1 Burleigh County 4-H Static Committee Minutes August 1, 2017 Attendees: Shaundra Zieman-Bolinske and Amelia Doll Staff Mary Ann Anderson, Lynn Carlson, Marie Horning, Melody Morrison, Laurette Nagel, Corrina Pfaff Absent: Marnie Carlson, Tamara Handegard, Priscilla Sauer, Kari Walth Melody called the meeting to order. Marie moved to accept the June 20, 2017 minutes, Laurette seconded. Motion carried. Marie moved to amend the May 23, 2017 minutes to include Laurette Nagel as an attendee, Mary Ann seconded. Motion carried. Old Business: Static exhibit recap: o 79 4Hers o 19 Cloverbuds o 441 projects judged; 35 Judges o 58 Cloverbud projects o 498 total projects (of that amount, about 130 received red/white ribbons and could not go to the NDSF (North Dakota State Fair); 5-10 exhibits were not taken to NDSF even though they received a blue as 4Her didn't want to send them up. o 302 projects went to the North Dakota State Fair o There were not a lot of drops on static night. o 24 small animal exhibits o 23 livestock exhibits o 5 horse exhibits o Amelia has sent out a survey and has received 9 replies. New Business: Feedback on Achievement Days (static and other days included); what went well; what needs improvement and how: Registration area: went well; but the lines were long at times; maybe add additional check in lines. Paper that 4Her carried around for Judges to comment on maybe put on different color paper; some judges told the 4Her in person what was needed to better the project. 1

2 We discussed the signs and how lot numbers will be included on the signs to match the registration sheet the Judge/4Her has. The staff has reserved the arena for the week before and the week after Burleigh County Achievement Days. The plan is to have a "walk through" for 4Hers, their families, and leaders; have a night when Judges can come in and see how things will go. Maybe a meeting with the Judges could be held that week in case they can't attend the meeting the night of. We discussed having the judge's table with chairs and then put another table behind it so after the 4Her has his/her exhibit judged; that exhibit would be placed on that back table. We could have horticulture and wood projects along the outside south wall for ease when walking in and not having to move it once it is judged; could have photography project along an outside wall and then place a table in front of it so people aren't touching the projects; putting judges/tables in the middle of the arena (not having long rows of tables with exhibits). Once judging is done, tear the judge's table down; place a cutout piece of pink/purple tablecloth or fabric under those Grand and Reserve projects to draw attention. Plus might be a packing advantage as everything on that table that is going to NDSF would be packed in the boxes for that table. We would have the Cloverbud exhibits in the NW corner of the arena; add more tables to the staging area and put signs up for each club so club exhibits are all in one staging area. A drawing can be presented at the September 11 th 4H Council meeting. (Kudos to the staff for the new idea, leaving the exhibit by the judge after judging is completed is an excellent idea and alleviates the worry of a committee member or the 4Her in carrying the exhibit any further.) Lynn discussed having something for posters, especially the ones that aren't tri-fold and are a poster board material. Marie and her husband Andy are working on a plan to make easels from pallets; their club might be able to do that as a project. We discussed the clock situation, every year we have to set it up set up night and it usually loses time. There will be discussion as to moving the livestock book judging to the day of livestock; comments received were exhibits couldn't be viewed at 8 pm as planned, it was closer to 8:30 when we opened the doors. Record books don't go to the NDSF. Large animals can't go by species, need to be broken down. Small animal exhibits could still be judged at static night; designate 2 Judges for that area. Again, record books do not go to NDSF. Horse does not require a record book. It was pretty hot in the arena, maybe next year have fans brought in before hand to move the air, they would need to be turned off when judging starts as might be too noisy. Food trucks may replace the Chuckwagon, which would also free up 4Hers and families to volunteer for games, etc. We could still sell water/pop for a profit. Cloverbuds need 2 more judges; also give the Cloverbud a ribbon if in 4H for 2 years and a different ribbon if in 4H for 3 years (light green/dark green). Cloverbuds are meant to have fun and not be competitive, but there are those who have been in for quite a year and it would be nice to recognize them. At the present time, the fact sheet reflects that Cloverbuds can have 4 2

3 projects. We should clarify that it is 4 projects for static night, otherwise if they have a small animal and a book, they only get 2 static projects. Wording should be changed in the General Fact Sheet to something like 4 projects per achievement day? Cupcake/cookie walk went well, plenty of food. Prizes /games: there are some things left over; slim jims and bubbles were a hit. Melody will ask the 4H Council at the September meeting for a $ allocation for Then tattoos, etc. can be ordered ahead if they are on sale beforehand. Below is a list of what was purchased for 2017: 48 small bottles of bubbles 50 mechanical pencils 48 pens/highlighters/gel pens 36 bags of veggie straws 200 frozen treats (don't get these for 2018) 5 lbs of animal crackers which were separated into snack bags on setup night 180 sticks of licorice 120 Slim Jims 5 1/3 lbs of playtime (tootsie rolls, dots) which were separated into snack bags on setup night 90 fruit snacks 40 juice boxes Games recap: o Plinko 2 people o Hockey o Jenga o ND Game & Fish o ATV (Contact info: Eric Dietrich: ; erdietrich@nd.gov) o Theo face painting o Koob McKenzie Magnums We discussed the best day of the week for Static. The schedule for 2018 is: o Setup: June 24, :30 pm o Walk through: June 28, 2018 o Static night: July 10, 2018 o Small animal: July 11, 2018 o Large animal: July 12, 2018 o Horse:? o Pack projects: July 13, 2018 o Pack trailer: July 16, 2018 and it heads to NDSF o Food: July 17, 2018 and it heads to NDSF 3

4 o Teardown: July 17, :30 pm, would need to leave up tables for projects returning-ndsf o Minot: July 30, 2018 o Unloading:August 1, 2018 time of day? o Final cleanup:???? o Pick up projects:??? We may need to assign clubs to help with setup; packing trailer; teardown; unloading trailer. This year Amanda F. took projects up to NDSF and Jeri and Kent Fischer brought back from NDSF. The plan was for Burleigh and Morton to work together to only one trip to Minot would be needed, but that plan didn't work. Static Committee Staff Point of Contact: Amelia Doll. Shaundra is going to be doing a 3 day cooking camp for kids to cover life skills and create exhibits for achievement days. The staff is working on a list of project days for Committee members: Mary Ann and Corrina are not going to be on the committee for upcoming year.
