2 Congratulations! Dear World Series Participant: Congratulations on participating in the 2018 Babe Ruth Softball World Series in Treasure Coast, Florida! This information packet needs to be carefully reviewed today and should be shared with your team members and followers coming to the World Series. It will be a great tool to help prepare you, your team and team followers on everything you need to know prior to arriving in Jensen Beach, Florida. I will be at your team orientation as well as taking part in the World Series. 4 The 8U through 18U divisions of Babe Ruth Softball have the opportunity to submit All-Star tournament teams for competition in the hopes of advancing to the Babe Ruth World Series every summer. These select teams compete through local District events, then to State competitions. The top tier advance to the Babe Ruth Regional tournaments for a chance to compete in the World Series. This month-long playoff process will bring the best 10 to 24 teams in each age group, from over 1,000,000 players worldwide, to Treasure Coast to find out who will be Babe Ruth World Series Champions! This year s World Series, held from July 19th through August 5th, is the third year of a five-year commitment by Babe Ruth League to allow Treasure Coast to host an event of this magnitude and enjoy the financial benefits it brings. This two-week long event will not only provide the community with the opportunity to enjoy world-class softball competition, but also will bring an estimated 7.5 million dollars in economic impact to the hotels, restaurants and retail/service-based businesses (per previous years data). 1

7 Team Credentials Per 2018 Babe Ruth League Softball Rules and Regulations Tournament Regulations 11.04, the following documents will be required by the World Series Credentials Committee before your team is permitted to participate in World Series Games: - Birth Documents or records as specified by Rule 0.04 (1) for each of the tournament players. - Official Tournament Team Rosters certified and signed by your League President, District and State Commissioners (or as if applicable). - Babe Ruth League, Inc. Letter of Tournament Eligibility. - Certificates of Coverage of your leagues Group Accident and League Liability Insurance Policies. (If the policies were not purchased through Babe Ruth Headquarters, please make certain your group is covered for out of town tournament competition. Refer to rule 0.01 (6)). - Consent for Treatment forms for each of the tournament team players. - Coaching Certification I.D. Card or Certificate for team manager and coaches. Please refer to the Local League Guide (or Babe Ruth League website to view a PDF of the Local League Guide) which includes directions on how to assemble your tournament credential book. A rule change in 2016 permits 1 manager and 3 coaches on the roster. These are the only personnel permitted in the dugout and/or on the playing field at any time. Please note that incorrect information for Manager/Coach contact details ( and cell) on the team roster will limit proper communication between World Series staff and the team. Also, misspellings or missing player information for will have badge information wrong upon arrival for the player. In addition, improper will limit information from Headquarters to players and families prior to and during the World Series. 4

8 How to Assemble Your Tournament Credentials Step 1 Access your account at BabeRuthLeague.org. Your league president or appointed officer will be able to help you with gaining access to your account. Step 3 Step 2 Start your Credentials book by using a 1/2" ring binder that you can find in an office supply store. Place clear sheet protectors for the documents inside the binder. When using Babe Ruth ID Cards, use business card sheet protectors to hold the cards inside the binder. Quick Note: Babe Ruth ID Cards are available for purchase through your roster tool. Simply select the players you need ID Cards for and supply the shipping information. You can have your cards sent back Next Day Air, 2nd Day Air or regular Ground. Step 4 Insert your league s LOE (Letter of Eligibility). This is approved by your State Commissioner and available once approved for printing from your League Portal. If you don t have the option to print the LOE, contact your State Commissioner. Commissioners will not be able to approve LOE s until after June 5th of each year. See LOE section for step-by-step instructions on obtaining your LOE. Step 6 Insert a copy of your league s Certificate of Insurance for Accident and Liability Insurance. If you have Babe Ruth insurance and your league took both Accident and Liability coverage with Babe Ruth, they will both appear together on the certificate form. Step 7 Insert your Babe Ruth ID Cards. Quick Note: Remember to order your ID Cards when doing your rosters online. You may use original birth certificates in place of ID Cards; however, notarized copies of birth certificates will not be accepted. See ID Cards section for ordering instructions. Step 8 Insert Consent for Treatment forms. You can print out Treatment Forms from the Babe Ruth Website! Quick Note: Be sure to have 1 Consent form for each player on the roster. The Consent for Treatment form can be found under League Resources on BabeRuthLeague.org. Step 10 Place Certificates of Certification for each manager and coach that has successfully completed the Coaches Certification Program. Quick Note: Visit www. baberuthcoaching.com for information on how you can enroll in this superb training program. Step 11 - Check List Did I order Official Emblems or the Cap Emblem option for my players and coaches? Do I want to order District, State or Regional Champion and Runner-Up Pins? Does my team have the schedule for games as well as the contact numbers for the host league and tournament director? Do my team managers and coaches have rule books? Step 5 Insert a copy of your tournament team roster in the binder. If you have any Add/Drops that are made on your tournament roster after June 30th, please be sure to put the revised approved roster in front, keeping the original roster in the binder. Quick Note: Only Add/Drop that are with a letter from Headquarters giving specific approval are valid. Also, remember that when you drop a player you can only add one player. Your roster must stay the same size throughout the tournament trail. You must have an official roster from your league s SI-Play Roster System with Babe Ruth League. Step 9 Place a printed copy of your team photo, in uniform, in your binder. Please remember that this photo may also be used for program books and other publications as you advance in the tournament trail. Make sure to have a good photo taken. Quick Note: You will be uploading a photo when you do your rosters online as well. 9 Travel/Hotel Accommodations Flight Information The Air Travel Group will be able to help you organize a way to fly as a team in an easy, stress-free way. Visit to look at your flight options. Hotel Information Teams and team followers are required to stay at the designated hotels in order to play in the World Series. Teams and followers must also be in the World Series Hotel Block and may not book rooms outside of the procedures outlined. Teams not following the hotel booking will not be placed in the World Series schedule and can be removed after it is found that reservations have been altered. Teams and followers ARE NOT REQUIRED TO STAY IN THE SAME HOTEL. Parents and teams may split up between properties, however, it must be in the World Series Hotel Block as described above. Point of Contact for Room Bookings Step 1: Team assigns one team person to handled the initial booking of rooms. Step 2: DO NOT CONTACT HOTEL DIRECTLY use the website provided for booking rooms. Step 3: After a list of rooms are completed for the team and followers (see next page), secure the rooms online first, and then you will be directed to contact the hotel with credit cards to secure the rooms. Even though the World Series is longer then 5 nights for all teams, all team and followers have a 5 night stay requirement for the booking. You will have 24 hours from the time you have completed the rooming list to provide credit cards to secure your hotels. Any delay can cause you to lose your preferred hotel property. Step 4: Advise team members of hotel conformations after credit card payment so each person has conformation upon arrival. 11 Uniform Requirements Each player and coach must have the Official 2018 World Series Patch on the uniform that is worn at the World Series. For teams that have two uniforms, they will be required for both. Official Babe Ruth Patch is on left chest or left sleeve World Series Patch is on the right chest or right sleeve. Age Rocker may go over the Official Softball Patch or World Series Patch, but is not required if the team does not wish to have one. USA Uniforms, as well as Regional Champion Uniforms, will have the special World Series Patch or submitted version on the sleeves. The cost of the patches is included in the USA Jerseys and provided for the Regional Champion or Host State Champion Uniform (Florida). 12 Babe Ruth Softball Experience & Media Day/Orientation Once your team has secured hotels and your travel arrival plans have been made, you will be assigned a time for attending the Babe Ruth Experience and Media Day. Your Teams Members (Managers, Coaches and Players) attend in full uniform. Please note that teams that are Regional Champions and the Host State Champion will be provided their uniforms and access to changing rooms at the Babe Ruth Experience. The Babe Ruth Experience is open from 2pm to 8pm and is open to all Teams Followers as well. This event is free. All Teams and Team Members MAY NOT SKIP the Babe Ruth Experience. Failure for the Team or Team Members to not show up will result in a forfeiture of play in the series. When the schedule is complete for all teams, it will be posted online through the World Series Website and sent out via to each team. 13 Babe Ruth Softball Manager Meeting Only the Team Manager attends this meeting. This is due to space limitations and for the photos that are going to be taken of the managers. Manager Meeting starts at 8:30 pm. The Manager Meeting discusses communications for on field as well as for communicating updates on the schedules for games and events for the series. The Managers will have the opportunity to meet volunteers from the Host Committee, local officials, as well as volunteers and staff who will be working behind the scenes at the World Series. 14 Opening Ceremonies Indian Riverside Park, 1707 NE Indian River Drive, Jensen Beach, FL Jensen Beach has an exciting evening planned for your team at the World Series. You will be part of Babe Ruth History as you join the other teams in opening the 2018 Babe Ruth Softball World Series. All teams will gather for introductions to kick off the World Series. Each team will be introduced and walk in together and will be presented with their championship banner to walk out with prior to going out onto the field. Teams are not permitted to bring other banners or flags onto the field for Opening Ceremonies, however, they are permitted to hang other banners up at each game in a designated area by the dugout. (Specific placement will be shown.) Team Report Time is by 6 pm, and teams will not be able to leave the playing field until the Opening Ceremonies are 100% complete. Managers will brief their teams on where to go for the start of the event. As part of our Opening Ceremonies this year, we will be taking time to pay special tribute to Layne Chesney. Layne was a member of the U World Series Champions from the Treasure Coast Athletic Association and was selected to the 2017 All World Series Team. On New Year s Eve, she was tragically injured in a bonfire accident that left her with burns on 95% of her body. Against all odds, she continues to amaze each day in her battle back from the accident with the goal of returning home, and one day returning to a normal life of school, family and sports. This year, Babe Ruth League and Glossy Finish Photographer created and printed special large postcards that will be passed out to every person attending Opening Ceremonies. On the back will be large area to write a special note to wish Layne all the best as she continues this battle. Each post card will be collected after Opening Ceremonies and presented to her family to give to Layne in her hospital room. #LayneStrong24 11

15 Youth/Ladies Cut Coaches Cut USA Warm-Up Games & Salute to Service Day Week One - 7/20 and 7/22; Week Two - 7/29 and 7/31 Locations: Pineapple Park & Halpatiokee Park The USA Warm-Up games will consist of a series of 3-inning games that will take place before the start of the tournament. Each team will be scheduled to play 1 game which will give the players a chance to get familiar with the playing field and compete against teams they may not face during pool play. It is great way to practice in a game setting and get some initial bugs worked out. Games and stats will not be kept for the World Series standings and are treated as a practice. Jerseys are required for each player and coach for Warm-Up Games and the Salute to Service Day. Jerseys can be purchased at Purchase both the Red and Navy Blue jersey for $55, which includes player s name and number. Sizes Available: Girls Youth - Youth Medium, Youth Large Ladies Cut - X-Small, Small, Medium, Large, X-Large, XXL Coaches Cut - Large, X-Large, XXL, XXXL Sizes run smaller than regular youth/adult cut style Teams will be contacted for any active or retired military personal that might be a team follower at the Series to be recognized and even throw out a first pitch at a game on the Salute to Service Day. Please keep in mind that due to a possible UPS work stoppage, this could affect shipping to the World Series site. Be sure to have your orders in by July 10th for week 1 and by July 17th for week 2. 12

16 Diamond Bracket The Diamond Bracket is a consolation round mini tournament for teams eliminated in the early part of bracket play. This tournament allows for teams to play in at least one more game in single elimination play leading up to a Championship Game. The 1st and 2nd place team of this bracket will receive the special medals shown below. The Diamond Bracket is for divisions 8U - 16U. (This excludes 18U.) Format will be determined prior to start of play of the World Series bracket, and like the World Series bracket, it is subject to change based on any possible weather issues. 13

17 Decorate the Park We want your players to Decorate the Park! Parents can send in a high-resolution photo along with league and player information and we will create a 2-1/2 x 5 foot banner. Please visit the store link below for instructions. The banners are shipped to the World Series site and displayed throughout the park. After the series is complete, the banners can be taken down by each featured player and taken home to be a great keepsake! Order Banners Here: 14

18 Tickets For 2018, four types of tickets will be available: Adult Individual Day Ticket: $8 per day Adult Tournament Pass: $40 per week Tickets will be available upon arriving in town at Media Day as well as at the park each day. A pre-order discount will be available when completing your hotel arrangements. Pre-Order Price: $38 for the week. (Individual tickets not available for pre-order. 15

19 Babe Ruth Network Our goal is to provide streaming for every World Series Game played. The game links will be available on the World Series website. These signs (below) are put around the seating areas and the entrance to the park to make spectators aware that audio feeds are picked up and are part of the stream. * We also want spectators to know ahead of time that fix mounted video recording is not permitted for any game. Games are available free of charge online. DVD s will be available for purchase....to everyone who is watching! * 16
