1 Sarnia Lawn Bowling Club 2013 / 03 / 01 CONVENING A TOURNAMENT [Some Suggestions] A REASONABLE TIME BEFORE THE TOURNAMENT -contact the club Treasurer to see if the tournament sponsor has submitted his/her/their sponsorship money. If yes then the Treasurer will give the convenor a cheque to be used as prize money. If no then the convenor should con- tact the sponsor and arrange for a convenient time to acquire the donation. -invite the sponsor to the tournament -make certain that there is a sing-up sheet in the Tournament Sign-up Binder JUST BEFORE THE TOURNAMENT -plan the before tournament snack (the tournament convenor IS responsible for the snack and coffee/drink NOT the lunch committee)

2 -if the number of entries look like a bye will be possible, be proactive in trying to get entries to make the draw even. Byes are permissible but should be avoided if possible. Have a bye ahead of turning away an entry. (See Appendix I for Bye policy) -prepare the prize envelopes (according to the prize policy) before the day of the tournament to avoid problems on the day of the tournament: (e.g. not enough bills or coins of the right denomi- nation: the convenor may have to use his/her own money for this; however, there will be pay back once the tournament fees are paid.) (See Appendix II for prize distribution.) -plan to have a money float: toonies or loonies for making change. (float can be paid back as soon as entry fees are paid). -prepare a registration sheet of all the expected bowlers and use this to check off the bowlers as they register and pay -prepare score cards for draw for the first game based on the number of entries. Tournament Cancellation The suggested number of entries to conduct a tournament is 10. If cancellation of the tourna- ment is being considered, consult with the lunch convenor and the club invitational tournament con- venor. Tournament convenor will be responsible for informing all entries of cancellation.

3 The Day of the Tournament -arrive at the bowling green at least 1 1/2 hr. before the start of the tournament. -early activities include having coffee perk on, setting up the greens, opening the windows of the clubhouse, putting water jugs out, have coffee cups, cream/milk, sugar, snack out prior to the arrival of bowlers, putting names on the tournament board, posting the prize breakdown in a prominent viewing location, putting out chairs for spectators and/or bowlers, -have score cards set out for draw. If there is more than one visiting team, they will draw cards first making sure each card for a visitor is a different green assignment. -teams with one or more visiting players AND one or more local club players will be consid- ered a Sarnia team for the purpose of the draw. -when all bowlers have arrived conduct an opening: greeting, acknowledging visitors and their clubs, thanking lunch committee, greens keeper, rules of the day, lunch/dessert arrangements, an- nouncements, inclement weather arrangements, second game will be winner vs. winner and third game will be high vs. high except where two teams have already played each other, and that the club s Emergency Committee (See Appendix III) members will decide if circumstances warrant any changes in the announced conditions of play (eg. weather / heat) a decision will be announced but not voted on. (See Appendix IV) -at the conclusion of each game, post the scores on the

4 score board and prepare the draw for the next game. Avoid if at all possible, teams bowling on the same green twice and teams playing each other twice. -fill out the accounting sheet for the purpose of balancing the monies. -at the conclusion of the tournament, award prizes. If sponsor is present, involve him/her/them in the distribution of prizes. -complete the accounting sheet to include the names of the winners and give the accounting sheet along with money for club profit to the Club Treasurer. (Do not take time to fill out the names of the winners before awarding the prizes; this is paper work that can be done afterwards.) After the Tournament -make certain the all items related to the tournament have been put back, the sheds are locked, the washroom doors to the city washrooms have been secured, the interior lights are turned out, the blackboard has been erased, the jitney board is put pack in place, the fans are off, the gates are locked. Even though the lunch committee should have vacuumed the floor and emptied all garbage containers, make certain that this has been done as often the lunch convenors do not stay until the end of the tournament. Appendix I [approved at the Sept. 23/12 membership meeting] BYE Policy -bye is taken by a home club team for the first game.

5 -bye is determined by a draw. One of the cards will have bye rather than a green number on it. -score for a bye team is the number of ends in the games being played. (e.g. in 12 end games the team with the bye would be awarded a win with an aggregate of 12 and 6 shots against. - the second game, the team with a loss and the lowest aggregate score, regardless of club, will take the bye. - the third game, the team with the 2 losses and the lowest aggregate score will take the bye. - NO team will receive two byes. Appendix II [approved at the Sept. 23/12 membership meeting] Prizes -ALL of the sponsor s donation must be used for prizes. Often the sponsor s donation is sufficient for all the prizes. -if the sponsor s donation is inadequate for the number of prizes needed, then up to one-half of the money collected for the entry fee (not lunch fee) can be used along with the sponsor s donation. - first prize should be a minimum of $20 per team member unless the sponsor has stipulated otherwise. -there should be a minimum of 1 prize for every 3 entries. -determine the number of prizes based on the sponsor s donation and the number of bowlers; prizes should be in a descending (or equal) order of value from first prize to consolation prize. -consolation prizes (1 or 2) should be a maximum of the bowling entry fee.. Consolation prizes can be awarded in a

6 variety of ways: (e.g. high one game winner, high no game winner, best ef- fort (lowest score), team, not in the winners group, that had the best last game (this gives every team a chance to win a consolation prize), a random draw from the teams that are not in the prize money, etc.) -the list of prizes should be posted for viewing prior to the start of the tournament (this is espe- cially important for the consolation prize so that the convenor(s) cannot be accused of changing the consolation prize to favour a particular team. Appendix III The Emergency Committee consists of any three of: (a) tournament convenor, (b) Club Tour- nament Convenor, {c} club president, (d) greens keeper, (e) greens chairperson, (f) club vice presi- dent, (g) club treasurer Appendix IV PLEASE NOTE: The following has not been approved as policy of the Sarnia Lawn Bowling Club. (as of Sept. 2012) It is presented here as a (common sense) guideline for use. General Preparedness -Players, officials and spectators should be encouraged to wear hats or other head protection. -Water and other drinks should be readily available. Procedure -When the temperature reaches 35C at the green, bowling should be interrupted at 20-minute intervals for a period of 5

7 minutes, during which time drinks should be made available. -When the temperature reaches 38C at the green, bowling should be suspended. -The Emergency Committee will decide whether or not to discontinue play. Relevant consideration should include the following factors: age and health of players, level of humidity, and the amount of shade or shelter available.
