2 2019 OISRA State Alpine Championships Mt. Hood Meadows, Oregon March 6-8, 2019 Welcome to the 2019 Oregon Interscholastic Ski Racing Association s (OISRA) State Ski Championships. The Metro League is honored to be your host for this event. We congratulate you for qualifying for this event and anticipate that these three days will inspire, challenge, and ultimately reward you with many fond memories. Thank you to all the volunteers, parents, sponsors, and coaches who contribute their time, money, and talent to high school alpine racing throughout the season(s). None of this would be possible without you! We hope that you leave this season-ending event with new friends and an unforgettable experience. Use this Event Guide as your key to the event. It should answer most of your questions, whether you are a race participant or event volunteer. 3 GENERAL INFORMATION Host League Website The Metro League offers a dedicated State Race website at There you will find event details, information about accommodations, registration, lift tickets, etc. Event Location Mt. Hood Meadows Mt. Hood, Oregon Event Venue Stadium Chair >> Stadium SL; Mt. Hood Express Chair >> Middle Fork GS Lift Passes A Meadows Spring pass is available on their website for $149 (adults 25+), $99 (youth 7-24), and $139 (adults 65+). The pass will be accepted for State even though the official date starts the weekend following State. Also, a 3-weekday pass is available for $149 on the Meadows Website only. And Individual tickets will be available for $64 per day ages 15+, and $39 per day ages 14 and under. Purchased on-site at Meadows. Officials, volunteers, and coaches* will receive complimentary lift tickets for those without a season pass. Only officials and volunteers receive an extra voucher/chit for the days they work. *See Coaches lift passes under Coaches Information for qualifications. Racer & Team On-site Check-in There will be a different location each day. Tuesday at the Grand Lodges Community Room in Govt. Camp from 4 pm 9 pm Wednesday at Meadows from 8:30 am - 3 pm. Wednesday at the Grand Lodges Community Room from 5 pm 9 pm Check-in for teams and individuals must be completed by Wednesday night 9 pm. Academic Eligibility for Participation Academic eligibility signed by the school needs to be in with the OISRA by February 9, 2019 for all athletes. Participation is determined in accordance with the OISRA rule book and individual league SOP s. Liability Waiver All athletes, coaches and volunteers must complete Mt. Hood Meadows online release form at A parent/guardian must help complete the athlete s release form (if under 18), NO EXCEPTIONS. Racers parents must also complete the Providence Medical Consent to Treat form and be turned in as an original signed hard copy. Without this form bearing original authorized signatures, in ink, racers will not be able to compete. This form is available for download at the State Race website and has been sent to your league representatives, along with the link to the online Meadows release. Live Race Results All races will be broadcast on for real time race results. Page 3 of 16

4 Racer Social Chaperone Each school with one or two teams must provide one chaperone to be onsite and available for the racer social if you have any athletes that will be attending. Does not apply to schools sending individuals competitors. Lodging and Transportation Race participants must arrange their own lodging and transportation to the venues. (Racers are not allowed to drive themselves, NO EXCEPTIONS). Teams are encouraged to seek lodging at the following: Mt Hood Resort in Welches (~35 minute drive to Meadows): Best Western Mt. Hood Inn in Govt. Camp: Collins Lake and Grand Lodges condos: Check for lodging and hotels in beautiful Hood River! (~40 minute drive to Meadows) Page 4 of 16

5 OPERATIONAL DETAILS Mandatory Race Workers (Gate Judges) Each team racing at the State Championships is required to provide one experienced gate judge for each event that the team has entered (see OISRA Alpine Policies, Section II, paragraph I. Volunteer Race Workers ). These worker names are to be submitted by the team s coach/parent advisor during online registration. At Registration check-in, teams are responsible for submitting a gate judge deposit of $150 per race ($600 if registering Boys & Girls teams for both GS and SL). If your team provides the required experience race workers, the deposit check will be shredded after the final race on Friday. Gate Judges must attend a mandatory information meeting on Wednesday evening 7:00 pm at the Mt. Hood Cultural Center & Museum in Government Camp (see Schedule of Events). Because of the change in the race format it is mandatory that all Gate Judges attend this meeting. All Gate Judges are required to Have prior experience at the Gate Judge duty MUST be skiers/boarders to access the venues Complete the Meadows online Liability Release Attend the mandatory gate judge meeting Wednesday evening Check-in with the race secretary on Thursday and/or Friday mornings at the Meadows lodge during the mandatory check-in time (see event schedule) Meet the Chief of Gates at the designated meeting area in the lodge after checkin (be prepared to go directly to the lift from this meeting) Racer Bibs Racer bibs will be distributed at the coaches meeting on both Wednesday and Thursday nights. Any racer not running on Friday will receive a complimentary bib at registration. After the second run on Thursday s race, the racer bibs will be collected from all the racers at the finish line. The Bibs will be sorted and re-distributed at the coaches meeting after the race. Teams will be charged $20 for lost or misplaced bibs from Thursday s race. At the conclusion on the second day of racing (Friday), the racer bibs will become the property of the racer. Friday Night Awards Ceremony Awards Ceremony will be at Sandy High School, 5:00 to 7:30pm. There will be pizza and sodas available by Wild Mikes Pizza! >>> Bring cash! $5 gets you a big slice and a soda. Alternative options: grab a quick bite before awards or spend a nice evening dining together after the awards! Page 5 of 16

6 COACHES INFORMATION Team Online Registration (Head Coach or Parent Representative) Teams will register online with the same site that they used to register for the regular season. Registration will open Saturday, February 23 th at 9 am. The final registration deadline is Monday, February 25 th at 10 pm. No Exceptions. Coaches Lift Passes Coaches will receive complimentary lift tickets, 1 per team of 1-2 athletes (for having individual racers) or 2 per team of 3 or more athletes (for teams of racers). Coaches will not receive complimentary vouchers/chits for another day. Link for Team Registration: Provide contact information for Head Coach s and Parent Representative. Provide name and contact information for gate judge (one per race, per sex). Note: please make sure the name provided is aware that you have submitted their name and that they have had prior gate judge experience! If you only have individuals (teams of one or two athletes) racing you do not need to supply a gate judge. Provide name and cell for Racer Social Chaperone Option to order clothing memorabilia (sweatshirts and hat) Option to order photo package All Registration Deadlines are Monday, February 25 th at 10 pm, NO EXCEPTIONS For any questions regarding the electronic registration process, please send an to: adminservices@oisra.org Team Start Orders Your submission worksheet will be available for download at the state race website and are due by Tuesday, February 26 th Noon. No Exceptions. Link for Start Order Worksheet: Worksheets will also be mailed to each coach by the race administrator. Upon completion, the official State Start Order Excel form with your team or individual athlete s order of start and leagues qualifying position. Please return this via to: archerhit@frontier.com Deadline is Tuesday, February 26 th at Noon No Exceptions. Mandatory Coaches Meetings All Meetings will be held at the Mt. Hood Cultural Center & Museum in Government Camp. Wednesday: March 7 th at 8:00pm Thursday: March 8 th at 8:00pm On-site Team Registration Check-in All teams (and individual qualifiers) must check-in upon arrival. You may check-in at either of these three times and locations: Tuesday at the Grand Lodges Community Room from 4 pm 8 pm Page 6 of 16

7 Wednesday at Meadows from 8:30 am - 3 pm. Wednesday at the Grand Lodges Community Room from 5 pm 8 pm Check-in for teams and individuals must be completed by Wednesday night 8 pm. At this time you will: Turn in Meadows hard copy Providence Consent to Treat forms for all athletes Submit your gate judge deposit. (Note: Gate Judge Deposits must be secured with a check only. Pick up a copy of the start orders Pickup your complimentary racer swag bag and State pins Pick up all pre-ordered commemorative championship clothing items Teams checking in on Wednesday at Meadows will need to pick-up their swag & merchandise at the Grand Lodges Community Room in Govt. Camp that evening. Note: The Gate Judges deposit is $150 per race (SL or GS), per sex. This would be a total of $600 for a school with both a boys and a girl s team. This check will be destroyed at the conclusion of the Championships Race if duty is fulfilled (unless specified otherwise.) Note: Bibs will be distributed to the team (or individual racers) coach at the coaches meeting on Wednesday night. On-Hill Training Wednesday, March 6th is the registered training day. Training lane assignments will be posted at the State Race website: In addition, we plan to notify leagues directly of their course and time. Training Notes Teams/leagues must provide their own gates. A coach or parent representative must be at the top of the course at all times. Courses must be pulled and slipped by the time indicated on the schedule. Helmets are mandatory for GS & SL training & racing (hard cover over ears & FIS certification required for GS). ATHLETE INFORMATION Racer Online Registration Racers will register online with the same site that they used to register for the regular season. Alpine athlete registration fees for 2019 are $70. Please be prepared with the type of payment you will use. Please consider saving the organization some fees by using E-checks instead of credit cards, but credit cards are acceptable. Payment needs to be made online at the conclusion of the registration process. Page 7 of 16

8 Lift Tickets - See Lift Passes on the general information page. During the registration process you will also have the opportunity to follow a link to a shopping page where you can order some optional items: souvenir clothing (sweatshirts and hats), and a photographer package. Schedule of Events Please familiarize yourself with the Schedule of Events located in this Event Handbook. Racer Notes Please be courteous and respectful to other athletes, volunteers, coaches, the public, and Mt. Hood Meadows employees. Show your appreciation for all their work. Familiarize yourself with the Meadows trail map prior to skiing. Remember that all athletes must adhere to the Skier s Responsibility Code - Are You Aware. Do not leave skis in non-designated areas outside of lodge. Meadows and OISRA are not responsible for theft or vandalism of your equipment. Lift tickets or passes are required for all lifts at all times (training and racing). Helmets meeting FIS Specifications (see Alpine Race Rules, Section 2, Paragraph A., 5., f.) are required for all training and racing. NO FAST SKIING IN SLOW AREAS! This will result in loss of lift privileges. Bags and equipment must be kept out of walkway and off tables. Bibs must be turned in after 2nd run on Thursday. Athletes may keep their bib after Friday races. Athletes racing on Thursday but not Friday will receive a souvenir bib. NOTE: Racers are not allowed to drive themselves to the mountain for training day or either race day. NO EXCEPTIONS. If they do this, they will be disqualified. Wednesday Night Athlete Social Each race team, and racers who qualified as individuals, are invited and are encouraged to attend a free Wednesday Night Social at Timberline Lodge s Ullman Hall. The event will begin at 6 pm. The evening will begin with any pre-registered talent acts, then open to dancing! We have a DJ from at 6:00 pm to 8:00 pm. There will be pizza, salad, and sodas. The social is for registered athletes only! This opening event is certain to be a great time! Once racers enter the social, they are asked to not leave and return. There will be prizes for some lucky racers! Participating teams must provide an adult chaperone on the premises at all times. One chaperone per school. Zero drug and alcohol tolerance policy. Any infractions of OISRA rules regarding drugs or alcohol will result in disqualification. Do not put your team or yourself at risk. Ski Waxing/Tuning Racers will have to secure their own tuning areas based on their lodging. Remember to keep your tuning areas very clean when done and be respectful! Page 8 of 16

9 INFORMATION FOR OFFICIALS & VOLUNTEERS All Meetings will be held at the Mt. Hood Cultural Center & Museum in Government Camp. Mandatory Officials Meetings Wednesday; March 6 th at 7:00pm, at the Mt. Hood Cultural Center & Museum and Thursday; March 7 th 7:00pm, at the Mt. Hood Cultural Center & Museum Mandatory Gate Judge Meeting All Gate Judges regardless of which day you are working are required to attend this meeting. Wednesday; March 6 th at 7:00pm, at the Mt. Hood Cultural Center & Museum At the gate judge meeting, gate judging responsibilities will be reviewed along with specific instructions related to this race. There will not be time to do this on the race mornings, so attendance at this meeting is mandatory. Other race workers are expected to attend the gate judge meeting to clarify any questions they may have. If you have not previously submitted an online OSIRA Volunteer Registration (V1) you will be responsible to complete a V1 form (hard copy) at this meeting. In addition, you must complete the online Meadows liability release. Race Volunteer Race Day Check-in Check-in for officials, forerunners, gate judges, and other race workers, is at Race HQ located in the Sno Blaster room on north end of the 2 nd floor of the lodge. Depending on your position, you will be issued a lift pass, and appropriate equipment for your volunteer duty. Complimentary Lift Pass At the end of each race day, please promptly return all items to the Race HQ. Upon your return of all equipment you will be given a complimentary lift pass (if you do not have a season pass). Hand Timers Both GS and SL course hand timers must check in at the Timing Booth at the course finish areas by 9:15 am to receive instructions and equipment. Timers will proceed directly to their course positions; timers need to be at their positions 15 minutes before Forerunners are to run. See the race schedule below for times. Forerunners Forerunners please check-in at 8 am in the Meadows lodge Mighty Mites room. All forerunners should check-in with the Start Referee 15 minutes before the start of the race at the top of the course. Page 9 of 16

11 Sweatshirts and Hat All souvenir clothing is professionally produced by 3-Point Brand Management and features the official State Race 2019 logo designed by Tigard HS racer Nathan Saier. Sweatshirt sizes are available in S-M-L-XL-XXL. Hats are adjustable, one size fits all. Souvenir clothing items can be ordered by racers when they register online. Coaches can also order clothing items when they (or parent reps.) register online. Online purchase is strongly recommended. Commemorative apparel for the 2019 OISRA season is available to all at any time, but the exclusive Championship apparel is only available during State registration. Orders made without the registration of a racer or made after 10pm, Feb. 25, will be subject to a $15 shipping/handling fee. All items are also available online outside of the OISRA registration process. Family members, Volunteers, and State Race fans please visit the State Race Website, and click the swag link at top. If you are ordering online outside of the registration process, as long as you order by Monday, February 26 th 10 pm we will have the merchandise ready for delivery at the state meet. If you order anytime after Monday February 25th there will be additional processing, shipping and delivery fees. This order method will continue for a period following the conclusion of the state race. See website for details. Your pre-ordered items must be picked up at the check-in locations Tuesday- Wednesday. Photographer Mike Juliana Photography will be taking action and candid photos during all events of the OISRA s Alpine State Championships. Many of you are familiar with Mike s work from past state races Get all of your GS, SL, and candid and awards shots from the race for only $60. Photos will be delivered by and you will also get your own personal online gallery so you can share your photos with family and friends. Delivery will be by about a week after the end of the race. Can order online during registration for State or can order on the Mike Juliana website directly: Once again Mike plans to provide a slide show depicting the fun, excitement, and drama of the 2019 State Championship! The slide show will be presented on Friday evening at the Award Ceremony. Videographer Famous videographer Robin Cressy of Mt. Hood Summer Ski Camps will be attending State to produce a video highlighting the event. Watch for him and say hi! Page 11 of 16

12 MOUNTAIN INFORMATION Parking at Meadows National Forest Snow Park Permits are required. They re available in Govt. Camp at Huckleberry Inn, and at various local gas stations and shops. They re also for sale at the Meadows concierge desk in the lodge. There is overnight RV parking available as well. See Restrooms at Meadows There are two main restrooms in the main lodge. One on the main floor adjacent to the tabled public eating area next to the race HQ, and one downstairs across from skier services and a small café. Medical Facility The Providence Medical Center on-hill is an excellent facility with doctors on staff. Ski patrol will be on the hill in the event of an emergency. Dogs/Pets Pets must be leashed and not allowed on ski runs but can join at public spectating zones (base of Stadium). Cell Phones Cell phone service at Meadows is variable but reliable at the lodge.
