4 RULES GOVERNING ENTRIES FOR WELLINGTON EISTEDDFOD Please read all rules carefully. Failure to adhere to these conditions may result in disqualification or withholding of prizes. The decision of the society in all questions of dispute arising out of, or not providing for these rules and conditions, shall be final. All entries received are subject to this decision, which shall be subject to any appeal at law; such as would be contrary to the spirit of friendly competition upon which the Eisteddfod is based. All competitors, teachers, parents and guardians are bound by the rules governing entry and competition as set out below. 1. Definitions: AMATEUR: Any person who does not derive nor has ever derived his or her main income or a substantial income as a teacher and/or performer in the particular category of performing arts for which he/she wishes to enter. RESTRICTED means not having won a first place in a class of that description (regardless of age) at any eisteddfod in the previous 36 months, up until the closing date of entries. E.g. Classical Ballet Solo - Restricted is open only to a competitor who has not won a 1st place in a class described as Classical Ballet Solo in the previous 36 months. The competitor could however enter a class titled Demi-Character Solo - Restricted. BEGINNERS / NOVICES are defined as competitors who have been receiving tuition for less than eighteen (18) months. SOCIETY shall mean the Wellington Eisteddfod Society Inc. 2. This competition is open only to AMATEURS except where otherwise stated. (See Rule 1 for definition). 3. Entries: Speech & Drama entries close 25th May Dance and Vocal & Instrumental Entries close 3rd June 2018 Full payment for entries must be received within 7 days of entering or the entry will be cancelled. Enter online at stardom.com.au An Administration Fee of $2.00 will be included on every entry invoice issued through Stardom. All entries will be processed through Stardom. Please check your entry invoice very carefully to ensure there are no missed or incorrect classes. Payment can be made by direct credit to our bank account shown on your Stardom invoice or by cheque/money order posted to: The Treasurer PO Box 217 Wellington 2820 Notification of programme details will not be given unless a programme is ordered through STARDOM on Extras page. A fine of $5.00 will apply to incorrect entries and amendments. Entries will not be recorded until the fine is paid. No refund will be made for any entry fee paid after the entry has been accepted. No entry will be accepted from a competitor who is, or was, during the last six (6) months, receiving tuition from the adjudicator for that section. 4

5 4. Places and Prizes: The Society invests the adjudicator with the authority to withhold or alter places or prize money where he or she is of the opinion that sufficient merit has not been displayed. The adjudicator will explain the reasons for such a decision in giving the results of the class. Places may be given by the adjudicator, but prizes and places will be given as follows:- Senior prizes and all Championships will be awarded on the following scale: 1 to 3 entries in class 1 st prize 4 to 5 entries 1 st & 2 nd prize 6 or more entries 1 st, 2 nd & 3 rd prize Prize monies may be altered if insufficient entries are received, or if classes are combined. 5. Copyright Requirements Except where a Licensed Copy has been obtained, competitors are responsible for ALL royalty & copyright payments and liabilities (if any). Any music taped from copyright is the responsibility of the competitor and not the Eisteddfod Society. Vocal & Instrumental entrants only: Competitors may hand in a photocopy of music for the Adjudicator provided:- a. Form 2 is attached to each photocopy i.e. Adjudication copy for use at Eisteddfod. b. Form 1 must be completed by each individual performer and attached to the entry form. c. Form 5: Temporary Copy for Use by an Accompanist in an Eisteddfod d. Above forms be downloaded from e. The original music is to be used by the competitor. All photocopies will be destroyed. 6. Adjudications: The adjudicator s decision is final unless a protest is lodged under Rule 7, in which case the decision of the protest committee will be final. No competitor, teacher, parent or relative of a competitor may approach the adjudicator. Any communication must be through the Section Registrar. A report will be available after completion of the class at the results table. Only the competitor, parent or teacher may collect and sign for the adjudication sheet. 7. Protests: Any protest must be lodged verbally to the session registrar within ten (10) minutes of the adjudicator s decision, followed by a written explanation outlining the reasons for the protest before the end of the session, and must be accompanied by a deposit of ($10) ten dollars. The protest will be heard by the Section Registrar and one other member of the Eisteddfod Society. Should the protest be upheld, the deposit will be returned. 8. The chairperson is in control of each session. Any requests must go through the Section Registrar. 9. Prompting: No prompting is permitted (except by the adjudicator) during a performance. Non-compliance of this rule will result in the competitor being disqualified. Only competitors appearing in each section will be allowed backstage except with prior approval from the stage manager. No teachers allowed backstage. 10. Accompaniment: There will be no official accompanist, however individual competitors may provide their own. In addition, some local accompanists can be obtained by phoning the Vocal & Instrumental Registrar. Recorded accompaniment will be accepted (tapes and CDs). 11. Groups: A choir, group or duo is one competitor. Groups shall consist of a minimum of (4) four performers, unless stated otherwise. 5

6 12. Age limit: The competitor s age is recognised as at the opening date of the eisteddfod. Date of birth must be stated on the entry form where age limits apply. The Society reserves the right to ask for proof of age. Where competitors of different ages compete together, the age limit or school year for entry is determined by the oldest competitor The age of the group members will be as at 1 January This rule does not apply to solos, duos and trios where the age is as at the commencement of the eisteddfod (28th July). 13. Championships: There must be (2) two or more competitors in a championship for these classes to be held. If there is only one competitor on the day, they may perform for a Certificate only. Alternatively, we will refund their entry fee and the Championship will not be held. For specific requirements regarding entry to championship classes, please refer to the relevant sections of the syllabus. Competitors must complete qualifying conditions. Performances out of section which receive adjudication only, will count towards eligibility for a championship. Trophies for all championships will be presented at the conclusion of the championship. 14. Perpetual Trophies Perpetual trophies will remain with the Society for public display at the Wellington Civic Hall. 15. Performing out of section: Competitors performing out of section will be at the discretion of the registrars. The competitor will be ineligible for a place or prize, but may receive adjudication. 16. Time limits: Competitors must comply with the times stated. Adjudication after the time has lapsed will be at the discretion of the adjudicator. 17. Rehearsals: No rehearsals are allowed on stage during the eisteddfod without prior consent from the registrar. 18. Camera, Tape or Video Recording: Due to Child Protection Legislation, NO person shall be allowed to use photographic or video equipment, including mobile phones, inside the venue, except the professional video and photographic operators appointed by the committee. 19. Mobile phones and pagers are not to be used or switched on inside the hall. General: Competitors compete strictly at their own risk. No responsibility will be taken for any accident, injury or loss of property. This includes all people present as well as competitors. While all care has been taken in compiling this Syllabus, the Committee reserves the right to rectify any errors or omissions that appear. The Society reserves the right to refuse an entry, to cancel or combine any class if there are less than (3) three competitors, or to split a class if deemed too large. Competitors are required to keep a copy of their entry form or a record of section entries. Special Needs competitors are encouraged to enter. Please advise the Eisteddfod Society of any requirements when entering. NO competitor is permitted backstage unless permission is given by the stage manager. 6

8 Wellington Eisteddfod Rotary Scholarships Rotary Scholarships are offered by the Wellington Eisteddfod Society Inc each year in Dance, Speech & Drama and Vocal & Instrumental sections. The scholarships encourage participation and excellence in the Performing Arts. In awarding the scholarship, each adjudicator will be making judgment on the competitor s overall performance in the section entered and encouraging further studies in their chosen field. Please read full Conditions of Entry in the appropriate Syllabus section. 11 SPEECH and DRAMA SECTION Adjudicator: John Walker Registrar: Chris Campion (02) or Speech & Drama Rules Please read the general rules set down at the front of the syllabus, as they also apply to this section. Failure to adhere to these rules may result in disqualification. 1. Entries close 25th May NO LATE ENTRIES WILL BE ACCEPTED. Payment for entries must be received within 7 days of entering through STARDOM or the entry will be cancelled. Enter online at: stardom.com.au 2. Groups: Groups must be called by names, not letters and numbers e.g. Hot Shots, not SM1 or WCPS. 3. Own Choice Items - Copy for Adjudicator: Competitors must hand in a printed copy of their music, words or recitation to the session registrar before commencement of the class or face disqualification. All papers must be clearly marked with the class number, competitor number and no visible name. The Society accepts no responsibility for the loss or damage of any original papers. For competitors in the first two classes of each session: Copy of work must be in 15 minutes prior to the commencement of each session, or it will not be accepted. It is preferred that copies of work be submitted at the beginning of each session, for all classes. 4. Costumes/Props: No costumes or props are permitted for Poetry Recitation (except for Nursery Rhyme in Costume & Dramatic Verse). 5. No competitors may perform the same item in more than one class, including championships. Choirs or ensembles may perform a maximum of two different items within the same class. 6. Copyright Requirements: The Law of Copyright applies to the eisteddfod. It is the responsibility of each competitor to adhere to the Act. Anyone in breach of the Act will not be able to perform. Original poetry etc must be used for performance. If out of print a licensed stamped copy may be used. The adjudicator will accept copies of poetry etc, but originals must be brought onto the stage. All non-licensed copies will be destroyed. 7. Championships: Competitors entering in championships must also enter and perform in two (2) other solo classes of the same style. 11

12 There must be two (2) competitors entered for championship classes to be held. If one (1) competitor only performs on the day, a prize Certificate only will be awarded. Alternatively, this competitor s entry fee will be refunded and the Championship will not be held. 8. Minimum Props Minimum props means Only the props required to enhance performance. These must be able to be carried on stage by the competitor without extra assistance. 9. Time Limits Unless otherwise stated, performance time limits will be: 12 years & under 2 minutes 13 years & over 3 minutes 10. General: Any competitor who has been taught or coached by the adjudicator six (6) months prior to the eisteddfod shall be ineligible to compete. Classes will be combined and prize monies changed if deemed necessary. NO competitor is permitted backstage unless the stage manager gives permission. Competitors must be ready to take their place when required by the program. 15 MOVEMENT DRAMA GROUP In this section a minimum of (3) three competitors will give a non-verbal, dramatic interpretation of their selected item using movement and music. Adjudication will be based on interpretation, sensitivity, presentation and dramatic impact. A standard of technical excellence consistent with that expected in dance competition is NOT part of the marking criteria. 18 BINJANG RADIO NEWS READING Binjang Radio will provide adjudication for this class. The presentation is to be a radio news bulletin read from the transcript provided. Competitors will be allowed (2) two minutes preparation time. The transcript could include an international item, a national item, a local item, a sports item and a weather item. Competitors will use the microphone provided. Adjudication will be on voice presentation only. No additional wording is permitted. CDs: A modern sound system is provided for the playing of all CDs. No other equipment will be permitted. No other person may approach, interfere with, or operate the official equipment. All requests regarding the playing of CDs are to be made through the Session Registrar. All music must be handed in at the results table three classes before the class. It is preferred that all music be submitted at the beginning of each session. ONE dance only on each CD and labelled on the correct side. NO STICKERS ON CD S as they may get caught in equipment. Please ensure CD s are clearly marked with the competitors name, class and number. Music MUST be recorded in STEREO. Please DO NOT use CD-RW. It is advised that ALL competitors have a back up CD. CDs for championships should consist of two (2) separate, clearly marked CDs for each routine. 3. Dance Performance Time Limits: Time limits need to be strictly adhered to. Duplicate Performances No competitors may perform the same item in more than one class, including championships. Championships: Dance Championships will be programmed on the weekend of 11 th and 12 th August- not as part of the usual Solo sessions. There must be two (2) competitors entered for championship classes to be held. If one (1) competitor only performs on the day, a prize Certificate only will be awarded. 21 6. Groups: Groups shall consist of a minimum of (4) four dancers. The age of group members will be as at 1 st January This rule does not apply to solos, duos and trios where the age is at the commencement of the eisteddfod, 28 July Improvisations: In all improvisations, the music will be selected by the adjudicator. The time per dance will be approx 1 minute for 12 years & under and approx. 1½ minutes for 13 years and over. Age groups may be combined or split at the discretion of the committee. Competitors are to perform in a plain coloured leotard ONLY. Only competitors are allowed in confinement room during these classes. 8. STAGE/CURTAIN INFO The stage area will be covered with tarkett dance floor. No resin or glitter is permitted. Use of the curtain will be at the discretion of the stage manager.. 9. Any competitor 12 years and under who leaves the stage in the midst of performing will be permitted to return to the stage to continue but will be ineligible for a prize or place. 10. Adjudicators have the power to stop a dance performance if the lyrics, dress or choreography are considered inappropriate, or dance practice is not safe. Stockings are to be worn by all females 11 years and over (including groups) under costumes consisting of dresses, leotards, briefs and shorts. 11 General: Any dancer who has been taught or coached by the adjudicator six (6) months prior to the eisteddfod shall be ineligible to compete. Classes will be combined and prize monies changed if deemed necessary. NO competitor is permitted backstage unless permission is given by the stage manager. Dressing Rooms are mixed gender. Male female and disabled bathrooms may be used if this is not suitable. Pop up change tents will also be available 12. Dance Groups: Dance studios can enter a maximum of two (2) entries in each group class. Unless there is no class for that age group. Form 1 is to be completed by each individual performer OR the teacher may sign on behalf of several students entered on the same entry form. In awarding the scholarship, each adjudicator will be making judgment on the competitor s overall performance in the section entered and encouraging further studies in their chosen field. 37 CONDITIONS OF ENTRY: 1. Entry is open to all eligible competitors. 2. Competitors in the Vocal & Instrumental Scholarship must compete in a minimum of three (3) contrasting solo classes for piano OR two (2) contrasting solo classes for instrumental OR three (3) contrasting solo classes for vocal OR a combination of any three (3) entries (i.e. vocal, instrumental or piano). 3.
