Previous AGM minutes approved Prop: Chris Partridge Sec: Matt Quartley There followed reports from the various club officers: 1. President s Report Charles Quartley a. Investment in the colts is certainly paying dividends b. Glad to see that we are still healthy financially 2. Secretary s Report incl General Admin Jonny Woodward a. Nothing to report 3. Treasurer s Report Tom Cooper a. It looks like we are heading for a surplus of 170 which is great given capital spending on nets and mowers last year b. Income i. Colts income continues to rise ii. Teas and match fees up due to better weather (as were bar takings) iii. We need to be better at collecting subs for training iv. GB - asked about VP fee increase. TC answered that it was mainly due to large sponsorship payments v. We will continue to chase grants c. Expenditure i. Higher costs include cricket balls, umpires and pitch for 3 rd XI. ii. Colts expenses up for coaches training and courses. All necessary expenditure iii. Property costs the same except for ground (mainly refurbishment, maintenance and servicing) d. Cash in Bank i Current = Deposit = Cash = 8 e. We only have a Statement of Account and not fully audited accounts. The question was asked, do we need to audit? i. BK asked how much it would be. TC said it costs 125 at moment but would be for a full audit. Could be of benefit for some grant applications. CQ - Can get audited if and when required. This approach was put to the AGM f. Prop : Simon Tapley accept as submitted Sec : Chris P. All in favour except one 4. Club Captain/1st XI Captain s Report Keith Wakeham a. All three Sat teams had a good season.
2 b. 1 st XI got within touching distance of promotion but fell away i. Dave Harris = Batter ii. Steve Bowden = Bowler iii. Joe Abbot = Allrounder iv. Rachit proved to be a very useful Overseas player c. 2 nd XI did very well given the league they were in and the standard of opposition d. 3 rd XI CP did very well getting it organised and running it from week to week. Used 43 players in total which can only be a good thing in getting people a game. e. Sunday team had a mixed season with some very strong opposition f. Highlight was that we won the Narracott Cup for the first time, beating Totnes in final g. Entered Corinthian and National Village Cup. Also T20. h. Thanks to the groundsmen. Also Scorers, Umpires, Tea ladies and everyone else i. Overseas. Last year s player was very successful but we will not just pursue anyone. Jamie has a couple of options incl one on the verge of 1 st class cricket (Left arm quick who hits the ball hard) but we would need to find flight, accommodation and some work. We would need him to contribute to the club in many ways. KW also asked for more help in turns of responsibility and somewhere to stay. 5. 2nd XI Captain s Report Simon Tapley a. Not much to add. Good mix of seniors and juniors. 7 x U18 s appeared during the season. Aiming for Premiership next year 6. 3rd XI Captain s Report Chris Partridge a. As per KW. Thanks to everyone who helped out. Highlight was probably that the senior players actually enjoyed it. 7. Sunday League Captain s Report Chris Crocker a. CC Enjoyable season compared to previous. Some good standard incl Devon County player etc. Consolidated. If promotion desired we need to perhaps change the way we use the Sunday league. Bat = Andy Tuckett. Bowl = Roger Cooke. Also next season could foster future captain. 8. Friendlies captains Reports Dave Harris, Jonny Woodward a. DH went fine with lots of youngsters b. JW Pretty good with a rota of captains. Some cracking games towards the end of the season. c. Jonny R has suggested he would take over as co-ordinator of friendlies 9. Junior Chairman s Report Chris Partridge a. Graham Peach, who had been Colts Chairman for the first half of the season, was unable to attend due to prior commitments so Chris took the floor. Stopwatches set. b. Numbers still growing but not actively pursuing any more as numbers are solid and probably optimum. 21 district players. More coaches coming forward/progressing. Good turn out to AGM prior to this one. Looking forward to a new season c. Cheryl has agreed to help with a lot of the admin for Juniors d. That was it! 10. Head Coach s Report Chris Partridge a. Adam didn t quite work out with highly structured coaching. Focus for next year will be situational/tactical approaches with seniors but also a place for some structured coaching on Thursdays. b. 1 st team are pushing for promotion so training will be reinforcing this i. This was punctuated by a slight aside stating that at a recent get together, all players had agreed not to go out and get rat-arsed on a Friday night! 11. Fixture Secretary s Report Geoff Bamford a. All seemed to go well. GB is standing down. PH proposed a huge vote of thanks for all the work GB has put in and the respect with which he s held by others around the
3 country. This was fully backed by all present and Geoff received a hearty round of applauds. 12. Ground Chairman s Report MQ on behalf of AlanBoon (who was poorly) a. Thanks to Keith, Ginge and Trevor. Also thanks to the various team captains for their help on the day. b. Grass is long, ground is wet! c. Alan will carry on as long as the help keep going d. KB asked why pitch marks so low. JW said that he had investigated but nothing was forthcoming other than more feedback will be provided next year. Marked down once for bad painting of lines. CQ asked if captains could ask on the day. KW asked JW to get an example score sheet. 13. Bar Chairman s Report Jo Steer a. Jo has stood down as Bar Chairman b. TC 42% margin on bar included some food but basically a healthy return 14. Fundraising Chairman s Report incl Sponsorship TC, CC a. TC - Individual Sponsorship from Valeport was very generous. This makes a huge difference to the running of the club. TC will try and be more resourceful in getting smaller grants. TDC, IPC, Lords Taverners etc. Not easy getting local businesses to find sponsorship. Needs more bar takings/socials etc. b. GB said he had been talking to a VP who said he hadn t donated because he hadn t been asked and never been thanked. Is this a source we are overlooking? TC will pick this up. c. CC didn t send so many letters out last year due to previous year s weather but he offered to chase this up next year. d. TC said that the Leaflet drop had covered cost of the exercise and was useful in getting the word around. e. CC - planning to put more out about the future plans next year f. CP said we could use the parents more. E.g. got 8 replies for calendar sponsors (which unfortunately didn t come to fruition) g. CP As per Buckland FC we could have 2/3 people on commission for bringing in sponsors h. CP Wine tasting social fell by the wayside which was unfortunate given that a parent had offered to set it up. 15. Chairman s Report Phill Harvey a. This is my last AGM as Chairman b. I ve been working on ClubMark over last few weeks c. Reiterated that the club is in a healthy state. In fact the club is in danger of outgrowing the management of the club. Needs more volunteers to help the likes of CP. Need to try and find people to fit the suit. d. Oh and apologies to all for my occasional outbursts. The toys have all been returned! 16. Subs for See Appendix A a. Annual Registration Fee i. TC was raised by annual subs. 1. Colts reg night is the best night of the year for the treasurer. ii. CP - The vote and therefore proposal from the committee to AGM is that whilst membership fees for a single junior in 2014 should be frozen at the same level as last year ( 35), after that we simply offer "family membership" at 65 for 2 or more children (not including parents who may be members). iii. KW Various gave alternatives on above, as per hockey club. First membership is full cost. Subsequent members is 10 reduction.
4 b. Match Fees i. Mistakes in reading last year s minutes by 1 st /2 nd XI captains (why do I bother ) meant they only asked for 3 from juniors. ii. CP - I would like to propose that all players pay the same match fee on a Saturday or Sunday irrespective of age. Tends to be parents that pay this anyway. iii. CP all Juniors pay 1 match fee for Junior games iv. KW gave more alternatives. Only 25/125 paid full subs. Seniors also pay for driving and add to bar takings. c. Recompense for Teas (currently = 45) i. Teas made a good profit last year due partly to a number of contributions ii. CP/KW - Suggestion = 50 d. TC Presentation to parents in previous meeting highlighted the cost of running the club and met with no real opposition. e. CQ on balls, umpires and pitch that we didn t have to find two years ago. f. ST Makes sense to add a match fee for those playing more cricket g. So in the end KW gave the following proposal. Sec : CP i. ship Subs = 70 with no 100 club. Family membership Junior/Students = 35 with 10 discount for each subsequent member from same household ii. Match Fees Senior = 6 ( 5 juniors), 2 midweek matches ( 1 Juniors) iii. Social fees etc the same. This should include occasional drifters who play occasional games. iv. Usual clause that those having difficulty can make arrangements directly with the Treasurer v. Passed unanimously h. Tea people. Increase to 50 per tea i. Prop: KW Sec: CP ii. Unanimous except for one i. Petrol i. Should drivers be recompensed? ii. Generally agreed that this should be left to a team by team basis 17. Election of officers a. See Appendix B b. CQ Gave thanks to the outgoing Chairman c. MQ Gave his vision as the new chairman i.e. nothing spectacular just (!) clubhouse development, cricket success and continuing success of the Juniors. No grand designs. Just build on what Phill has started, in particular that the club should be run by autonomous sub-committees reporting back to the main committee periodically. d. MQ gave thanks to Jo, the retiring Bar Chairman 18. AOB a. Website Needs more volunteers to add content. Match reports produced by players taking a turn. JS asks all club members to follow the Twitter account. i. CQ asks for info to be sent out in ways other than just Facebook/Twitter b. Clubhouse CQ distributed pictures of plans for the new clubhouse. Planning going in this week. i. Putting in application for whole clubhouse
5 ii. Includes Equipment shed which will be first stage. Once this is built it holds the planning open for a long time iii. Parish Council have approved and it will be made in their name (so reducing fees by 50%) iv. Booner s Shed will be 8m x 7m with doors front and back to allow easy vehicle access. Location is between current building and car park. No loss of parking on match days. Don t need to move the septic tank. v. Full design would give 2 large changing rooms and separate changing rooms for ladies. Also Umpire s room and showers. vi. Will be funded externally and will be self-funded going forward (i.e. no increase in running costs) vii. Application in with Devon Waste Management = 21k (approx.) vs quote from local builder = 35k (approx.) Some of this can be contribution in kind. viii. Don t want to overkill on sponsors at the first stage. ix. Final decision to made in committee but all comments welcome x. BH what is advantage of Clubmark? CQ need Clubmark to get the grants rather than getting money directly from it. xi. Aiming for first stage May/Jun this year c. CP - Fundraising night at the Union (Pig Racing) needs a real effort d. CP Cricket Force Day = 5 th April. Suggested we do ICC equivalent a week earlier so we can hold the Junior Reg night on Fri 4 th April. So Sat 29 th March for Cricket Force Day (and Sat 5 th April = social night for the new Bar Chairman s birthday!) e. CP - New kit to be ordered by end of Jan to guarantee it for the new season f. One topic was deferred for the first committee meeting namely CP had some thoughts on Inspiring and retaining volunteers. The main principle is that we ask every single person connected with ICC to give at least 10 hours of their time as a volunteer in We then offer some kind of reward "in kind" for those who actually put in time. Effectively people would log their hours with a co-ordinator (I have someone in mind for the role) and at the end of the season we run some kind of subsidised social events which are exclusively for people who have logged at least 10 hours. There could be a 'sliding scale' of reward based on hours contributed. Meeting closed at 10.00pm
