1 WOODROFFE JUNIOR AFTER-SCHOOL SKI/SNOWBOARD PROGRAM Welcome to the Woodroffe Junior After-School Ski & Snowboard Program, offered in partnership with Dovercourt Community Centre. Woodroffe Avenue Public School students in grades 4-6 are invited to join and will be transported by bus from the school to Ski Vorlage in Wakefield, Québec. Here is important information about the program. Dates and Times The program will run on four Friday evenings: January 24 January 31 February 7 February 14 If we need to cancel once, an evening has been tentatively rescheduled for Friday, February 21. Vorlage can only confirm the rescheduled date upon booking. Schedule for the Evening Ski 3:15 p.m. Departure from Woodroffe School 4:00 p.m. Arrival at Ski Vorlage 4:20 p.m. Ski/Snowboarding lessons (1 hour, and compulsory for all students) 5:30 p.m. Supper in chalet (brown bag or purchase) 6:00 p.m. Skiing/snowboarding with a partner 7:45 p.m. Return rental equipment (if applicable) and board school bus 8:00 p.m. Departure from Ski Vorlage 8:45 p.m. Arrival at Woodroffe School Please be on time for pick up at 8:45 pm and DO NOT use the bus lane as this is where the buses will arrive and where the students will unload their equipment. The United Church and staff parking lots are available for use at this time in the evening. Registration Registration will run from December 6 to December 11 at Dovercourt Community Centre, 411 Dovercourt Avenue. Payment must be made in full by either cheque, cash, Interac, VISA, MasterCard or American Express and the following forms must be completed: 1. Permission form (signed) 2. Skier s/snowboarder s responsibility code of conduct (must be read) 3. Student personal information form 4. Parent volunteer form (if applicable) 5. Note to parents (signed) Note: If we do not have enough registrants to fill two buses, then only one bus will go. Registrants are accepted on a first come, first served basis. 1
2 LATE REGISTRATIONS CANNOT BE ACCEPTED. Cost of the Program This program is run on a cost-recovery basis. It is not a fundraiser. Dovercourt Administration Fee Dovercourt Staff $2.25 Bus $17.00 Tow ticket $10.00 Ski/Snowboard lesson $10.00 Ski/Snowboard Rental $10.00 $10.00 (one time fee) Total cost for four evenings (lessons are included) Skiing or snowboarding with no equipment rental $ Skiing or snowboarding with equipment rental $ Helmet rentals are not an option this year. Each child must have their own helmet that they bring to the hill each week. Children will not be allowed to ski without a helmet. If your child will not be taking the bus to and from the hill on a particular week, please ensure the coordinators are made aware of this by sending an to woodroffeski@gmail.com by 1:00 on the Friday afternoon. The costs of the program will not be discounted or refunded for missed evenings. Behaviour Students are expected to demonstrate good behaviour and to follow the Ski Vorlage Code of Conduct (attached). Participants are expected to show respect to everyone: volunteers, bus driver, lift operators, ski instructors and each other. They are also expected to ski or snowboard with a buddy of a similar ability during free time and be on the bus ready to leave by 7:45pm. Cancellation Please do not call the school You will be notified by if an outing is cancelled. The program coordinator will cancel an outing if the ski hill is closed, the school buses are not running, the temperature at the hill is - 25C, or any extreme weather that would hamper the safety and enjoyment of the students. Refunds Refunds will be handled by the program coordinators Stephanie Cavanagh and Dawn Dannehl, not Dovercourt. If you require a refund before the start of the program, please submit a written request to Stephanie. Refunds will not be given for evenings children are absent and requests will be handled on a per case basis. The administration; Dovercourt Staff and bus fees are all non-refundable. 2
3 Drop-off and Equipment Storage at Woodroffe Equipment should be dropped off at the back of the school at the Lockhart entrance. Please DO NOT drop your child s equipment off in the front, as this area becomes too congested and creates a safety hazard. We really rely on your cooperation. Students will enter the school by the courtyard doors and store their equipment in the boys and girls change rooms. Should skiing be canceled, children cannot board regular school buses with their equipment. Parents will be responsible for picking up the equipment at the school before 6 pm. Insurance Health Insurance Since the program is held outside the province of Ontario, there are some special considerations to bear in mind. OHIP does not cover all medical costs incurred outside of Ontario and uncertainties may arise with respect to recognition of Ontario health insurance coverage for certain medical treatments and/or hospitalization. Medical expenses are the responsibility of the parent/guardian. As a result, the permission form you sign acknowledges your liability to pay for services not covered by OHIP or that may be required in advance of medical treatment being provided. Accident Insurance Creating a caring and safe environment for students is the OCDSB s top priority. Unfortunately, despite all reasonable precautions taken, accidents can still happen. Some injuries may result in medical, dental or other expenses that are not covered by provincial health care or employer group plans. As a parent/guardian, you become responsible for these expenses. Student accident insurance is available for purchase, on a voluntary basis, through Reliable Life Insurance Company. Forms can be downloaded at or you may apply online at The OCDSB encourages all parents/guardians to consider purchasing this insurance. If your child is involved in after-school-related sports activities or is participating in any field trips out of the province you may wish to seriously consider the coverage options, which range from $3.50/year to $26.50/year. Parent Volunteers We need parent volunteers to ride on the bus, assist the students with getting equipment on and to class promptly, along with the supervision of students in the chalet and on the hills. Program coordinators and a Dovercourt Community Centre representative will accompany the students on each trip and the rest of the 1:8 adult to student ratio will be made up of parent volunteers. 3
4 If we have more volunteers than required, the extra volunteers are welcome to join us on the hill and are able to take advantage of the discounted rate provided to the school. Program coordinators will manage the distribution of these discounted ski lift passes. Extra volunteers will however need to provide their own transportation (see Empty Seat policy below). Responsibilities of Parent Volunteers: Arrive at Woodroffe by 3:00pm and meet outside Gym 1. You may park in the staff parking lot or in the United Church parking lot. Be ready to help students load their equipment and board the buses as required. Once at Vorlage, help with distributing lift tickets, and/or help students get their equipment on, and get to their lesson by 4:30pm. You are then free to ski for an hour. Be in the chalet at 5:30pm to help supervise students eat their supper. At 6:00pm you are free to ski again. Remind students of the mandatory need to be buddied up. Help students to be on the buses and ready to leave by 7:45 pm. If there are any problems, let a program coordinator know. Encourage and model positive behaviour at all times. Have fun! Other Siblings Parents of participating students are welcome to bring their other children to the hill and purchase the same discounted lift ticket from the program coordinators. These children must be fully supervised by their parents or guardians at all times. Empty Seat Policy: We will be offering an opportunity for family members to ride to the hill on the school bus. The number of seats available will depend on the number of students and required volunteers registered. Seats will be offered on a first come, first served basis at the same rate of $16.00 per person, per ride. Tow lift tickets can be purchased at the hill with a coupon from the program coordinator at the program s rate. Tips for the Evening Supper We recommend that students bring a supper, which may be complimented with a purchase of soup, hot chocolate, etc. from the cafeteria. A full range of cafeteria food is available at the chalet. Clothing Please ensure that your child has clothing that will support changes in weather. Make sure they have layers of clothing. We recommend the following: A helmet (now mandatory for ALL students, volunteers and teachers participating in the program), warm jacket, hat or toque, gloves or mittens, ski pants/warm-ups, goggles, extra socks, a scarf or neck tube. Wrist guards are also recommended for snowboarders. 4
5 Helpful Hints Upon dismissal at 3:00pm, all ski/snowboard students will gather their equipment and gather in Gym 1 on the first night. For the four remaining nights, bus #1 will gather in the girls change room and bus #2 will gather in the boys change room. Please practice having your children put on their ski boots themselves at home. We have adults who will help them buckle up their boots, but the children should be able to get their boots on without assistance. We are looking forward to five great evenings at Ski Vorlage!
