1 CHECKLIST FOR COUNTIES ATTENDING THE STATE SHOOT 2017 Familiarize yourself w ith the 4H W ebsite (4-h.ca.uky.edu/content/state-shooting-sports-competition). There is much information on this page, about the State Shoot Event. Compile all your Shooting Sports participants names and birthdate in an excel file and send via to Donna Fox, dfox@uky.edu. at State 4-H Office by July 1 st (even if your county does not plan to attend State Shoot). Please include all children even if they are not planning to attend in September, people in general (especially children) usually change their minds. W ork on our State shoot Registration during the month of July using the excel file (dow nloadable from w ebsite). Talk to your parents and kids to confir m in w hat events they are planning to compete. Make them aw are of the fees, limitations of three events on Saturday and one event on Sunday. All of the info is on the provided excel file. It w ill even calculate their individual fees and then the county s total fees. And please note to select your county at the top of the excel sheet (it is a drop box). Registration must be entered online by an Ex tension staff; the site is passw ord protected. Please coordinate the county registration w ith your Agent. Collect all fees and compile all your info on the registration excel sheet. Print out a copy of this excel sheet and place in envelope along w ith one check or money order for the w hole county s fees and mail to: 4-H Shooting Sports, Attn: Donna Fox, 212 Scovell Hall, Lexington, KY the excel file to dfox@uky.edu. Both of these actions must be received by August 1 4:30 EST. Y ou may your excel file ahead of time, but your county w ill not count as being registered until fees and confirmation paper copy is received by the Tucker s. Y our county w ill receive a confirmation about your registration. The next deadline you must meet is August 15 th. This is for your State Shoot Volunteers. For Saturday every four participants you must have one Volunteer (1:4). For Sunday every five participants you must have one Volunteer (1:5). So if you have less than four/fiv e participants, your county w ill be obligated to one volunteer. The only exception for this ratio is Friday Volunteers. The Committee has to set up ranges on Friday before State shoot and have allotted 15 volunteer slots. Any county that signs up to volunteer for that day w ill fulfill their ratio for the w eekend. It is a long, hard day and not for the faint of labor. We begin at 9:00AM EST and w ork until 5:00 EST w ith lunch being provided. These slots tend to fill up early in the year, so it is best to let Tracy Tucker know a month or so ahead of time if your county is interested. Also there is a SET-UP Volunteer Crew and a CLEAN-UP Volunteer Crew for Sunday s Trap event. There are special rew ards that come w ith these positions, but as the Friday SET-UP, they tend to fill up quickly. There is another excel file for you to dow nload and complete for your Volunteer List. All the information needed is on the excel file. Please use and complete all the info ask in the excel file as it makes it easier for us to place your volunteers and easier to use the database. We w ill w ork w ith your volunteers in placing them and please include contact info for each volunteer, or phone #. And make note that if you need to sw itch out volunteers, as long as it is cleared w ith the lead Range Officer, it is acceptable. But note that your county is responsible for having that volunteer position filled. If there is a void, your county coordinator or agent w ill be asked about situation and consequences can follow. Name badges are a must for each participant at the State Shoot. There is a template for Avery label #74540 on the w ebsite under the Shooting Sports tab and then under State Competition. There is a publisher file and W ord file, but you may have to have your 4H office assist you w ith this process. The badge does not have to be this file but must contain all the same info including picture of child. The 4Her s must w ear these badges in a visible area to Range Officer s during the competition. These badges must be for the current year. Target labels are another item that can be completed before the event. There is a template on the w ebsite that is a fillable PDF file. Again you may have to have assistance from you Extension Office. This label can be also done in a w ord document w ith Avery Label #5263. Y our county does not have to print out labels BUT your 4Her s must be able to legibly w rite in all the info on each target, and there are multiple targets for each discipline & placed in upper right corner on back of target.

Labels should include: 4Her s Name, County, Registration #, Age Group (9-11, 12-14, 15-18) Discipline (be specific, i.e. 22 Sport Rifle), Position (if applicable) If you have 4Her s that are participating in Pistol Discipline, the Bluegrass Sportsman s League (the ow ners of the facility that host State Shoot) require all 22 Pistol shooters to have the BGSL Handgun Consent Form on them. DO NOT allow them to put in gun case because a representative from the BGSL w ill ask to see it before they are called to the range and the 4Her is not permitted to open their gun case until they are called to the line. This is also can be dow nloaded from the w ebsite. They should already being carrying the Handgun Y outh Gun Safety document w ith them, and they w ill need this at the State Shoot also. One other form needed by BGSL is their Guest Pass. This is to be filled out for each county participati ng and turned in at Registration on Saturday morning. Each county may record all names of their county participants on one form. The designated person that w ill be picking up the Registration Packet may turn this form into the registration desk w ith a note stating the number of participants from your county. BGSL does collect these forms that day, so it also very important. Y our county has until September 1 st to review your registration and make any changes that need to be made for your participants. Registrations received w ill be posted on the State Competition w ebpage on a regular basis. Please take this opportunity to review this file and have the participants check it also. If there are any discrepancies, send an to Donna Fox or phone call ( ) and a click of a button w ill fix the problem. We cannot and w ill not make changes after September 1 4:30. The reason for this deadline is that all finalizations for the Range Registers and Trap Schedule are done after this deadline. In preparing for your w eekend at the State Shoot, please be aw are of these guidelines: o 22 Target Rifle Relay starts at 8:00AM and is only the first tw o to three relays; this may vary depending upon registration. o (Y our 4Her must be registered for Target Rifle by 8:30 AM EST on Saturday.) o 22 Sport Rifle Relay begins after all Target Rifle Relays are complete o Rifle Range has been relocated the old location the 22 Rifle Range (w atch for signs) o Air Pistol Range w ill be at the BB/Air rifle Range. o 22 Pistol Range w ill be at the General Purpose Range next to the 22 Rifle Range. o W hile on the BGSL, all traffic goes one w ay, to the RIGHT at the Y. Please obey this traffic rule. There w ill be National Guardsmen and W ilmore Police present to strongly enforce this traffic flow, so please take this seriously. o Archery Range has three different registers, please go to appropriate age category tent to pick up archery score card o At Archery & 22 Rifle Ranges once a participant turns in scorecard/ targets, they are then placed in the bullpen to aw ait being called to line. At this point the 4Her must have all equipment needed to complete their task. o All participants must be registered at their respectiv e participating ranges before 12:00 Noon. o All Trap participants (on Sunday) must be signed in before 8:30. o All targets must have labels (or hand w ritten) 4Her info on back of targets, preferably upper right hand corner. o No coaches or parents allow ed on firing line. o Eye protection and ear protection required on all ranges except Archery.

3 o If there is a matter concerning a 4Her, scoring or any other grievance, it must be brought to the attention of the Range Officer at that time. Once a 4Her leaves the range it is considered all is satisfactory. The officer w ill notify the Rules Committee if so needed. o All Scores on Saturday and Sunday w ill be posted at Clubhouse and broadcast at announced w ebsite. o Only one person per county is permitted to check in county on Saturday and Sunday mornings at the Clubhouse. That person must be w illing to take county registration packet, leave contact # and sign off as have received that packet. o There is a designated County Meeting Area on the road to ranges (w atch for signs). o Please make plans for your county to meet there and not at the Clubhouse. There w ill be Porta-potties there also o Targets are not given back to counties or 4her s. They are retained as w ritten record for the event. o Concession stands w ill be present. Concessions w ill be in the General Purpose range area. This w ill include food and merchandise. o No changes are permitted the day of either event. o On Sunday, participants must be aw are of squads on the range and are responsible for being present w hen called to staging area. No grace period is allow ed. If participant misses time slot, they risk disqualification from the Trap Event. o Please remember to be courteous and patient w hen parking, setting up tents & grills, transporting equipment, w aiting in registration or concession lines, etc. of others as we are attempting to advance over her s through the State Shoot. o Y OU ARE ONE OF VERY MANY PEOPLE. o Please familiar w ith the 2017 State Shooting Sports Rules. They serve a purpose and are in place for a reason. They can be a very useful tool and guideline for your county s club.
