2 One person to periodically check Purell dispensers and re-fill! Notes for 2017: The show is completely sold out every booth on Expo floor is FULL!!! NEW! Expo Floor hours are 9 a.m. to 8 p.m. Friday and 9:30 a.m. to 4: p.m. Saturday. The Show Office is in Spaulding. Due to security reasons, nobody will be allowed in the Show Office besides Expo board members. Hale Room will be staffed by a GSA for most of the Expo. Feel free to store your coat and gear in there. Other expo folks presenters, guests (but NOT the general public), etc. will be directed to the Hale Room to leave coats, etc. o NH Legislatures do receive one free pass to the Expo they have been directed to come to Hale Room to pick up their pass. In the folder Legislator passes have them sign for their pass please. If they have guests, guests go through the normal process at the gate. o There will also be an envelope for Education/Workshop presenter passes to the Expo. There is a list of people who have requested these inside the envelope. Please check them of the list when they take their pass. The Main Entrance to the Expo Floor will be through the doors just past the overhead door, just as in previous years. This year, we will put the ticket booths outside the Expo doors, while our tables of materials will be inside the Expo doors while the show is open. Expo folks who do not need a pass to access the floor just stamp their hands o Any of the 4-H kids who show up with animals o NH Food Bank students (white jackets) o Spinning ladies (will have wheels!) (Saturday) o Jesse Remington HS kids & staff o Rug-hooking ladies (Friday) o Concord Coachmen barbershop group (Saturday about 12 noon) o Home Depot folks KidZone in same place. Lots of activities for kids throughout the Expo, with signs posted with the daily schedule. Parents must stay with their children in KidZone. We will separate out Exhibitor Check-in and the Main Gate for attendees to help alleviate congestion. All break-out/education session rooms are around Expo Center or above the hotel lobby. All rooms will have signage outside the door with what sessions are in that room. o Note: The brochure will say the NH Veg & Berry Growers is Saturday in Salon A. Due to construction, that room is not available. So the meeting will be in Frost/Hawthorne, above the hotel lobby. o Note: The brochure also says Agricultural Worker Protection Standard (WPS): Who Needs to Comply is in Webster on Saturday at 10 a.m. this meeting has been cancelled. While our website has been updated, the brochure still shows this session. 2
3 There is no winter farmers market this year. We have animals! 4-H Kids will be participating with their animals on the Expo Floor. Booth #400 is KNG/Blue Seal Feeds s- and we are expecting newborn baby goats who will need bottle-feeding! And alpacas are in 707/709. The Annual Awards Ceremony will be Saturday, 2/18/17 from 7:30 to 9 a.m. on the Expo floor. Exhibitors and VIPs were to RSVP previously. For those attending, there will be a continental breakfast. From 9 to 9:30 a.m., VIPs will walk the Expo floor prior to doors opening to general public. If folks ask if tickets are still available, please send them to see Tori in the show office in Spaulding. Governor Sununu, Executive Council and legislators have been invited. The Manchester Health Department will be in Friday morning for their inspection. Please notify Tori or AJ when they arrive. The Manchester Fire Department will have an officer throughout the Expo on the Expo Floor. WTPL 107.7FM will be doing a live radio broadcast from 6 to 9 a.m. Friday in the NH Fish & Game booth (booth #109). Food includes whoopee pies (booth #113), fudge (booth?), ice cream by back rest rooms, NH Food Bank s Recipe for Success, popcorn, and the concession area. Concord Coachmen Barbershop group Saturday at 12:30 p.m. in Kidzone area and then will be walking around. Booth #900 Friday will have rug-braiding demo from 9 to 12, UNHCE demos 12 to 8. Saturday is the spinning ladies. Exhibitor Registration Table [Check-in/Information Booth for Exhibitors]: 1. Hand out Exhibitor Packets a. Exhibitors check-in will be based on booth number. Check-in based on Booths , , , and then alphabetically within the box. We will have someone direct exhibitors to what booth number they are in and there will be a large printed alphabetical list on the glass wall of Stark for exhibitors to find their booth number on. b. Exhibitor envelopes have the exhibitor name written in black, and booth numbers written in RED. 2. Have a list of exhibitors with booth numbers for the folks helping exhibitors a. If an exhibitor has not submitted their insurance certificate, there will be a piece of colored paper attached to the front of their exhibitor packet. They, too, will not have access to the Expo floor. Find Tori or AJ please. b. Exhibitor Packet contains: i. Exhibitor Passes 1. When an exhibitor signs out a pass, please have them PRINT their name on the Exhibitor Pass sheet in their packet and take their pass. 3
4 2. When you hand the pass to the exhibitor, please explain the GSA at the gate will be collecting the pass and stamping their hand. All passes will be collected before the exhibitor actually gets onto the Expo floor with no exception. When the passes are gone from the envelope, an exhibitor will need to pay the $7 gate admission fee to enter the Expo Floor. ii. A reminder about the Awards ceremony Saturday. iii. A reminder coffee is available Friday and Saturday mornings in the 4-H ice cream area. iv. An Expo brochure. c. Hand the exhibitor the contents of their Exhibitor Packet (labeled in upper left corner with exhibitor s name); keeping the packet with sign in sheet and tickets in the box. d. If exhibitors have questions about their booth, please have them see Tori Berube, Expo Manager, who will have all their sign-up sheets and communications available either in paper or electronically. e. Validate parking All guests and exhibitors will need to bring in their parking ticket to be validated. The parking validator machine located by the main exit doors of the Expo center will not be working during this year s event. Parking validators are available at the Information booth and Exhibitor Registration booths. Validated parking is $6. i. All exhibitors were reminded of this process, and asked to share with their booth workers in numerous communications prior to the Expo. f. Jesse Remington High School will be building again on the Expo Floor. 3. Teachers and students of any school FFA program will be admitted to the Expo free of charge. Teachers know to bring a letter on school letterhead to the Exhibitor Check-in booth. If they do, collect the letter and have the student s hands stamped. If they don t have a letter, it s okay, just admit them. 4. FARMO is handled by NH Agriculture in the Classroom. Direct any questions from exhibitors or attendees about FARMO to the FARMO booth (booth #100) or to Debbi Cox from NH Ag in the Classroom (booth 201). NH Ag in the Classroom will be delivering FARMO materials to those exhibitors who are participating. Hours for FARMO are 9 to 8 Friday, 9:30 to 4 Saturday. Prizes this year include stickers, tshirts and backpacks. 5. There is a group of people who will be coming to work in the Farms of Distinction booth (803). They have passes in an envelope at Exhibitor Check-in called Farms of Distinction. Please have them sign for a pass. 6. We have provided one guest pass to each education session presenter in case they would like to walk the Expo floor if they requested it! Please collect their pass just like any other pass. (If a presenter asks for a pass, please direct them to the Hale Room for their pass they were to be requested previously. 4
5 Cash Register / Door Greeter/Hand Stamper [Gate Staff]: Please note this year: 1. All exhibitor booth personnel will have an exhibitor pass; if they do not have a pass, they will need to purchase a regular-priced gate admission for $7. a. The passes feature the exhibitor name and booth #. Exhibitor Passes are valid for one day of the Expo, and must be collected. Please stamp the exhibitor s hands AND collect their exhibitor pass. Please store the collected passes back in the box of Exhibitors envelopes at the Exhibitor check-in (just set them in the box). Tori will be through periodically to collect the passes from you. b. There are Media Passes that will feature the press person s name and organization. They are free admittance. PLEASE COLLECT THESE FROM THE MEDIA SO WE WILL KNOW WHO ATTENDED. c. We have promoted on WMUR, the Union Leader, WTPL radio and on our website that if attendees bring 2 cans of non-perishable food, they will receive $1 off ONE gate ticket. Please collect the food at the gate and store behind tall counter. We will work with NH Food Bank (the beneficiary) to move these periodically. d. If a guest requests a receipt, each ticket gate has a stack of receipts in a plastic baggie. There are receipts for Friday, 2/17/17 and Saturday, 2/18/ We should have about 3000 Expo brochures available to Expo attendees to pick up once they have entered the Expo floor. 3. The educational sessions outside of the Expo hall are free attendees are not required to have a hand stamp to attend the educational sessions. 4. Military members in uniform get in at no charge. Their families pay. 5. We accept cash only no checks or credit cards. There is an ATM machine by Exhibitor check-in. 6. Make sure to stamp the hand of everyone entering the Expo Floor. HAND STAMPERS COLLECT ALL PASSES (EXHIBITOR, GUESTS, ETC) stamp hand in exchange just put in the Exhibitor packet box at Exhibitor check-in. 7. We will have donated, reusable bags from various exhibitors that we will place on the tables outside the Expo gate for attendees to take. Exhibitor Support/Aisle Walker: 1. Please introduce yourselves to each exhibitor in your assigned area. You can offer to watch their booth if they need to leave for a bathroom or food break. You can also help them by relaying messages or getting them water, etc. When watching a booth please don t make any sales, and make sure you know approximately how long the exhibitor will be gone. 2. Keep an eye on the Expo floor and report any trash, safety hazards, etc. to Tori 5
6 3. Please don t do any shopping or collect any samples while you are on duty (unless they are small enough to fit in your fanny pack!) If you see something you d like to purchase, ask the exhibitor to set it aside for you and come back after your shift. 4. While walking the aisles assist any guests as needed & HAVE FUN! Hale Room Monitor (aka Educational Session Assistant): 1. Hand out passes to legislators, Women in Agriculture, Education Session presenters, and Farms of Distinction booth workers. 2. Store education session presenter coats, equipment, etc. 3. Hand out LCD projectors to education session presenters if needed but keep a list of their name, and what room they are presenting in so we can track it down if needed. 4. Store GSA volunteer gear. 5. Miscellaneous projects as assigned, including helping to sort donated food for NH Food Bank! Back Door Monitor: 1. Exhibitors will be allowed to use the back doors from the parking garage to load in on Friday and Saturday morning before the show opens. If they look like an exhibitor (wearing a uniform, carrying a load of boxes, they say they re where they re from, etc.) go ahead and let them in. Anyone attending the show as a guest should be directed around to the front of the Expo hall to pay to get in. KidZone Assistant: 1. Parents must stay with their children in KidZone 2. Be a resource! Various presenters and demonstrators may need help. 3. Offer options to the kids (show them where the different activities are) 4. Offer to take photos! 5. Keep the area tidy Miscellaneous: 1.
