2 Page 2 FAIR 2013 LIVESTOCK EXHIBITOR MEETINGS All exhibitor meetings will be held in the showring one-half hour before show time. All last minute details will be announced at these meetings and it is crucial that exhibitors be present. OPEN CLASS DAIRY Open Class Dairy Show Delaware County Fair Sunday, July 14 Entries due by June 30 Rules and entry forms available at CLEAN STALLS & PENS All stalls and pens, including rabbit and poultry cages, will be checked after the stock is removed. Anyone who does not clean their stalls, pens or cages will forfeit their premium money. Items are entered at the Club House and at different times than 4-H entries. Rules are listed in the back of the fairbook, pages LIVESTOCK SALE SATURDAY, JULY 13, 8:15 AM LIVESTOCK JUDGING PAVILION This year, swine exhibitors will sell at the beginning of the auction, and beef exhibitors will sell at the end of the auction. Sheep and market goats will sell in the middle of the sale. HOGS: Each exhibitor will be allowed to sell one individual hog at the auction. If possible, swine sale participants must choose a hog with an ending weight of at least 230 pounds and no more than 270 pounds. However, if none of an exhibitor s swine show entries meet this weight guideline, he or she may sell the hog that is closest to this weight range. All hogs must be slaughtered according to state law. Buyers of auction hogs can take them to a local locker or send them on the truck with the remaining 4-H and FFA hogs. SHEEP: Each exhibitor will be allowed to sell one market lamb at the auction. MEAT GOATS: Each exhibitor will be allowed to sell one market goat at the auction. BEEF: A maximum of 2 market beef may be sold in the sale. Pay attention to the rule on feed and water withdrawal. This will be enforced.

3 Page 3 FAIR 2013 Conference Judging allows the 4-H'er to talk face to face with the judge about his/her exhibit. The 4-H er will meet with a judge individually and tell them what they planned to do or learn (GOAL), what they have done (Plan of Action), and what they learned. Conference Judging forms: To make the judging easier, follow this checklist: Come to judging at your club s assigned time unless you are involved in the dog or horse show. CONFERENCE JUDGING Wear your 4-H uniform. The Dance Pavilion is airconditioned. Be patient because over 350 other members exhibits will be judged throughout the day. RELAX. SMILE. Just explain your exhibit-what did you want to do or learn? What did you do? What did you learn? If you leave your place in line to go to another judge, have someone hold your space. Take your yellow 4-H Building Exhibit Entry/Judging Results form to each judge. The judge or judge s helper will circle the ribbon placing. White, red and blue ribbons will be placed on the exhibits at the judging tables. Exhibits considered for State Fair and Outstanding junior exhibits from 4th graders should be taken to the special tables for their ribbons. At the end of judging, this form MUST be turned in at the designated table because premium money is figured from this sheet. WHAT ARE YOUR GOALS? All entries in Departments 17 through 22 should answer the following 3 questions in a written explanation, or on the Exhibit Goal Form (available online) Fairbook p.103, rule 4 1. What did you plan to learn or do? (What was your exhibit goal(s)?) 2. What steps did you take to learn or do this? 3. What were the most important things you learned? The exhibit goals form is available online. Exhibitors may also type/write the question and type/write the answer. Photograpy Labels A Photography Exhibit label (available online) must be completed and attached to the back of each photo exhibit entry instead of an exhibit goal form. An explanation of the design elements and art principles is still needed for visual arts, and some home improvement and clothing classes. An explanation of the art principles and design elements is found in the project material. 4 Page 4 FAIR 2013 FOOD STAND CHECKLIST Each family is asked to furnish one 9 or 10 two crust fruit pie during the shift that their club is working in the 4-H Food Stand. No 8 pies. No cream, custard or pumpkin pies are accepted because there is NO refrigerated display space. Food safety first! Report for orientation at least 15 minutes early. At least 10 4-H members and 4 adults are needed to work in the food stand at their assigned time. It is helpful to have at least 16 people working over the lunch and supper hours. Wear 4-H shirt; shorts are permitted. 4-H FOOD STAND SCHEDULE Youth in Action Food Drive! Reminder: YIA will be holding a food drive all throughout the fair, you can bring your donations to the fair and put it into the YIA booth in the Pavilion. WASH YOUR HANDS with SOAP and WATER before starting your shift. 2. Sign your pies in on the clipboard. Clearly label pie tins you want returned. 3. Smile -- be courteous. 4. Two 4-H'ers at each window. 5. Only adults work the cash register or ice cream machines. During busy times, an adult will be at the pop machine. 6. Ask the customer if the sale is cash or charge. FOOD STAND INSTRUCTIONS For charge sales, use special pink slips & have the customer sign their name & their parent s /or organization s name. Then take this ticket to the person at the register. They must have a pre-approval form on file. 7. Call out the sandwich order loudly; then collect the drinks while the sandwich is being made. 8. Bring the ticket and the money to the cash register at the same time. If you need help - ASK! 9. Keep screens shut to keep flies out. 10. Watch the lemonade & iced tea containers next to you. If they start to get low, please tell a committee member. 11. If you want to eat something, pay for it first and then eat outside. (Only when things are not busy.) 12. Don't leave until the next club arrives. 13. Remember that the bleach water used to disinfect tables may stain clothing.

5 Page 5 FAIR 2013 THESE ITEMS ARE AVAILABLE FROM YOUR LEADER FAIR WRISTBANDS Exhibitor wristbands are required for admittance to the fairgrounds from Tuesday, July 9 through Sunday, July 14. Wristbands are to be worn at all times; not removed and replaced when entering the gate. Exhibitors not wearing wristbands will be charged admission. Fairbook p. 9 rule # 8 ENTRY TAGS Tags should be printed neatly with a black felt-tip pen. Write as large as space allows to make the tag easy to read by the public NEWSPAPER PHOTOS 4-H members who receive a purple or lavender ribbon in Departments are asked to be present for photos on Wednesday, July 10 at 12:30 p.m. This includes exhibits chosen as winners for State Fair, Alternate to State Fair, Considered for State Fair and Outstanding Juniors. CAN YOU HELP??? FAIR WORK NIGHT Tuesday, July 2, 5:30 p.m. Put up poultry & rabbit cages and clean the 4-H food stand (5:00pm for rabbit and poultry preparation. Bring hammers, rags, and cleaning pails. FOOD STAND Adults are needed to help at the Food Stand during busy times. SET UP 4-H Exhibit Hall Sunday, July 7, 12:30-2:30 p.m. CLEAN-UP 4-H Exhibit Hall Sunday, July 14, 2:30-4:30 p.m. when the exhibits are on display. Do not write in the ribbon/color placing area (the strip at the bottom). This will be filled out the day of judging by the judges' helpers. The number of years in the project helps the judge determine how well you have progressed in that area. If you are not certain, estimate. Attach the tag securely to the exhibit before it is brought in for judging. Check your fair book for instructions on how to attach the tag to the various types of exhibits. LABEL EXHIBITS CLEARLY Every piece of an exhibit must be labeled with the class number, 4-H'ers name and club. This is vital if there are several parts to the exhibit or if the entry tag becomes separated from the exhibit. REMINDER: The best decorated club booth will get an ice cream party at their next club meeting, so put some time and creativity into your club booth! 4-H FOOD STAND COUPONS FOR EXHIBITORS There are River Valley Cooperative coupons for each member. There are also Citizen s State Bank coupons for each member. Consider a club thank you note in addition to a personal thank you note. LIVESTOCK RELEASE TIME Livestock not being sold at the Saturday auction will be released after 9:00 p.m. on Friday, July 12. Livestock may be removed Friday night or anytime Saturday. All livestock exhibited in the Hall of Champions will be released after 1:00 p.m. on Sunday, July 14 (see rule 21, p ). EXTENSION OFFICE HOURS Monday through Friday: 8:00 a.m. - 4:30 p.m. After hours, leave a message on the answering machine. The Extension Office will be closed on July 4th for the holiday. The Extension Office will also be closing at noon on July 5 to allow us time to finalize fair preparations. 4-H FAIR OFFICE HOURS The 4-H Fair Office will be located in the northeast corner of the Dance Pavilion and will be open 8:00 a.m. until 5:00 p.m., Monday, July 8 through Friday, July 12. The Extension Office on North Franklin Street will be closed during fair week.

6 Page 6 FAIR 2013 The 4-H exhibits will be displayed in the Dance Pavilion all week. We want visitors to feel welcome and comfortable when they enter the building so they take their time looking at our showcase of exhibits. 1. Arrive 5-10 minutes early and wear your 4-H t-shirt or white shirt with a 4-H chevron. HOSTING IN THE 4-H EXHIBIT SHOWCASE 2. Spend some time looking over the 4-H Building to familiarize yourself with the placement of the club booths, State Fair exhibits, Junior Outstanding exhibits, etc. so you can help visitors. 3. Wear a name tag so people know that you are there to answer their questions. 4. Greet people with a smile and a warm hello. Introduce yourself and ask if you can help them. 4-H EXHIBIT HALL HOSTING 5. As they leave, say It was nice to meet you. Have a nice day! Enjoy the fair! Clubs need to have five to six 4-H'ers and adults on duty during their assigned times. Any club not showing up for their assigned duty will forfeit all of their premium money. Exception: Special arrangements for later release of large exhibits can be made with Extension staff. To remove your exhibits at release time on Sunday, park in a fairgrounds parking area and carry the exhibits to your vehicle. There will be limited access to an area closer to the 4-H Building specifically for the removal of larger exhibits. Drivers picking up exhibits should plan to ENTER and EXIT the fairgrounds using the NEW LIVESTOCK ONLY GATE on Sunday afternoon only. DELAWARE COUNTY 4-H FOUNDATION SILENT AUCTION The 4-H Foundation will hold a silent auction during fair week. The auction will be open from Tuesday noon on July 9 until 9:00 p.m. on Saturday, July 13 in the 4-H Exhibit Hall. Proceeds will benefit the Delaware County 4-H program.

7 Page 7 FAIR 2013 STATE FAIR BUS A bus of Delaware County 4-H ers will be going to the Iowa State Fair on Monday, August 12 when the majority of the Delaware County Communication winners will be competing at State Fair. All 4-H members who participated in the county Working Exhibit, Educational Presentations, and Share the Fun contests may ride free. Sign up sheets will be available at the Communications Events on June 20 and July 11th. Other 4-Her s can ride for $30. MULTI-SPECIES LIVESTOCK GUIDELINES ANIMAL DISCLOSURE STATEMENT If you gave ANY medical treatments to your livestock exhibits they need to be recorded. If none were given, you need to cross off the back and write "None" or "N/A". The form cannot be left blank and it MUST be completed before you get to the fair. Exhibitors planning on bringing multiple species in the same trailer to Tuesday s check-in please follow these guidelines: Those with Beef & Hogs - Load your trailer with hogs in back so they can be unloaded first, then beef. Those with Dairy & Hogs - Please wait until 10 am to arrive at the fairgrounds. Load your trailer with dairy in the back so dairy can be unloaded first, then hogs. Following these guidelines should let trailers move easier from one checkin point to the next and help reduce traffic problems. Youth exhibitors MUST have their paperwork completed before entering the check-in lanes. Trailers who do not have their paperwork done will be diverted into a holding area and will be DELAYED in traffic. HAVE YOUR PAPERWORK DONE! WOOD SHAVINGS FOR SALE AT FAIR West Delaware FFA will be selling wood shavings at county fair with the profits to be donated to the new Show Ring. Hours of operation will be posted around the fairgrounds. 8 Page 8 FAIR 2013 PULLORUM-TYPHOID TESTING FOR POULTRY All poultry and other birds must originate from Pullorum- Typhoid clean flocks or be tested before they can be entered in the fair. We will provide the required pullorum testing from 4 6 p.m. Monday, July 8, the day before the Poultry Show. Pullorum tests will cost 50 cents per test, which will be paid at the time of check-in. Please bring exact change. You will be required to hold your birds while they are tested. RABBIT & POULTRY NOTES Cages will be set up starting at 5:00 pm on worknight, July 2. Rabbit and poultry cages will be secured with plastic ties and wire on top, bottom and sides. Exhibitors are encouraged to bring padlocks for the cage doors so others do not pet or let the animals loose. Rabbits and Poultry will be released from 2:30 until 4 p.m. on Friday afternoon. Exhibits must be removed & pens must be taken down & cleaned by 4:00 p.m. to make room for the Hall of Champions. COUNTRY OF ORIGIN LABELING COOL Please read the COOL agreement on the Animal Care and Management Disclosure Statement. If you purchased your animal, you need to have an affidavit signed by the seller for your records. DON T FORGET YOUR THANK YOU NOTES TO TROPHY DONORS AND LIVESTOCK BUYERS LOSE AN EARTAG? If your market beef, swine or sheep exhibit loses its weigh-in eartag, notify the Extension Office as soon as possible. You can purchase a replacement tag for $2. We will need to change the records. Let us know if you need assistance putting in the new eartag. DON T WAIT UNTIL FAIR WEEK TO REPLACE AN EARTAG weigh-in crews won t be able to tag the exhibit at fair. ANIMAL HEALTH RULES Livestock Fair Entry Forms, Livestock Exposition Affidavit and Statements of Disclosure for market animals are on our website for exhibitors. If you need assistance finding these items, contact the Extension Office. These must be filled out completely, signed by the exhibitor, a parent or guardian, and turned in at fair check in. These forms are available online at: delaware/content/fair-forms-more ATTENTION BEEF EXHIBITORS Beef exhibitors are requested to notify the Extension office by Friday, June 21, of the number of market and breeding beef exhibits they intend to enter. Pen of Three exhibitors and their families will be responsible for finding buyers for their own carcass steers. Heifer exhibitors who are interested in participating in the Cow/Calf class in 2014 should have their market or breeding heifers tattooed during the weigh-in on Tuesday morning, July 9, instead of later in the week of fair. WHEELBARROWS NEEDED Each club should bring at least one (1) wheelbarrow to the fair for their members to use during the week. This will make the work easier and keep the barn aisles cleaner.

9 Page 9 FAIR 2013 ATTENTION LIVESTOCK EXHIBITORS: FRIDAY NIGHT FIREWORKS The fair will have a brief fireworks display at the close of the grandstand show on Friday night sometime between 9:30 and 10 p.m. Since the official livestock release time for most species is set for 9 p.m. on Friday, this may cause some problems for those who are hauling livestock from the barns Friday night. If you think your animals may become frightened or unruly during the fireworks, be sure to remove them from the fairgrounds as soon as possible after release time, or wait until after the fireworks to move them. If the release time needs to be changed due to the fireworks schedule, that announcement will be posted in the barns. FAIR ADMISSION INFORMATION The Fair Board will charge admission to the fair starting on Tuesday morning, so you will need to pay admission or have a wristband to enter the fairgrounds after Monday. This also applies to anyone entering to unload livestock through the Livestock Only Gate. A selection of livestock champions will be exhibited in the Hall of Champions, located in the Kiddie Barn building, from 9:00 p.m. on Friday, July 12 until 1:00 p.m. on Sunday, July 14. By accepting such championships, the exhibitor is assumed to agree to this requirement. Any animal that cannot be exhibited in the Hall of Champions during these hours is considered disqualified from such Anyone who plans to purchase a fair coupon book is advised to purchase it soon--the coupon books cost $36, but books purchased after June 30 will cost $40. Coupon books are available in the Extension office, at the Fair Board office, and at area banks. HALL OF LIVESTOCK CHAMPIONS championships. In the event of emergencies, exceptions may be granted by the Fair Board. Exhibitors will continue to be responsible for the care of their exhibits while they are displayed in the Hall of Champions. Specific champions to be exhibited in the Hall of Champions are listed in each department s rules. (See rule 21, p of the fairbook.) FAIRGROUND SECURITY PROCEDURES 4-H is a community of young people across America who are learning leadership, citizenship and life skills. The Kiddie Barn building will be locked each night about 11 p.m. Doors will be kept open at other barns for ventilation, but the entrances will be blocked with gates that will be chained and padlocked at 11:00 p.m. Exhibitors can still enter or exit the barns after that time by going over the gates, but hopefully the gates will deter people from entering the barns if they don t belong. The gates will also help keep animals in the barn if someone releases them from their pens. A uniformed officer will be posted in the livestock barn area at 10:00 p.m. each night to monitor the barns throughout the late evening. Two uniformed officers will patrol the fairgrounds on golf carts after the fair is closed down for the night. Some lights will be left on in the barns so the officers can see into them. If any 4-H or FFA families need to have access to one of the barns after 11:00 p.m. and feels these procedures will prevent them from caring for their animals, please contact either the Extension office or the fair board office in advance for assistance in entering the barn.
