1 Welches Middle School Timberline Snow Day Thursday, March 22, 2018 For the 9 th year, Timberline Lodge has generously offered Welches Middle School a free day on the slopes students may ski or snowboard for free! They may take lessons for free! They may rent ski or snowboard equipment for free! And all students get a free lift ticket! This is great opportunity for students to try skiing or snowboarding for the first time. It s also a great chance for students, staff & parents to ski, snowboard or sled together. Parent chaperones will also have their lift tickets, lessons, and rental equipment provided for free. Thank you, Timberline! Who Will Go? This is a field trip for ALL eligible 6 th, 7 th & 8 th graders. To be considered eligible, students must have met the following academic & behavior requirements: 80% of school work turned in from March 2 - March 21 No more than 2 Wildcat Warnings from March 2 - March 21 No Level 3 Referrals from March 2 March 21 What Will We Do? Snowboarding & skiing will be available for everyone, including free lessons! For students who don t want to ski or snowboard, Timberline will provide a sledding hill for us to play on. We ll also have games, snacks & lunch in the lodge. When Do We Leave? Buses will depart at approximately 9:00 am and return at approximately 3:00 pm on Thursday, March 22. Don t be late getting to school on this day we don t want to leave without you! How Do We Get There? For safety & liability reasons, students must ride the bus to Timberline Lodge. Students can be checked out and driven home by a parent chaperone at the end of the day. We need parent chaperones, but we don t have room on the bus. Please plan on driving yourself or carpooling with other parents. Remember that all cars going to Timberline will need to have a Snow Park Permit. We will also need pickup trucks to carry student and staff equipment let us know if you have one you can drive.

2 What About All the Snow Gear? Please do not go out and buy new clothes. We have plenty of loaner gloves, hats, snow pants & jackets for kids in need. Since this is Spring skiing, we expect wet conditions but not extreme cold. Rental skis & snowboards can be provided for anyone who needs them. If you have your own gear, bring your own equipment instead. If you have extra ski gloves, goggles, etc. that you would be willing to share, please let us know or bring them to school clearly marked. How Do I Get My Gear To School? Transportation policy does not allow for skis or snowboards to be brought on the regular school bus. Please DO NOT bring gear to school on the bus! Skis, poles and snowboards need to be delivered to school the week of the trip (or the day of the trip) by parents. They also need to be picked up by parents after the trip. They will be in secure storage at the school. Please remember we are CLOSED FOR SPRING BREAK 3/24-4/1. If you will need gear over the break, pick it up at school Friday, March 23. Do I Have To Stay With An Assigned Group? No, but we do have a check-in policy with an assigned staff member. Each student will be in a pre-assigned group with a staff person. Students must check in ONCE during the day to that staff person at the designated time. Students must also report to the staff person at the designated departure time. This ensures that students are safe and that no one is left behind. What Can I Eat? There will be several options for lunch: FREE sub sandwich for those who turn in their paperwork AND complete their online registration by Tuesday, March 14! This will include chips, soda, fruit & veggies as well. You can bring your own sack lunch. Please don t pack any glass bottles. Order a school sack lunch by March 20. Make sure you check the box on the permission slip for your account to be charged. Bring money to buy lunch & snack from Timberline. How Can I Become A Chaperone? You must be parent/guardian of the student in order to chaperone; no siblings or friends can chaperone. Please remember that chaperones must have their volunteer paperwork & background check completed before the trip. It takes TWO WEEKS to process the

3 background check, so make sure volunteer forms are turned in at least two weeks prior to the trip. Parent chaperones can also ski and snowboard for free! What Needs to be Completed? Timberline has moved to an online system for registering students and signing liability paperwork. All documents from Timberline MUST be completed online! There are also a few paper documents that need to be completed for the school. Required for Welches (all on yellow paper) Completed Information Form (this will help us determine who needs what) Signed permission AND release form (two parent signatures on one page) Behavior Expectations Form signed by student Required for Timberline (all online) Visit the following web address: Follow the prompts to complete registration for your student You will need to complete information about lessons, rental gear and digitally sign a release form. You will need to complete this process EVEN IF YOUR CHILD IS NOT SKIING/SNOWBOARDING Tips for success with the online system: 1) You will first be asked who you are and what you want to do. Include your parent information here. 2) NEXT, you will be asked about the PARTICIPANT. That is where you indicate your students information. If you would like to participate as a chaperone or sign up multiple students, you will be prompted to do so. This is where you select lessons & rental gear. Timberline is providing lessons for LEVEL 1&2 LESSONS ONLY (beginning skiers/snowboarders) 3) You will need to provide a digital signature multiple times. Please be sure you complete every prompt. ALL PERMISSION FORMS AND PAPERWORK MUST BE RETURNED BY FRIDAY, MARCH 16. WE ARE REQUIRED TO HAVE ALL PAPERWORK TO TIMBERLINE 4 DAYS BEFORE WE ARRIVE.

4 SCHEDULE FOR THE DAY: 8:30 a.m. Load Equipment into Pickups, etc. 8:40 a.m. Report to pre-assigned Group Leaders Cover rules, schedules Check gear Check paperwork Check parents Tickets on coats Pack and Load 8:50 a.m. Load Buses & Depart 9:30-10:00 a.m. Arrive at Timberline Get rental gear if needed Put clothes and lunches in the Welches area in the Day Lodge Start having fun! 12:00-1:00 Check in with Group Leader & have lunch in the Lodge 2:00 Check in with group leader Return rental gear Clean up lodge area 2:15 p.m. Load buses to return to school 3:00-3:15 p.m. Arrive back at school Unload equipment

6 Welches Middle School Timberline Snow Day Field Trip Permission & Release Form Student Name Age Grade Authorization: In case of injury or emergency, the school personnel are authorized to secure emergency medical services for my child. If phone numbers have changed, please call Kathy at I realize that natural hazards do exist in skiing, that falls and collisions do occur and that injuries may result; and therefore assume the burden of responsibility to ski under control at all times. I do hereby release Welches School and the Oregon Trail School District and Staff from all liability and waive any claim by reason of my child s participation in the Welches Timberline Ski Day. Neither Timberline nor Welches School nor OTSD is responsible for accidents occurring during the field day. 7 WELCHES MIDDLE SCHOOL TIMBERLINE SNOW DAY BEHAVIOR EXPECTATIONS FORM Basic Timberline Rules: 1. Be in control of speed and course. 2. Abide by the directions and instructions of Timberline personnel. 3. Grant right of way/yield to others. 4. If there is an accident, stay until you are told you may leave. 5. If you are injured, tell Timberline personnel before you leave. 6. Embark and disembark only at designated areas. 7. Stay in bounds. 8. Ski with a friend or partner. Welches Rules: 1. Be respectful at all times: to the lodge, to the equipment, to the staff & to your peers. 2. Be safe at all times: ski with a buddy, know your limits, use common sense, stay in control 3. Be responsible at all times: clean up after yourselves, help when needed, think before acting 4. If a chaperone or staff person asks you to do something or corrects you, follow the instructions the first time. 5. Be polite. Most importantly - Have fun! We hope to do this every year and want to be invited back. We are the only school in Oregon doing this so let s show Timberline how awesomely responsible we are!
