3 BURDEKIN JUNIOR EISTEDDFOD POLICY, BURDEKIN THEATRE REGULATIONS, THE POLICY ACT AND COPYRIGHT LAWS PROHIBIT THE USE OF: D VIDEO/CAM RECOREDERS D CAMERAS D RECORDING DEVICES (INCLUDING SMART PHONES AND TABLETS) D MOBILE PHONES are to be switched off before entering the venue D FLASHLIGHTS D ELECTRONIC GAMES (OF ANY SORT) Such devices may be confiscated for the duration of the eisteddfod GENERAL RULES and CONDITIONS Failure to comply with the following rules and conditions will involve disqualification and withholding of prizes. The decision of the committee of the Burdekin Junior Eisteddfod in all questions or disputes arising out of, or not provided for, by the rules and conditions will be final. All entries are received according to this condition and in the spirit of a friendly competition upon which the eisteddfod is based; no dispute shall become the subject of any appeal at law. It is most important that Competitors, Teachers, Parents & Guardians read all rules & conditions carefully.
4 ENTRIES: Entries are to made through Stardom. Entries can be paid online via Debit / Credit Card. If you have an existing account with Stardom, please use those details to login to your account. When entering please keep a copy of your login details, as you will need them to login to get your reports. You must use the same login details to be able to view reports. Multiple children and disciplines can be listed on the same invoice, saving you multiple admin fees. You can also add to an existing invoice to again save on admin fees. TEACHERS PASSES: Schools must, in writing, supply the Burdekin Junior Eisteddfod committee with teachers names and copyright number on Entry form in order to receive a backstage teacher pass. These passes will be mailed to the relevant school prior to the commencement of the eisteddfod. NO passes will be available from the official table during the running of the eisteddfod. NO teacher will be allowed backstage without a pass. SUBMISSION OF MEMBERS NAMES: Names of all members in Duos/Duets and Trios must be submitted on the official entry Form. In the case of Groups all members and their birth dates must be listed Please highlight the youngest and the eldest on your entry form. The ability to do this will depend on what Geni is able to do. If any competitor in Duos, Trios or Groups is prevented from performing due to withdrawal of one partner, a substitute can be used. These changes will be accepted provided all other conditions are met. Name/s and Date of Birth of substitute/s must be handed to the Secretary/Marshal at least one hour before commencement of the Section. ADJUDICATORS: The Adjudicators have the power to withhold or divide prizes according to merit. In the event of any breach of the rules and conditions, it shall be at the discretion of the management committee as to whether any disqualification or withholding of prizes is enforced, unless a formal complaint is received. Competitors MUST NOT have any tuition whatever from the Adjudicator or the Adjudicator's School from the time of announcement of the Adjudicators. In the case of Highland, the restriction is three months and in Irish this is increased to 2 years. Any approach before or during competition, to an Adjudicator by an Entrant, Parent, Teacher or Friend of an Entrant during the Eisteddfod is prohibited. Disqualification of competitor may be enforced. This rule does not apply to the Eisteddfod committee. CHECK IN / WITHDRAWALS: These rules will be adhered to at ALL times. Competitors must check in with the Marshal upon arrival 30 minutes prior to the commencement of their section and competitors must be available when the section is called. Competitors will be deemed as Withdrawals if they are not present when called for their section/s. Once a section has begun competitors running late will not be permitted to compete. BACK STAGE AREA: The only people allowed Back Stage during the Eisteddfod will be competitors and persons authorized by the Burdekin Junior Eisteddfod Committee. Closed in shoes must be worn by all persons working backstage, with the exception of competitors. Teacher s passes must be presented to backstage Marshalls upon entering backstage.
5 DRESS CODE: The only time/occasion a teacher or parent is allowed in the wings will be for all groups, the competitor is under the age of 10 years or it is the competitor s first eisteddfod. No entry or exit to stage from auditorium. Strict penalties will be incurred if instructions set out by Theatre Staff are not followed. The Eisteddfod will not make the stage available for rehearsals prior to, or through the duration of the Eisteddfod. Should a competitor wish to do this, it will be via private booking with the Burdekin Theatre Management, as long as it does not interfere with the normal running of the Eisteddfod. The Eisteddfod will not be responsible for any costs incurred. The Burdekin Junior Eisteddfod Inc supports a Dress Code for all competitors throughout the eisteddfod. Age appropriate costuming, formal or semi-formal dress is encouraged and all parents and teachers are urged to observe this standard of dress. Good casual is suitable for day competition. PREFORMANCE CODE: AGE LIMITS: GENERAL: The Burdekin Junior Eisteddfod Inc supports a Performance Code for all competitors throughout the eisteddfod. Age appropriate music and or performances are encouraged and all parents and teachers are urged to observe this standard of performance. The eisteddfod is open to all competitors age 18 years and under. Competitors in all sections must not be over the age stated in each section on or before the commencement date of the eisteddfod. Irish is as at 1 st January of the current year. Proof of age may be required. In the case of a dispute, prizes will be withheld until such proof is forthcoming. In case of Duos and Trios one of the competitors may be under the age limit but may only enter in one section. No competitors may perform in any section under a name other than his or her name stated on the entry form. Competitors are only allowed to compete once in a section. No practicing will be permitted around or behind the stage area. A group/team must consist of 4 or more members. Choreography groups are a minimum of 3. The same dance must not be performed twice by the same competitor during the current eisteddfod. DIVISION OF SECTIONS: PROPS Age groupings will be determined by the eisteddfod committee after close of entries. The eisteddfod committee will make its best effort to have a minimum age division of 9 years and under, 12 years and under and 13 years and over, however reserves the right to combine ages due to lack of entries. If sections are divided, competitors must perform in the division allocated. All Props must be brought backstage to OP side, prior to the commencement of the relative session and collected immediately after the conclusion of that session. Props are limited to those that can be placed on stage by the competitor within a time limit of 1 minute. DURING THE ITEM, PROPS ARE TO BE MANIPULATED BY THE COMPETITOR ONLY. This condition may be relaxed in the case of groups subject to the Eisteddfod s approval.
6 All due care, but no responsibility, will be taken by the Eisteddfod for props on or off the stage. Only Eisteddfod officials (including teachers) and Burdekin Theatre staff will be able to place props on and remove from the stage. No props to be set in front of the proscenium. Respect for the stage must be shown. No substance (for example glass, china, powder, paint, oil, confetti, feathers, sand, water, cream, hay, bubbles) is to be spilt or spread on stage. No lighted candles, sparklers, lighted cigarettes or any naked flames are permitted. Penalties will be incurred. Blackouts and special lighting effects will not be allowed. No entry or exit, to/from stage apron. ORDER OF COMPETITORS: Positions allocated in programme will be strictly adhered to except in very extenuating circumstances. PROGRAMMING: The Committee is unable to make special arrangements for out of town competitors to compete at a time other than that shown in the official programme. The committee is unable to make special arrangements for anyone with religious beliefs. While desiring to adhere to the programme as printed, the Committee reserves the right to amend it should it be considered advisable. TEACHERS & PARENTS: COPYRIGHT: No teacher, parent, or person over the set age limit, will be allowed on the stage during the rendition of any item, unless as an accompanist or conductor. Only teachers with students in the current session will be allowed backstage. Closed in shoes must be worn by all persons working backstage. This is now available upon entry. There is a tick box to cover all copyright. The Eisteddfod Committee holds an APRA license for performing recorded music. It is the responsibility of the competitor to abide by the APRA/AMCOS Guide to Eisteddfods (2012). Copyright forms are available in this Entry Booklet, the Eisteddfod website and from The following is an extract from Music copyright for Eisteddfods First Edition 2006: Dancing schools may have a joint AMCOS/ARIA license which permits the making of audio recordings or the copying of existing recordings for ease of cuing purposes, for example, to be used as backing tracks for a performance. Dance schools that have made a recording under the AMCOS/ARIA dance school license may need to quote their license number to the eisteddfod to prove that their recordings have been made legitimately under this license. AMATEUR STATUS: Competition is open to amateurs. Definition of "amateur" - any person who does not derive nor has ever derived his or her main income or a substantial income as a teacher and/or performer from the exercise of his or her talent in the particular class for which he or she may have entered. Confirmation may be requested in writing from a student teacher presently studying and/or teaching under guidance of professional teachers, in the case of a dispute.
7 ENGRAVING: The Committee will not be responsible for the engraving of trophies won. VENUE RULES: Prams, school bags and large musical instruments are not allowed into the auditorium. Mobile phones and hand held games must be switched off light from a screen is a distraction to the adjudicator. (Audio, Video, Photographic) VENUE ETIQUETTE: A high standard of decorum is expected from all participants and spectators. Unpleasant or offensive behavior may result in those responsible being asked to leave and offending entrants may be disqualified. These rules also apply to misuse of the Venue and Eisteddfod s facilities. The committee reserves the right to take any/all action to facilitate the satisfactory conduct of the Eisteddfod. The Eisteddfod is conducted under the relevant Queensland Government Workplace Health and Safety Regulations and expects all competitors, volunteers, patrons, teachers and visitors to respect these guidelines and will not be held liable for any such person who does not. AWARDS and BURSARIES: Awards/Bursaries will be presented to the winning competitors on the completion of that discipline. Please be advised not to leave the auditorium before winners have been announced. CONDITIONS FOR USE OF CDS, MINI DISCS & ipods: There must be only a single track per CD or Mini Disc. THIS RULE WILL BE STRICTLY ADHERED TO. IPODS are set on the correct music ready for the performance. Competitors are responsible for the production of their own recordings. The Eisteddfod while providing adequate playback equipment, accepts no responsibility for quality of the reproduction. PLEASE NOTE: CDRW Disks will NOT operate on the equipment at the theatre
8 IRISH Adjudicator: Mrs Caroline Gossip, ADCRG, Brisbane RULES: These rules are to be read in conjunction with the General Rules and Conditions, it is most important that Competitors, Teachers, Parents & Guardians read all rules & conditions carefully. 1. This competition is registered with the Irish Dancing Commission Dublin, and AIDA North Queensland Sub Committee. Registration No: 6/ Competition is open to pupils of Registered AIDA Inc Teachers only. 3. No entry will be accepted unless accompanied by the correct fee and submitted on the official entry form which has been signed by the registered teacher. Proof of age must also been ascertained. Age for Irish is as at 1 st January of the current year. 4. There must be a minimum of three (3) competitors to make up a section. If a competitor is placed in a higher age group than entered e.g. 6 Years up to 8 Years the teacher has the right to scratch the competitor and the entry fee on this occasion will be refunded. 5. Eisteddfod reserves the right to amend the order of Dances and Age Groups at any time. 6. Competitors must be ready to take their positions on the stage at the appointed times unless under extreme circumstances when the Eisteddfod decision will finalise the matter. 7. In the case of a tie there will be no dance off. Competitors in the next position will move back a place. 8. Competitors will be required to dance to the music as supplied by the Eisteddfod, teachers are required to supply own music for Own Choice Set Dances and Figure Dancing. 9. If there is any problem with music, the dancer will be permitted to re-dance at the Adjudicator s discretion. 10. No recorder other than the one in use for the dancer on stage may be played whilst a dancer is on stage. 11. If a shoe comes off or falls apart during a performance, the dancer must stop dancing at once and remove the shoe from the stage. They will then be allowed to re-dance in another pair of shoes. If the competitor keeps dancing they will not be allowed to re-dance. 12. If two (2) dancers bump hard during a performance they may re-dance at the Adjudicator s discretion.
9 13. PROTESTS Any complaint made by an Individual against the Organisation or Adjudication of any event, must be in writing giving the Complainant s full name and address, and shall be lodged with the Organiser if possible on the day of event, certainly no later than 48 hours of the event. Such complaint is to be accompanied by a fee of $30.00 which is refundable if protest is upheld. 14. Competitors enter at their own risk regarding injury. 15. To receive prizes or awards, competitors must be in full dancing costume including shoes. Any competitor not in costume will not be allowed to stand on the stage with the other winners. 16. The Eisteddfod will not enter into any correspondence with parents or non-parents concerning the organisation and procedure of competition unless these matters are put in writing and presented at an Eisteddfod meeting. 17. No flashlights, cameras of any kind, recording devices of any kind, or electronic games are to be taken into the venue. Mobile phones are to be switched off before entering the venue. 18. Failure to comply with any of the foregoing rules shall involve disqualification and the withholding of prizes. The decision of the AIDA Inc in any question of dispute shall be final. 19. NO PROMPTING by any person will be allowed except in the case of an INEXPERIENCED BEGINNER. 20. The length and speed of solo dancers are as set down by AIDA Inc. 21. All competitors are to abide by the Rules Regarding Make-up (4.5 in CLRG Rule Book) and Costume Rules as set out by the CLRG.
