1 ACAMIS AGM Athletics Directors meeting notes: March 12, 2010 Meeting chaired by Tim Allen, Athletic Directors Network Chair. Minutes taken by Shannon Blackmore, ADs network Co-Chair 1. BISS Beijing asked to move down to a lower division. SCIS HQ proposed setting guidelines for moving divisions. No motion. Some discussion about changing the divisional format, for example changing a division to 8 teams. No motion. It was decided that Green and Blue divisions would be governed together (Damian Johnson BISS as Divisional Chair), and schools from Blue would move up to Green for individual tournaments if they were able to commit to that tournament in advance.

2 Motion by IAB that divisions be renamed according to the above colour names, to avoid the perception that certain divisions are higher than others. Second by QISS. Motion carried. 3. Discussion about using APAC dates as ACAMIS dates. Most schools agree that they are often the most convenient, but there might sometimes be different considerations for ACAMIS schools. Particularly important in Shanghai local league. General consensus to use APAC dates as starting dates for discussion. No motion. 4. Discussion of current basketball rules. Jeff from ISB has done a clean up of the basketball rules, and everyone was given a copy. Tim made mention that from time to time individual divisions may choose to alter rules to suit local conditions. This may only happen with the unanimous agreement of competing schools, and must be publicized in advance of the tournament. 7. Current rule regarding eligibility by age read to the meeting. It was pointed out that this rule is contradictory in various ACAMIS publications. Motion by BCIS: That a competing athlete may not have turned 19 on or before September 1 st of the current school year. There are no exceptions to this rule. Second by ISB. Motion passed. 8. Host family guidelines DCS presented a letter they send to parents for every hosted tournament. It was mentioned that schools sometimes find parents from other schools do not provide the standard of care they would expect. 9. Proposal that the Rules for ACAMIS Events be updated to add mention of sexual contact. Motion by BCIS, Second TIS. Alter the first point to state: The use of tobacco, drinking of alcohol, use of illegal drugs or sexual contact will not be allowed during travel or while in the host city during the period of time covered by the

4 ACAMIS activity. Motion not passed 10. Discussion about players who have been banned under Rule 1 of the Rules for ACAMIS Events. Players are banned for one year, however they may slip through the cracks and be allowed to play again if, for example, they change schools or a school changes AD. This could be avoided if a mechanism were in place to record the names, and dates of bans. It was also noted that a student banned from a particular tournament would miss all tournaments up to and including the corresponding tournament the following year. Proposal: That serious ACAMIS rules infractions by students be shared and discussed at the AGM, with enforcement of ACAMIS consequences and pertinent communication left to ACAMIS and the appropriate ACAMIS chairperson for carryover into subsequent sports seasons and school years. Motion by ISB, Second by SCIS Hq Motion passed 11. That the rules for ACAMIS Invitational sports events be added to the ACAMIS Handbook. Proposed by ISB. Second IAB. Motion passed. 12. Chair and Co-Chair election. Tim Allen is willing to remain as Chair, while Shannon Blackmore is standing down as Co-Chair due to a change in job. Standing for Chair: Tim Allen, AIAN. For Co-Chair: Damian Johnson, BISS. Both unanimously elected. 13. Some discussion about when schools should pay participation fees. Some divisions send invoices before the event, while others do it afterwards. Motion by SCIS: Tournament fees for participant teams in the three core ACAMIS sports shall be based on the formula of 700RMB/student multiplied by the maximum roster size for that sport. Second by SSIS. Motion passes. 14. Motion by ISB: That for the sports fees guidelines, bullet point six requiring participant payment one month prior to the event be replaced with Payment arrangements for tournament fees are at the discretion of the host school. Second TIS. Motion passes 15. Motion by SSIS that an extra day be added to next year s Spring Conference for Athletic Directors Professional Development. Second DCS. (Topics may include handbooks, job-alikes, budgetary structures, homestays, recruiting coaches, getting volunteers out, facilities maintenance, coaching appraisals, students limitations, booster clubs). Motion passes. Jeff Johanson ISB has offered to help organize sessions. 16. Motion by BCIS that ACAMIS research and recommend professional development opportunities for ADs outside of ACAMIS. Second YCIS. Motion passes. 17. Motion by IAB that patches no longer be required to be provided at ACAMIS tournaments. Second CISB. Motion passes.

5 18. Issue raised by BCIS that at a recent tournament most visiting coaches didn t attend the coaches dinner. Motion that hosting guidelines 4.10 be amended to state A coach s dinner should be provided for all visiting coaches on day one or two of the tournament. Coaches are expected to attend this dinner unless one is required to chaperone students. Second QSI. Motion passes. 19. Meeting adjourned 1:35pm on Saturday March 13 th.

2016-2017 GUIDELINES FOR HOSTING HIGH SCHOOL ACAMIS SPORTS TOURNAMENTS The following guidelines refer to hosting ACAMIS primary sports tournaments, namely: Volleyball Basketball Soccer Further sports are
