2 Introduction Dear Participant, This Team Manager Handbook will provide you and your team with details concerning the U18 European Championship 2016, in Lisbon from 18th to 26th of March. Please read the Handbook carefully and complete the information as needed (or correct if there are any mistakes for those who have already answered). These details will help us to prepare for your team s arrival and needs during your stay and assist you with your planning and preparation for the tournament. 15 V Other information Daylight Saving Time (Summer schedule) When local standard time is about to reach Sunday, 27 th March, 2016, 1:00:00 clocks are turned forward 1 hour to Sunday, 27 th March, 2016, 2:00:00 local daylight time instead Sunrise and sunset will be about 1 hour later on 27 th March, 2016 than the day before. Transportation Seater Mercedes Coach; This service will be centrally managed by Move Sports Office in coordination with the transfer company, in a pool system to guarantee all requested transportation. Teams are entitled to one airport transfer to/from hotel and one daily return transfer to training session/match for the duration of the tournament at cost of the host union. Additional transfers requested by participating unions will be at their own cost. Participation unions arriving on their own bus and who choose to use them along the course of the tournament, will be granted the sum of 600 by the host union. The team s designated Liaison Officers will be in constant communication with our transport coordinator, to assure that all transfers are done according to the programmed schedules. Airport transfers will also be assisted by the designated Liaison Officers, who will escort the teams at all times. Booking should be done with at least 48 hours notice; any request made within that gap will be subject to transfer availability. Match dates Pick-ups will be done according to transports schedule to be provided closer to the tournament dates. Teams will be scheduled to arrive 90 minutes before kick-off, at which time dressing rooms will be available. Regarding touristic activities or any other extra transportation, an additional cost has to be paid. As soon as we know your wishes we will tell you the exact price.

17 V Other information Matches & Training Sessions Post-Match Functions A short informal post-match function will be held after each game, for teams to exchange ties and make short speeches. This will not substitute evening meal served at the hotel. Training Sessions On match day the team has no right to training session/captains run. Teams are granted with one training session (90 minutes) at the pitch on non-match days during the tournament: Championship 17 to 26 of March Trophy 18 to 26 of March Training plans should be sent to the organizing committee until the 4th of March. For scrum training teams must request 72 hours in advance. Bookings will be done by first come first served order. Changes must be requested with 72 hours notice to your liaison officer and can be approved depending on availability. Extra sessions: It may be required depending on pitches availability and costs will be supported by requesting Unions. Extra training costs 150 Euros. If transport is necessary for extra training session 250 extra to be charged (400 total). For more information about training slots and facilities, please check the appendix I Dressing Rooms Training sessions - Dressing rooms to be available 45 minutes before the session. Match days - Dressing rooms to be available 90 minutes before the match. Ice and Water Provision Training days: Teams will be given 2 liters of water per person to a maximum of 30 people, provided at their hotel. Ice must be required to the team s liaison officer with 48 hours notice. This has a cost of 2,5 / 2kg bag and can be purchased at the team s hotel.

18 V Other information Match days: Teams will be given 3 liters of water for each of the 30 people and this will be delivered to the Match Venue. Ice will be made available after each match day (50kg/per team) at the match venue. Finals day All teams are requested to be attending the 15 and 17 o clock matches. They should be prepared for moving from the afternoon match venue to the banquet without returning to the hotel. Teams should be dressed for the banquet according to the mandatory dress code number 1 (jacket and tie). Accommodation & Hotel Services Hotel Check-in/Check-out In order to inform the hotel if your team needs an early check-in and/or a late check-out, please send ines. meneses@movesports.com or francisco.esteves@movesports.com your travel information as soon as possible. A credit card deposit should be provided by the team to the hotel, as insurance for any damage you can be accountable for during your period of stay. All extra services will be charged to the credit card and cannot be paid by invoice after teams departure. All accounts must be settled before departure. Meals Teams will be provided with three meals per day for the 30 Team Members. It will be necessary to inform the Committee whether the team will be attending all meals or not. Extra meals may be requested by the Unions at their own cost. A planning of meals will be delivered at the manager s meeting. Gym Teams staying at this hotel, will have free access to the hotel gym under scheduling through their liaison officer. Praia Mar and Amazonia Teams staying at these hotels will be served by Jamor complex and should schedule through their liaison officer. When booked separately from training session transfer cost will be charged to the team. For more information about training slots and facilities, please check the appendix I.

Hotel Praia Mar Outdoor pool free of charge. *Subjected to availability. Laundry The organization will provide a laundry service with a daily cost of 100 (max 30Kg) per team. Every extra Kg will be charged 3,50. The pickups will be done at 8pm and drop-off 24 hours later. This service will be managed by the team s liaison officer, being the cost supported by requesting teams. Extra Towels To be confirmed at the hotel s front desk. Meeting Rooms Teams can reserve meeting rooms up to 90 minutes at a time. These rooms have to be booked with their Liaison Officer. On match days priority will be given to teams playing on the first games of the day. Medical Process for Payment of Medical Care for Participating Teams and Reimbursement of Costs All Participating Teams and Match Officials are covered by Rugby Europe Medical Insurance. Should medical attention be required, the patient must attend the hospital \ clinic with an Accident Report Form for completion by the Medical Staff. The patient should always be accompanied by a member of his union staff. Once treated, the invoice for the treatment shall be sent to and paid by host union.

20 V Other information Other Medical information Complete information pack with all medical provisions, contacts and procedures for hotel, training and match venues will be provided in the Medical handbook. Requirements Flags All teams are requested to bring with them to the team managers meeting their national rugby flag. Ideally, the size of the flag should be between 600 and 900mm high by 900 and 1500mm wide. Legacy Activities All teams should be available to participate in at least one legacy event. Managers should provide the organization with 2 hours of their free time (which includes travel), at a date to be announced, so activities can be assigned. More information will be provided during the managers meeting. Legacy can consist in visits to local rugby clubs to engage with young boys and girls to promote rugby and activities with either socially disadvantaged or physically disabled children. Anti-Doping and Anti-Corruption Sessions Sessions will be scheduled for every team and it will take place at their hotel on non-match days. Attendance is compulsory and teams will be contacted to agree a suitable time for the session, which will take 45 minutes. Participating costs Participating nations are required to pay their accommodation invoice, in full, to the Organizing committee before the beginning of the competition. The cost of all additional services (laundry, additional transport, swimming pool, gym.) are for the account of the participating nations and must be paid in full before departure from the host country.
