1 2018 Outdoor User Guide (Revised February 2018) Thank you for your interest in the Town of Oakville s facilities. The Town is pleased to provide high quality facilities for the use of residents and sport user groups. To ensure a fair and equitable process for all, the Town utilizes an allocation policy to govern the permitting of space. For information on the allocation policy, visit Seasonal Permits Seasonal permits are created based on the deadlines listed below in conjunction with the Town of Oakville s allocation policy. To view facility availability; 1. Visit 2. Click Program Registration at the top of the screen. Click Facility vailability 4. Complete the information and conduct a search 5. To request times, complete the request form and submit it for processing Permit Conditions The main contact for a permit must be 18 years of age or older ll permits must have proof of $2 Million insurance naming the Town of Oakville as additional insured. Charges may be added to your permit Payment information or post-dated cheques are required at the time of permit confirmation Cancellations must be made 14 days in advance of any booking. However, tournaments require a 45 day in advance notification. Rzone The Town of Oakville is committed to fostering an environment promoting Respect for yourself; Respect for others; and Responsibility for your actions. The Town discourages any form of inappropriate behavior at all town facilities, properties, events, and programs. The goal of the Rzone procedure is to promote a positive, safe, and supportive environment for all members of the public and staff. For more information visit 1

2 Field Conditions Lights, where applicable, are available from 7-11 p.m.. They must be turned off at the conclusion of the game to conserve energy and reduce impact on surrounding residents. Most locations have combination locks to access the fields, however some also require keys. Keys may be picked up at Town Hall and require a $75 deposit per key. Users with 10 bookings or more are given a 5% reduction of fees to offset rain days. This will alleviate the need for contract changes due to weather. The Town of Oakville reserves the right to cancel rentals due to weather in order protect the integrity of the fields. Closure information will be posted by 1 p.m. at Grass cutting: Grass on all irrigated and class fields will be maintained at a 2 height. On class and C fields, grass will be cut bi-weekly. Field lining: Field lining will be completed weekly on all class fields. ll and C field lining is the responsibility of the user group. If lining for tournaments is required, please advise a minimum of 72 hours prior to the tournament. dditional charges will apply. Diamonds: User groups must provide their own bases, mounds, liners, and chalk. ll class and diamonds will be groomed daily Monday-Friday.
