1 Team PEI Canada Games Booklet June, 2009 The following booklet is designed to provide you information on the host society s plans for staging the 2009 Canada Games. The information contained in this booklet is generic. If you have specific questions related to your sport or venue, please direct questions to your mission staff liaison. Athlete s Village Residences Week 1 will be at Slemon Park and Week 2 will be at UPEI. We will be assigned rooms based on team size. Coaches/Managers will select which athlete stays in each room. All rooms have between 2 bunk beds (4 people) and 7 bunk beds (14 people). Athletes will share rooms with athletes and coaches/managers/support staff will share rooms with coaches/managers/support staff. Accommodations will be divided by gender as well and there will be no male access to female residence and vice versa. The host society imposed quiet time is 11:00 pm and curfew is at midnight. Teams can place their own curfew so long as they are earlier than the host society s. The athlete s village is smoke free & no alcohol is permitted in the residences A mattress cover will be provided for each bed and a sleeping bag will be provided as a cover. The sleeping bag is a gift from the host that the participants can take home following the Games. Each participant will receive a key for their room. The keys are very expensive to replace (once we have the actual price we will share this with you) and therefore participants should take care of their key. The cost of the replacement is the responsibility of the participant. Keys will be provided upon arrival at the village. Entertainment & Services There will be daily entertainment at the village from 11:00 am to 11:00 pm daily. This includes recurring services (internet, video games, movies, etc.), live performances, live activities and interactive events. Please note that there will be no printing at the internet café. There will be a number of support services available at the village including a mailing service, bank machines, maps, access to handbooks, transportation schedules, pay phones, meeting space, etc. Food Service Menu has already been circulated for the main village

2 Cafeteria will be open from 6:00 am to 10:30 pm daily (grazing style which means you can eat as much as like during this time). No sport bags, backpacks or equipment allowed in the meal hall. There is a bag check area but preference is to have participants leave bags in their rooms if possible. Athletes must clear their own trays when finished Only water bottles and 1 piece of fruit allowed to be removed from the cafeteria, so all food must be consumed in the cafeteria There will be a nutritional kiosk set up at the cafeteria to provide information on the food and there will a dietician on site to answer any specific questions The following locations will have satellite villages where hot and cold food can be obtained throughout the day: o Southwest River Rowing, Canoe Kayak, Open Water Swimming o Silver Fox Sailing o UPEI (Wk 1) Tennis o Montague & Area Wellness Center Female Wrestling Storage There will be two equipment storage areas for week 1 for Team PEI o Space 1 will be for all sport equipment except for bicycles o Space 2 is for cycling and triathlon bicycle storage and repairs Week 2 will be one main storage area for Team PEI Practice equipment provided by the host will be stored at the venues A process will be created to access the key for the storage area or to arrange to use the storage committee volunteer to unlock the storage unit A list will be provided for all equipment allowed in the residences, all other items will need to go in the storage unit Mission Offices Team PEI mission office will be at the Atlantic Police Academy building during week 1 and at the mobile classrooms at UPEI during week 2. Coaches and managers are encouraged to visit the mission offices at least once per day to collect newsletters, messages and any other correspondence from the host society or the mission staff. The mission office will be open from 7:00 am until 12:30 am daily. Ceremonies & Festivals Opening Ceremonies will take place August 15, 1:00 pm at the Credit Union Place in Summerside. These ceremonies are for participants involved in week 1 sports and artist program.

3 Closing Ceremonies will take place on August 29, 2:00 pm at the Athletics Venue at UPEI in Charlottetown. These ceremonies are for participants involved in week 2 sports and artist program. Medal Ceremonies will take place on site at each of the venue following the competition. In individual sports there may be a number of medal ceremonies at the end of specific events (Please refer to the sport schedules). With every medal won, there will be two pins provided that are in the same design as the medal, one for the athlete to wear and the other to be given away to someone who assisted them in achieving their goals. A cultural arts festival will take place while the Games are ongoing. More information on this will be provided as we get closer to the Games. Merchandise & Broadcasting Week 1 There will be a merchandise kiosk at the Athlete s Village and at the Credit Union Place Week 2 There will be a merchandise kiosk at UPEI TSN is the official broadcaster and will be airing 80 hours of programming Polyclinic and Medical Services Polyclinic will be open daily from 6:00 am to 11:00 pm Week 1 at the Atlantic Police Academy Building Week 2 at the Steel Building at UPEI The following services will be provided Physician, Nurse, Chiropractor, Athletic Therapy, Massage, Physiotherapy Physicians must prescribe any medications provided and the polyclinic will not administer any over the counter medicine unless prescribed by a physician. All participants must be accompanied by a coach, manager or mission staff member for their first visit. Upon arrival, there will be a triage process by the polyclinic staff. Any additional services (ie massage, chiropractor) must be as a result of a physician referral. Medical staff will be on site at venues and the type of staff there will be based on risk level. If medical staff is required for a practice, a request must be made at least 24 hours in advance. Only accredited Medical Staff will be able to attend to on field injuries to participants Athlete withdrawn from Competition Physicians have the right to withdraw an athlete from competition based on the wellbeing of the athlete. If this occurs, the chef de mission will be advised and will in turn advise the team When the athlete is reinstated for competition, the chef will be advised Concussion guidelines are in place for the Games and are such that if an athlete is removed from competition for a concussion, the steps required for reinstatement are time sensitive, and there isn t enough time to go through all the steps to ensure a

4 healthy recovery has taken place. Therefore, if an athlete is removed for a concussion, they will not be allowed to resume competition during the Games. Taping All taping is to be done at the poly clinic prior to heading to the venue for competition or practice Any taping at the venue will be to deal with acute injuries Any teams wishing to do their own taping must use their own supplies Transportation (during the Games) Travel to competitions The host society will provide all the necessary transportation for participants during the Games. We are not to use our own cars or travel with parents, friends, etc. Travel for team sports will be done by team and travel for individual sports will be done by sport Travel times less than 30 minutes will be done by school bus, travel time greater than 30 minutes will be done by coach bus. Departure times will be provided but the general rule is that they will have the teams at their venue 1 hour before competition. (For example, if a team competes at 10:00 am and the travel time is 30 minutes the bus will leave at 8:30 am to have you there for 9:00 am). There will be a dedicated pick up and drop off location at the athlete s village and at each of the venues. We will point these out to you during our initial meeting at the Games. Busses will be identified by province and sport for team sports Busses will be identified by sport for individual sports Travel as spectator Week 1, there will be shuttle that leaves the athlete s village every 30 minutes and does a loop to the Credit Union Place, Downtown, Softball Venue, Rugby Venue and then back to the Village. Week 1, there will be a shuttle that goes from the Tennis Venue to UPEI every 30 minutes Week 2, there will be a shuttle that goes from Memorial Field (Baseball) to UPEI every 30 minutes Week 2, your accreditation will allow you to use the Charlottetown Transit If a dedicated team bus is traveling to a competition and spectators wish to attend. A request can be made of the coach to travel on the bus with the team as a spectator. (Example, Softball team is traveling to Alberton for a game and some athletes who don t compete that day wishes to go and watch that game. The coaching staff for softball would have the decision as to whether or not any other participants were allowed on that bus.

5 Transportation (to and from the Games) Week 1 participants will be provided a drop off location (to be finalized) in Summerside on Friday August 14 th at 3:45 pm. From this location the host society will bus our team to the athlete s village at Slemon Park. Week 1 participants will depart on Saturday August 22. Check out time will be provided at a later time, by team, based on the sport schedule. Parents will need to pick up their children at a designated parking lot at the athlete s village. Week 2 participants will be dropped off at a parking lot location at UPEI on Saturday August 22 late in the afternoon (actual time to be finalized) and then the participants will walk to the residence. Week 2 participants will check out of their rooms immediately following the closing ceremonies. All Team PEI participants are required to stay in the athlete s village and depart from the village on the designated departure day. Should extenuating circumstances exist and someone needs to leave the village earlier, coaches must raise the issue with the mission staff. Accreditation and Orientation The host society will provide the athlete village orientation session as part of the Team PEI athlete s rally on August 12 at the Credit Union Place. This will save us from having to do an orientation upon arrival at the village. Upon arrival at the athlete s village each participant will be issued a key to their room please take good care of this as it is very expensive to replace. Each participant will receive an accreditation. They must wear this at all times as it will allow them access to their own residence, cafeteria, transportation, and all preliminary rounds of competition (except for diving and swimming). For the sport of diving and swimming, only those who are competing in those sports are able to access the venue. For medal and cross over rounds, only those participants who competed in that sport will be able to access the venue without purchasing a ticket. (Example, in the Rugby finals, only rugby participants who aren t the two teams in the finals will be allowed access to the venue to watch the game). Seating is on a first come first serve basis As the host province, the host society is granting us a special favor by allowing all our participants to use their accreditation during both weeks of the games to access preliminary round events. For example, week 2 participants will get their accreditation early and be able to attend any preliminary event while week 1 will be able to use there s during the second week of the Games. The accreditation badges are only to be used to access venues as a spectator during the week you are not competing. They are not to be used to access transportation, food, or the village. Please do not abuse this privilege that the host is providing for our team.
