2 EVENT DETAILS EVENT DATE: 25 th September 30 th September 2013 VENUE: State Equestrian Centre, Brigadoon. WA ARRIVAL DATE: 24 th September DEPARTURE: 6.30am October 1st THINGS TO KNOW The parking area behind the stables will be a drop off zone only. You may park to unload your horse and gear and then you must move on to either a parking or camping area. There will be a coffee van and food vendors on site during the day and we will be supplying pizza for dinner at night at approximately 6.30pm. Parking for cars and visitors will be in the front car park and the parking area on the right hand side of the indoor arena. Floats may also be dropped off in this area. Camping will be on the camping ground past the limestone car park and also down with the yards at the PoloX and Swan Valley PC Grounds. If Interschools require the car park near the Indoor for temporary stabling the above arrangements may be changed, but we will let you know. STABLES Stables will be allocated on a State by State basis. A stable plan will be displayed on the window of the Stable Manager s office as will a list of all likely contacts. Lockers will be available on a first come first served basis in rows where they are available. In rows without lockers, States will be allocated stables for feed storage and another for tack storage. Bedding will be provided and may be added to as you desire. Stables and isles must be kept tidy at all times. Please bring pooper scoopers etc with you. Morning muck out is to be done by 8.30am and manure placed in bins provided. You are welcome to feed hay in the stables. Also very importantly you are most welcome to decorate the front of your stables in State Colours and there will be awards to the best decorated and also the neatest stables. At the end of the event you MUST remove all wet stable material or you will forfeit your $100 deposit and we DO NOT want to be cleaning up your mess! You are to remove all wet, manure and hay bedding from your stable and sweep all dry matter to the edges of your stables. In a number of areas you will find an Information List with all the contacts you will need throughout the event. We will have 1-2 stables Managers and similar to your Team Manager What they say goes! ACCOMODATION At these Championships you will be sleeping in donga accommodation located at the rear of the stables on the limestone car park. Each donga sleeps 6 with three double bunks in each. Each donga will be powered each day from 6-8am and then approximately 6pm 10pm or 10.30pm. Curfew will be enforced at 10pm. Each donga has 6 power points and air conditioning. Power in dongas is to be used for lighting, air-conditioning or recharging mobile phones only. There are to be no kettles, fridges or other devices plugged into these points or your dongas safety switch will flick over and you will be without power. Night time toilets will be available adjacent to the stables. Remember your Team Manager is not far away!!! Page 2

3 TOILETS & SHOWERS The two toilet and shower blocks at the back of the indoor arena for the duration of the event will be signed as FEMALE. Boys please take note of this!! There are 6 other Mens toilets around the indoor arena for you to use. Boys/Men s showers will be located in the portable shower blocks located in the camping ground behind the C Quest arena. There will also be portable toilets placed at either end of the dongas and down at the Swan Valley PC Grounds. COMMUNITY TEA/COFFEE AREA We will be setting up a communal Tea/Coffee/ area in the Swab Box office. In there will be tea/coffee making facilities, Sandwich toaster and fridge. MEALS Breakfast for competitors and Team Managers will be provided each day in the cafe at the front of the indoor arena. This will be a mixture of continental and hot options. This will run from am each day. Dinner will also be served from the cafe from 6pm 8pm and you will have the option of taking this away to eat whilst watching the night time action in the indoor arena. You will be able to purchase your lunch from the mobile food vendors in our Trade Village which will be placed in the Presidents Lawn area. TRADE VILLAGE On the Presidents Lawn we will have a large range of trade exhibits and food vendors. There will also be an area for you to sit and relax after your shopping. We also have different businesses displaying on different days so there will always be something new for you. Red Photos will also have a mobile photo and movie booth operating. WELCOME BAG Between 4-5pm Tuesday 24 th your Team Manager will come and pick up you Team Welcome Packs from the PCAWA office building. These will be jam packed with special offers and info from all of our sponsors and trade displays and will also contain your Event ID DO NOT LOSE THIS as without this you will not be served any meals and will not be transported to the Official Dinner. These cannot be replaced so please don t lose them!!! LAUNDROMAT There is a Laundromat Service available at Swan Valley Tourist Park, 6581 West Swan Rd, West Swan. Approx 14 Min from the SEC. Contact details and directions can be found in your Welcome Bag. We wish you luck! BRIDLE NUMBERS Team Managers will be issued with a list of your competitor bridle numbers. These numbers are to be displayed on your horses bridle or halter whenever your horse is outside the stables. HORSE FEED Feed will be delivered twice a day by Brigadoon Produce. Please call and you will find the feed list is in your Welcome Bag. Page 3

TROT UP There are three options for the trot up. In the case of fine weather you will marshall on the C. Quest arena and trot up on the grass just outside. For showery weather you will marshal and trot up on the C Quest and if it s bucketing down with rain it will be in the City of Swan Indoor Arena. Team Managers will be advised of the final location. TEAM MANAGER MEETINGS Will be at 5pm each day upstairs in the SEC in bar area. EXERCISE AREAS You are welcome to ride on the C Quest arena when it is not use for competition and also the grass arenas located down at Swan Fields- please see map. The grass arena located adjacent to the indoor and C-Quest arena where the Games Arena is on the map is out of bounds. You may ride out around the Polo X fields and the drier areas of the XC course. CHANGES TO THE SCHEDULE As you may be aware we have endured a huge amount of rain over the previous weeks and if this continues up to and including the event there will be changes made to the schedule. We have already been forced to change the venue for the XC and may also be looking at another venue for Games. Your Team Manager will keep you up to date with these changes. Page 4
