4 CHAIRMANS REPORT This is the second year of Club Lennox being up and running and to say the least the support from the community has been very encouraging. Jim Coakley certainly has the restaurant running smoothly and only good comments come out about the quality of the meals and the service delivered by his staff. The restaurant is certainly one of the strong draw cards to the Club. The entertainment has been coming thick and fast and the organisation for this can be attributed to Kate Poulos of late. In the first part of the year much of the accolades should be attributed to Liz Griffiths especially for the organisation of the Jazz on Sunday. It is great to see the variety of entertainment coming to the club. Geoff and Kate I know will be looking to the community to see if there are other events they want celebrated at the club or entertainment to be brought to the club. Variety is the spice of club and we need to keep our club alive with events and entertainment of all sorts. Keep up the good work. The Board have put money into the improvement of the club at both the Western and Eastern end to ensure that the facility is growing to meet the demands of the community. There have been calls for Club Lennox to be able to handle wedding Functions and Birthdays etc., well we now have the facilities / environment to do this. I would like to thank all Board members who have played a major role in this e.g. Paul Everingham, Cole Skennar, Kevin Watts and Darel Vidler especially I would like to thank Kate Poulos for her input and our General Manager Geoff Martin for the many hours he put into screens, flooring and other matters. The Board are considering solar panels to be installed in the future, as always the Board are mindful of expenditure concerns and so will make a decision based on the bottom line. The club as a whole has functioned well and I hope the community feels the same. We must remember that this is the communities club and as such the Board and the General Manager are here to listen to your input whether positive or negative.
5 It has been pleasing to see the number of organisation that are using the Club as there home base, this all goes well for its continued success. I welcome any other organisation that is out there in the community to join us, I am sure you will be more than welcome. Sponsorship has played a major part in the marketing of the club. I wish to thank all those businesses that have come on board to sponsor Club Lennox, they are listed separately in this report. We hope to see other businesses come on board. The greens have been magnificent, so thank you Isaac for stepping up to the plate and making our greens as good as any in the district. I would hope that more bowls functions eventuate and that more fundraising by other organisation is carried out by using the greens. It has been a great year for growth and I can feel a warmth in the club and great atmosphere which all goes well for the future. We must ensure that we as a community continue to support the club in the coming years as we want the club to be around for a long time to come. I wish to thank my Board, I am and we as a community are lucky to have a very talented and skilled board who contribute greatly to the club, it is from them comes many ideas to keep the club moving in a positive direction and make sure the bottom line is in the black. Lastly thank you to Geoff Martin who has done a great job in running the club. The year always sends up challenges and Geoff has met the challenges. I and the Board wish you a very Merry Christmas and a Happy New Year that brings all good things to you. I enjoy my sport regardless of what it is, and as such I have been with many coaches in my life and from one of the many quotes I have heard the following is one that makes me think of our club where it is in its current path: What happened yesterday is history. 6 TREASURERS REPORT This past year has seen the club move from the getting established phase in our operations to trying to establish solid revenue and financial patterns for the club. This has seen the club try a variety of functions and events and in so doing to determine the patronage of the club for ongoing promotional success. At the end of the year we have a solid profit to report against the back drop of many new organisations and groups now calling Club Lennox their home for meetings, activities and then functions and presentations. This has been very successful and a big thank you goes out to the community for their support and ongoing commitment. See the figures for the actual results. During the year we have made the following financial commitments; Repaid the large private loan of $50,000 in terms of our agreement Installed the EBET system for the gaming machines that allows patrons to press a button for claiming a payout on the majority of machines. This has freed up our staff to look after patrons at the bar the majority of the time. This system cost $42,000 to install plus electrical and printers so all up about $50,000. Staff productivity has increased as a result We also had to establish the electrical energy patterns to understand the cost of electricity and the billing patterns. This is now under control. Encountered the usual repairs and maintenance of the building and the equipment which is ongoing. Installed the Kidszone play area for children and this is well patronised by the young children when they are in the club with their parents.
7 Purchased a few more lounge seating sets for patrons The Directors are always looking for ways to improve the club with minor areas being assessed in line with our strategic plan. This will be ongoing. Our marketing team continue to do a great job with promotions and events that are aimed at our patrons and the community. Please continue to support them. A big thank you to Geoff and the staff for the greater emphasis on member service and the feel within the club is always a happy and great place to take the family. A big thank you to the members of the community, sporting and other community groups that now call Club Lennox their home. It s a real community feel and thank you for your support. 8 GENERAL MANAGERS REPORT Where to begin? As we approach the end of year two I cast my mind back to Boxing Day 2013 and if I had imagined that the Club would be this strong at this stage, I would have laughed at myself. But here we are. I told myself that by the end of the first year I would like to be in pro-active phase with the Club. Here we are two years on and the Club still surprises me each month. I am still reacting to its growth. There are so many factors that have contributed to our success and I will mention as many as I can. Firstly let me thank you, the Community for supporting the Club and ensuring its ongoing viability. The Community Organisations that use the facility either as a home base or just for meetings or presentations I thank you for your support. This truly is a Club that belongs to you! Without a committed, intelligent and diverse Board the Club could not have been driven to its current level. It is the strategic plan that the Community contributed to that drives the objectives and ideals of the Board. Under the inspirational leadership of Pip since the steering Committee days the Board has responded to the challenges and continued thinking forward. Pip, Col, Lindsay, Darel, Kevin, Paul and Neil I thank you for your support and guidance over the past twelve months. For a modern Club to survive we must remain diverse and ensure that all areas of the Club continue to attract people. To this end I must commend Jim and his staff in the restaurant in providing a constantly varying menu that does not rely on the staples, but provides an interesting and value for money selection at all times. Jims success and commitment to the future of the Club is testimony to his hard work and forward thinking. Thanks Jim. I hear many compliments on the warm and friendly feel that Club gives off. The staff that we have are responsible for this, they are the front line. Dave and Kate have been an absolute rock in ensuring that the Club runs like clockwork. Dave has instigated a number of innovations to the Club that have proven to be both cost effec-
9 tive and progressive. Kate is the Yin to Dave s Yang and provides creativity to the management team as well as ensuring that the entertainment and functions are of a standard not found in most Clubs. To both of you, I thank you for providing a strong basis for the growth of the Club. Staff are the backbone of any Club and I am honoured to work with the best team I have ever encountered. Your friendliness and commitment to great service is exceptional. More staff nights to come! It is said that success breeds success and our Bowls Clubs are certainly testimony to this, as one of the few Clubs where bowls is in a growth phase I must commend Presidents Kevin and Sheree and their respective committees on their approach to there sport and their continued enthusiasm for growth. Of course good Bowlers need good greens, and I must acknowledge Isaac and his no nonsense approach to providing greens of a quality that are some of the best in the District. It is a testimony to Isaacs maturity that he understands the financial burden that bowling greens can be on Clubs and is prepared to think from a financial standpoint when considering the maintenance of the greens. Volunteers have contributed in no small way to the building of this Club and I would like to acknowledge the efforts put in by them, From our letter folding crew to those who chip in and help with glasses when we are under the pump, I value your contributions. I would be remiss in not acknowledging the efforts put in by John and Liz Griffiths. Not only have they been staunch supporters of the Club, but also wonderfully generous in their support of me personally. John has been assisting me with clearances and stocktakes (and a myriad other jobs) since day one. Liz was instrumental in establishing the entertainment regime that we have in place now. I thank you both on a personal level and on behalf of the Club. So from here on in it s onwards and upwards. The management team will continue to provide the environment within the Club that ensures that people will feel welcome and we trust that the Community will continue to support their Club. 10 AGM AGENDA BUSINESS TO BE CONDUCTED 1. MINUTES OF THE PREVIOUS ANNUAL GENERAL MEETING To receive and consider the minutes of the previous 2 nd Annual General Meeting ANNUAL REPORT AND FINANCIAL STATEMENTS To receive and consider the 2015 Annual Report of The Lennox Head Community, Sports and Recreation Club Ltd. Including the Financial Statements, Directors and Auditors Reports for the period ending 30 th June, 2015 NOTE TO MEMBERS: In order that properly researched and accurate responses are available, members are requested to lodge questions with the General Manager of the Lennox Head Community Sports and Recreation Club Ltd. in writing or to geoff@clublennox.com.au at least 7 days prior to the date of the Annual General Meeting. Questions received in writing will be answered in order of receipt, after which questions without notice will be heard 3. REGISTERED CLUBS ACT REQUIREMENTS Members are asked to consider, and if thought fit to pass the following resolution as an Ordinary Resolution. 3.1 First Ordinary Resolution That pursuant to Section 10 (6) (c) & (d) of the Registered Clubs Act 1976: (A) The Members agree to expenditure by the Board of Directors until the Annual General Meeting in 2016 for the following expenses subject to approval by the Board of Directors (i) The reasonable cost of meals and refreshments for each Director before or after each Board or Committee meeting: (ii) The reasonable cost in relation to the professional development and education of Directors including:
11 a) Directors attending the Annual General Meeting of ClubsNSW; b) Directors attending other meetings of Associations of which the Club is a member; c) Directors attending seminars, lectures, trade displays, organised study tours, fact finding tours and other similar events as may be determined by the Board from time to time; d) Directors attending other registered clubs or gaming venues for the purpose of observing their facilities and methods of operation; e) Directors attending conferences and training sessions in relation to their roles and responsibilities under the Registered Clubs Act, Corporations Act 2001, (Cth) (Corporations Act) and any other relevant legislation; and f) Directors attending functions with partners, where appropriate and required to represent the Club. (iii) reasonable expenses incurred by the Directors in travelling by either private or public transport to and from Board or other duly constituted Committee meetings, either within the Club or elsewhere and approved by the Board on production of documentary evidence of such expenditure; (iv) reasonable expenses incurred by Directors either within the Club or elsewhere in relation to such other duties including entertainment of special guests of the Club and other promotional activities approved by the Board on production of documentary evidence of such expenditure; (v) the reasonable cost of the provision of business shirts and associated apparel for the use of each Director when representing the Club; (vi) reasonable expenses for the provision of a Chairperson s Dinner once a year and on other such occasions as the Board might approve with the persons in attendance to comprise the Directors and their partners and persons (with their partners) chosen by the Chairperson who have supported the Club during the relevant year and thereby promoted the success of the Club; (vii) the payment of Director s and Officers insurance cover premiums; and
12 (viii) the provision and marking out of car parking spaces for the exclusive use of disabled persons (being Member or guests of Members). General Notes To Members Regarding The Ordinary and any Special Resolution To be passed the Ordinary resolutions must receive votes in their favour from a majority of those members who, being eligible to do so, vote in person at the meeting The proposing of the first Ordinary Resolution is a requirement under the Registered Clubs Act. To be passed, any Special Resolution must receive votes in its favour from not less than three-quarters of those Members who are entitled to vote and who vote in person at the meeting. Members who are employees are not entitled to vote and proxy voting is not permitted under the Registered Clubs Act. As a result of any Special Resolution provisions of the Corporations Act, the Special Resolution must be considered as a whole and cannot be altered by motions from the floor of the meeting. The Board of Directors recommends to members that they vote in favour of the Ordinary Resolution.
