The only way an event of this magnitude can be successful is through the cooperation and combined efforts of a great number of people. The intent of this letter is to provide you with preliminary information pertinent to your tournament. We anticipate the full cooperation of all contestants, coaches and administrators in order to make this a truly memorable event. NOTE: Your school supervisor s pass for Mat Classic will be mailed to the school principal no later than January 31, 2013 Toward that end, the following people have already put a great amount of time and effort into Mat Classic XXV. 2 NEW UPDATES, PROCEDURES & POINTS OF EMPHASIS MAT CLASSIC XXV 1. COACHES MUST ALERT THE WIAA IMMEDIATELY if you have any wrestler who qualified for Mat Classic and will not be able to compete for any reason, so that the alternate in that weight class can be notified and be sure they are present for weigh-ins on Friday morning. 2. NO RESERVED SEATIN IN THE TACOMA DOME: Teams will not be able to reserve seating in the Tacoma Dome on Thursday during the warm-up period. The Tacoma Dome Staff will remove all items from the seating area on Thursday night before the event. 3. PARKING PASSES: AGAIN THIS YEAR: IMPORTANT UPDATE FOR TEAMS: Parking will again be reduced this year by over 1100 parking spots due to the construction of the Car Museum in Parking lots B and C. Teams are going to have to make plans now to consolidate their parking needs, as NO ADDITIONAL PARKING PASSES will be sold on Thursday afternoon. Lots F and G have been designated as the team lots. Teams need to park in designated parking stalls as we have been given exactly the number of passes for the parking stalls. ALTERNATE PARKING OPTION INFORMATION IS INCLUDED WITH THIS TEAM LETTER 4. SPECTATOR PARKING: The City of Tacoma has identified a number of parking lots in the downtown corridor where spectators are going to be able to park for the event for $5 and then ride the light Link Rail into the Tacoma Dome at no charge. Schools are asked to help get this information out to their wreslting community prior to Mat Classic. ALTERNATE PARKING OPTION INFORMATION IS INCLUDED WITH THIS TEAM LETTER 5. THURSDAY WARM-UP ON THE MATS: For the safety of all competitors, Coaches are asked to please have ONLY MAT CLASSIC COMPETITORS on the mats during the Thursday Warm-up session from 3:00 pm to 6:00 pm. 6. COACHES PASSES. Again this year, there is a process for Coaches Passes. Athletic Directors will be e- mailed information the week of January 21st, They will be asked to submit the names of the School District PAID Wrestling Coaches and approved Vounteer Wrestling Coaches. These coaches will receive passes at Thursday Registration February 14 th. The school will be billed $23 for each coaches pass (NOT TO EXCEED FIVE COACHES PASSES) issued beyond the number of passes allowed by policy based on the number of wrestlers participating at Mat Classic. (SEE Passes per WIAA Guidelines on Page 5) If the Athletic Director does not submit the names of the Wrestling Coaches then they will only receive the number of coaches passes allowed by policy based on the number of wrestlers participating in Mat Classic. 7. Time Schedule: For Mat Classic XXV will be: Friday Morning: 10:00 am Saturday Morning: 10:00 am Friday Afternoon: 4:00 pm Saturday finals: 5:15 pm During the Saturday morning session, wrestling will continue through all placing matches except the finals for first and second places. Wrestling should conclude approximately 2:30 PM. 8. Weigh-ins: The Federation weigh-in rules require that all wrestlers must be present at the start of the weigh-ins, which will be 8:00 am each day, and that weigh-ins will be completed immediately following the weigh-in of all wrestlers. Approximate times to complete weigh-ins are: Friday: 30 minutes, Saturday 15 minutes. NOTE: Girls weigh-ins at the same time in locker room C 9. Coaches during weigh-ins: We will be asking all coaches to please sit in the bleachers during the weigh-ins rather than congregating on the mats while you wait for your athletes to complete the weigh-in process. The mats have already been mopped and disinfected the night before, and we want to do everything possible to limit the spread of any skin disorders as a result of dirty wrestling mats. 10. All Athletes need Picture Identification for Weigh-ins: Coaches please work with your athletes to guarantee that every wrestler has picture identification for the weigh-in process. If you plan ahead, there would be no reason for an athlete to not have picture identification. AGAIN THIS YEAR: WRESTLERS WILL NOT BE ABLE TO BRING GYM BAGS OR BACKPACKS INTO THE WEIGH-IN AREA THIS YEAR. Athletes are asked to arrive in sweat tops and bottoms and will not dress down until they are behind the weigh-in curtain for boys or in the locker room for girls. 11. PASS ABUSE: Passes will be confiscated from persons caught misusing them, and individuals can be turned over to the Tacoma Dome Security for possible ejection and/or prosecution, in addition school administrators will be contacted. 2

3 12. LOCKER ROOMS: Boys will use locker room A and B, the medical staff will use locker room D, and the Girls will use locker room C. Teams should plan to change at school or at their hotel prior to arriving at the Tacoma Dome when possible. 13. Reminder about the Mat Area: Only two persons per wrestler in the mat area. This includes scorekeepers or anyone with a video camera. Violations will be penalized as unsportsmanlike conduct and result in forfeiture of the pass and loss of team points. Each Head Coach is responsible to see that all of his coaching staff and all team-affiliated personnel follow these rules. We thank you in advance for your cooperation. 14. CELEBRATION OF MAT CLASSIC XXV and Parade of Athletes: We ask all placing athletes to assemble by 4:45 PM in the Southwest Corner of the Tacoma Dome for the Parade of Athletes. Cheerleaders will assemble in the Southeast corner by 4:45 pm. 15. The1B/2B Boys Championships: The 1B/2B Boys State Championship will again this year be an 8 entry tournament as part of Mat Classic XXV 16. Girls State Championships: The girls tournament will be a 16 entry tournament as part of Mat Classic XXV. The schools that meet the team definition (7 or more girl wrestlers) will be treated as separate teams for the purposes of parking passes and coaches passes. Those schools who did not meet the team definition will have the boys and girls combined for the purposes of parking passes and coaches passes. 5 ADDITIONAL INFORMATION PASSES: The term passes is a traditional term that simply means identification for access. The pass belongs to the qualifying individual. Passes may not be transferred to unauthorized persons. Non-compliance will result in forfeiture of the pass and the person turned over to Tacoma Dome Security for ejection, and possible prosecution. In addition, the WIAA office will contact the offending school for a satisfactory resolution at the completion of the tournament. PASSES AS PER WIAA GUIDELINES: (Note: Girls participants will be included in the school counts for coaches passes and parking passes. Those schools that meet the team definition will be issued passes as separate teams from the boys team for that school.) A. Two (2) Coaches passes -- If you have 3 to 9 participating wrestlers, you get a 3rd coaches pass, If you have 10 or more participating wrestlers you get 4 coaches passes. Alternates are not considered participants-1or 2 non-floor assess coaches pass if a school has alternates only. COACHES PASSES. A process will be used again this year for Coaches Passes. Athletic Directors will be ed information the Week of January 21 st, They will be asked to submit the names of the School District PAID and volunteer Wrestling Coaches. One (1) pass for a student manager (No floor access) E. One (1) entry pass without floor access for each #1 Alternate that checks in with the team at Registration F. No FLOOR passes will be issued to coaches from schools that have no entries or alternates ONLY. G. Cheerleaders: SEE ATTACHED MEMO Up to 8 will be admitted in uniform with their advisor. They can enter through Upper Gate A or Lower Gate F for all sessions. Cheerleaders will be allowed on the Arena floor during matches, but a MAXIMUM OF FOUR per mat at the designated areas only, except for the finals. If a school brings more than 8 cheerleaders, they must sign-in at Lower Gate F. The school will be billed for admission after the tournament. G. Cheerleader advisors will be issued a pass at Lower Gate F with their cheerleaders. STUDENT PRESS PASSES: Student press pass WITHOUT FLOOR ACCESS can be obtained at Lower Gate F. One (1) per school upon presentation of a letter of authorization on school letterhead. Persons with student press identification WILL NOT BE ALLOWED FLOOR ACCESS. TURN-OUT PRIVILEGES: A. Times are 3 to 6 PM on Thursday, February 14 th 5

6 B. Schools are asked to allow only Mat Classic Participants on the mats during the Thursday session C. Bring your own towels. Limited locker rooms are available - LOCKER ROOMS A and B-BOYS, LOCKER ROOM C-GIRLS: No security for valuables is provided. D. Scale will be available to check weight on Thursday in Locker Rooms A and C from 3 to 6 PM. E. Please cooperate with the Mat crew during set-up MEDICAL: The Medical Center is located under the north stands in Locker Room D. A large and very competent medical and training staff is provided. Schools must supply their own taping supplies, etc. Schools will be billed for materials used other than their own. Due to the increased risk of skin infections, all athletes will be examined by the Tournament Medical Staff prior to weigh-ins each day. A team of physicians will examine any potential problems. The possibility exists that an athlete would not be allowed to wrestle in the state tournament due to a contagious situation that could put other athletes at risk. Coaches with any questionable situations involving their athletes are encouraged to contact Dr. Manson at or at locutus@icehouse.net or Dr. Pham at or at killerby@u.washington.edu TRAINERS: If your school employs a Certified Athletic Trainer, and he/she wishes to work at Mat Classic, they need to contact Dr. Manson at or at locutus@icehouse.net or Dr. Pham at or at killerby@u.washington.edu. Certified School Athletic Trainers will be allowed to sit with the medical staff during a match, provided: 1. They have been working with an athlete with a unique pre-existing injury that requires the trainer to be on the mat because of their specific knowledge of the athlete and the injury, and 2. These trainers have provided Dr. Manson/Pham with a a copy of the attached WIAA ATTENDING ATHELTIC TRAINER/TEAM PHYSICIAN form (page 10) prior to the tournament, specifying the nature of the injury and requesting permission to be allowed on the mat while their student is wrestling Mat Classic Skin Clearance Procedures The following process governs the skin clearance at Mat Classic. While it would be ideal to have a similar or higher level of supervision at all wrestling events, the WIAA is not in a position to provide physician oversight at regular dual meets and other season/post-season tournaments. Given the potential changes that can occur with skin, skin conditions that were deemed non-contagious at one venue, may be ruled contagious at a subsequent venue. The goal of the skin clearance process is to enable wrestlers to compete while minimizing the risk for spread of contagious skin conditions. Skin is a living organ which changes with time. Incompetent skin (which can be created by cold sores, ring-worm, scratches, mat-burns and more), is compromised and therefore at a greater risk for complications. Skin does not always follow the planned course of treatment and will commonly develop secondary infections (such as the cold sore or ringworm becoming secondarily infected with staph) which may require subsequent or different treatment. As a result, there will be times when the diagnosis, treatment plans and return to mat dates change after the initial treatment/clearance determination. At Mat Classic, the skin check process starts at the weigh-in line: 1. Officials perform all of the initial screenings. If the official has no concerns, the wrestler completes the weigh-in process. Most wrestlers follow this course and are never evaluated by the physician team. 2. If a concern is noted, the wrestler presents with a completed skin clearance form and the official has no further concerns, the official may review and subsequently clear the wrestler (again, the wrestler is not evaluated by the physician team). 3. If the official identifies a concern and there is no current clearance form OR the official still has a concern after reviewing the skin clearance form, the wrestler is referred to the physician team. These are the only wrestlers evaluated by the physician team. The physicians do not pick and choose which wrestlers are further evaluated; the officials refer those wrestlers for which they have a concern. Even with a prior physician s clearance, the official may choose to refer the wrestler to the physician team. Once referred to the physician team: 6

7 1. A physician performs a complete re-examination of the skin (evaluating the suspicious lesions AND evaluating for spread/new lesions/incomplete treatment) including the asking of any pertinent questions and review of any outside information/notes/clearance forms. If this first physician determines that there is no concern regarding participation, the wrestler is cleared and returned to the scale area to complete the weigh-in process. 2. If there are any concerns, the wrestler is referred to the next physician (which may be any of the other physicians on the panel) for a second history/exam/review (subsequent reviews may occur simultaneously by one or more physicians at a time). 3. This process is repeated until ALL of the physicians on the panel have examined the wrestler OR until at any point along the process, ANY ONE physician on the panel deems the wrestler non-contagious, at which point the wrestler is cleared and returned to the scale area to complete the weigh-in process. 4. If after being reviewed by ALL of the physicians on the panel, none of the physicians have deemed the wrestler non-contagious, ALL of the physicians again review the history, any outside information/notes and again examine the skin. At this point, the physicians confer as a group to confirm any final decision to disqualify a wrestler for a skin condition (Yes, this is a lengthy and involved decision process). NOTE the fail-safe: no ONE physician has the authority to disqualify a wrestler; it takes ALL of the physicians on the panel. Whereas it only takes ONE physician on the panel to clear the wrestler. If a wrestler is followed by a physician on the panel and/or presents with a skin form completed by a physician on the panel that physician recuses him/herself from the process. It is not until the wrestler is cleared or the final decision is made to disqualify the wrestler that the weigh in card is signed. We often do not know the wrestler s name or school until we sign this card. If at some later time during the tournament, a question arises about a skin issue (by an official, coach, medical staff, tournament staff or another participant), the panel of physicians will be reconvened for an evaluation. A word on Skin Clearance Forms: The Skin Clearance Form is most useful when it is completed in detail including: 1. Dates: a. Date of Exam b. Date treatment Started c. Date for Return to Mat 2. Specific Diagnosis 3. Specific Medications/Treatments (including actual name, dosage, frequency, duration) 4. Description/Location of the lesion (both written and noted on diagram). The skin clearance form is far more useful when it reads, Impetigo, NON-MRSA, treated with cephalexin, 1000 mg twice daily for 10 days, start date 12/1/2011, cleared for return to mat 12/4/2011 (rather than receive a note which reads Bacterial infection, treated with antibiotics which is what we often times get). While precise information may not be available/practical, the more detailed the information, the more useful the skin form is for deeming the lesion non-contagious. Those of us dealing with skin issues in wrestlers are well aware of this and frequently culture skin lesions and treat for multiple pathogens to cover a worst case scenario. As practicing physicians, we are also well aware of the time constraints with having one more form to complete. But again, the more complete/detailed the form, the more useful for deeming a lesion non-contagious. The Skin Clearance Form also has treatment guidelines that suggest minimum treatment before return to wrestling. While not required, adherence to these guidelines is very helpful in substantiating that the skin condition is noncontagious. Adherence to the guidelines is not a guarantee of clearance. Skin is a living organ that changes, patients do not always follow instructions and diseases/infections do not always respond as we would expect. Therefore, if a designated, on-site, meet physician is present, he/she may overrule the diagnosis of the appropriate health-care professional signing the medical release form. A reminder that covering a communicable condition shall not be considered acceptable and does not make the wrestler eligible to participate. There are times when skin lesions are judged to be NON-COMMUNICABLE and we advise the wrestler to cover it for their own protection (to prevent a secondary infection). 7

8 LOCKER ROOMS: Locker Room A and B (BOYS) and C (GIRLS) are available. There are small rooms with showers. We advise, if possible, that contestants arrive dressed to compete. DO NOT LEAVE PERSONAL ITEMS IN THE LOCKER ROOMS as there is no lockerroom supervision during the tournament. PARKING: 1 TO 6 CONTESTANTS ONE (1) PARKING PASS 7 OR MORE CONTESTANTS TWO (2) PARKING PASSES *****ALTERNATES DO NOT COUNT AS CONTESTANTS for Parking Passes***** DUE TO THE REDUCED PARKING, NO ADDITIONAL PARKING PASSES WILL BE SOLD THIS YEAR. Participant parking will be in Parking Lot F or G on the east side of the Dome. Parking passes will be in your team packet at registration. On Thursday, park in any lot that is open; no pass will be required. Please help by parking in an orderly fashion in Lot F or G so that all teams will be able to park close to the Dome. EVENT SECURITY: FOOD AND BEVERAGES: Tacoma Dome policy prohibits bringing food or beverages into the Dome. The Dome personnel will confront you at the gate. Please be aware of this policy and plan your meals accordingly. WRESTLING AREA: Only two persons per wrestler in the mat area. This includes scorekeepers and anyone with a video camera. Each mat area will be closely monitored, and violations will be penalized as UNSPORTSMANLIKE CONDUCT resulting in forfeiture of pass and loss of team points. Each Head Coach is responsible to see that all of his coaching staff and all team-affiliated personnel follow these rules. 10 Subject: MAT CLASSIC CHEERLEADER POLICIES The purpose of this communication is to provide cheerleaders and their advisors with needed information regarding their participation in Mat Classic XXV, the Washington State high school wrestling championships. This is the nation's largest high school wrestling tournament and we welcome the color and excitement that only cheerleaders can bring to this spectacular event. WHEN: TIMES: February 15 and 16 in the Tacoma Dome 10:00 AM and 4:00 PM on February 15, (All wrestlers compete during both sessions) 10:00 AM, 5:00 PM on February 16. ADMISSION POLICIES: Up to eight (8) cheerleaders, if in uniform and only if accompanied by their school authorized supervisor/advisor, will be admitted free of charge to each session. On first arrival, the cheerleaders and their advisors must report to Lower Gate F. Additional cheerleaders must be signed in by the supervisor and the school will be billed for the additional ticket costs. After initial check-in at lower gate F, cheerleaders and their supervisor may then enter upper gate A located near the main entrance or Lower Gate F. It is advisable to park in lot A or, if traveling with the team, to be dropped off at gate A. ADMISSION PRICES: Students with ASB and extra Cheerleaders in uniform; All Day - $11.00 and All Sessions - $ Note: All session adult tickets will be on sale at each Regional Tournament CHEER ADVISOR'S PASS: Cheerleader advisors who check in at Lower Gate F with their cheerleaders will receive a limited access pass. (No floor access) NEW This Year: Cheer Advisors will be given a cell phone contact of TWO CHEER ADVISORS that will be on the main floor. They can call them if they need to get information to their cheer staff on the floor. PARKING PERMITS: The parking pass policy is: Each head wrestling coach will receive at least one (1) parking permit for lot F or G in their team packets which may be used as the school determines. Teams with 7 or more participants, exclusive of alternates, cheerleaders, managers, advisors, etc., will receive a second parking permit at no cost. CHEERLEADERS WILL NOT BE ISSUED AN ADDITIONAL PARKING PASS CHEERING POLICIES: Up to four (4) cheerleaders, in uniform, will be allowed at mat side for all preliminary sessions when their team is competing. Eight cheerleaders are allowed at mat side during the finals. Cheerleaders must cheer from within the bounds of designated areas. They may enter the fenced mat area only after the prior match is completed and must leave immediately after their match is concluded. Cheerleaders are expected to remain in the stands when their team is not competing. Tournament officials will penalize teams for any inappropriate actions by their cheerleaders. Slapping of the mat at any time during competition is prohibited and may result in removal from the floor and/or a team penalty. FINALS CEREMONY PARADE: All cheerleaders and Mascots should report to the Southeast Corner of the dome at 4:45 pm on Saturday evening, in order to participate in The Parade of Athletes prior to the Championship matches. 10

11 How to get the MAT CLASSIC XXV Seeding Draw and Regional Results Again this year, media, coaches and fans will be able to receive the seeding draws for the 2013 MAT CLASSIC XXV for any/all classifications: Girls, 1B/2B. 1A, 2A, 3A 4A. Information will be made available on SUNDAY FEBRUARY 10, 2013, after 2:00 pm. Regional Results will also be available on the WIAA website. There is no cost to receive this information other than your cost to connect to the internet.
