1 EYSA BOARD MEETING MINUTES August 28, 2016 BOARD MEMBERS IN ATTENDANCE: Todd Reinert, Morgan Miller, Nicole Henry, Rob Cymbor, Jackie McCarty, Marisa Gilbert, James Noel, Tom McAuliffe, Brandon Putt, Jon Corky Steiger, John Woram, Rich Matijasich, Jason Mell. There were four additional attendees whose names are illegible on the sign-in sheet. Meeting called to order at 7:05 pm. President Todd Reinert started the meeting by giving his background as a teacher and coach in multiple programs, as well as his perspective into recent events surrounding his son s team placement. MEMBER PETITIONS: Avey Eyler addressed the board about several concerns: She pointed out that some documents were removed from the EYSA website; some of the board members were not in compliance with bylaws by meeting to conduct interim business as an Executive Committee; the board went against published rules and policies regarding participation and placement; there was special treatment for Todd Reinert s son, who was unable to participate in evaluations due to injury, and his placement on a higher team bumped another deserving child to a lower team; the appointment of Marisa Gilbert to interim Boys Director is suspicious because she s Todd s sister-inlaw and she was involved in placing him on a team. Nicole Henry explained that it was the Executive Board, not a committee, who met to conduct interim business which is allowed. Marisa Gilbert provided examples of her integrity and fairness, and noted that the placement of Todd s son did not displace anyone because teams at those age groups were not completed yet. Nikki Woram thanked the board for endless hours volunteering, reminding the audience that the club would not exist without the volunteer board members. Kristen Reinert believes the change adopted regarding injured players and evaluations was for the better because there is no need to punish an injured child. Everyone needs to move on from things that happened in the past. The appointment of Marisa Gilbert to interim Boys Director was simply common sense, no hidden agenda. She recommended we reach out to other clubs in RBJSL to see what their placement practices are, and try to align ourselves more with them so there is consistency. Mike Conte thanked the board. He asked that everyone forgets about the drama and just let the kids have fun. Move forward and try to represent Exeter Township well. Devon Messner addressed the recent anonymous John Soccer . Pettiness needs to stop. Julie Weitzel spoke to support Todd s volunteerism, saying his dedication and integrity should not be in question. She was embarrassed by all the drama and the anonymous John Soccer . Jim Noel thanked everyone who attended tonight s meeting, regardless of their opinions, because it shows they want to be involved. He questioned the formation of the boys teams at the 2008 level and believes the distribution of talent will have an adverse effect on his players. He and Todd Reinert have had conversations about the distribution of players on their teams but no changes have been made at this time.

2 Marisa Gilbert provided documentation that shows Tim Peterson put together almost the exact same rosters so it proved the distribution of talent was consistent with what had been done in the past. Jon Corky Steiger suggested teams from the same club should not be in the same division. If there are a lot of teams, RBJSL should split the division. He suggested another option would be to consider register stronger teams in a different league where they will have better competition, and they won t be going up against other Exeter teams. Brandon Putt suggested we put a policy in place that addresses team placement. Kelly Kline-Carr told the audience that many discussions and brain-storming sessions had been held in the past regarding evaluations, but we didn t change the existing policy. She found it odd that the change took place last minute. Community members ask her why people are talking about others. She and her family still feel the effects of the heated board meeting from last October because some people have cut off communication to her and her family. Rob Cymbor told the audience that only the kids matter. The adults need to remember that we are providing Exeter kids an opportunity to play recreational club soccer and have fun. We are the only recreational club in the area that provides year-round programs. He s concerned that the club has become a joke because of the recent s and drama. Mark Miller spoke to give testament to Todd for taking time out of his busy schedule to offer help to kids without asking for anything in return. People should get to know Todd before they make assumptions about him. At the end of the meeting, Chad Endy suggested that even though our intentions are good, be need to be aware of how decisions will be seen in the public s eyes. He was the original author of the evaluation/team placement process stating that players unable to participate in both nights of evals will automatically be placed on the lowest team; they intentionally made it black and white to eliminate issues caused by having a gray area. He recommended we mandate coaches submit player evaluations before the season ends to ensure we get them. June 2016 minutes were approved (1 st Morgan, 2 nd Jackie). PRESIDENT S REPORT: Interim business: Tim Peterson s resignation was accepted (1 st Brandon, 2 nd Jason). Todd then appointed Marisa Gilbert pro-tempore Boys Director until a new one is found. The majority of voting members present voted to ratify the change in handling players unable to participate in evaluations due to injury. EYSA purchased a full-page ad in the Exeter High School boys soccer program. He would like to get possession of the Reading United evaluation scores and boys pinnie numbers as soon as possible. Despite the numerous follow-ups by Todd and Morgan to confirm our event at Dairy Queen on 8/31, the new owners scheduled another event for the same day. The new owners have been rude to us and other groups so will reschedule this event at another venue. Cancellation notice will be sent out immediately. Youth night at Exeter High School girls soccer game 9/28, and boys soccer game 10/4. Players wearing an Exeter game jersey get free admission, have an opportunity to escort players onto the field, and play on the turf field during half time. In addition, on the girls night they are collecting food donations for the local food bank; everyone who donates an item gets a free cupcake. Volunteers are needed to help ref the U8 rec games. Use sign-up genius. Thank you to Marisa and Jackie for dealing with so many late registrations.

3 RBJSL decided to move forward and comply with US Youth Soccer s new rule regarding a Build-Out line on the field for 7v7 play (note: this will affect where off-sides occurs). VICE PRESIDENT S REPORT: The Berks Classic Tournament committee hasn t had their wrap-up meeting yet but our club did receive a check for $4,725. We need to decide how best to use that money. Chicken dinner tickets and picture order forms were handed out to coaches at tonight s meeting. Extra forms will be available at Sneaker Villa. SECRETARY S REPORT: Summary from monthly RBJSL meeting on 8/10: First games are September 10. Last games are November 13. Play-off games November No games Columbus Day weekend. Make sure all coaches have completed their Risk Management, and receive their coach and player passes before season starts. Refs will not allow teams to play if they do not have passes. Coaches and parents DO NOT call RBJSL Registrar Jim Christian - contact their own club Registrar if they have any issues. Roster freezes September 17. Refer to sent by EPYSA on 8/10 regarding updated player initiatives and field size recommendations. Any board member who does not receive communication s from EPYSA can ask a club official to be added to the list so they do not miss important information in the future. New rules to be implemented immediately include heading (not permitted for U11 and younger), and piggy-backing subs. Although US Youth Soccer added a build-out line on the field to be effective immediately, Mark Yocum has decided to suspend the enforcement of this rule as it will require time to train referees and coaches. (RBJSL CHANGED THEIR MIND AFTER THI S MEETING). There is also a new FIFA rule that during a kick-off, the ball may go in any direction. Approximately 50 coaches attended the July 30 th coaching clinic at Body Zone. They plan to offer this again next year, with some changes made based on feedback. TREASURER S REPORT: Financials were reviewed. 501c3 status on hold until bylaw revisions are completed. Rob is waiting for invoice from Sneaker Villa for uniforms, as well as invoice from EPYSA for the coach clinic held at Farming Ridge in July. Rob is looking into other banks to do business with. REGISTRAR S REPORT: Jackie has player passes printed and ready for EPYSA Registrar Jim Christian s stamp. Once stamped, she will laminate and distribute. Note that we are charged for every change we make after rosters are approved. This includes secondary players and transfers. BOYS /GIRLS DIRECTOR REPORTS: Marisa still needs a few more players for 2005 and 2007 girls. She would like to implement coach evaluations for U8 players so we have more information about new players. Chad Endy later suggested it may not be valuable to do this as many coaches at this level do not have a soccer background and may not be qualified to judge the skills of a young soccer player. It has been a struggle to get birth certificates and pictures of new players. She suggests that in the future we do not add to any roster until received. We can discuss further at another time. YOUTH DIRECTOR S REPORTS: U7/8 program started. Not too many issues yet. Exeter Bible Church field is working out well. There were so many kids on the waiting list for U5 that another team was created.

4 CPD DIRECTOR S REPORT: Instruct coaches and parents to contact Brandon directly if they have any feedback regarding the CPD program. Brandon and Eric Franks will meet soon to discuss the winter program. Approximately 40 people attended the EPYSA coach clinic in July. It was a good experience, lots of good feedback. He plans to do this again. He suggested we hold a board meeting before counting chicken tickets so we can discuss how the fall season is going so far. FIELD COMMISSIONER S REPORT: Corky requests that the last team to have a game at Lausch or Farming Ridge collect the corner flags and drop off at his house so they are not stolen. Parents have been complaining about not being to park on the grass at Lausch. EQUIPMENT DIRECTOR S REPORT: All coaches have been given the necessary equipment. We need to find out who owns the goals at Exeter Bible Church (them or us?). FUNDRAISING DIRECTOR S REPORT: Picnic: Food for picnic is being finalized. Redner s had offered to let us go to their warehouse and purchase supplies at wholesale prices. They also offered us 10 free cases of water but we will request Kool-aid mix instead. Chicken BBQ: Brendan Jones from Café Sweet Street will sell us rolls for $.10/each. We will do bake sale also. WEBSITE DIRECTOR S REPORT: No report (had to leave early). OLD BUSINESS: The board voted unanimously to adopt the new bylaws, which were reviewed first by counsel Mahlon (last name?). Once we confirm a date and venue, we will invite all membership to a town hall meeting so they have an opportunity to review the bylaws and ask questions. Anyone wishing to have a copy of the bylaws must contact Secretary Nicole Henry. Rob will send a letter to Exeter Township requesting to name Pineland Field after the late John Ulrich. NEW BUSINESS: The board voted to table discussion of the evaluation and team placement process until another meeting. (1 st Brandon, 2 nd Nicole). Meeting adjourned at 9:57 pm (1 st Brandon, 2 nd Nicole). Next meeting is October 23 at 7:00 pm.
