Robin Parent support for timing games and managing score sheets is greatly appreciated. There is no extra pool space for warm up. Players cannot use the other parts of the aquatic facility without paying the public swim fee. Entries: Team Entries are due by 6pm on June 28th. Entry fees are $375 per team. North Vancouver Cruisers reserves the right to cap the number of teams per age group to six. Participating clubs may initially only enter ONE team (any age group). Depending on interest and availability, an additional team may be added. 10 Diving MEET INFORMATION All diving will take place on Friday, June 22 nd at RON ANDREWS Pool, North Vancouver. The meet will commence at 4:30pm. Open warm-ups are from 4:00pm - 4:30pm. Coaches are asked to monitor divers during warm-up. There will be a 10 min warm-up prior to each event. Developmental divers are welcomed at this meet. Divers wishing to qualify for the Regional Championships for their area must ensure that their dive sheets include a full list of dives according to the Age Group Dive Requirements set out in the BCSSA Provincial Dive Meet package, with no more than one failed dive in the list. Rules outlined by the BCSSA rule book will be in effect. Appropriate marks will be deducted for failed dives, balks and re-dives. All other judging decisions will be made by the head referee (appointed at the meet). Please refer to the BCSSA Diving Rule Book for any and all regulations pertaining to a diving competition. Please note that each participating club is expected to supply one dive judge. ENTRIES Divers may enter the Summer Combined, Open 1m, Open 3m events in their age group. Summer, Open 1m and Open 3m Age Groups are; 8 & under, 9 & 10, 11 & 12, 13 & 14, 15+ A Summer Diver is a competitor who dives two (2) hours or less per calendar week between October 1st of the previous year through to April 30 th of the current year, and has not attained a DPC National Age Group Standard according to DPC rules. An Open diver is a competitor who dove for more than two (2) hours per calendar week between October 1st of the previous year through to April 30th of the current year. Summer Divers may compete in the Open Category. Experienced summer divers are in fact encouraged to compete in the Open Category. All entries for diving must be received by June 15th, 2018, and can be ed to Jane Schieman, schiemanj@gmail.com. The entries must provide the name, age, gender, and event for each competitor. Please provide an indication of how many divers per age group per club by June 9 th, Every effort will be made to have a confirmed schedule available by June 16 th. Dive Sheets must be handed in at the beginning of the meet. Changes to sheets will be permitted until the order of that event is called. 11 Synchronized Swimming INFORMATION All synchronized swimming team rosters must be submitted to the Clerk of the Course no later than 7pm. Synchronized Swimming Events will take place on Thursday, July 5 th. RULES Swimmers may wear a plain coloured bathing suit of their choice for the figure competition. Black is the preferred colour, but the swimsuit colour is optional. Nose-plugs are not necessary to adequately perform figures, but some swimmers may wish to wear them. Goggles are also allowed. Swimmers are not allowed to wear JEWELLERY (other than medical alert bracelets) and NO NAIL POLISH. WARM-UP & SCHEDULE Coaches must monitor swimmers during warm-up. Individual Figures judging will commence at approximately 7:15pm for beginner figures. ENTRIES Please contact Joanna Zander at joanna.zander@gmail.com for further details and entry information. Swimmers Divisions are based on the 2017 BCSSA Age Locator according to age as of April 30 and skill assessment. All entries must be received by July 1 st Please send to Joanna Zander.
