The enclosed will give you information about our upcoming program. Please leave this information at home with your family. You will receive all the information you will need upon arrival at registration. Also included in this packet is information about arrival dates and times and a payment schedule. This is the only packet of information you will receive prior to your arrival in Jackson. It is designed to answer all of your questions and to help you prepare for our workshop. Summer Dance Intensive Staff You may wish to give the following information to your family back home once you arrive: Counselor s Name & Phone # Dorm Participant s Room Number Important Phone Numbers: Ballet Magnificat! 2 1. FORMS and PAYMENTS Be sure to COMPLETELY fill out each of the additional forms. Different people will see different forms, so YOUR FULL NAME MUST BE ON EACH ONE OF THEM. Please mail (DO NOT FAX) the completed forms as one complete packet back to us at the following address. If you are traveling by plane, please get your information in as soon as possible. Ballet Magnificat! Summer Dance Intensive 5406 I 55 North Jackson, MS All forms (including Transportation Form) and full payment is due by April 28, No exceptions. A $100 late fee will be charged if they are received after April 28. Refunds: 1. Refunds made after April 28, 2017, are subject to a $375 cancellation fee. 2. No refunds will be issued if we do not receive cancellation notification by 5:00pm (Central Time) on the Tuesday preceding your arrival day. 3. No refunds will be issued after the start of the workshop session, for any reason, including injury, illness, and homesickness. A 5% discount is applied to Tuition and Room & Board charges when all payments (besides the Application Fee) are made by cash, check, or money order. 3 2. WHAT TO BRING To help you pack, we re providing this checklist. Keep in mind that you will be staying in a dormitory and that you MUST be able to carry your own baggage upstairs and then back to the bus when you leave. Classroom dress For teachers taking classes, we are lenient with the dress requirement as far as color and junk are concerned, but if a female teacher/dancer wears a leotard, a tights top must be worn underneath. Girls Classroom Dress Code Guys Classroom Dress Code Black leotard none that are low cut in the front White short sleeved t shirt *(tights tops must be worn under all leotards see p.9) Black socks; white socks Pink tights Black ballet shoes; white ballet shoes Pink ballet shoes Black shorts: Soffe XT46 Running Shorts Pointe shoes bring enough for the duration of your stay Black jazz shoes Black jazz shoes Black tights Black footless tights for jazz (optional) Dance belt Other dark colored leotards may be worn for jazz classes only Short black wrap dance skirt (georgette, just long enough to cover bottom, not longer than mid thigh) Ballet Bag Needs Pointe shoes (for girls) Jazz shoes Hair accessories pins, brush, clips, hairspray, etc. Extra leotards and tights (shoes, if possible) Hard ball or roller for foot cramps Toenail clippers and nail file Muscle rub Ice packs (instant type only please refrigerators are not available) Water bottle!!! Special Needs for Pointe Shoes Extra ribbon and elastic Thick thread (dental floss) and big needle Masking tape and Band Aids Scissors Campus Dress is casual but modest. No strapless, spaghetti strap or low cut tops No midriffs showing No short shorts they must be at least mid thigh No shorts or pants with printing across the rear No extremely short skirts they must be at least to the knee A cover up must always be worn over dance clothing when not in studio Leggings may not be worn in place of pants unless a long shirt is also worn. Sweatpants or loose jazz pants and long t shirt are great to wear for the creative worship evenings. Ladies may prefer to dress up a little more for Sunday worship, but it is not required. Be prepared to sit on the floor for chapel services. Remember to Bring Bible (No Message Bibles) 3 ring binder at least 1.5 to hold your notes and handouts Personal toiletries soap, shampoo, etc Notebook and pencils Towels and washcloths Extra Long Twin sheets and a light blanket (dorms may be cool at night) Pillow Lanyard (for your room key, swipe card, and nametag) Stamps and stationery Umbrella and/or raincoat Laundry detergent and quarters for machines Alarm clock Camera Sweatpants great for creative worship Blue painter s tape must be used for hanging things on walls not Scotch or masking tape Please do not bring Christmas lights for decoration. They are a fire hazard. Spending Money You may find it helpful to bring extra cash for needs such as laundry, healthy snacks, stamps, and Ballet Magnificat! concessions. Meals in the Belhaven cafeteria cost $6.99 each, payable at each meal. A meal ticket may be purchased directly from the cafeteria. 3

4 3. PREPARATION Pray daily for safe travel, your health, your teachers and instructors, the staff, and your preparedness to learn all God has in store for you personally this summer. 4. The workshop will conclude on the last Saturday of the session. Ballet Magnificat! cannot be responsible for housing or transportation for participants arriving early or staying later than their scheduled workshop session. (Participants traveling from outside the U.S. may be an exception, so please contact our office if you need assistance BEFORE you book your flight.) Arrival and Shuttle Ballet Magnificat! will provide a shuttle for on campus participants coming by plane, train, or bus on arrival and departure days. The Jackson airport is very small. Once you exit through the security checkpoint, you should proceed downstairs to the baggage claim area. We ll be easy to spot. We will be wearing Ballet Magnificat! t shirts. We also have on call persons at the airport during the arrival and departure times. THIS SHUTTLE SERVICE IS AVAILABLE TO REGISTERED, ON CAMPUS WORKSHOP PARTICIPANTS ONLY. ANY CHANGE IN TRAVEL PLANS must be communicated to Brenda Holden at: (office) or (cell) This cell number is to be used only on travel days when air/bus/train schedules are changed, delayed, cancelled, etc. Call the office during regular hours for all other transportation changes, or us at bmag.workshop@balletmagnificat.com as soon as possible. Airlines that fly into Jackson International Airport (JAN) American Eagle ( Delta ( Continental Northwest ( U.S. Air ( Ground Transportation into Jackson Amtrak ( Greyhound ( Lodging If you are a family member in need of overnight lodging while dropping off or picking up your participant, please use the internet to find a hotel to meet your needs. You can search Expedia by putting in the address of our studio (5406 I 55 North, Jackson MS 39211) or Belhaven University (1500 Peachtree Street, Jackson MS 39202) and find hotels conveniently located, plus ratings and customer feedback. We cannot make recommendations but do suggest the Madison, Pearl, and Ridgeland areas. Belhaven University and our studios are not far off Interstate 55, so if your hotel is convenient to the interstate, you will have no trouble getting to the college easily. Ballet Magnificat! does not provide transportation to and from hotels. 5. FIRST DAY Check in at Belhaven University (not Ballet Magnificat! studios) Directions to Belhaven Campus (see map below) From I 55, take Exit 98 A onto Woodrow Wilson Drive. Head West. Take the first LEFT turn which will curve around and take you to Peachtree St If you reach North State Street (2 nd left), you have gone too far, but you can turn LEFT here and then turn LEFT onto Riverside Drive, then RIGHT onto Peachtree St. 4

5 Go to Parking Lot A (for check in only) and go to Caldwell Dorm. If you are not being housed in Caldwell Dorm, you will be directed to your dorm for check in. Check in with the dorm attendant, verify your assignment, THEN unload your belongings. Please move all vehicles from dorm parking lots immediately after unloading to make room for arriving students. Parking Lot B has ample parking. You may wish to search online to find more detailed maps and driving directions, or set your GPS to: Belhaven University, 1500 Peachtree Street, Jackson MS Check In 1. Check in on Belhaven University Campus 2. If arriving by car, check in at Caldwell Dormitory (entrance is at the back of the building). Do not unload your luggage until after you receive your dormitory assignment. 3. If arriving by plane, the shuttle bus assistants will have your dorm assignment and you will be taken straight to your dorm by the shuttle bus for check in. 4. At check in, you will receive your room number and schedule/class information. 5. Your counselor will be waiting to greet you at your dorm. 6. There will be campus maps and people to help you find your way around. 7. Guests should plan to leave campus by 5:30pm First Day Meals in the Campus Cafeteria (available for $6.99/person) Lite Lunch 11am 2pm Full Dinner 6pm 7:30pm One meal on this day is included in your room and board fees. 6. CAMPUS LIFE Dormitory Information 1. Teachers usually stay in quads an area at the end of a dorm hallway with 4 individual rooms, sharing 1 bathroom. Coin operated laundry facilities are available in each dorm. 2. If you plan to bring snack foods, plan healthy. Counselors can make grocery purchases for you on a limited basis. 3. You must bring your own sheets (twin extra long), blanket, and pillow. 4. Each participant will be provided with a door card to his/her dorm building and a key to get into his/her room. If you lose or misplace a key or card, notify your counselor or an on campus administrator immediately. You are liable for the replacement: $20 per key and/or $10 per card. Nametag replacements are $5. 5. ANY DAMAGE TO THE FACILITIES CAUSED BY A PARTICIPANT WILL BE THE RESPONSIBILITY OF THE STUDENT (IF 18 OR OVER) OR THE PARENT/GUARDIAN (IF UNDER 18). 5

6 6. There are televisions in the lobbies of each dorm for viewing dance and other staff/counselor provided videos. Please do not bring movies/dvd s from home. 7. No offensive or objectionable music or reading material, including works containing witchcraft, sorcery, or vampires, e.g., Harry Potter and Twilight. Guidelines 1. Cell phones: We encourage you to limit your cell phone usage during your time here. Cell phones must be kept on silent/vibrate. They must be kept in your bag and not checked or used in the cafeteria or during any classes or activities. 2. If you have a car, you are not allowed to give rides to any workshop student who is under 12 without permission. 3. Workshop curfews and lights out are planned for the safety and wellbeing of the entire group please adhere to these. 4. For your safety, we ask that you do not leave campus after dark, except in an emergency, and then your counselor must be notified. 5. Photographing and videotaping of classes are allowed within our set guidelines. Counselor Groups Counselors live on each hallway in the dorms and are assigned to groups. These groups provide fellowship, fun, and friendship during your time here. Counselors are there to help and support you, no matter what the need. They also lead the groups in Bible study, worship and prayer times. Laundry The dorms have coin operated laundry facilities. The cost is $1.50 per washer load and $1.50 per dryer load. Bring your own soap/products. If you run out, counselors will make trips to the grocery store on a limited basis. Weather Usually, weather in Mississippi in July is hot and humid, sometimes rainy. You ll adjust to the climate best if you wear lightweight, cool clothing. Dorms may be cool at night, so pack some warm pajamas just in case. Cafeteria 1. Cafeteria lines are open during the times listed on the schedule. You will not be allowed through the line before or after these times. Therefore, DON T BE LATE! 2. There will be gluten free options at the cafeteria every day. Campus Boundaries 1. The buildings designated on the campus map (which will be included in your handbook at registration) are the only buildings in which you are allowed. 2. Counselors will be available 24 hours a day and Belhaven University has 24 hour campus security guards. We have set up specific rules and guidelines for your overall protection and safety that we will go over with you at orientation. 3. Dating is not permitted, so please do not look for opportunities to pair off with members of the opposite sex. Disciplinary Procedures Each participant is expected to adhere to the rules instituted by Ballet Magnificat! Minor problems will be addressed by the counseling staff. More serious problems will be referred to the on campus Ballet Magnificat! administrators. A meeting will be held with the participant, the participant s counselor, and at least one member of the workshop staff. In the rare event a situation cannot be resolved to the satisfaction of our staff, the participant will be dismissed from the workshop. No refund will be issued. Illness If a participant becomes ill with a condition that requires (a) constant one on one attention from the counselor or staff over a lengthy period of time, (b) numerous trips to the doctor or hospital, or (c) numerous trips by staff to the drugstore, the family will be notified and the participant may be sent home, with no refund given. 6

7 If a participant exhibits behavior that (a) becomes a distraction, or (b) the leadership of Ballet Magnificat! becomes concerned for the welfare and safety of the student or the other workshop participants, the family will be notified and the participant will be sent home, with no refund given. 7. DAILY SCHEDULE & CLASSES Schedule The following is a rough outline of each week s schedule. Please understand that times may vary slightly. A detailed schedule of classes, plus the evening and weekend schedule will be given to you when you arrive. Monday Friday 7:00 8:15 Breakfast 8:30 9:30 Chapel 10:00 11:45 Class 1 12:00 1:15 Lunch 1:45 3:00 Class 3 3:15 5:00 Class 4 4:45 6:15 Dinner 6:15 8:30 Group times, Bible Studies, evening activities Saturday Classes in the morning/afternoon Company performance Sunday No dance classes Afternoon Worship Service on campus Planned activities or rest time Departure for 1 Week teachers Chapel Daily Chapel is mandatory for all participants, including those staying off campus. Each weekday morning, we begin the day with Chapel, consisting of worship time and speakers (company members and staff). Sunday afternoons, we have a worship service and speakers from local churches and ministries. Because of the nature of the intense schedule while in Jackson, Ballet Magnificat! is not able to provide transportation for participants who request to attend additional local church services in the Jackson area outside of the Summer Intensive. Daily Transportation Classes are held at Belhaven University and Ballet Magnificat! studios. Participants may either ride our buses that go between the two locations or, if 18 and over, may go by car yourself or with another teacher. In the Classroom 1. If you are taking morning technique class, we suggest that you be dressed before chapel for the first class. Wear a shirt and shorts or skirt, etc., to cover up while walking between classes. Class dress code will be strictly enforced. Ladies, tights must be worn UNDER the leotard. Absolutely no holes or cut up class attire. 2. Classes will start on time. Any special preparation needed for any class, such as taping feet for pointe class, should be done ahead of time. 3. If you are feeling ill, you must notify your counselor before chapel so that appropriate medical attention can be given before classes begin. 4. No talking in class. 5. No chewing gum in class. 6. Water bottles are allowed in class. 8. MAIL, PHONES, & VISITORS MAIL & PACKAGES for participants should be sent to: Participant s Name, Dorm Name Initial & Room # (participant will receive this at check in: Caldwell C, room #312) example: Belhaven University Elizabeth Johnson C312 Ballet Magnificat! 1500 Peachtree Street Jackson, MS PLEASE DO NOT mail packages prior to your arrival and do not leave packages to be mailed home to you. 2. PLEASE LIMIT the number of packages you send to you. 7

8 3. PACKAGE SIZE LIMIT: PLEASE Packages can be no larger than a standard shoe box. This includes packages ordered and sent from Amazon, etc. 4. PLEASE DO NOT have cash or other valuables mailed to you. Ballet Magnificat! cannot be responsible if they are lost. 5. PLEASE ask family and friends to NOT mail packages or letters closer than 5 DAYS BEFORE the end of the session. They may not make it here in time and we cannot guarantee they will be forwarded. 6. PLEASE DO NOT send plants or items that will need special handling for you to take home if leaving by public transportation. 7. PLEASE DO NOT send flowers, balloons, or edible arrangements. These take individual attention and we do not have staff to cover it. 8. Mail is delivered once each afternoon, Monday Friday. Mail received after that day s delivery will be delivered the next day, including FedEx, Priority Mail, etc. Request delivery of your package before NOON if you want it delivered with that day s mail. There is no mail delivery on Saturdays or Sundays. 9. Workshop mail is processed and delivered by volunteers it can be an overwhelming task! 10. Please do not call Belhaven or Ballet Magnificat! to inquire about the arrival of your package. If you wish to know when it is delivered to Belhaven, send it trackable. Telephones/Computers Your family may call your counselor directly if they have trouble reaching you on your cell phone. During business hours, they may call our office at , Monday Friday, 9:00 5:00 (central). A Ballet Magnificat! staff member can be contacted after hours and on weekends by calling the office at and following the directions we leave on the voic to reach an emergency cell phone number. Please use this number for true emergencies only. Belhaven University has WiFi throughout the campus. Ballet Magnificat! studios also has WiFi which may be used after first obtaining the password from the office. Visitors and Guests No visitors or guests will be allowed on campus without the permission of the workshop administration. 9. EXTRA CURRICULAR ACTIVITIES Dinner with Keith and Kathy Hosted by Ballet Magnificat! founders, participants love this wonderful opportunity to hear Keith and Kathy s vision and pick their brains during the Q&A session. This year, we will be traveling off campus to one of their favorite local restaurants for an enjoyable evening of good food and fellowship. Concerts by Ballet Magnificat! Ballet Magnificat! will perform for the workshop participants on the first Saturday of each 2 week session. Family members are welcome to attend, as space allows. 10. CHECK OUT 1. Air/train/bus: A departure schedule is posted several days prior to the departure Saturdays. You are asked to check and make a note of the time the shuttle bus will pick you up at your dorm. 2. Driving: Please plan to check out by noon. 3. There will be someone on duty in the lobby of each dorm to check out students as they depart. All participants are required to check out when leaving at the end of camp. Please don t forget this step! PLEASE check out. 8
