1 REPORTS Page President 1 Captain 4 Ladies 5 Photo Gallery 7 Course Com. 8 Ladies Social 8 Early Birds N/A Junior 9 Social 9 Pro Shop 9 Golf Australia 10 Flyers President s Report With spring just around the corner and the last couple of weeks of winter in sight, the golf club has seen the continual re-structuring of the club and is showing positive signs of improvement. As pointed out at the membership meeting this month, we have received $48,184 in donations from our Members along with approximately a quarter of the membership paying their fees early. This allowed your Board to continue the re-structuring with that assurance and support from the Members. With the appointment of our Chef and Functions Coordinator, we're starting to see profitable functions being organised. This month in addition to the Membership Carvery Night, we had a very successful Parma night with 120 people attending, and in the Bennett Room on the same night we had our usual 50 for Rotary. This was a very successful night for the club and we look forward to future special event nights, which may be seafood, pastas of the world and other delicacies. If you have any other suggestions please let Amy know your ideas. I would like to take this opportunity to thank Rohan Vercoe for his work as Club Secretary. Unfortunately due to work and family commitments Rohan has had stand down as Secretary. Thank you, Rohan, for standing in when we could not get a nomination at the last AGM. This now leaves the Board numbers down to only six out of nine positions required. I would also like to thank the ever reliable Brian Wirth for stepping in as Acting Captain until this year s AGM. If you are able to help in any way please let me know, and consider nominating for the Board to fill these vacancies this year. September is just around the corner and will lead us into a very busy week for the club at the Annual Tournament. Once again, Rod, Aydan and Josh have the course in first class condition. Rod and his team are the quiet achievers without doubt. The feedback I receive from visitors, and comments around the club confirms that the course is a credit to your work ethics. The tournament week is a very important week for the club. This year we have a contingent from New Zealand coming to play. They have heard of our plight and decided to visit us during our tournament - please make them welcome. The Tournament Committee will be looking for players to partner the Kiwis in some events, so if you're available to assist, please let Brian Wirth know. Get your entry forms in early for the tournament. Entry forms are available from the Pro Shop or on the website. We have also seen a continuation of our membership donating their time in volunteering to assist behind the bar and at functions. To date the total number of hours is approximately 800. I would also like to thank members who have donated their time or donated material for cart paths, picking up golf balls from the driving range - all these things assist the staff and Board in running the club. Again this month we have had some hiccups. Our coffee machine broke down, and rather than repair the old one or purchase a new machine we have entered into agreements with a coffee company. Tazzina, who have supplied us with a coffee machine, so enjoy your new coffee. 1

2 We have also had trouble with our main computer. For some time now it required a data purge. We started this program process and discovered that it had not been done since It has taken three weeks to complete, much to the frustration of Admin. With this process now behind us we are continuing to looking at better ways and programs for point of sales in the Pro Shop, Bar and catering areas. HORSHAM GOLF CLUB MEMBERS INFORMATION NIGHT 8/8/2016 Present: 67 Members (as per attendance register) Apologies: 15 Members President John Priestley welcomed all and addressed the meeting, outlining the measures taken by the Board since the Information Night held in February 2016, and current state of the finances of the Club. $42,184 in donations has been received since February, and are still being given, including a donation of materials to construct the car parking area adjacent to the new cart shed. $113,596 was received in pre-paid Membership Fees for Those amounts improved the cash flow position and allowed the Club to continue trading. An agreement was negotiated with Golf Victoria for Affiliation Fees to be paid in monthly increments. There is only one more payment due to finalise the season, and the Affiliation Fees will be paid under the same arrangement. Over 800 in house volunteer hours have been contributed by Members since February. Volunteers continue to contribute to course maintenance on a weekly basis. A number of Members had gained their RSA qualification to assist in the Bar. Members were encouraged to continue to volunteer. Strategies have been implemented to both improve cash flow and to secure financial stability. A major staffing re-structure has taken place. The positions of both the Head Chef and the Manager were made redundant due to unsustainability. The Function Co-Ordinator resigned. Considerable savings have been made with the co-operation of Member volunteers. A Book Keeper, Kerryn Prowse, has been employed. Both payroll and accounts are dealt with by Kerryn, who works in conjunction with Treasurer Wayne Anderson and accountant Gabi Freijah, which gives the Club more control over finances at a considerable saving. Tanda clock on/off system has been installed for staff. There are issues with the Club s dated computer system. The MicroPower system, which is essential for handicapping purposes and for stock control, has been incorporated with MYOB, a more user friendly system, which is now used for invoicing and financial reporting. Membership: at June at July Members are unfinancial as of today, 61 of those are Full Members. An increased number of members have taken advantage of the monthly direct debit option to pay their memberships. This does have an impact on the cash flow. Staff levels have been stabilised as follows; Chef Rob, Functions Co-Ordinator Amy, Bar Frank, Admin Kerryn, with Maree and Gabi Freijah. The Pro Shop has become a successful profit centre since the Club has taken sole control. Three Ground Staff continue to be employed. Josh is nearing the end of his apprenticeship, and may move on if this does occur, another apprentice will be employed. It is being considered whether to transfer our two casual staff to permanent part time all implications are being investigated. The progress of the proposed sale of excess land is unchanged. The land Sub Committee had reported in February that applying for required permits and approvals involving indigenous and vegetation issues would incur costs of approximately $50,000. This matter will continue to be investigated. 2

3 Resignations from 4 Board Members, because of ill health and family reasons, have been received during the current year. President John asked that Members consider how they could assist the Board, either by filling a vacant position or by helping in areas of Administration, on the course, or as in house volunteers. For the past two years, Board positions have remained unfilled at the AGM. A reference group has been formed, consisting of several Board members and community business persons, to discuss possible future directions and strategies for the Club. Members were asked to continue to support our Club events the Men s Daily Competition numbers have dropped, the Ladies have increased, the Annual Tournament needs our support when it begins on September 5, we all need to actively try to recruit new members. Monthly Members Carveries continue to be well supported. An initial Parma Night was held last Friday, with 122 participants. 50 Rotarians also held their dinner meeting on that night. It is planned to re-open the Blue Wren Bistro. Chef Rob also plans a Fine Dining/Degustation evening in the near future bookings have already been made. Questions were taken from the floor. What is the status of the Machinery replacement Fund? At present, there is approximately $11,500 in the fund. The Course Development Committee has looked at priorities for replacement, and has recommended that the fairway mower be replaced and the surrounds mower be sold. Quotes are being sought and finance/leasing investigated. What is the current financial position of the Club? The Club is in a more comfortable position than at the time of the February Information Night. Now that the redundancy issues have been dealt with, at a cost of approximately $130,000, the position is starting to turn around with a small profit being shown over the last two months. A separate bank account has been set up for regular deposits to meet payments of GST. $135,000 was invested by Members to assist at the time the Club took control of the Pro Shop. Most members have rolled over their investment at 3% interest. A separate bank account has been set up for regular deposits to meet repayment of these investments. How does the weekly wages cost compare now with January/February 2016? Week ending 17/1/16: $13,600 7/2/16: $11,950 18/7/16: $7,240 27/7/16: $7,900 What is the position of the class action resulting from the Black Saturday fires? At this stage, no statement of accounts has been received from Madderns Lawyers, despite numerous attempts to clarify this issue. There is an amount of approximately $334,000 in a contingency fund, but negotiations have still to take place with WFI the Club s insurers. Past President David Lavithis addressed the meeting on efforts made to discuss the insurance issue with WFI, but despite assistance from Andrew Broad, no progress has been made. Legal costs will be enormous, and it is not anticipated that the Club will receive any more funds from the class action. Chef Rob was commended for his efforts with the new menus. It was reported that Oakley Wines, now the supplier of wines to the Club, will take part in the proposed Degustation/Fine Dining nights as a sponsor. A suggestion was made that a penalty apply to late payment of Fees (after June 30) by Members. The comment was made that often Members are travelling when Fees are due, but they do pay when they return. It was suggested that Members who have not re-joined be contacted to discover the reasons for their not re-joining. 3

4 Comment: Members who may be away should be able to pay their fees electronically, but this function seemed to be unavailable this year. This facility has been available for some time. Members were asked for their assistance with a job description project. Good Golfing John Priestley Captain s Report With the resignation of David Dickinson as Captain of the golf club I have been asked to fill in until the Annual meeting. The last couple of months have been wet with lower numbers playing golf but with fine weather nearing and football coming to an end our numbers should improve. Some members may have noticed the change in value of the men s vouchers. This change has been made necessary to help the financial situation of the club. Over the winter we have run a number of events including board events and the Holden Scramble. Coming up is our Annual tournament running from the 5 th to 11 th September. Wilson Bolton have been generous in sponsoring a car to the value of $15,000 for a hole in one on Friday and Saturday of the tournament. 8 Course Development Committee Very little Committee business to report because almost everyone is away but there are a few things to pass onto Members. 1) Cart owners/users. Please exit the cart paths at different angles so we don t get an extension path created by overuse. If everyone just clears off to the left or right on leaving the path we can keep our course free from unintended dead areas. Once off the path you can travel on the first cut mainly and leave the fairway alone; this would again help. The hoops indicate where we would like you to divert left or right in future. These will come down for the tournament. 2) Tournament. Next Thursday is the volunteers last chance to tidy up our great course and present it in the best light we can. Volunteers gather at 8.30am so a good attendance would be appreciated. New volunteers are welcome at any time. 3) We are doing our best to spray out the pigface and bridal creeper. 4) We have an asset replacement schedule in place and the next item we would like to acquire would be a new fairway mower. 5) HELP: following the tournament there will be a major greens renovation and there will be lots to do for any member who can find some time to assist. We have borrowed a hollow tyneing machine from Nhill which leaves a lot of material to be dispose of... many hands make light work. Iain McNee Course Development Committee Monday Social Ladies Colder than normal winter weather, school holidays (granny duties!) and people away have combined to lower numbers on Mondays, but still the program goes on. We, (Elaine, Liz and myself) have also had stints away at times, leaving Joan the constant, steering the ship. The Men's group seems to be outnumbering ours regularly, which says their Ambrose every Monday suits most; is very "social". We paid Joyce a further $20 for trees, now $465 all up, and are pleased to see them thriving around the course. Well done to Janette McCabe, Pat Williams and Lorraine Melville, the latest to step up to Full Membership. Wendy Weight joined us for a game on a recent return to Horsham, from Portsea. Best wishes to Dawn Harnath (and her husband) who have had serious health issues of late. We hope to see you back among us soon. Try and support the Club Tournament in some capacity in early September. Julie Obst Early Bird Report N/A 8
