ERA Trainers Website User Guide The Emirates Racing Authority launched the On-line Entry and Declaration site to facilitate the process of Entering and Declaring whilst remembering of gear and jockeys. Benefits to trainers include assisting with the eligibility of horses to run and providing detailed information on horses in training. High speed internet connection access is recommended for this site. DATE AND TIME Date and time are set to the time on the ERA server. When the advised time has lapsed any work page which is currently open, Entries or Declarations on that work page will be accepted once submitted, however further activities are not possible. For security, a user will be logged out should the site remain idle for 30 minutes. The closing time for Entries and Declarations will be published in the ERA Conditions Book. Entries and Declarations outside these timings will not be processed. 1 HOW TO ENTER A HORSE A Selecting horses for Entry 1) On the left hand menu click on <Enter Horses>. This will bring up a screen which lists the races available for that week. 2) Select a race. This will bring up the information which relates to that one race.
3) Click on <Add Horse/s> at bottom of this screen. A pop up window will appear for all horses at stable; eligible horses are in green at the top of the window. To sort horses by name, click on horse heading, to sort by rating, click on rating heading. The trainer is ultimately responsible to ensure the horses entered are eligible for that race. 4) Click on the horse you wish to enter in this race. Entries will only be allowed for horses which are eligible. When a horse is added, text will appear below the horse s name to note it has been added. When you have selected horses for Entry you must close the pop up window to proceed to the next step. This will return you to the race screen which will show, at the bottom, a list of horses you have chosen to enter.
5) You have a choice to choose the next race in sequence, or previous race or choose another race, select <Next Race>, <Previous Race> or <Choose Another Race>. B Finalising Entries 6) When you have completed all your Entries you must select <Finalise Entries>. You can do this either by selecting <Finalise Entries> while working within the <Declare Horses, Choose Horses> page or by selecting <Finalise Entries> on the left hand menu. This will bring you to a screen entitled <Finalise Entries>. This will list all the Entries you have added. If you want to add more Entries, select <Add More Entries>. To remove any horse prior to submitting Entries, use the X icon.
7) When you are ready to finalise Entries select <Submit Entries to the ERA>. A pop up prompt will appear, select OK. A transaction receipt will be generated and a link will appear on the screen. Your transaction receipt will note your receipt number; the status of the entry should appear as processed. Please print this receipt as this is your proof of entry and any communications with the ERA regarding this entry will require you to quote this receipt number. 8) An ERA Trainer Alert will be forwarded by confirming that the transaction number has been processed at the ERA Offices. Please ensure the Registry Office has your current address. 9) When you return to the main race screen, the races for which you have submitted Entries will appear in italics. If you have mistakenly entered a horse or if there is an error in any information pertaining to a horse, please contact the ERA Registry Office immediately. Registry Office phone number:
2 HOW TO DECLARE A HORSE A Selecting horses to Declare 1) On the left hand menu click on <Declare Horses>. This will bring up a screen which lists the races available for that week. 2) Select a race. A pop up window will appear listing the horse/s you have entered for that race. 4) Click on the horse/s you wish to declare. When a horse is added text will appear below the horse s name to note it has been declared. Close the pop up window to proceed to the next step.
Key: there are two icons on this page a jockey icon and a preference icon located to the right of the jockey column. The preference icon gives you the option of declaring equipment (gear), recently declared jockeys, colours and horses when declared in two or more races. The jockey icon is used when declaring a jockey for the first time online and when declaring a jockey that you have not declared online for more than 12 months. B How to Declare A Jockey 5) To declare a jockey you have used within the last 12 months, select the preference icon. 6) To declare a jockey you have not used before, or you have not used for more that 12 months, select the jockey icon. The first time you use the Online Entry and Declaration website, you will need to use the jockey icon to declare a jockey.
C How To Declare Equipment 7) To declare equipment/gear to be worn by your horse select the <Equipment> Icon. Each Extras field is allocated to only one type of gear, eg: Extra 2 is for a tongue tie. If there is a combination that is not listed here please contact the Registry Office. 8) Equipment worn by a horse at its last start in the UAE (and outside the UAE if the Registry Office has been advised) will appear in grey to the right of the drop down boxes. Codes for equipment to be declared: Blinker (B) Visor (V) Pacifiers (P) Blinkers/Visor/Pacifiers (BP, VP) Hood (H) Cheek Pieces (CP) Shadow Roll (SR) Ear Plugs (EP) Tongue Tie (TT) Equipment on for the first time is denoted by a 1 after the equipment code: B1, V1, P1, BP1, H1, CP1, SR1, EP1, TT Equipment taken off is denoted by a - minus sign after the equipment code: B1-, V-, P-, BP-, H-, CP-, SR-, EP-, TT- Equipment back on is denoted by a 2 sign after the equipment code: B2, V2, P2, BP2, H2, CP2, SR2, EP2 etc D How To Select Preference To Run 9) Select the Preference Icon to indicate your preferences to run. 10) Please indicate in this box, horse preferences if declaring two or more horses in a maiden, or one horse in more than one race
E How To Select Colours 11) Colours will default to the Owner s first set. 12) If an owner has more than one horse in the race and has additional colours registered, you can select which colour set for each horse using the preference icon. 13) If a trainer does not select a set of colours, the ERA will allocate a set. 14) To declare another horse, you have a choice to choose the next race in sequence, or previous race or choose another race, select <Next Race>, <Previous Race> or <Choose Another Race>. F Finalising Declarations 15) Click on <Finalise Declarations>. A screen will appear with a list of all the horses you have declared. 16) When you press <Submit> the pop up screen will close and the declared horse will reappear in the main screen. If you have finished making your Declarations you will need to finalise your Declaration. 17) A Declaration Checklist will appear this allows you to review the information inputted and make any final adjustments.
18) More detailed information is available by selecting <Check List>. A pop window will appear showing all details. 19) To remove a horse prior to submitting the Declaration, use the X icon. You have the ability to alter details by pressing the preference icon along side the horse s name. 20) When you are satisfied that your Declaration is correct, select <Submit Declaration>. 21) A receipt will automatically be generated. Please print this receipt as this is your proof of Declaration and any communications with the ERA regarding this Declaration will require you to quote this receipt number. 22) An ERA Trainer Alert will be forwarded by confirming that the transaction number has been processed at the ERA Offices. Please ensure the Registry Office has your current address.
G Changes To Declarations 23) If you need to change a jockey or equipment after you have submitted the Declaration and before Declarations have closed, you can re-declare the horse following the procedure above, or call the ERA Registry Office. If you have mistakenly declared a horse or if there is an error in any information pertaining to a horse, please contact the ERA Registry Office immediately.
