2 INTRODUCTION Dear VRC Member, Welcome to the 2014/15 Racing Season. This handbook provides all Members with general information regarding the Club s facilities, Membership offerings and the rules and regulations that govern the Victoria Racing Club. The VRC was established in 1864, when it commenced the management of Flemington Racecourse, and is governed by a Board of Directors, elected by Members of the Club. This handbook is comprised of two sections, the first relating to general matters concerning VRC Membership (marked in pink) and the other pertains to information regarding the Club s loyalty program, Racing Rewards (marked in gold). However, please do not dispose of your card(s) as they will be reactivated upon Membership renewal payment. * Please note we record all calls made to VRC Customer Service for training, quality and assurance purposes. 5 MEMBERSHIP CATEGORIES FULL MEMBERSHIP A Full Member is entitled to a nontransferable card admitting to the Club s premises and has voting rights. Full Members have the right to purchase one Guest Card which admits to the Members Enclosure, excluding Members Only areas. An Annual Member Car Pass may also be purchased which provides parking in the Members Unreserved Car Park (see page 9 for further information). During the Melbourne Cup Carnival, Members are encouraged to travel by public transport as parking is strictly subject to availability. Full Members may apply to reserve a Car, Super, Chalet or Hedges Site during the Melbourne Cup Carnival. Full Members may also introduce visitors to the Members Enclosure on a daily basis (conditions apply, see page 8 for further information). Note: Full Members elected prior to 1979 have the additional option to purchase a Lady s Guest Card, which bears identical access privileges as a Full Member Card. LIFE MEMBERSHIP Life Membership is granted after 50 seasons of continuous Full Membership with the Club. Life Members are not required to pay the annual subscription fee and are issued with a nontransferable Life Member Card, a Guest Card, a Lady s Guest Card and a Rank 4 Car Pass. Privileges are the same as a Full Member, however no subscription fee or Guest Card cost applies. PROVISIONAL MEMBERSHIP Provisional Membership is available to the legal or de facto spouse of a deceased Full Member upon completion of an application. Provisional Members are entitled to a non-transferable card admitting to the Club s premises, including Members Only areas, and have the option to purchase one Guest Card and an Annual Member Car Pass. A Provisional Member does not have voting rights. 5

6 MEMBERSHIP CATEGORIES RESTRICTED MEMBERSHIP A Restricted Member is entitled to a nontransferable card admitting to the Club s premises. Restricted Members Cards allow access to the Members Enclosure on all days except AAMI Victoria Derby and Emirates Melbourne Cup Days. Restricted Members Cards will admit to the racecourse (general admission) and to The Nursery, The Rails, The Domain and The Birdcage on all days of the Melbourne Cup Carnival. Restricted Members are entitled to purchase one Restricted Guest Card which admits as per the Restricted Members Card, excluding Members Only areas (see page 9 for further information). An Annual Restricted Member Car Pass may also be purchased and provides parking in the Members Unreserved Car Park on all days excluding AAMI Victoria Derby and Emirates Melbourne Cup Days. Parking is subject to availability. Restricted Members may introduce visitors to the Members Enclosure on a daily basis, excluding AAMI Victoria Derby and Emirates Melbourne Cup Days (conditions apply, see page 8 for further information). 6

7 GUEST CARD A Guest Card, which may only be purchased by a Full, Restricted, Pre 1979 or Provisional Member, is transferable. The Guest Card admits the bearer to all racedays and all areas of the Members Enclosure, excluding Members Only areas eg. The Birdcage, Island Bar and Long Bar (see page 9 for further information). Restricted Members Guest Cards will not admit to the Members Enclosure on AAMI Victoria Derby and Emirates Melbourne Cup Days. Any person utilising a Members Guest Card is the responsibility of the Member. All Guest Cards will admit to the racecourse (general admission) and to The Nursery, The Rails and The Domain on all days of the Melbourne Cup Carnival. JUNIOR MEMBERSHIP The Junior Membership program is designed to ignite enthusiasm for racing and educate young people about the broader aspects of the racing industry. Junior Members Cards allow access to the Members Enclosure on all days except AAMI Victoria Derby, Emirates Melbourne Cup and Crown Oaks Days*. Junior Members Cards are nontransferable and will admit to the racecourse (general admission) and to The Nursery, The Rails, and The Domain on all days of the Melbourne Cup Carnival. Junior Members will also receive invitations to exclusive events throughout the Racing Season. Junior Members are unable to purchase a Guest Card, Car Pass or Members Reserved Car Site and cannot participate in the Racing Rewards program. Junior Members are eligible for Full Membership status, once they reach 18 years of age, if they have been a Junior Member for one full Racing Season. If you are interested in Junior Membership for your children, please contact VRC Customer Service or visit the Members section of the VRC website. * Parents or guardians of Junior Members can purchase a Junior Members Enclosure Daily Guest Pass for AAMI Victoria Derby, Emirates Melbourne Cup and Crown Oaks Days (conditions apply, see page 8 for further information). PHAR LAP CLUB The Phar Lap Club is a club for children under the age of 12 that provides a fun way to learn about horses and the people who work with them. The benefits of Membership include: A welcome pack upon registering Admission to all Flemington racemeetings Active personalised Phar Lap Club Membership card Invitations to complimentary Phar Lap Club parties Phar Lap Club newsletters, s and birthday card Access to exclusive competitions Visit vrc.net.au or contact VRC Customer Service to register your child for the Phar Lap Club. 7

8 MEMBERS ENCLOSURE DAILY GUEST PASSES Members are advised that Members Enclosure Daily Guest Passes are strictly not available for re-sale. Members found in breach of this rule may be referred to the Disciplinary Committee. NON-MELBOURNE CUP CARNIVAL Advanced Application Advanced applications may be made by contacting VRC Customer Service by post, telephone or . Applications may be made in person during business hours (9am 5pm) at VRC Head Office, up until the last working day prior to the raceday. All applications must be accompanied by payment, and include the full name, address and of the guest being introduced. Members Enclosure Daily Guest Passes can also be purchased at vrc.net.au On Raceday On non-melbourne Cup Carnival racedays, Members may apply to introduce guests into the Members Enclosure. Members may apply in person at the Raceday & Ticketing Office, or the Members Services Window to obtain Members Enclosure Daily Guest Passes. Full name, address and details of the guest must be provided along with payment made for the ticket. Members Enclosure Daily Guest Passes will allow access to all areas of the Members Enclosure, excluding specified Members Only areas (see page 9 for further information). MELBOURNE CUP CARNIVAL Full Members may purchase a maximum of four Members Enclosure Daily Guest Passes for each day of the 2014 Melbourne Cup Carnival. Restricted Members may purchase a maximum of four Members Enclosure Daily Guest Passes for Crown Oaks and Emirates Stakes Days. Full and Restricted Members may purchase up to four Junior Members Enclosure Daily Guest Passes* for Emirates Stakes Day. Full Members guests on AAMI Victoria Derby and Emirates Melbourne Cup Days must be international residents and a photocopy of each guest s passport is required. Parents or guardians of Junior Members may purchase one Junior Members Enclosure Daily Guest Pass for AAMI Victoria Derby, Emirates Melbourne Cup and Crown Oaks Days, at a discounted price. Further information and application forms will be sent to Members and will also be available on the Members section of the VRC website, vrc.net.au, prior to the 2014 Melbourne Cup Carnival. * Child must be years old. 8

9 RACEDAY INFORMATION MEMBERS UNRESERVED CAR PARK Members may gain access to the racecourse off Epsom Road, via either Members Drive or Flemington Drive, providing their 2014/15 Member Car Pass is clearly displayed. During the Melbourne Cup Carnival, access to the Members Unreserved Car Park will only be via Flemington Drive. Obtaining car spaces in the Members Unreserved Car Park is not guaranteed and is subject to availability. It is recommended that you arrive early on feature racedays, or arrange alternative means of transportation. Information regarding the Members Reserved Car Parks during the Melbourne Cup Carnival will be provided in VRC Members publications, Members s and on the VRC website. MEMBERS TURNSTILE ENTRANCES & OPENING TIMES Members Enclosure access is granted by scanning your current, renewed VRC Membership Card, Guest Card, or Members Enclosure Daily Guest Pass through the turnstiles. It is the responsibility of Members to ensure guests correctly scan both in and out of Members Enclosures at all times. For gate opening times, please visit vrc.net.au MEMBERS ONLY AREAS Only Full, Life, Pre 1979, Provisional and Restricted Members and Lady Guest Card holders will be admitted to Members Only areas. Guest Cards and Members Enclosure Daily Guest Pass holders will not be admitted. Members Only areas during the Melbourne Cup Carnival include the Island Bar, Long Bar, The Birdcage, or any other area designated by the Club, pending raceday. Please note: Restricted Members will not be admitted to the Island and Long Bars on AAMI Victoria Derby and Emirates Melbourne Cup Days. 9

10 RACEDAY INFORMATION 10 LOST CARDS & CAR PASSES The loss or theft of Membership Cards, or Car Passes, must be reported to VRC Club Services Membership as soon as possible so that unauthorised use can be prevented. A replacement card or car pass will be issued upon receipt of a written submission explaining the circumstances of the loss. A fee of $30 is required for the replacement of a Membership or Guest Card, unless the card was stolen and a copy of a police report is included with the replacement card form (available upon request from the VRC and on the Members section of the VRC website). A fee of $5 is payable for the replacement of a Junior Membership Card and $10 for a Car Pass. FORGOTTEN CARDS ON RACEDAYS Should you forget your Membership Card on a raceday, you will be required to pay the racecourse general admission price and present yourself at the Raceday & Ticketing Office, where on presentation of appropriate identification, a temporary card will be issued for the day. Racecourse admission will not be refunded. Please note that Racing Rewards points will not be accrued for the day in question. FAULTY CARDS Should you experience any problems with your Membership or Guest Card admitting you to the Members Enclosure, please proceed to the Raceday & Ticketing Office where the matter will be addressed. MISUSE OF MEMBERSHIP CARDS Members are reminded that their Membership Card is strictly nontransferable. Random audit checks are frequently conducted within the Members Enclosure on raceday. The misuse of a Membership Card is a serious breach of Club Rules. Offenders will be referred to the VRC Disciplinary Committee which could result in suspension or loss of Membership privileges. MISBEHAVIOUR Members are urged to respect others within the Members Enclosure by not using offensive or discriminatory language, or indulging in any kind of unseemly behaviour. Any behaviour deemed unacceptable will be referred to the VRC Disciplinary Committee for action. Unseemly behaviour may also result in the offender being escorted from the racecourse. Members are reminded that they are responsible for the behaviour of the guests they introduce into the Members Enclosure, including the Members Reserved Car Park Enclosures. VRC RACEDAY CONTACT If you wish to provide feedback, or speak directly with a representative from the VRC, please present yourself at the Raceday & Ticketing Office and request to speak with a VRC Membership representative.

11 LIQUOR LICENCE Members and their guests must observe the Liquor Licensing Regulations in place at Flemington Racecourse. The VRC and its caterers follow guidelines for Responsible Service of Alcohol. By law, staff members must not serve any alcoholic beverages to guests under the age of 18, or to guests deemed to be in a state of intoxication. In addition to any action taken by police, disciplinary action will be taken by the VRC Disciplinary Committee against Members and/or guests who are in breach of the Liquor Licensing Regulations applicable to Flemington Racecourse. CHILDREN IN THE MEMBERS ENCLOSURE On racedays, neatly dressed children up to 11 years old may be admitted to the Members Enclosure free of charge and without ticketing provided they are accompanied by a parent or guardian. Children aged must hold a Guest Card, a Junior Members Card or a Members Enclosure Daily Guest Pass whilst in the Members Enclosure. Children 12 years and older are required to follow the same dress regulations as that of an adult (see page 13 for further information). Children will not be admitted to the Members Only areas and must be supervised at all times. INFORMATION FOR PEOPLE WITH A DISABILITY In The Grandstand, accessible unisex amenities are located on all levels with the exception of Level 5, as well as wheelchair access to all levels. The Members Old Grandstand has limited wheelchair access to all levels. Ladies accessible amenities are located on the ground level at the eastern end of the Betting Ring. A unisex accessible amenity is located next to Champions Bar on the ground level at the western end of the Betting Ring. On the first floor of the Members Old Grandstand accessible amenities can be found at the western end. 11

12 RACEDAY INFORMATION 12 RESERVED DINING FACILITIES Members dining facilities are available for lunch and afternoon tea on all racedays. Please refer to the Members section of the VRC website, for regular updates on dining availability. Special arrangements for reserved dining facilities during the Melbourne Cup Carnival will be advised in VRC Members publications and on the VRC website. Please note that guests who are dining during the Melbourne Cup Carnival require Members Enclosure Daily Guest Passes. Restrictions apply (see page 8 for further information). Dining bookings are limited to one table per Member. Please see opposite for Members dining on-sale dates. Bookings can be made by contacting VRC Customer Service on or online at vrc.net.au Racedays are correct at time of printing and are subject to change. 13 MEMBERS ENCLOSURE DRESS REGULATIONS The Club s dress standards will be strictly enforced throughout the Racing Season. To avoid inconvenience on raceday, please ensure that your attire, and that of your guests, is appropriate for the Members Enclosure. Notwithstanding the dress standards outlined, the Club reserves the right to refuse entry to any person considered inappropriately attired. GENTLEMEN (including children 12 and over) Gentlemen are required to wear a suit, of tailored slacks (tailored chinos acceptable), sports coat or blazer, plus tie or bow tie and dress shoes. During the period between 1 December and 31 March coats are not required. NOT ACCEPTABLE GENTLEMEN Any form of the following footwear; joggers, sports shoes, track shoes, runners, sandals, thongs*, dilapidated footwear, scuffs, gumboots or slippers Shoes without socks Jeans, jodhpurs, shorts, untailored slacks or cargo pants Torn or ripped clothing even if considered designer tears Open-neck shirts or shirts with no collar Peaked caps, beanies Kilts Parkas, duffle coats, windbreakers, tracksuit tops, golf and yachting weatherproofs, waist length jackets including bomber jackets, denim jackets, casual or untailored leather jackets, anoraks and driza bone jackets Safari suits, bright/fluorescent coloured suits, tracksuits Pullovers or cardigans (without a jacket), rugby tops and football guernseys, even if wearing a tie Cravats Strictly no denim LADIES (including children 12 and over) Ladies are expected to maintain a suitable standard in keeping with the dignity of the Members Enclosure. NOT ACCEPTABLE LADIES Any form of the following footwear; joggers, sports shoes, track shoes, runners, thongs*, dilapidated footwear, scuffs, gumboots or slippers Jeans, jodhpurs, tracksuits, shorts or untailored pants Pants tucked into socks or footwear Torn or ripped clothing even if considered designer tears Garments which show midriff Leggings worn as pants; footless tights acceptable if suitable dress worn over the top Parkas, duffle coats, windbreakers, tracksuit tops, golf and yachting weatherproofs, denim jackets, casual or untailored leather jackets, anoraks and driza bone jackets Shorts jumpsuits/playsuits Strictly no denim Dress regulations must be adhered to whilst in the Members Enclosure. * A shoe is considered a thong if it has two straps which connect in between the first and second toes MEMBERS GUESTS Members are reminded of their responsibility for ensuring the attire of guests introduced into the Members Enclosure conforms to the required standard. CHILDREN UNDER 12 Children under 12 must be neatly dressed and accompanied by an adult in the Members Enclosure. Please note that Members dress regulations are subject to change. 14 RECIPROCAL PRIVILEGES AT OTHER CLUBS 14 MELBOURNE & MOONEE VALLEY RACING CLUBS VRC Members will be admitted to the Members Enclosure at Caulfield, Sandown, Mornington and Moonee Valley during selected racemeetings. The Member must pay racecourse admission and present themselves at the hosting club s Raceday Office with their current Full or Restricted VRC Members Card. VRC Members also have the opportunity to introduce guests to the Members Enclosure upon appropriate payment. Please visit the Members section of the VRC website, vrc.net.au, for updated reciprocal race date information. VICTORIAN PROVINCIAL/COUNTRY RACEMEETINGS Upon paying racecourse admission, VRC Members will be issued with a Members ticket at Victorian provincial/ country racemeetings, excluding Cup Days, the three days of the Warrnambool Cup Carnival and special event days as designated by the clubs. Members are advised to contact the relevant club prior to attending. INTERSTATE CLUBS VRC Members are eligible to apply for reciprocal arrangements with interstate principal clubs and certain provincial clubs listed opposite, under the following conditions: VRC Member to pay racecourse admission Member to present current Membership Card at the Secretary s or Raceday Office of the host club Interstate clubs may charge for reciprocal Members Enclosure tickets at their feature meetings. Visiting Members may purchase up to two tickets for most of these meetings Visiting Members arrangements for non-feature meetings provide for the Member to sign for a Members ticket free of charge, with the option to purchase one additional ticket.

Visiting Members may purchase up to two tickets for these fixtures Visiting Members arrangements for non-feature meetings require the Member to sign for a Members ticket free of charge, with the option to purchase one additional ticket. Auckland Racing Club, Auckland Canterbury Jockey Club, Christchurch Hawkes Bay Racing Inc., Hastings* Otago Racing Club, Mosgiel Waikato Racing Club, Te Rapa Wellington Racing Club, Trentham * Please be advised that the Hawkes Bay Racing Club does not reciprocate for certain feature meetings; contact Hawkes Bay Racing Inc. for further information. 15

16 RECIPROCAL PRIVILEGES AT OTHER CLUBS INTERNATIONAL CLUBS VRC Members are generally welcome at all international race clubs. However Members are reminded that these arrangements have been established as a goodwill gesture between the clubs concerned and provide for a courteous extension of Members privileges on the occasions of intermittent, bona-fide visits only. It is an international club s discretion as to whether to offer reciprocal arrangements to a VRC Member. Applications for reciprocal arrangements need to be made at least 10 working days in advance, and in writing, to VRC Club Services Membership, 448 Epsom Road, Flemington VIC 3031, fax (03) or membership@vrc.net.au When applying to the VRC, please state race club, country, travel dates, racemeetings, name of any guest(s) attending and accommodation details if available. Contact will be made on your behalf to confirm reciprocal arrangements, costs and dress standards. Members will be notified via or telephone. We recommend that Members make contact with the international club prior to the raceday to confirm arrangements. Members are generally required to pay racecourse admission fees, and then proceed to the oncourse inquiry office to arrange privileges by presenting a current VRC Membership Card and/ or introductory letter. Certain clubs prefer to deliver passes to your hotel or accommodation. 17 MELBOURNE CRICKET CLUB (MCC) VRC Members may purchase visitor tickets to enter the MCC Members Reserve for selected AFL and cricket matches played at the MCG. Visitor tickets may only be purchased on match day on presentation of a current Full, Life, Provisional or Restricted VRC Membership Card. KOOYONG LAWN TENNIS CLUB (KLTC) All VRC Members are eligible for: Access to the KLTC courts and clubhouse dressing facilities, on specified days, up to three times per year* Access to dining during lunch, in the Racquet Club, up to three times per year^. For tennis court and dining bookings, VRC Members must contact KLTC reception between 9am and 5pm Monday Friday on (03) Members must report to the reception desk on arrival and present their VRC Membership Card. * Tennis courts are available Fridays and Sundays weekly after 3pm (except during the AAMI Classic). 18 GENERAL INFORMATION PAYING YOUR MEMBERSHIP SUBSCRIPTION All VRC Members are sent a subscription notice in May/June each year. Payment can be made by completing your payment details and forwarding the subscription notice to the Club by mail, fax or by contacting VRC Customer Service on and paying over the phone. Alternatively, log into the Members section of the VRC website, vrc.net.au, and simply renew your Membership online. Members who renew their Membership by 1 August 2014 will receive 20 bonus Racing Rewards points. Members who renew their Membership online will receive an additional five bonus Racing Rewards points. For more information on Racing Rewards, please see page 20. Please note the Junior Membership subscription fee must be paid by a parent or guardian of the Junior Member. CHANGE OF ADDRESS/CONTACT DETAILS Should your address or any personal contact details change, including phone, fax, , title, occupation or name, you are required to advise the VRC at your earliest convenience. You may advise of changes by post, fax or , or by contacting VRC Customer Service. Furthermore, as the VRC is mindful of environmental sustainability, the Club often utilises and SMS communication to update Members on important issues. 19 MEMBERSHIP PUBLICATIONS INFORMATION BULLETINS CONNECT WITH US The magazine exclusively for VRC Members, Inside Headquarters is disseminated to all Members throughout the year. The Melbourne Cup Carnival Official Souvenir Magazine is sent to all Members in September and is also available for retail purchase from leading newsagencies in the months prior to the Melbourne Cup Carnival. These publications convey important information regarding upcoming Members Events, arrangements for feature racedays, dining information and interesting articles relating to VRC Membership and racing in general. MEMBERS S AND SMS Regular s and text messages are sent to Members. These s and texts include Membership updates, raceday information and Members event invitations. Please check your VRC s and text messages to remain up-to-date on your Membership. Members are encouraged to read the VRC Information Bulletins featured in the sports sections of the Herald Sun and The Age in the weeks prior to the Melbourne Cup Carnival and the Autumn Festival of Racing at Flemington. MEMBERS EVENTS A range of exclusive VRC Members Events are scheduled each year. Events include cocktail parties, international racing tours and guest speaker evenings. If you require any further information or assistance please contact VRC Customer Service on , refer to the Racing Rewards section of the VRC website, vrc.net.au, or racingrewards@vrc.net.au EARNING POINTS Every time you attend a VRC racemeeting and scan your Membership Card at a turnstile you automatically earn Racing Rewards points. You also earn points when your guest uses and scans your Guest Card. Type of Card Points earned per Racemeeting Membership Card (Full, Life, 10 Provisional, Restricted) Guest Card 5 All points accumulated by Guest Cards will be credited to the Member in whose name the card is registered. Always scan your Membership/Guest Card so that your attendance will be recorded. REDEEMING POINTS Once you accumulate 70 Racing Rewards points during one Racing Season, you achieve Group 3 status, and will become eligible to begin redeeming points for rewards. LEVEL OF REWARDS There are four levels of Racing Rewards that you can reach. Each level offers an extra incentive or benefit for reaching that status. These groups, outlined opposite, are measured by the number of points accumulated throughout one Racing Season. 20
