CALL TO ORDER Commission Chair Ben Easterling called the meeting to order at 6:00pm II. III. ROLL CALL Commission members present: Shuntel Beach, Jamie Bendall, Ben Burnett, Ben Easterling, Jarrett Long, Bill Lusby, Dennis Mitchell, Cheryl Rand, Wendi Schutt Commission absent: NA City staff present: Director of Recreation & Parks Mike Perry, Deputy Director of Recreation & Parks Lisa Cherry, Parks Manager Eric Milley, Equestrian Center Manager Matt Casey, Special Events Manager Kim Dodson, Recreation & Parks Office Manager Alice Smith; Marketing/Accreditation Coordinator Amy Rickman City Council present: Councilman Jim Gilvin PLEDGE OF ALLEGIANCE IV. APPROVAL OF MINUTES OF NOVEMBER 12, 2015 Motion by Mr. Long to approve the minutes of November 12, 2015 as written. Second by Mrs. Schultz. No discussion. All in favor. Motion carried V. OLD BUSINESS NONE Mr. Lusby reported Bike Alpharetta received donations of 265 bikes; volunteers cleaned and repaired them and they were able to donate 220 bikes to North Fulton Community Charities Mrs. Rand asked about the MOU with the City of Johns Creek; no money is involved with this MOU and staff will send a copy to the Commission members VI. VII. NEW BUSINESS - NONE COMMITTEE REPORTS 1. Administration Mr. Easterling

2 The Committee met and continued their discussion regarding the bond and what all would be included 2. Parks Mrs. Rand Toured Wills Park and went over the watershed plan and water ways near the park One area of major concern was the temporary dumpsters located by the barns; the study called for adding a permanent structure with a roof for the dumpsters; roofing over these will not work for roll-offs as there would not be enough clearance for the trucks; staff will put tarps over the roll-offs 3. Recreation Mrs. Beach no report VIII. PARTNER ASSOCIATION REPORT 1. AYSA Mr. Greg Whitson Thanks to the recreation staff for all their help with the facility/fields Working on brand awareness with more advertising of the program Received good feedback from the surveys that were sent to parents and coaches Focus continues to be on player development The Association invested $50,000 to upgrade the facilities; this included renovations to the batting cages at Fields 1-4 and 6 and 7 by adding 4 soft-toss cages, pitching lanes that would also benefit adult leagues and any tournaments and poured concrete throughout practice area at Fields 1-4 Also purchased new pitching machine Looking on how to make the girls pitching stronger; there is a possibility of working with an outside organization 2. AYBA Written report available for review 3. NAFL Mrs. Stephanie Butler, Team Mom Director This marks the 40 th year for the association; once aligned with only one local high school Milton, they have now included Alpharetta and Cambridge High Schools Rebranded its name to North Atlanta Football League They offer flag football for K-2 nd grade and 3-4 th grade, tackle for 2 nd -5 th grade who play for the high school district in which they live Rejoined with North Metro Football League We had 3 Championship Tackle football teams this year They recently held the Miracle League All-Star Bowl over Thanksgiving weekend; funds collected from participation and concession go to the North Metro Miracle League There were some challenges partnering with NMFL, scheduling was the biggest issue; association will reevaluate their position with NMFL to see if they want to continue their relationship, but by the end of the season they ended with a strong partnership

3 They are looking at refurbishing the fieldhouse and plans are to get new equipment such a helmets Commission would like to hear results of parents questionnaire 4. NMML Written report available for review 5. Ambush Mr. Dennis Mitchell Mr. Mitchell stated the annual report was submitted by Doug Yearwood; Mr. Yearwood plans to attend next month s commission meeting Winter practice has been cut back to a few times a week Discussed the condition of the fields at Webb Bridge Park; the department budgets money every year for repairs IX. PARK SERVICE S REPORT ERIC MILLEY Finishing up roofing projects on the concession stands and restrooms at Wills Park Wills Park staff has been busy cleaning up the Canton Street Library grounds and building Upcoming project for Webb Bridge Park will be adding sod around the detention pond by the tennis courts North Park batting cages are now complete Tree replacement at City Center should begin this weekend The Marconi project on the Greenway started on the 8 th and should be a 15 day project/closure weather permitting X. EQUESTRIAN CENTER REPORT MATT CASEY This weekend will be the final horseshow of the year; this two weekend event began last week with over 200 horses; this weekend will feature over 180 horses for this national show Hosted Georgia Hunter Jumper Association at the end of November; the four day show is the largest they have had with 240 horses Remaining contracts for 2016 will be mailed to event managers in the coming weeks Upcoming events for January: IEA horse shows will be held January 9 th and 10 th Elite Show Jumping begins January 20 th ; this is 3 weeks of A Rated Hunter Jumper shows XI. RECREATION SERVICE S REPORT LISA CHERRY Winter instructional programs are going well Winter youth basketball games began December 5; boys team, 16 girls teams The 2016 spring/summer leisure guide has been printed; it will be distributed at the end of the month and posted online in late December Gym floors and also the multi-purpose floor at Wills Park were refinished during the week of Thanksgiving Spring youth soccer and lacrosse registration began December 1

4 Kim Dodson spoke on the successful Christmas Tree lighting held last Saturday Amy Rickman discussed her marketing efforts; increasing partnerships within the business community; handed out a new tri-fold brochure for the Adult Activity Center Event Updates December 2 Cookies with the Clauses approximately 225 children plus parents December 5 Shade Tree Players Twas the Night Before Christmas play at the Adult Activity Center approximately 50 guests December 5 City of Alpharetta Christmas Tree Lighting large crowd; held at adult activity center December 6 Alpharetta City Band Concert approximately 150 guests December 9 Cookie Swap, Games and Secret Santa Adult Activity Center December 12 Breakfast with Santa Adult Activity Center December 12 Pet Photos with Santa Waggy World Paw Park December 15 Alpharetta Gold Age Club luncheon XII. XIII. DIRECTOR S REPORT MIKE PERRY Continuing discussions on bond projects; please let staff know if you have any questions On the agenda for Monday s City Council meeting will be the future use of the old library on Canton Street The hats/scarves on the Friendship Circle in front of Alpharetta Community Center were placed by a citizen, her granddaughter, and friends Staff pressured washed the old library; looking at paint options; tree company came and worked along with staff who reseeded and cleaned up the yards; the natural area has not been touched CITY COUNCIL REPORT COUNCILMAN JIM GILVIN There was no money involved in the MOU with the City of Johns Creek; last year we offered softball which increased the participation numbers; MOU is only for recreational baseball, softball and lacrosse; no travel teams involved Workshops have been held to discuss a potential bond; top four priorities are transportation projects which includes road improvements to Rucker and Kimball Bridge Road along with Old Milton Parkway, sidewalks and expanding the Greenway Discussions on-going on the amount of a bond, possible millage-rate increase for a larger bond amount, increase penny sales tax, timing of when to bring to our residents for a vote; so much to consider; would like to hear feedback Several commissioners spoke in favor of waiting until the November general election to offer the bond; they felt people would already be out to vote and it would save tax payers money since there would be no need for a second voting day Addition of a corner pocket park was brought up at council meeting; he feels more attention needs to be made on maintaining the parks and facilities we have, not spending funds on a new pocket park
