We have done our best to limit the assigned duties to allow advisors to spend more time to focus on their delegates. Duties have been assigned based on registration, and each delegation will have at least one assignment. Thank you in advance for your assistance and cooperation; we could not make this conference a success without you. All assigned duties must be completed. If you are unable to fulfill your assigned duty, you must find a replacement. Please make sure you are on time! Please remember, if your delegation does not fulfill your assigned duties it will be a negative mark on your delegation s status as a Delegation of Distinction. 8 71 st MODLE LEGISLATURE & COURT TRAINING & ELECTIONS I ADVISOR DUTY DESCRIPTIONS DINING ROOM HOST (VH-AUDITORIUM) As space in Valdez Hall is limited, Dining Room Hosts are responsible for encouraging delegates/advisors to leave as soon as they have eaten to free up seating space. Circulate the auditorium making announcements as you see people have finished their meal. You may need to clear tables, so others can sit down. Keep participants from sitting on the floor and keep doorways/walkways clear. Check-in: Advisors need to check-in for this duty in person with the SWA (wearing a red jacket) on duty in Valdez Hall. VEGETARIAN/GLUTEN-FREE/VEGAN HOST (VH-AUDITORIUM) When registering for conference, all participants were given the option to select vegetarian, gluten-intolerant, vegetarian/gluten-intolerant or vegan. If pre-registered, participants will have designations on the name badge noting their dietary preference. Vegetarian/Gluten-Free/Vegan Hosts are responsible for making sure that only delegates registered as such eat these options. Any participants (advisors or delegates) needing to update their meal preference need to see the Y&G Info Desk in the Convention Center Main Lobby. If you are assigned the first shift at the start of a meal, you will be responsible for keeping delegates out of the dining area until the meal starts. Check-in: Advisors need to check-in for this duty in person with the SWA (wearing a red jacket) on duty in Valdez Hall. STARBUCKS DUTY (2325 KERN ST) Delegates are not permitted to sit inside Starbucks during the conference due to limited seating available and line management issues with the size of the store. Delegates must order, wait for their drink/food and leave the store immediately. Any seating inside will be reserved for non-y&g participants only. This advisor duty is focused on managing the flow of delegate traffic. 1 advisor stands at the main entrance and manages the delegates lined up to order. When advisors are on duty and a line is forming, delegates must stand outside Starbucks and wait to be called inside to order. This will prevent overcrowding in the lobby area. Non-Y&G persons do not need to wait to enter. 1 advisor manages the drink counter area for Starbucks. The barista will call a drink and move on. This advisor should assist delegates with getting drinks (includes mobile orders). Mobile ordering is available (except Sunday) but you should expect min wait during busy periods. As session start times near, remind delegates they cannot be late to session. You may need to remove delegates from line minutes before start of sessions. Waiting for a drink is not a reason to be late for session. the right of the Y&G Info Desk). If it is the morning shift, please sign in on the sheet at the CC-Main Lobby table. JAVA SHOP/GIFT SHOP DUTY (1ST FLOOR OF DOUBLETREE) This advisor duty is focused on delegate management. For the Java Shop, read the Starbucks instructions above. The gift shop is small and cannot allow more than 10 delegates inside. If there is increased demand for the gift shop, you may need to create a line. Non-Y&G persons do not need to wait to enter. Important: We cannot control for the number of delegates coming to this location. If additional help is needed during this shift, see assistance from SWAs in DoubleTree (go to First Aid office and ask them to send assistance). Check-in: Advisors need to check-in for this duty in person at the SWA Office (near the DoubleTree elevators).
9 DOUBLETREE ELEVATOR DUTY For shifts BEFORE Saturday 9:00 PM, this advisor duty is focusing on preventing delegates staying in the DoubleTree from going up to their hotel rooms. As a reminder, delegates are not permitted in hotel rooms during program hours. For shifts AFTER Saturday 9:00 PM, this advisor duty is to help monitor the elevator lines. Stay on the 1st floor lobby and keep the area in order. Do not allow the delegates to overload the elevators. When non-y&g guests arrive to use the elevator, allow them to cut the line. Check-in: Advisors need to check-in for this duty in person at the SWA Office (near the DoubleTree elevators). RADISSON ELEVATOR DUTY (2ND FLOOR) This advisor duty is to help monitor the elevator lines. Do not allow the delegates to overload the elevators. When non- Y&G guests are using the elevator, do not put students in the elevator with them. Check-in: Advisors need to check-in for this duty in person with the SWA (wearing a red jacket) on duty in the Radisson. ISSUES & ACTIVISM SESSIONS (VARIOUS LOCATIONS) The primary role of this duty is to check party affiliation as delegates are arriving to session. Only delegates assigned to a particular party are able to attend the party session. Please make sure to arrive at the start time of the duty (which is before the session starts). This is the session of the Youth Governor primary, so it is important that only delegates in this party are allowed into the room. the right of the Y&G Info Desk). Check in for the DoubleTree session can come to the CC-Main Lobby or check in at the SWA Office (near the DoubleTree elevators). MEET THE CANDIDATES MONITOR Your main duty is to monitor the microphones in the room and ensure delegates seat themselves in the front of the room. Except during Meet the Candidates, there will be two microphones placed in the room. The microphones will be on and we do not want delegates to play with them. You are welcome to use them to instruct delegates to seat themselves in the front. For sessions in CC-Hall I, nearly 1,200 delegates are expected for the session. If possible, seat them toward the front of the room. Your secondary responsibility to monitor delegate noise in the room. If noise becomes an issue, feel free to ask for decorum using the microphone or direct other advisors to walk the room to keep delegates quiet. the right of the Y&G Info Desk). COURT SESSION (VARIOUS LOCATIONS) Advisors assigned to this duty are supporting Court program staff during the session. This may involve assisting with delegate seating, passing out handouts, keeping delegates off their phones, quieting noise in the room and monitoring the room during breakout times to ensure delegates are following instructions. If available, Court program staff will be reviewing the session format on Friday evening from 5:45-6:15 pm in CC- 2007/2008. You are welcome to attend or plan to arrive early so you can connect with the Court staff member. Check-in: Advisors need to check-in for this duty online at First, find your advisor duty by clicking add duty. The duty title should include the name of your delegation. Enter your name and include a selfie to confirm your completion. ROLE EXPOSURE (2ND FLOOR CONVENTION CENTER - VARIOUS LOCATIONS) Advisors assigned to this duty have been assigned to a specific area of the 2nd floor Convention Center. During Role Exposure, delegates will rotate through 3 breakout sessions every 25 minutes. The main duty is managing room capacity and ensuring the presenter starts and finishes the session on time to not impact rotations. The rotation schedule is printed in the conference manual. Advisors will roam the hallway and watch room capacity of the larger program areas (listed below). Hallway from CC Board of Education (CC: 2001/2002), Leg Analyst/Dept of Finance/CA Invest Bank/CA EPA (CC: ), MUN Secretariat (CC: 2007/2008), Open Feedback Discussion/Future Leaders (CC: 2005/2006), Intern Program (CC: 2003/2004)
10 Hallway from CC Lobbyist (CC: 2011/2012), Media (CC: 2013/2014) Top of the stairs/entrance to ConCon CC 2017 When the room is at capacity, close the door and stand outside to direct delegates to another room. You can also make sure the presenter starts on time. If delegates arrive after the presenter has started, Near the end of the session, give the presenter a warning 2 minutes before the end of the session so they can start to wrap up. Delegates must attend a session. They cannot stand in the hallway. the right of the Y&G Info Desk). DANCE (CC-HALL 1) Advisors assigned to this duty will be monitoring the dance. You may be asked to assist with delegate management. Plan to arrive by 8:45 pm and check in with the Safety and Wellness Advisors at the Main Stage in Hall 1 for additional instructions. Some advisors will be placed in the hallways of the Convention Center to assist with hallway traffic and safety. Check-in: Advisors need to check-in for this duty in person with the SWA located by the dance stage. GAME ROOM (CC-HALL 2) Advisors assigned to this duty will be monitoring the game room (alternative social activity for Sunday evening). Stay in the space and provide supervision to any delegates using the space. At the end, bring any of the games back to the Y&G Info Desk. the right of the Y&G Info Desk). INTERSECTION CROSSING (VARIOUS LOCATIONS) If you are assigned this duty, your main duty is to assist delegates in crossing the light intersection safely. Advisors should press buttons for traffic signals. Do not let delegates cross on red lights. The ending time for this duty is approximate. Please use your best judgement if the duty should end early or extend longer than listed. This advisor duty will be outside so dress appropriately. Before heading to your location, be sure to check-in at the Advisor Duty station (CC-Main Lobby) to collect your safety vest. If it is dark, please also grab a flashlight and be sure to keep your flashlight on during your duty so that it can be seen from afar. Flashlights are to be used for identification purposes only (not to direct traffic). the right of the Y&G Info Desk). Be sure to pick up a vest (and flashlight if dark). If the SWA is not there, please sign your name next to your delegation on the duty list. At the end of your shift, return the vest (and flashlight) to the Advisor Duty station. RADISSON WALKOVER (VARIOUS LOCATIONS) There are 265 delegates in four program areas at the Radisson (Department of Finance, Legislative Analyst California Environmental Protection Agency and California Investment Bank). If you are assigned this duty, you are assigned to a location along the designated walking route. Delegates should walk down M St, cross at light intersection to Tulare St (side with park) and cross lighted intersection at Van Ness Ave. Before heading to your location, be sure to check-in at the Advisor Duty station (CC-Main Lobby) to collect your safety vest. If it is dark, please also grab a flashlight. Upon the end of your shift, return the vest and flashlight to the Y&G Info Desk. Flashlights are to be used for identification purposes only, not to direct traffic. This advisor duty will be outside so dress appropriately. Help delegates cross the street safely. Advisors should press buttons for traffic signals. Do not let delegates cross on red lights. Delegates are not permitted to enter casino. The session is located on the 2nd floor of the Radisson. If you are assigned to Radisson, delegates should use stairs (not elevator) to walk to 2nd floor. The ending time for this duty is approximate. Stay until there are no more delegates along the walking route. Please use your best judgement if the duty should end early or extend longer than listed.
11 Safety and Wellness Advisors will be passing along route to assist with any issues that arise. the right of the Y&G Info Desk). Be sure to pick up a vest (and flashlight if dark). If the SWA is not there, please sign your name next to your delegation on the duty list. At the end of your shift, return the vest (and flashlight) to the Advisor Duty station. GENDER NEUTRAL BATHROOM MONITOR On the 2nd floor of Valdez Hall and the Convention Center (directly above the info desk) will be Gender Neutral Bathroom. The formerly male bathroom is now a single use gender neutral bathroom. The formerly female bathroom is now a gender-neutral bathroom. This duty is to make sure that only 1 person at a time uses the single use gender neutral bathroom. the right of the Y&G Info Desk). For duty in Valdez Hall, advisors can check in at the CC-Main Lobby or at the SWA Office near the elevators in the DoubleTree Hotel.
