General Meeting. 10/06/2014 The general meeting of the Gippsland Go-Karts was held at our Clubrooms on Tuesday 10 th June, 2014 and was declared opened at 7.10pm by President Peter Aitken. Present: Anita & Barry Stratton, Graeme & Jeanette Monds, Lorraine & Peter Aitken, Simon Pooley, Phil Lane, Tony Correa, Geoff Medew. Ross Miller, Trevor Correa, Geoff Curley. Apologies: Russell Frost. Cameron Correa, Mick Alger & John Schena. New The club would like to welcome to our karting family, Daniel Orr and Family, we hope that you Members: enjoy your stay with us. Minutes from last Meeting. The minutes from the last meeting were read by members present, Moved by Jeanette Monds and second by Trevor Correa that they be true and correct. Treasurers Phil gave his report to members present, it was moved by Graeme Monds and second by Geoff Report: Medew that the report be accepted as true and correct. Phil is still a bit worried with the low numbers to our club day race meet. Phil is still working out how things will proceed. A discussion was held regarding this matter, e.g. To many open meetings, money situation and general costs. A lot of clubs are feeling the pressure also. We are a lot better off than some clubs.. Business NIL Arising. Delegates The delegates report was given by Graeme Monds. From the meeting on 10 th April, Report: State President: Russell White: VKA was informed of sad news that the Ballarat kart club member passing away. Treasurers Financial Report: Phil Lane: Phil presented the financial report to the delegates present. Also went through the cash flow report. There are some clubs still owe club affiliation fee s and this needs to be forwarded to the state office asap. Executive Commissioner Report: Russell White (state president). Karting Australia Ltd AGM to be held on Friday 16 th May, Surfers Paradise. Proxy vote can be given or state executive commissioners can attend as the cost of their state. KA financials presented (All clubs have had these documents forwarded to them). AGM Agenda items: Elections of two directors. Auditor CAAAS Audit Service. Re- appoint Karting Australia Tribunal Members. Confirmation of annual fees for associate members for 2014 as a set fee of $50.00 per associate member. State Steward Coordinator: - Sylvia Stania. 13/04/14. Country Series. Rd. 2 Entries 157. Warrnambool

Entries 163 Gippsland. 5 x Rule Excluded section of event. 1 x Rule 2 Place penalty. 1 x Rule Excluded from meeting. Driver excluded for having his lead tied to the floor pan with cable ties. State Technical: Harold Arnett / Dennis Hogan. Carburettor sent for inspection. Lead on kart at Gippsland it was explained to the driver the rules. Camera s not being cable tied. New Rota seals different lengths. All engine seals to be handed out and fitted by competitors. Jmax engine into Sportsman class. Moved: Ballarat that the JMax engine be included into the Victoria Sportsman. Second: Gippsland. Carried. State Track: - State administrator on Ross Gathercole s behalf. Reminder that Version 4 of the National Circuit Construction and Safety standards issued April 2014 has been sent to all clubs and is available on the Karting Australia website. PLEASE NOTE: page 20 onwards refers to existing circuits and to be noted by all clubs especially the acceleration line area as apparently the previous was incorrect. Acceleration Line: All tracks are to have a yellow line painted on the track at 90 degrees to the track edge. 60 mtrs (or appropriate to suit local conditions with approval of state Track Inspector) prior to the start lights and / starting point. State Scrutineer: Ross Baker. I helped with a Scrutineering school in South Australia. CIK meeting Camera s not secured correctly. Engine Seals tails cut. Clubs need to have at least two scrutineers checking all karts throughout the meeting to ensure that karts comply at all times. Competitors need to put on their own seals as per the Karting Australia manual. All Clubs are required to issue the seals out to competitors on entry confirmation. (Which Lorraine has done at the Power, and will do for the C & D grades). Video has been put together on how to put the seals on work in progress. Historic Karting: David Murray. Ipswich Historic meeting went well. Historic a will not be going to Ballarat track. Agenda items: Item Race calendar draft. Item 2. Voting for Victorian Championships opens to be voted on at June s delegates meeting, also Victorian Closed to be voted on also at Junes delegate meeting. Results later. Graeme did our voting. General Business: Oakleigh Coroners court held 28/29 th April. It was disappointing that there was no VKA or AKA representatives in attendance to support the VKA as an association or the VKA witnesses that were on the stand over those two days. Discussion held on the coroner s court hearing and outcome to date. Clubs to consider: Clubs to look into their canteen requirements with their local council in regards to food handling and having food brought in or the hire out of the canteen. Clubs may need to have a permit from the council

10 . to do this. We had the council inspection last week and they found everything was great, covered all cooling devices eg. Fridges, freezers etc, and very clean. Clubs to consider which will assist in any legal ramifications: Practice. Discussion on having drivers practicing at tracks by themselves and if they have an accident, there is no one with them to assist or call an ambulance? Clubs should look into putting into their club rules that all members should have another adult with them at all times for practice. This could cover the club should something happen. ALSO the closing of front gate this should be looked at and consideration to not allow this. As an ambulance may need to get in and if there is only two people there and one is hurt and the other helping cannot get to the gate to open it. Members please read the above carefully, it is for your own good. Go Kart Club of Victoria Karting logo. To be on next months agenda. Thank you Graeme for your report. Correspondence: The correspondence was accepted by all present. In & Out: Race Report: E.L.K.C 31 st May/1 st June. Report from Peter and Lorraine. Badly organized race meet they have ever been to. The weather was very miserable, did not finish the racing on Saturday until 6pm. Practice very long, Pre-final 12 laps, one and half minutes each lap.. No final, no time the race meet was declared over 3pm on Sunday. Combined Clubman Light & Heavy in the wet. Imagine the mishaps. A long way to go for 3 days up there and only 3 races. Sunday very unpleasant in many ways, dispute between drivers, and stewards report over 2 hours. General Business: Trevor Correa: Trevor suggested that we make a donation to the Royal Childrens Hospital, Get a donation tin and put small change in. Members present thought it was a great idea. Trevor to find out how we can obtain a collection tin. Will report back at next meeting. Geoff Medew: Shirts for the C & D grade, for the 1 st place winners in each class. Geoff to look into this Kathy is waiting for the list of sponsors so that she can start the programme. Geoff Curley: is going to see sponsors, he has a sponsor proposal. Planning for the council $ or $ for fly over. Geoff will report back next meeting of how he went regarding the sponsors. Lorraine Aitken: Drivers who want to enter the C & D grade titles you can enter on C.M.S. It is open now. Lorraine also asked could she ask Mick Downing if he could do her some more stickers like he did for the power, as proof of their confirmation of entry. Lorraine to ask Mick? Members: KEYS, if you have not seen Lorraine and changed your gate key, please do so this club day race meeting, Lorraine has the new keys it costs nothing to exchange them, otherwise you will not be able to get into the track. We have had a couple of people ring up and complained about not being able to get in. said they were not told of the lock being changed on the gate, it was in the last new letter, so it is up to you to do the exchange. Remember we are not allowed to loan our key out to anyone. Jeanette Monds: Commented on the employees from Monacella s parking in our driveway. It is very hard for us to get in especially when some of our members have their large trailers. And for trucks to get in. Geoff Medew moved a motion that a letter be sent to Monacella s requesting them to ask their drivers to keep our driveway clear. Phil Lane asked last meeting that we send out some information re our C & D grades, like a flyer. Geoff Curley has done a fly, it was deemed good, he has had them printed and they have been sent to all clubs in Victoria and Tasmania. Will do NSW s clubs in a couple of days.

11 Karters please read this carefully. We will start racing on this club day at 9am. Drivers briefing at 8.45am. Please make sure that you have entered before Don t forget if you are at the track on Saturday and are going to race on Sunday please enter, so that Lorraine can get everything on the computer for a 9.00 am start. You will be doing more laps in your races, so we are starting earlier, so that you can get your extra laps. Members & Please remember to wear your coloured vest when you go onto the track, to help your Pit Crews. driver. MEMBERS PLEASE REMEMBER THAT YOU ARE NOT ALLOWED TO LOAN YOUR KEYS TO ANYONE. WE HAVE HAD MEMBERS DO THAT, AND MEMBERS FROM OTHER CLUBS HAVE COME TO PRACTICE ESPECIALLY BEFORE ONE OF OUR OPENS. THAT IS HOW WE LOOSE THE KEYS. THANK YOU. If you wish to race on a race weekend, and your license is due for renewal, you must have your license done with Lorraine by the Wednesday before the race meeting, as they have to have all information about your licence on the computer by late Wednesday night.
