6 5 2. THE STADIUM ARENA & CITY OVERVIEW The three official hotels are located in the city center. There is about 2 km from the hotels to the NRGi Arena. Ridehuset, in the city center and close to the 3 hotels, will be the place for dinner and the closing banquet for the senior teams. Closing banquet for the Junior Teams is at Turbinehallen. 7 Main Entrance 6 Team Entrance Competition Hall Hall 2 Hall 3 The competition hall, NRGi Arena, and the training facilities are located at Stadion Allé in Aarhus. The lunch for the delegations using the packages, will be served in Hall 2, 100 meters from the competition arena. Except for the lunch on Friday 19 th where lunch is served at Ridehuset close to the hotels. Training facilities (Hall 3) is about 50 meters from the competition arena. There is access to the competition arena and the dressing rooms through an indoor corridor between the two facilities. WEATHER CONDITIONS In October weather in Denmark can be sunny but also very rainy. The temperature is in general between degrees 6 13 C. We recommend all delegations to bring clothing suitable for these conditions.

STARTING ORDER DRAWING OF LOTS The draw for the starting order of the qualifications and finals took place on August 9 th, 2012 in Aarhus. The result of the draw has been published on the website and is included in the competition program, appendix A. 5. COMPETITION DETAILS AND EQUIPMENT The competitions will take place in NRGi Arena, competition arena. The apparatus in the competition arena and training hall are identical. The equipment supplier is Euro Gymnastic Equipment. Website

TRAMPET The Official Equipment Provider will provide a set of trampets at the championships. There will be two MD Super Elite 36 and 40 springs trampets in the training hall and an identical set in the competition hall. Both models have a string bed, transportation wheels and frame protection in blue color. It is also easy to set up for different heights, 65, 70 and 75 cm at high end (back part) of the trampet and a fixed lower front part. As informed in bulletin no. 2 only teams who have declared that they bring their trampet in advance will be allowed to use them. Teams shall submit the specific form no later than September 27 th. The form is available by this link: All trampets should be presented at the accreditation for inspection and approval according to the UEG Directives for Equipments May 2004 and subsequent clarification in 2004 (Art Trampets Height back part max 75 cm). The trampets must be clearly marked with the three letter country code and team number(s). Approved trampets will be marked with an official sticker and remain within the dedicated area. The checking of trampets to meet the criteria does not relive the responsibility of the users to ensure it is fit for purpose when they use it. VAULTING TABLE The senior women and mixed teams have a set height of 160 cm. The men s teams height is 165 cm. Juniors may use the vault in steps of 5 cm from 150 cm to 160 cm (women and mixed) and up to 165 cm (men). Information about the height of the vault is handed in at the accreditation. It is the responsibility of the coaches to make sure that the height of trampet and vault are at their required position. The height is measured from the floor to the highest part of the table. TUMBLING TRACK The tumbling track will be with a steel frame and the color is blue.

10 9 6. ACCESS TO THE COMPETITION AREA Access is permitted only to gymnasts, coaches, judges, technical assistants, medical staff, UEG and Organizing Committee. Each person will have an accreditation ID-card with photo, which must be worn where it can be clearly seen when entering controlled areas. It must be removed during performance or standing in. During training, only three coaches will be allowed in the training areas with each team. During the competition, two coaches are allowed to enter early to prepare the trampet and stand in for the trampet performance. One coach is allowed to enter with the team for the tumbling and may stand in during the performance. An area will be provided for up to three coaches per team to watch their team s performance. All coaches must leave the area with their team immediately after their performance. In competition all teams will have a dressing room at their disposal. Teams will be escorted to the dressing room after each performance to wait for the next performance and to change clothes. Teams will have to bring all belongings with them after their last performance so the room can be used for the next coming team in the following devision. According to Danish Law smoking is not allowed anywhere inside public building. 7. REGULATIONS The competitions will be in accordance with the TeamGym Code of Points October 2009 (including Revision A August 2010 and Revision B October 2011). Directives for Equipment edition May 2004 and subsequent clarifications in 2004 (Art Trampet height back part max 75 cm) and 2012 (height of the vault in junior competition). Regulations for European Championships in TeamGym November 2009 and clarifications August BRIEFING SESSION A briefing session for the Head of Delegations and one coach per team will be held on Wednesday October 17th at , in Meeting room 20 on the 2 nd floor (NRGi Arena).

11 ACCREDITATION Accreditation will be held at the NRGi Arena (Competition arena). Each delegation will be taken to the accreditation desk upon arrival. The accreditation center will be open Tuesday October 16th between and There will be a possibility for a late accreditation on Wednesday October 17th, between Following documents must be presented at the accreditation: - Passport of every participant - Proof of insurance otherwise an insurance has to be signed locally - Payment of outstanding accounts - Advertising application forms - Written declaration for use of medication Only the Head of Delegation is allowed to enter the accreditation area. After accreditation the groups should continue their journey to register at their hotel. For those delegations who have not ordered the accommodation package from the organizer, an accreditation must be obtained by the booking system. All delegation members will receive an accreditation ID-card. The ID-card is personal, nontransferable and compulsory to get access to the competition arena, Hall 2 (lunch), local transportation, dinner at Ridehuset and the closing banquet. All participants and officials are required to wear the ID-cards at all times. To replace a lost ID-card will cost EUR 20. PHOTOS In order to make a smooth accreditation each delegation is requested to send in photos of all gymnasts, coaches, HoD and judges to the Organizing Committee at the same time as the Nominative entry on September 27th Photos should be passport size and be sent in.jpg format. Remember to file each picture with the participant s name. Photos should be uploaded through the booking system Delegations who omit to send photos prior to the deadline will have to pay EUR 5 for each photo that has to be taken by the Organizing Committee during accreditation.

12 CLARIFICATIONS OF CHANGES TO NOMINATED GYMNASTS The names of the teams, gymnasts and reserves are nominated 3 weeks before the Championships in the Nominative Entry. Changes to Nominated Individuals The names of the team members plus up to 2 reserves are given in the nominative entry. The names can not be changed, except in exceptional circumstances, with expressed approval of the President of TG-TC (Technical Regulations 5.4). These circumstances will need to be submitted in writing with evidence (doctor s note), for each individual. Submissions must be made well before the 24hr limitation, to allow due consideration. The start of the competition will be taken as the published start time for the first performance of the specific discipline. Such circumstances would be for example sickness, injury or personal situations. Post accreditation, changes refer to a reserve changing with a team member. Additional names can not be added (Technical Regulations 4.4 Maximum 2 reserves). Replacement during the Competition Replacing a nominated gymnast with a nominated reserve during the competition due to injury is a different situation. This can only be done as a consequence of an injury. It requires a form to be signed by the UEG doctor and passed to the President of the TC-TG UEG for formal approval. 12. AGE AND NATIONALITY CONTROL Seniors the minimum age is 16 years (born in 1996 or before) Juniors minimum age 13 years, maximum 17 years (born between ). Gymnasts and judges taking part at the European Championships must have the nationality (citizenship) of the Federation they represent. The Head of Delegations have to bring passports of all participants to the accreditation. The OC will check age and nationality of all competitors. 13. INSURANCE All delegations have to present at the accreditation a valid written confirmation about health and accident insurance. This insurance has to cover all members of the delegation, both gymnasts and officials. Without this an accreditation is not possible. If delegations are not in possession of this document, the local organizing committee (LOC) offers an adequate insurance for the amount of EUR 50 per person that is valid during the championships.

13 MUSIC SUBMISSION To facilitate the handling of music and ensure quality, we kindly ask you to send your music to the competition office in advance. You can upload your music through the web site The password is: Music2Upload Music shall be submitted in.mp3-format. Music for each discipline should be marked with Federation-team-discipline. One file for each discipline of floor, trampet and tumbling. As an example of music for the floor of the junior men team of Sweden and the music for the tumbling of the senior mix team of Iceland: SWE-JMen-floor.mp3 ISL-SMix-tumbling.mp3 If you have any trouble with uploading the files please contact our technical manager at Teams must bring a copy of their music on a CD (for backup). One for each discipline named as the uploaded file above. The CDs are handed over to the LOC at accreditation. 15. TARIFF FORM SUBMISSION Tariff forms should be submitted through a web-based system at least two hours before the competition. If any changes are made on the competition day the accreditation office must be informed. Any changes after that will not be accepted. No tariff forms on paper will be accepted at any point in time. Only tariff entered online is accepted. Please use this link Website for tariff: Each team will have a unique entry and password. Name and password will be sent to the federation in a separate . We strongly suggest that you have entered your information well in advance, as it shows difficulty values and composition deductions on the screen. You can easily log in and update your information as often as you like until two hours before the competition. If you have any trouble with uploading the tariffs please contact our technical manager at kila@dgf.dk At the competition days, Thursday to Saturday, there will be a computer at the accreditation / information office at NRGi Arena for corrections and updates of tariff forms. Only coaches or HoDs are allowed in the room. The LOC will have people ready to assist the teams if needed.

14 WARM-UP AND TRAINING There is no warm-up time in the competition hall during competitions. All teams shall warm-up in the training hall. The training hall is situated adjacent to the competition hall accessed by stairs and a bridge connecting the buildings. According to the training schedule (appendix A), each team has one official training in the competition hall. 17. JURIES The Jury of Appeal consists of: - Two members of the Executive committee Manuel Boa de Jesus Malin Eggertz Forsmark - Third member TBC The jury of appeal will handle all unforeseen incidents and events which are not covered by the existing regulations. The Competition Jury consists of three persons. - Official representative of the TC-TG UEG Keith Hughes - Competition Director Anders Jacobsen - The Lead Head Judge in each panel (To be announced) The competition jury will handle appeals related to the Code of Points. 18. PROTESTS In case of protests they must be written in one of the official UEG languages and handed over to the competition director within 10 minutes of the last score of each section being announced. Teams may not protest against their actual score. The protest may only concern the performance of the own team. The coach must sign the protest. The competition jury will deal with the protest. 19. JUDGES MEETING According to the technical regulations all judges must participate in the official judges meetings. Judges meetings will be held in the Judges room at NRGi Arena. Judges must be at their seats 15 minutes before the start of the competition.

SCORING SHEETS Directly after the competition in each section, the Scoring office will produce a list of rankings of all teams in each discipline. The lists will be given out to the Head of Delegations and to the representatives of the UEG. After the qualification rounds, a summary of scores and positions will be produced. After the finals, a complete summary will be provided. 21. HOST/HOSTESS A local host / hostess will be assigned to every Federation at arrival or at the accreditation.

17 CEREMONIES All teams are invited to participate as audience at the opening ceremony on Wednesday October 17 th at in NRGi Arena. The ceremony will consist of a show with music and different kinds of gymnastics and modern dance. After the teams have performed their last routine in the finals they are requested to sit in the Kiss and Cry area. The OC will direct the teams to their places. For the award ceremony only the medallists will march in into the competition arena in their competition outfit. 23. DOPING CONTROL Any doping is prohibited. Controls can be requested at any time, in accordance to the FIG Antidoping rules. In case of positive results, the teams concerned will be disqualified. In time of any medical needs, the gymnast has to be in possession of the FIG authorization for Therapeutic Use Exemptions and/or Abbreviated Therapeutic Use Exemptions. 24. WITHDRAWAL EFFECTS If a Federation withdraws from participation because of extraordinary circumstances, its position in the competition order will not be replaced. The competition will follow the original program and have a gap where the withdrawn team should have competed. 25. SEATS FOR DELEGATIONS Reserved seats will be available for the Heads of Delegations and judges in the competition hall (section A2). There will be reserved seats for gymnasts and coaches in the corners of section A1/D2, A3 and section B2/C1 in the competition hall. The accreditation card gives you access to the assigned seating area. 26. TRANSPORTATION Delegations that book accommodation through the Local Organizing Committee will get free scheduled shuttle bus service, provided by the Local Organizing Committee, which picks them up before and after training and competition. At the accreditation all delegations will receive a specific transport timetable for the championships.

18 VIDEO / PHOTOGRAPH / ELECTRONIC COMMUNICATION DEVICES It is not permitted to make videos from this competition without prior written authorization from the UEG and the proper accreditation as media/photographer. During the entire competition, the gymnasts, judges and coaches are absolutely prohibited from using mobile phones and other electronic communication devices in the competition area. 28. LIVE STREAMING The Danish National Broadcaster will make live streaming of the competition for Friday 19 th and Saturday 20 th. The live stream production consist of 5 cameras placed in the competition hall including 1 handheld (moving on the competition floor close to the gymnasts) in dedicated broadcast media zones. The live stream will be accessible internationally. Link to the live stream will be announced on the website. The live stream will also be shown in the competition hall for short reprises of the performances. 29. SPEAKER / LIVE INTERVIEWS On all competition days (18 th to 20 th ) there will be a presenter on the floor in the competition hall. He will do interviews of gymnasts and coaches in between rotations (after a performance) and after the whole competition (all rotations are ended). The interviews are a part of ensuring the best experience for the audience and we look forward to the participation of all Federations and teams. 30. CLOSING BANQUET The closing banquet will be held separate for Seniors and Juniors. Both banquets will be on Saturday 20 th from A Nordic buffet dinner will be served. Danish law requires that alcohol can not be served to persons under 18. No alcohol will be served at the junior banquet.

22 3 1. MAP OVER THE COMPETITION ARENA Attached in Appendix A. The green line is showing the route from training hall to the competition hall. It is the route to go if you want to go inside the buildings all time. The route is about 100 meters long and includes two stairways. To go this route it takes about 1½ minutes. The blue arrow indicates the most direct way to go from the training hall to the competition hall. It is a route that takes you outside for a 10 meters walk. The route is about half as long as the inside route and takes about ½ minute. On the map is also indicated by arrows the entrances to the halls and for the audience. 2. ACCESS TO THE COMPETITION AREA See Appendix B. All teams enter the arena from the same entrance. The blue line shows the entrance to the competition arena at the level of the competition area floor and the route to the allocated dressing room. The green line indicates the route from your dressing room to the special LINE UP room. All personal belongings like tracksuits, shoes, bags should be placed in open boxes. These boxes will be carried back to the dressing room by the organizers, where all performing gymnasts can pick up their belongings after the performance. The orange line is the teams route after their performance to the dressing room. There will be up to 7 dressing rooms available in the competition. All teams will have to clear the dressing room after each competition or official training. CONTROL OF PERFORMING GYMNASTS Each gymnast will have an accreditation ID-card with photo, which must be worn where it can be clearly seen when entering controlled areas. In the LINE UP room all gymnasts on the team have to hand over their ID-card to have it checked against the nominative entry list. After this check the team can enter the competition area when it is called by the Floor Manager. COACHES During training, only three coaches will be allowed in the training areas with each team. During the competition, two coaches are allowed to enter early to prepare the trampet and stand in for the trampet performance. One coach is allowed to enter with the team for the

23 4 tumbling and may stand in during the performance. An area will be provided for up to three coaches per team to watch their team s performance. Marked with a red dot. Gymnasts and reserves should watch the performing from the seating area allocated to gymnasts. All coaches must leave the arena with their team immediately after their performance. 3. MEALS Attached in appendix C is the schedule for the meals. Gymnasts who have special needs or allergies should have informed the LOC at the submitting of the nominative entry. 4. MEDIA CO-OPERATION To ensure the best coverage and publicity of the championships and TeamGym in general we ask all delegates to participate in co-operation with the media. We also highlight that there will be occasions where the speaker will ask for a quick live interview right after the performance. All coaches and gymnasts are asked to be helpful to secure the best experience for the audience. 5. NATIONAL ANTHEM Every Federation is asked to submit the respective national anthem to be use during the medal ceremony. To submit the anthem please use the web site The password is: Music2Upload Music shall be submitted in.mp3-format. Music for each National Federation should be marked with Federation name. CELEBRATION DURING THE FINALS ON SATURDAY We hereby inform all teams and delegations that any alcohol or champagne like drinks is strictly forbidden in the competition hall. Any celebration of medal winning or the end of the championship should therefore be planned without. If any team or gymnast breaks this rule they will risk a penalty of 200 to be paid in cash. This rule will be enforced by the security company of NRGi Arena. Celebration with alcohol or champagne can be done outside the buildings or at the banquet (for persons above 18).

24 5 7. OPENING CEREMONY Each federation is asked to announce one gymnast to present the flag of the country they represent at the opening ceremony. The name of the gymnast has to be informed to the accreditation office at accreditation by the HoD. 8. SHUTTLE SERVICE Each day there will be a shuttle service for everybody which have booked a package and are staying at the official hotels. The shuttle will go from the hotel to the competition arena and also to Ridehuset where the dinner is served. In appendix D is the timetable for each day. 9. CHANGING MEMBERS OF TEAMS AFTER ACCREDITATION In view of several requests for clarification, the TG TC have reviewed the rules for the use of reserves and issued the following. All teams may change their reserves with their nominated gymnasts up to 2 hours before the start of their competition. Changes to the performing gymnasts after accreditation must be submitted in writing and a doctor's note is not required for this change. 10. TRIPLES IN TUMBLING AND TRAMPET In accordance with the Code of Points, gymnasts and their coaches proposing to perform triples must be approved by their Federation in advance. This written dispensation is a formal letter from the National Federation stating that they give a specific gymnast (and their specific coaches) the permission to perform triple somersaults at the European Championships in Aarhus. The dispensation must be handed in at accreditation. 11. APPEALS AND ENQUIRIES Appeals or Enquiries are not allowed against scores in TeamGym. Any appeal for other reasons (Technical, mathematical etc) must be made verbally within 1 minutes of the score being announced. The inquiry must be confirmed as soon as possible in writing, but within 4 minutes at the latest after the verbal inquiry on the official form and requires an agreement to a payment of Euro for the first enquiry per Federation; Euro for the second enquiry and Euro 1,000.- for the third and any further enquiries. Should the inquiry not be confirmed in writing within 4 minutes, the procedure becomes obsolete.

25 6 The enquiry may only be submitted by the authorized coach for the Federation, whose names must be informed at accreditation by the appeal form (APPENDIX F). It is not allowed to make an inquiry against another Team's score. Appeal form is attached in appendix E and form for nominating coaches in appendix F. 12. BANQUET All gymnasts and coaches must attend the banquet for which they have been entered - Junior or Senior. Senior Gymnasts who are coaches to Junior Teams must follow their team and go to the Junior Banquet. All judges, officials and dignitaries may attend either banquets and should specify at accreditation. All HoDs should go to the senior banquet and ensure their nominated deputy HoD attends the Juniors banquet. (Unless they only have teams in one competition) There will be a professional security company present at both banquets to assist the organizers and to take care of the overall security and access control. Should any behavioral problems occur the HoD will be called to remove the responsible individuals. It is not allowed to bring alcohol into either banquet. At the Senior Banquet individuals can only purchase alcohol for themselves and may be subject to ID check. Finally, we are looking forward to meet all of you in Aarhus for the 9 th European Championships in TeamGym! Welcome!
