1 M I N U T E S TSR General Meeting 5 February :00 TSR Raadsaal PRESENT: Ishara Ramkissoon, Victoria van der Schyff, Phillip Jordaan, Steve Feris, Noxolo Kubheka, Zibu Mbhele, Andeleen Steenkamp, Dumo Majombozi, Margriet Foot, Aboo Bakr Benjamin, Siviwe Mila, Lindi van Niekerk. LATE WITH REASON: ABSENT WITH REASON: ABSENT WITOUT REASON: GUESTS: Marisa Malherbe SCRIBE: Freddie Mkhize DESCRIPTION AND DISCUSSION ACTION POINTS 1. Welcome: Ms V. van der Schyff welcomes the council to the meeting. Ms V van der Schyff reminds the council that they are responsible for their own portfolios. Each council member must add their own portfoliorelated issues to the agenda. 2. Approval of previous TSR meeting minutes Ms Kubheka motions for the approval of the minutes. She mentions that the minutes from the previous meetings have been corrected. Ms Steenkamp approves the minutes. Mr Majombozi seconds this. 3. Items from previous minutes Mr Jordaan mentions that the survey on the Halaal poll going up on Moodle has been put on hold. He also mentions that his feedback on the meeting with Yolanda is on the agenda. Ms Mbhele mentions that the council memebers must stay behind after the meeting to finaliase the sign up sheets for the committees. 4. Approval of Agenda 6.2 Sport 6.3 Halaal Food 6.4 COB 1

Ramkissoon seconds. 5.1 TSR UK (Ms V van der Schyff) Ms V van der Schyff mentions that she met with BMW. She mentions that Hippokrates was the only Tygerberg res involved in the complaints list Halaal Food is on the agenda. The Discourse café happened today (5 th of February), it ran successfully. Infectious control, there have been a lot of complaints from students and staff about an infection that causes gastro symptoms. Faculty did promise to send out a mass making the students aware of the problem; however they had not yet done so. 5.2 Societies Council Mr Majombozi mentions that the bekendstelling will be happening in the TSS from the 10 th to the 13 th of February. The J6 society has a special request for the TSR members to please sign up. Ms Ramkissoon asks Mr Majombozi if he needs any help during this period, Mr Majombozi said all is taken care of. A schedule of when each TSR member will be present to assist will be drawn up. 5.3 PK Ms Steenkamp mentions that PK has not had a second meeting due to the welcoming program. The Hippokrates incident has been dealt with. Ms V van der Schyff asks if TSR members could possibly 2
3 let other members know of all the different residences huisvegaderings. Ms Steenkamp to put up all the next house meeting dates up on the board in the TSR office. Ms Steenkamp to follow up. 5.4 TABR Mr Benjamin mentions that he has received feedback from the class reps with regards to the TB masks. There are no regular sizes but that should be sorted out soon. He also mentions that Dr Fischer has continued with the plans to deal with ward F1, and that changes were already being made to improve the conditions to the ward. Mr Benjamin mentions that if anyone has a problem with the new system, (Moodle) They must address their complaints Ms Keiller. Moodle is now working full time on campus. Students may be directed to follow the links on Sunlearn should they require any tech-support. He also mentions that there will be translators available for Pharms. Mr Benjamin mentions that at the recent KVO meeting, complaints with regards to SI s being placed at far-away (Port Elizabeth)sites so close to their exams were made. The students felt that their complaints were not dealt with properly and that they did not receive sufficient feedback from faculty. Mr Benjamin asks Mr Majombozi and the Council if there is any way to set up a policy to ensure that the students are not placed at far away sites but rather sites closer to the campus. Ms V van der Schyff mentions to Mr Benjamin that this policy would have to be discussed with the faculty. Ms V van der Schyff also requested that Mr Benjamin her all the information pertaining to this incident. She also requests that Mr Benjamin do this soon, so that she may send the SI students feedback. 5.5 Voogde STAG (Ms A. Steenkamp) Ms A. Steenkamp notes that STAG still has not been inviting her to their management discussions. She also mentions that she had no idea about the STAG braai that took place recently. Ms Mila mentions that invitations were sent out a while ago where people Ms Steenkamp to ask about housefloor. 3
4 were told to RSVP. Ms Steenkamp also mentions that Melissa is the STAG management team chair and she sits in on all the PK meetings. Huis Kerkenberg (Ms N. Kubheka and Mr D. Majombozi) Ms Kubheka reports that she attended the HK meeting on Monday and mentions that the house had a problem with the varsity cup tickets. Lindi mentions that she can no longer make orders for tickets in bulk. Each res is responsible for their own Varsity Cup tickets. Huis Francie Van Zijl (Ms Z. Mbhele and Mr P. Jordaan) MR Jordaan mentions that there isn t much feedback. A HK meeting took place where they gave TSR feedback. Hippokrates (Ms S. Mila) Ms S.Mila notes that she wasn t aware of the Hippokrates O week situation. She also mentions that she has submitted her minutes to Ms Steenkamp with regards to her previous meeting. Ms Steenkamp mentions that the boy who had trouble with using the staircase in hippo has now been placed in another res. Meerhoff (Mr S. Feris and Ms M Foot) Mr Feris mentions that he attended the HK meeting which went well. He also suggested that each residence revise their constitution. Mr Feris will head this up as part of his leadership development portfolio. Osler ( Mr A. Benjamin) There are no complaints. 5.6 First Years Welcoming Ms Mila thanks the council for their assistance during O-week, and reports that it ran smoothly. She also mentions that she is still going to have an interactive session with the first years. She suggests that the TSR possibly doing something cool for the SI s as well to show them support. Ms V van der Schyff thanks Ms Mila on a job well done. 4
5 5.7 Community Interaction Ms Foot mentions that the morning was a great success and she would also like to thank the TSR for their participation. She notes that the community interaction cokes are not for public use. She also requests that anyone who has photos taken on community interaction day, to please forward them to her POINTS OF INFORMATION TSR Physical Wellness Ms Kubheka mentions that the TSR will be having a wellness session during a TSR tuesday where they possibly gym together to promote wellness on campus. Ms Ramkissoon mentions that the TSR will be having a team building after a meeting which will include a dancing activity courtesy of Maties Dance Society. 6.2 Sports (Lindi) Lindi mentions that Varsity cup tickets would be sold on computicket. She also mentions that season tickets would be sold at the stadium. On the 21 st of February there will be a fun sports day. This day would entail competitive sports as well as other fun activities. (Dates cannot be changed because they were given by faculty) She requests that maybe societies could possibly sell food on the day. Ms Ramkissoon mentions to Lindi that she must send her an of all the ideas she has. These can then further be discussed. Lindi also explained that the intra-campus will have 1 sport event happening per term (hosted by each residence). Ms V van der Schyff mentions that she should send out a facebook message with regards to the varsity cup tickets. Ms V van der Schyff also mentions that until the media and marketing position is filled, everyone is in charge of their own marketing. Ms V van der Schyff notes that the TSR has been invited to the medies rugby Big Brag on the 11 th of February. This is a compulsory event. The dress code is semi-formal. 5
6 6.3 Halaal Food (in camera) 6.4 COB Mr Jordaan mentions that the COB will be intermittently down for 3 weeks due to the large first year intake. Mr Jordaan mentioned that he will type up a student services to send out to all students with regards to this. Mr Jordaan to do this within 48 hours. 6.5 Culture Ms Mbhele mentions that massa ser will be taking place during the February month. Mans 17 th of February Dames -18 th of February and Finals -20 th of February. Ms Mbhele also mentioned that she would be meeting with Michelle (will enquire about poster that would market the event). 6.6 TSR Challenge Ms V van der Schyff decided to crown the entire council as challenge winners POINTS OF DISCUSSION TSR Student Development. Mr Feris mentions that he will be launching the TSR-mentorship programme soon. Mr Feris notes that the proposal will have a few minimum requirements. Each TSR member must identify an individual that is interested in leadership positions on campus. The individual must be eligible to stand for a leadership position this year. You may identify people you work with. You must be able to share with them useful skills that you as a TSR memeber have acquired, the way you implement certain things in your portfolio 6
7 and you must be able to explain what exactly you do. Ms Mbhele asks Mr Feris if the TSR members are prepping the candidates for TSR positions specifically. Mr Feris mentions that that would be ideal. Ms Ramkissoon asks Mr Feris if the TSR members have a time limit? Mr Feris mentions that the plan will be drawn up by the end of February. Mr Jordaan asks if it required of them to share their year plans with the candidates. Mr Feris said that yes it would be ideal. Mr Feris notes that updates would be on a monthly basis. Mr Feris will everyone of the exact dates that everything will take place. 7.2 Parking Mr Jordaan mentions that due to the influx of first years, the is a parking problem. Current suggestion would be to use peripheral parking next to the protea hall. Mr Jordaan is also aware that there is alot of open space in Francie that people could use. Mr Jordaan also mentions that people can park opposite the fisan building as everyone can swipe through the booms. Ms V van der Schyff mentions that not alot of people are unaware of this. Mr Jordaan asked the TSR members have any suggestions with regards to the parking. Ms Steenkamp mentions that the TSR class voogs should make their classes aware of the parking situation. Mr Jordaan also mentioned that the registration of vehicles would be very slow. He notes that he would try to make sure that all the booms remain open until the end of February (in future, to provide for the registration period). 7
8 8 8.1 Additional points and General TSR Meetings Ms Kubheka mentions that the TSR would be meeting every Wednesday on the 1st and 3rd week of the month. The UK meetings would be on the preceding Monday. Ms Ramkissoon mentions again that all TSR meetings are compulsory. 8.2 Communication Ms Ramkissoon mentions that she must be CC d in every single that a TSR member sends out. She notes that Adri must be CC d aswell and that whatsapp is not an official way of communication. 8.3 Dates Ms V van der Schyff mentions: February 11th TSR Tuesdays. Shifts are from 12-1 and 1-2. They are compulsory. The Big Brag also takes place on this day. **Ms vd Schyff please forward Ms Kubheka all the dates. February 6th. Ms V van der Schyff will be having a meeting with the SRC. Each TSR memeber must any matter that they would like for her to raise. February 15th Military academy will be having an event. Ms V van der Schyff asks the TSR to make themselves available. Potchefstroom will be visiting Stellenbosch campus. Ms V van der Schyff asks if the TSR can make themselves available. February 17th Faculty board meeting. Mr Benjamin has the invite 8
9 and will it to the TSR. February 7th During lunchtime there will be a guest lecture by Dr Daulaire. The TSR was especially invitde by the Dean to attend the 4 o clock session with Dr Daulaire. Ms V van der Schyff needs to RSVP. Each TSR memeber was ed the invite to the event. February 19th meeting with Prof Cloete will be in Stellenbosch campus. Ms V van der Schyff asks the TSR to make themselves available. Ms V van der Schyff asks if any memebers can attend meetings on the 6th, 10th and 13th of February (Between 12:30-1:30) Ms Steenkamp said she could attend the meeting on the 6th of February. 9 Questions and Varia Ms Foot asks when she will get her dress; Ms Ramkissoon says they will be available as soon as the seamstress lets her know. 10 CLOSING Ms V. van der Schyff thanks the TSR for a good meeting.
