1 ARC Global Rodeo Conference Notes-September 2017 Thursday September 21, 2017 **Vets & Biosecurity-Dr. Corey, DVM and Jed Pugsley, PRCA** DR. COREY -Dry run for livestock injuries: include all drivers, arena/track help -Meet with stock contractors -Check pens: potential areas for injury -HAVE A CHECKLIST -Vets: arrive early and stay at least one hour after show; stay at/in arena during show -allow time for evaluation, don t rush the Vet -Who in the arena calls for the conveyance? -Daily-vet checks health and welfare of the animals -Media requests-decide how/if we will involve the Vet; use them to help write statement -Take care of your Vet with tickets, parking, and credentials -Pay or not to pay-that s a difficult question; most donate their time -PRCA hosting Rodeo Vet meeting again in Vegas this year (2 nd time) -EDCC is the Equine Disease Control Center-monitors disease outbreaks JED PUGSLEY -Biosecurity is all about risk mitigation then damage control-be proactive! -Manage nose to nose contact -Highlight your animal athletes -Beware of Direct Action Everywhere out of Bakersfield, CA=animal liberation group (they go turn animals out, are destructive, etc). National affiliation -Negate the protests: positive info and education, talk about livestock breeding, stock contractors, etc. PRIOR to the event -AR groups going after sponsors-tie Jed in for help in educating sponsors -Federal and State Legislators-invite them to your event, host them, let them ride in a wagon/grand entry/parade -Timed event stock education-do more; show tie down calves and roping steers on replay screen -What Salinas does: e-blast to sponsors with links to livestock info/videos, sponsor packets have info card in them, website, created videos, sponsor tours -The circus is done so now rodeo is a target **Insurance & Liability by Western Specialty Insurers** -Carriers are removing cyber coverage from standard policies

2 -Does tickets.com protect us if our info is breached? -Do we have cyber liability coverage currently? -If a list of 5,000 people is affected, estimated cost is $1 Million -Make sure we are covered internally with info stored on M drive, Nina s computer, Saffire, tickets.com -If you have 2 pieces of info together (name/dob, name/ss#, Name/cc info) then those are vulnerable -kshewmaker@rodeoins.com **PRCA Properties Update-Steve Rempelos** -Karl Stressman said rodeos across US have been setting attendance records all year Steve: Sowing good deeds-tractor award presented by Hesston (?); based on giving back to local community Apply for 2018 Resistol Awards-buy hats at cost for your committee/volunteers; they can order at cost, too.

3 50/50 Gaming Nation-is this legal in CA? Digital gaming like a 50/50 raffle but done on hand held devices with people walking through stands, grounds, etc. What are the rules? Licensed by PRCA -More info at PRCA convention in December

4 Get demographics from PRCA (Scarborough) -PRCA can pull out numbers and trends upon request with notice (not by marketing, but nationally) -Index 145= 45% more likely than national average -68% hunt, fish, camp with an index of 151 -ATVs 14$ own, index 338 -Pulling back on TV bc downward trend on cable tv -Tv audience spends-sportsbusiness Journal is a good, reliable resource -Prorodeotv.com launches week of 9/25, subscriber based platform CBS sports digital -The Vault-prorodeo tv VOD (Video on Demand); digitized old content with rotation VODS, available 20 at a time ie NFRS, etc. -WNFR live to international subscribers, 12 hour delay in US all tour events to be livestreamed; options for any rodeo to be livestreamed -New Tour-According to PRCA, event reps favor a tour that televises short rounds at top PRCA rodeos. - Based on points, not $; Salinas format qualifies (the list of rodeos is NOT finalized and they haven t spoken with most of them yet)

6 -PSN converting to digital format-only 12 printed issues + 12 digital (same price even if you don t access digital issues) -PRCA brings production trailer and crew to do live stream. Different approach than Wrangler Network, which can still do their 20-3o livestreams of rodeos -Will we have to add signage in arena? Probably not b/c they can add it to the digital content **Wrangler Network** Having major success, will continue to livestream Rodeos and other western lifestyle events for FREE **Rodeo Marketing by Ruth Nicolaus** -Publicity is free, more believable than ads -News releases-1/week leading up to event at least 4-6 weeks out; 1 needs to be general with all times, prices, other info; others can feature personnel, local angles (contestants, volunteers), giving back, livestock, be creative Story ideas-maybe buck out stock prior to rodeo and let news crews up close -Get a mighty bucky/practice barrel or can for media to try out, have contestant or pick up man show them how to ride it -Let reporters feed the bulls/livestock

7 -Talking points-provide to all outlets with the nuts and bolts of the event; just basics, make it easy for them -Media liaison make sure they have a daysheet, talking points Video to educate media about the grounds, events ( ed Tracy 9/25) Video(s) about timed event livestock -Facebook-post daily highlight videos Can Alex Garcia do these for us? Or replay guys? -Post multiple pictures in one post using pic monkey, pic collage or canva (add your logo!) and you don t have to copy and paste description on each photo -Watch your rodeo from the cheap seats to get the fan s perspective **PRCA Updates Aaron Enget** PRCA Freestyle Bullfights-the BFs are not a sanctioned PRCA event, they just endorse them; no rules + bi-laws yet. Finals at South Point this year and giving out a PRCA World Champion buckle; BFs will continue in 2018 Tie Down Roping-there was an ad hoc committee working on changes to rule wanting no time for jerk downs; contestants shot down the suggestions and then the BOD exercised executive privilege and added the rule for the 2018 season (in effect 10/1 but not at NFR); all rodeos in the PRCA have the no time rule for a jerk down now regardless of how calf flips, calves don t have to be prepped but committees are encouraged to provide the best pen of calves they can. No more scales needed on site. -Work on seasoning the calf untying crews **Tickets: increase sales, revenue & social media presence by Brad Smith at Ticketforce** Increase sales: -Offer online only specials -Allow customers to select their seats on a map online (Mandy s note: you CAN do this on carodeo.com but tickets.com map stinks and they are using old technology and the button is too small/language confusing on our buy tickets pages) -Provide unique passcodes for sponsors and other tickets you give away (kind of a pain b/c you need lots of codes, BUT that way we know which tickets are being redeemed AND we collect people s contact info when they go online to redeem them); one-time use codes -Try pre and post-event surveys-how was your experience? Engage with fans. -Sell tickets for next year s rodeo at end of current rodeo; maybe only offer for a week at this year s price to avoid possible ticket price increase -Move to all reserved seats? Raise the GA price? If people have reserved seats they don t have to rush to secure their spot; can eat and drink beer, hang out til show starts

8 Increase Revenue -Charge more for day of purchases -up sell with parking, program, food vouchers (does this work?) -dynamic pricing-like what the airlines do (seems complicated and would make people mad-pretty sure tickets.com can t handle it anyway); ticketmaster does this for concerts-raise prices as certain seating areas get close to selling out -Online-can you combine the convenience or facility fee? Include in ticket price? Add upsells-food and beverage voucher, merchandise, parking -charge for memberships and offer them pre-sale offers, member only events, vip tours, etc. -Use wording: Tickets start at $10 to entice people Increase Social Media Followers -Communication is good -Use Instagram for special offers/insta stories -twitter-quick updates -Facebook-live event posts, info Friday September 22, 2017 **ARC Update**-Glen Alan Phillips, San Antonio Stock Show and Rodeo ARC Conference 2018 is in Reno on June 14 th & 15 th ROUND TABLES Contestant Hospitality Access to internet/wifi Showers: Sheridan WYO bought a shower trailer, Houston rents them Parking-be hospitable and ready for late night arrivals Other perks: Caldwell offers haircuts on site as well as picking up dry cleaning Volunteers pay $3 per meal in contestant hospitality area and they get to eat, too Be careful putting sponsor logos on items in contestant bags b/c if contestant is sponsored they might not be able to wear it due to conflict Volunteer Appreciation Food-at Reno Mike Lucke would drive around and randomly pass out sandwiches or burritos to volunteers out at the gates, other non-main stream locations Make sure you say THANK YOU Allow opportunity for advancement

9 Term Limits-cycle people through (Pendleton has 2 four year terms plus option to be Pres for 2 years and that is it) Kick off party Year end holiday party (at Elizabeth Stampede) VIP of each committee picked by chair receives a vest that cannot be bought, it s special for stand out volunteers only; costs committee $35 (Elizabeth Stampede I think) Awards ceremony-sikeston has a rookie award only eligible to win your first year Jaycees could be a resource (they run Sikeston); Lions Clubs, Knights of Columbus Cycle people through various committees and teach them how the rodeo runs before making them chairs Utilize 4-H and FFA groups, HS Rodeo Teams, College Rodeo Teams Committee Structure -Pendleton-4 year term limit, max of 2 terms, option to be Pres 2 years; must submit application, do an interview and stockholders vote you in; only 16 Directors + Pres and 12 committees -Fine line between term limits and kicking someone out the door -Dodge City Round Up-Doc Trotter has been President for 15 years = continuity; only 4 officers with 2 year terms there Ground -Talked about the Rock Doc -Pendleton and Reno use similar equipment (black widow?) -Test soil for composition if moisture content is changing, etc. -Nick at Pendleton must be a soil scientist Fan Retention -Season tickets -Pre-sales -4 day pass discounts -Host local reunions during Rodeo (Ie High Schools, etc) -Kickoff party with cowboy meet & greets -Behind Chutes tours -Sell season tickets back so others can use them or buy them-ie our box seats sit empty, looks bad; San Antonio does this through their own website; not perfect, but helps a bit -Seat Warmers-sell as a sponsorship; the baseball park in Corpus Christy, TX does this. You can sit in the seat after a certain inning (time) and if ticket owner comes, you are relocated
