2 Stationery: Letterhead The has three approved letterhead designs. letterhead should be used for all internal or external official company and sport correspondence. An additional U.S. Snowboarding or U.S. Ski Team letterhead may be used for ski or snowboarding specific communications. No other letterhead designs may be used. A second sheet of letterhead should appear without logos or contact information but be on the same paper as the letterhead. letterhead should be printed on Cougar 60lb. (text), smooth. The CEO should use Monarch letterhead (24lb., 25% cotton watermarked). Letterheads can be used in black and white but for internal use only. 3 Stationery: Envelopes and business cards Envelopes Business Cards All mailings must use -branded envelopes. There are no variations to the envelope. #10 (4.125" x 9.5" or 10.5 x 24.1 cm) envelopes should be printed in three-colors (PMS 200, PMS 288, PMS 457). Logo standards for the U.S. Ski Team and U.S. Snowboarding combined logo and the logo should be followed. Envelopes should be printed on Cougar 60 lb. (text), smooth. For official correspondence, other acceptable envelope sizes include: 10 X 13 Tyvek white 6.5 X 9.5 (6 ¾) #10 window white #9 BRE - light blue #9 Business cards provide convenient information to stakeholders. Only slight variations on the card are allowed (i.e. addition of cell or Euro phone numbers). Business cards should be printed on Cougar, 80 lb (cover), smooth. M. Katie M. 4 Signature Setting your signature Signature GroupWise Signature In GroupWise select Tools Options Environment. Each employee should have a personal but consistent signature. There should be no wallpaper or graphic (unless approved/issued) associated with an signature. The signature should be as follows: Select the signature Tab. 5 enewsletters The uses enewsletters for a variety of uses to communicate broadly to stakeholder groups via . Only approved templates may be used. Non-Graphical Bulk s It is routine to distribute some broad communications via without the use of a graphical template. In these cases, some basic typography standards must be followed. 6 PowerPoint Standard PowerPoint templates have been established for company use. PowerPoint templates vary depending on the nature of the presentation. Executive will determine the appropriate template for company wide presentations (i.e. planning, board presentations, etc.). A standard template will be available for others presentations. Standard and custom templates with different purposes are also available or may be developed on request. Among those are a text-heavy template (i.e. plans presentations), a graphic-heavy template (i.e. awards ceremony) and a deck for printed distribution. 7 PowerPoint Loading the Template on Your Computer A PowerPoint template is a special file that must first be saved to your My Templates sub-directory. You can identify a template file as it has the extension.pot. You cannot simply open it and start working. Check with the IT department for any questions specific to your computer setup. 1. Find the location of your templates sub-directory. The default location for computers is: D:\System\Documents and Settings\<NAME>\Application Data\Microsoft\Templates 2. Save the template file to that sub-directory. If you can t find it, see IT. 3. Open Microsoft PowerPoint. PowerPoint 2000: By default, you get a pop-up window. Select the button for Design Template PowerPoint 2003: Click on File > New in the upper menu. On the right, click on Templates > On my computer PowerPoint 2007: Click on Microsoft Icon in the upper left hand corner > Click New > On the left side, click on My Templates 4. You will now see the sub-directory of templates where you can make your selection. Make sure your new template is visible in that sub-directory. Using the Template The standard template has two basic slide designs: a TITLE slide to be used as a presentation or section title in your presentation, and an INTERIOR slide to be used for the entire core of your presentation. The INTERIOR slide also offers you several options including two-columns or the ability to insert graphs, charts, photos or other objects. The INTERIOR slide is universal - there is no need to manually create any other slide. PowerPoint To start a presentation, first open PowerPoint 2. Click on File > New in the upper menu. 3. On the right, click on Templates > On my computer (see Slide 1) 4. You will now see the sub-directory of templates where you can make your selection. Click on the template you wish to use (see Slide 2-3). 5. By default, you will see the INTERIOR slide (see Slide 4). 6. You can build your text either on the slide itself or in the outline sidebar on the left. 7. If you are using the outline sidebar to enter text, hitting ENTER will start a new default interior slide. If you are using the big slide in the middle, simply click Insert > New Slide on the top menu. You can select your slide type from the choices on the right. 8. If you wish to enter a TITLE slide, simply click Insert > New Slide on the top menu and select the TITLE slide on the right. It will be in the upper left of the slide choices in the right sidebar (see Slide 5-6). PowerPoint To start a presentation, first open PowerPoint 2. By default, a pop-up window will appear. Select the button for Design Template 3. You will now see the sub-directory of templates where you can make your selection. Click on the template you wish to use. 4. A pop-up box will appear where you can choose either the TITLE slide (the first choice in upper left, with two bars centered on a slide) or an INTERIOR slide (all the others, including standard outline format slide with bullets). 5. You can build your text either on the slide itself or in the outline sidebar on the left. 6. If you are using the outline sidebar to enter text, hitting ENTER will start a new default interior slide. If you are using the big slide in the middle, simply click Insert > New Slide on the top menu. You can select your slide type from the pop-up window. 7. 8 PowerPoint Tips for Making Effective PowerPoint Presentations Use the slide master feature to create a consistent and simple design template. It is fine to vary the content presentation (i.e. bulleted list, 2-column text, text and image), but be consistent with other elements such as font, colors, and background. If you are copying and pasting, use the PASTE SPECIAL feature and select unformatted text. That way you won't bring outside formatting into the template. The TITLE slide should be used for just that, the title of your presentation or section within the presentation. Keep it simple. PowerPoint is NOT where you write your presentation. It should be a collection of 2-4 words per point to highlight your verbal presentation. If you're writing sentences, it's too long. Avoid the use of flashy transitions such as text fly-ins. These features may seem impressive at first, but are distracting and get old quickly. Use good quality images that reinforce and complement your message. Ensure that your images maintain their impact and resolution when projected on a larger screen. However, downsize your photos FIRST before bringing into PowerPoint. Even if you scale pictures down in PowerPoint, you will retain the original file size. That's why Power- Point files get so big. Change the resolution to 72 (typically it will be ) and THEN change the size to around pixels wide. You can do further scaling in PowerPoint. This can be done easily in PhotoShop Elements. If you use builds, have content appear on the screen in a consistent, simple manner; from the top or left is best. Only build screens when necessary to make your point because they can slow your presentation. Limit the number of slides. Presenters who constantly flip to the next slide are likely to lose their audience. A good rule of thumb is one slide per minute. Learn to navigate your presentation in a non-linear fashion. PowerPoint allows the presenter to jump ahead or back without having to page through all the interim slides. Know how to and practice moving forward AND backward within your presentation. Audiences often ask to see the previous screen again. If possible, view your slides on the screen you ll be using for your presentation. Make sure they are readable from the back row seats. Text and graphics should be large enough to read, but not so large as to appear loud. Have a Plan B in the event of technical difficulties. Remember that transparencies and handouts will not show animation or other special effects. Do not read from your slides. The content of your slides is for the audience, not for the presenter. Do not speak to your slides. Many presenters face the direction of their presentation rather than their audience. Sec. 13, Page c

9 Presentation Signage Bannering Podium Backdrop Banners are recommended in large areas when presenting to large audiences. Banners help brand the area with a consistent look and feel. They also convey appropriate organizational messages. A logo placard is mandatory when using a podium for a public presentation. The placard should completely cover any branding currently on the podium. It should display the applicable logo(s) for the company or event. For example, Athletic Summit should display the U.S. Ski Team and U.S. Snowboarding logos with the logo and values secondary across the bottom. A logoed backdrop is especially important for public presentations on a stage. It provides significant branding opportunities when photographing activities taking place on stage (i.e. awards). 10 Binders/Book Covers All binders and books produced within the should be consistently branded, using the current binder/book cover template. All binders should also include a spine. 11 Pins, Stickers and Decals U.S. Ski Team and U.S. Snowboarding Pins Stickers Decals Each year, there are two pins consistently produced: A U.S. Ski Team dated pin (unique design each year) and a U.S. Ski Team shield pin (U.S. Ski Team logo - stays consistent each year). Depending on demand, there may also be a U.S. Snowboarding logo pin produced. All pins using the U.S. Ski Team and/or U.S. Snowboarding logo should follow logos standards. Stickers are produced on an annual and needs basis. Stickers should be produced on vinyl to ensure quality and durability. Logos on stickers should follow logo standards. Decals (also referred to die-cut decals ) are most commonly produced for U.S. Snowboarding. In order to produce a simplified decal, an alternate U.S. Snowboarding logo has been developed for this purpose. 12 Video and CD/DVD Labeling Video CD/DVD Labeling The production style look and feel of a video should be consistent with the s messages and branding. All videos should conclude with a A Production of the screen identical to the artwork below. The production style and content of all video is subject to image review prior to production. All CD and DVDs produced within the should be branded consistently with the current look and feel. Blank CD and DVDs are available with the artwork preprinted on them or use a -branded label. 13 Internal Forms and Memos Internal Forms The s internal forms should carry the s most current marks (including U.S. Ski Team and U.S. Snowboarding) and should follow the s typographic rules. 14 Imagery: Photo selection, appropriate cropping U.S. Ski Team, U.S. Snowboarding and U.S. Ski Team and U.S. Snowboarding imagery should show intensity, action, focus, athleticism, emotion and excitement. It is preferred that action imagery show the entire body of the athlete including equipment (skis, poles, etc.). Podium, victory and lifestyle imagery can be tightly cropped or full-body. Photography that is low-quality (out-of-focus, poor color/light) should not be used in any instance. For more specific information on photography, please refer to the General Edition, Sec. 5 Action imagery and team and head shots can be found in the s online photo library at Most images are free to download and use. If an image or images are used, the photographer must be credited. There is also a selection of photography that is rights-protected and the photographer must be contacted in order for the imagery to be used. These images can be viewed but are non-downloadable from smugmug. The also has relationships with multiple photo services. To utilize images from services such as Getty Images, Nordic Focus or the Associated Press, please contact the Communications Department for permission and contacts at those services. 15 Imagery: Commercial marks and credits U.S. Ski Team, U.S. Snowboarding and Commercial Marks Photo Credits The most current available photography should always be used. However, there are instances when using imagery with outdated commercial marks is needed. These instances should be evaluated on a case-by-case basis. Using imagery with outdated commercial marks will be evaluated by one or all of the Communications Department, Sales and Marketing Department, Athletics Deparptment, the athlete in the image and/or the athlete s agent (if applicable) and the athlete s supplier (if applicable). It is mandatory that all U.S. Ski Team, U.S. Snowboarding and images are credited. If a staff member of the took the photo, the correct format for crediting is: Photo: Carolyn Wawra/U.S. Ski Team or Photo: Carolyn Wawra/U.S. Snowboarding or Photo: Carolyn Wawra/ Use U.S. Ski Team or U.S. Snowboarding depending on where the photo was taken, (i.e.center of Excellence) use.
