2 Introduction You are a representative of the OMHA and more specifically of your team and division. The time you invest and relationships you build will pay off not only for you in the current season but in seasons to follow! Start-up & Early Season Have a coach/manager meeting to clarify duties/expectations/philosophy of how the team will run Establish and understand chain of communication: Parent-Manager-Coach- Director-24 hour rule and review consequences of zero tolerance rule - incidents will be forwarded to OMHA Coaches talking with players always have another adult in the room Female teams with male coaches always have a female parent in the room Establish the method of communication: vs. phone vs. website. Team snap is an excellent communication method if you prefer from the team page on the OMHA website. OMHA requests that you do sign up for the OMHA page and add your coach/manager contact information as many associations use the OMHA site to find contacts for teams You will probably be in daily contact with the coach. The clearer you are on your duties and the joint expectations, the more smoothly the season will run. Prepare volunteer sign-up sheet for parent meeting. Sample attached. Have a team/coach/parent meeting so that coaching philosophy can be clearly communicated as well as expectations of parents and players Ask parents for any expected vacation plans for the entire season, including potential playoffs. This information will help prepare you for booking tournaments, exhibition games and affiliating players Discuss fundraising/sponsorship and collect $100 to start for team fund. There will be a fundraising section on the Manager s section of the website. This will contain information the OMHA is sent on fundraising opportunities, however the OMHA does not endorse any specific company rather we are only providing information received. Scotiabank in Okotoks supports our teams and an account at their branch is easy to obtain. Input team info for a team page this will include coaches, manager, and contact numbers Prepare contact sheet that includes each parent s home/cell/work numbers plus addresses. Once prepared send a draft out to all for any corrections. Once correct, make sure all coaches and phone parents have an electronic copy and/or hard copy of this

3 Parents should be encouraged to carpool as it takes pressure off 2 workingparent families and helps with team bonding Social committee and coaches should have distribution list. Have social committee plan some player and/or parent get-togethers Make up wallet size contact card. This is most useful while on the road so make sure home and cell number is on this. Division directors will hand out game book. It is a good idea to give a few game sheets to the coaches for back up. Jerseys, pucks, first-aid equipment all need to be picked up from Equipment manager. A deposit is required at time of pick-up Once jersey numbers picked make up game book stickers must be in alphabetical order by last name after the goalie Any team apparel should be addressed as early as possible so that the players have team clothing for as much of the season as possible. Socks can be purchased through Equipment manager Get medical forms and conduct sheets filled out and returned Make sure any allergies and/or medical issues are identified for player safety in the dressing room and for any team meals Start selecting tournaments (see separate information on this) Travel permits in the tournament section apply to any exhibition games outside of Zone 5 as well. Please view page on travel permits as it is IMPERATIVE you follow for exhibition games & tournaments outside of Zone 5. Know the CAHL Season Critical Dates (for ) Season start date October 19 Tiering round Oct. 19/12 until Nov. 11/12 Tiering break Nov /12 weekend Regular season Nov. 23/12 to Feb. 17/13 Christmas break Dec /12 Playoffs begin the Feb /13 weekend Tournaments Discuss with coaches and parents how many tournaments the team wants to participate in; if they should be local or out of town, during Christmas break or not. Clarify how tournament costs are covered, i.e. Fundraising or pay as you go. If the team selects pay as you go, collect tournament fees from them right up front. This way, all costs are covered and if a player drops out, you do not have to collect additional money from the rest of the team. Check out Hockey Alberta website for tournament listings and book tournaments, hotel and bussing as early as possible. Book as early as possible.

4 Tournaments should not be booked during tiering round or during playoffs. CAHL teams CAN NOT enter tournaments from Oct 19th to Nov 11th which is the tiering round. As well do not enter a tournament Nov 23rd-25th as that is the beginning of the new CAHL schedule after re-tiering and the schedule will be out too late that week and changes can not be made that quickly When selecting tournaments spend time discussing with the tournament coordinator the level of play of your own team as well as those being invited. Goal is to have well-matched and competitive teams playing each other. Novice House teams should look for house tournaments or D tournaments. Any tiered or A, B & C tournaments are too high for the Novice house teams Pre-arrange hotels usually hotel will hold rooms for a certain amount of time prior to canceling a group booking. This gives time for families to book and tournament schedules to be finalized. Alternatively, to save yourself the hassle, use a sports team-booking agency such as Canaccom ( to handle all hotel arrangements. They will work with each of the parents to ensure they all book and pay for their rooms in a timely fashion. There is no fee to the team for this service. Acquire a travel permit from OMHA. When requesting travel permit, need to have sanction number of tournament, number of games to be played, dates and location. Takes a few days to get so do this in advance. Travel permits must be with you at tournament. Can write permit number on game stickers as well. Travel permits are not required for Zone 5 teams. Please refer to separate travel permit section. Tournament entrance fee needs to be submitted to tournament coordinator along with a team roster Pre-arrange bussing if using one. Calgary Motorcoach is a local bus company that is used by the OOAA teams Special meal arrangements can be looked into once you book a tournament and hotel. Check into availability of booking meeting rooms in hotel for team gatherings or coaches meetings An extra room can also be booked as a parent room or an equipment room Have coach clearly communicate expectations around swimming, behavior and curfews tournament schedule to parents Have copies of Hockey Canada injury reports with you Calgary tournaments require all players to wear a mouth guard Game sheets must be scanned/ ed to Karen Arnholtz when travel permit was obtained or if there are any major penalties. CAHL does not receive gamesheets for tournaments only league games

5 Send out an thank you to tournament coordinators at the conclusion of the tournament During the Season Plan exhibition games. Check with Jamie Steer for ice and the referee assignor for referees. If changes occur to a planned exhibition game, you must notify Jamie and referee assignor immediately Exhibition game ice and referees have to be paid at the start of the game and should be paid in cash. Referee assignor has a schedule of the fees. Exhibition games outside your zone require a travel permit. You must send your game sheets into travel permit assignor immediately after that game. If a one time only exhibition game, offer to share all game expenses with the opposing team. Otherwise, reciprocal costs are suggested. You can always schedule a 50/50 with proceeds going toward costs. Any changes to scheduled games must also be communicated immediately to Jamie Steer and referee assignor Keep parents notified of schedule updates Develop and maintain contact sheet Keep track of injuries on the OMHA Injury Tracking sheet attached Any time an affiliated player (if your team is allowed affiliates) is playing, this must be clearly marked on game sticker. Cross out absent players or ones not playing that game. League Team Specific Check league website so you ensure you have all information pertaining to your league. Rocky Mountain Female Hockey League (RMFHL) is and Central Alberta Hockey League (CAHL) is CAHL will require teams appoint a data entry volunteer to enter gamesheets. Visit their above website to view the documents of roles & responsibilities for data entry person and team manager Home game sheets, (white copy), and game reports (if given) must be faxed to governor after the game (24 hours) and a hard copy mailed within 2 days. Only league game sheets are submitted to the leagues. Tournaments are handled by Karen Arnholtz as explained later in the manual.

6 Playoffs & Wrap-up Evaluations need to be completed and submitted Expect Feedback Positive & Negative Understand playoff format and keep rules handy Deadlines are in place for a reason and need to be adhered to: After January 10th affiliate players can only play 5 games with affiliated team in order to still be able to play for their own team. End of league play date league games must be completed by this date. Jerseys need to be cleaned and returned along with pucks and first aid kits to Equipment manager. Deposit amount will be refunded based on condition of items returned. Equipment must be returned by April 30th. A penalty will be assessed on equipment returned after April 30th. 7 Travel Permits Please review and ensure your team is complying with the correct procedure. If at any time, please contact Karen Arnholtz for clarification Each team will need a travel permit for any tournament or exhibition game that is played outside of Zone 5 (map attached). For example: If your team plays an exhibition game in Medicine Hat, and they are part of your league, but not in Zone 5 you are not covered for insurance and need to get a travel permit. Games within the league schedule are the only games covered. Hockey Alberta has implemented permits for exhibition games you host. We realize some exhibition games in Okotoks are done at the last minute however please Karen Arnholtz the details. Team name, date & location Submit a travel permit request to Karen Arnholtz, OMHA Administrative Assistant at adminassistant@okotokshockey.com Information needed is Team name and division, dates of game, tournament sanction number (if a tournament) and number of games you expect to play. Please include possible final game if going to a tournament. Please allow one week prior for travel permits to be approved, however if you have missed the one week prior please contact Karen Arnholtz immediately to have the process started. All game sheets that have suspendable infractions must be submitted within 24 hours of playing the game. It is preferable to have managers scan and the game sheets and write up to Karen Arnholtz-OMHA at adminassistant@okotokshockey.com. It is your team s responsibility to ensure your game sheets are submitted. All original game sheets must be submitted to Karen Arnholtz at OMHA, Box 1152, Okotoks, AB T1S 1E3 within 7 days if it required a travel permit. Failure to do this will result in no further travel permits being issued. Travel Permits will not be issued if any game sheets are outstanding from previous travel permits Discipline All game sheets whether a travel permit was required or not with suspendable infractions during tournament or exhibition play must be sent in by or faxed within 24 hours to Karen Arnholtz. In these cases the original copies of the game sheet and write-up must be sent to Karen Arnholtz within 48 hours Hockey Alberta Zone 5 Discipline will be notified of the suspendable infraction and will forward the ruling to Karen Arnholtz, who will in turn notify the manager. If Hockey Alberta issues a player on your team a suspension, it is that team s responsibility to submit the game sheet that the player sat out to Karen Arnholtz. Hockey Alberta tracks all suspensions and therefore must produce paperwork to ensure the guidelines are being followed.

8 Coaches must not play a player until you have been notified of the suspension ruling. If you haven t heard or are in doubt do not play them and contact Karen Arnholtz. Team staff is subject to an indefinite suspension for playing an ineligible player. If teams do not obtain a required travel permit and a suspendable offence occurs that coach will be subject to an OMHA suspension and no further travel permits will be granted. It is imperative that OMHA teams adhere to the travel permit rules that have been set by Hockey Alberta. If you have any questions regarding, please contact Karen Arnholtz at adminassistant@okotokshockey.com Special Events Special events permits are required for all activities, training, and fundraising involving your team or association. Examples include dry land training, bottle drives, team building activities, 3on3 tournaments, power skating camps, WHL games, etc. These do not include parent/child games any longer and will not be covered. All teams require special events sanctions while attending tournaments to cover team meals, swimming, activities, etc. Managers can submit a request for the season for some of these events like dry land, team meals, etc. * Please ensure you submit locations of such activities. DO NOT submit requests for parent parties and activities involving alcohol as they are at your own risk and will not be approved. If you are unsure you need a sanction number, please contact Karen Arnholtz at adminassistant@okotokshockey.com Additional Information regarding exhibition games permits, travel permits and special sanctions will be sent to managers via .

9 Frequently Asked Questions Q: Why do I need to get a travel permit? A: This ensures that our players are covered for insurance purposes at all sanctioned hockey games. Q: When do I need to ask for a travel permit? A: As soon as you know you have a tournament or exhibition game booked. The deadline is Tuesday before your scheduled game or tournament requiring a permit. The more time the better but you can ask for one right up to game time if you have forgotten. Q: Is Calgary in our zone? A: No, any games played in Calgary require a travel permit Q: Does a player need a doctor s note to return to play after a sports related absence? A: This is up to the individual coach, however the guiding principle is to be aware of a player s health and safety first and foremost Q: Who decides if a game will be cancelled due to weather conditions? A: The coaching group and manager will make this decision on behalf of the team. Ultimately, it is always up to a parent whether he/she wants to travel on the roads Q: Why is the OMHA asking managers to keep stats on sports-related injuries? A: This is simply for statistical purposes to look at ways to improve OMHA. The purpose is not to place sanctions on teams, players or coaches for sports related injuries. Q: What is the chain of command for concerns? A: Manager coach director governor. ALWAYS exercise the 24 hour rule! Q: Who should be in the room when a coach is dealing with a player on a disciplinary concern? A: The coach, player and another adult Q: Is it mandatory that they wear mouth guard? A: Mouth guards are mandatory for all players in Peewee & higher except for the goalie. Goalies are not required to wear a mouth guard. Q: How long in advance can we get a schedule A: Practice Schedules sent out 3 weeks at a time to avoid a whole bunch of amendments and changes that would occur of it was sent out any longer. League schedules vary depending on re tiering however once that is completed depending on league you will get the first week at short notice but the remainder of the season should be done

Box 1152 Okotoks, Alberta T1S 1B Answering Service FAX Respect in Sport Manager's Information Hockey Alberta has implemented a policy where all players must have at least one parent that has completed Respect in Sport-Parent. This must be completed by December 2012 of this season or the player can no longer be on the ice. However OMHA is implementing a deadline of November 15 th. This program is not an option so we do not want parents to delay in taking the program as we will take players of the ice as of November 15 th. To stream line and make sure it is getting completed we are asking managers to keep track of when the parents have finished the course by submitting the attached tracking sheet to show all of their parents have taken the course. Once the parents have completed the course they will be given a certification number, please have them submit to you to enter on the attached tracking sheet.
