2 WELCOME TO EXE HOCKEY CLUB Thank you for choosing Exe Hockey Club. May I take this opportunity of firstly welcoming you as a member and, secondly, to encourage you to get involved in many aspects of the Club whether training, playing, supporting, social or volunteering - to enhance your enjoyment of hockey, our successful national sport. This Member s Pack has been designed to give our members as much information about the organisation of the Club as possible if there is anything not covered, please do not hesitate to contact any of our committee members. As a member of Exe HC you will receive access to the Member s Area on our website. Please ensure that you keep your contact details up-to-date so that we can communicate with you easily. 3 EXE COMMITTEE Chair Jane Bailey Jane returned to hockey in 2005 after injury forced retirement 13 years earlier! Fully involved with all aspects of the Club, Jane still helps out as an emergency goalkeeper if required. Secretary Becky Fagg Becky receives and distributes our club correspondence, organises our Committee Meetings and AGMs and takes Minutes of all the meetings. Becky also helps out with coaching our juniors. Treasurer Sally Turner Membership Secretary Sarah Jackman Kit Secretary Bridget Culver Coaching Coordinator Emma White Sal looks after the Club finances. A goalkeeper who will play for anyone. Sarah will hassle you for your subs, maintains our membership database and ensures all our players are registered to play League hockey. Bridget is your contact to purchase club kit shirts, skorts, socks, hoodies, training tops etc are all available. Emma ensures that coaches are available for every training session (adults and juniors) we have a rota so that all our coaches are involved. If you would like to get involved in coaching please speak to Emma. Junior Co-ordinator Jill Dupain dupain@hotmail.co.uk Jill looks after the babies aka our Junior section! We run two junior training sessions a week with year olds on a Tuesday and U11s on a Wednesday. As well as organising the junior sessions, Jill also organises all the junior age group fixtures. Club Welfare Officer Jackie Shute exehockeycwo@gmail.com Communications Officer Fiona Moran exehockeycomms@gmail.com Jackie looks after any welfare concerns and completes DBS (formerly CRB) checks on any of our club members closely involved with young players. Fi keeps the website up-to-date as well as managing our Twitter and Facebook pages. Fi also collates the press reports to send to the local press. 3

4 Fixtures Secretary Jenny Mitchell Mitch contacts the opposition to confirm fixture arrangements (times and venue) at the start of the season. Once fixtures are confirmed the info is handed over to each team. Umpiring Co-ordinator Emma Hulme Once the fixtures are in place, Emma sets about finding umpires for all our matches. If you are interested in training to be an umpire please let Emma know. Fund-Raising Secretary Charlotte Howard Charlotte identifies fund-raising opportunities for the club through sponsorship, grant applications and fund-raising events usually linked to social events. Charlotte would welcome new ideas and leads. Social Secretary Sarah Payne Payno organises social events for the Club always at least a Christmas social and an end of season Presentation Evening. The previous season s captains continue until the selection of the squads for the current season. OTHER IMPORTANT PEOPLE IN OUR CLUB President Life Members Alison Hilton Sue Hopkins Olive Horsell Joan Treece Alison had a long association with Exeter Ladies HC and, following the formation of Exe HC, became our first Treasurer prior to turning her time and attention to the golf course. Alison comes along to watch and supports our social events. Sue had a long association with Exmouth HC as a GK and then Manager of the National League team. Following the merger, Sue was our first Club Chair. Now living in Southampton, Sue keeps in touch via the website and regular phone calls with our members. You may see Olive cheering us on every Saturday at St Peters. Since her Exeter LHC playing days finished, Olive has continued to support both Clubs. Like Olive, Joan supports the Club as much as possible. Well known in hockey through her volunteering roles currently secretary of the Premier Divisions in the West Women s Hockey League, Joan was Exmouth Hockey Club! 4

5 WHERE WE PLAY We train and play at St Peter s School, Quarry Lane, Exeter EX25AP Directions to St Peter s School From M5 Junction 30 (Motorway services exit) take the exit signposted Middlemoor and Park & Ride. At the next mini-roundabout take the 1 st exit towards Middlemoor, go through the traffic lights and under the railway bridge. At the next roundabout take the 2 nd exit Sidmouth Road towards Heavitree and City Centre. Take second left into Broadfields Road (a housing estate) and follow road to the end. Turn left into Quarry Lane and the School is about 200m on the left. Take the right hand fork in the car park and follow road to the end (school building is on the left). Park anywhere in car park we are asked to avoid taking vehicles through the gates and alongside the pitch. Walk through green gates you pass the pitch and follow path around back of school to changing rooms pass the climbing wall and then go through the double doors. The ladies changing rooms and toilets are right in front of you. From M5 Junction 29, at the traffic lights at the junction with Honiton Road (A30) turn towards Exeter City Centre and continue in the right hand lane of the dual carriageway to a large roundabout. Take the 3 rd exit and continue through 2 small roundabouts. Continue ahead through 2 sets of traffic lights. At the next set of traffic lights (outside Sainsbury s) go straight ahead for approximately 2 miles until you come to the Middlemoor roundabout. Take the 3 rd exit Sidmouth Road towards Heavitree and City Centre. Follow directions above. As this is a school there are strict rules regarding dogs, alcohol and smoking... NO SMOKING i.e. if you want to smoke you must go out of the main school gates. NO DOGS i.e. dogs must stay in cars. NO ALCOHOL 5

6 AWAY MATCHES MEETING POINT For away matches we meet at the South West Water Offices in Rydon Lane, Exeter EX27HR. We can leave our cars here without paying a nice arrangement we have through member connections! Peninsula House is well signposted as you turn left off Rydon Lane. Please follow the road to the top and park in the Car Park. Please park tidily! MATCH TEAS We provide post match refreshments in the school and each team organises a rota to purchase/make the sandwiches and cakes for their match. You are reimbursed for the cost of purchases with the team budget for each match being a maximum of 20. All players are expected to host the opposition after their match and socialise with team mates. 6

7 TRAINING We split our training over two nights: Tuesday hrs: 1 st and 2 nd XI squads (3 rd XI players by invitation) Wednesday hrs: All other members and invited juniors (plus any 1 st & 2 nd XI players unable to train on a Tuesday evening). Both training nights follow our junior training (Tuesday , year olds; Wednesday , Under11s) please do not enter the pitch and hit balls around until the juniors have left the pitch. The cost of training is included in your annual subscription. There are occasions when the school is not available for training information is posted on the club website and communicated via Twitter and Facebook. SQUAD SELECTION Squads for each match are selected by a Selection Committee. The Selection Policy can be viewed on the Club website. It is the responsibility of every Club member to notify her captain as far in advance of a fixture as possible in the event of non-availability. 8 THE FINANCIAL STUFF! Annual subscriptions cover all the fees that the club has to pay affiliation fees to England Hockey, West Hockey Association, Devon Hockey Association, League fees, Umpire fees, Public Liability Insurance and also pitch hire for training. Match fees cover the pitch hire for matches, teas and travel costs. Subscriptions Match Fees Senior Member over / 150* 7 Student/Youth over 13, in full time education and playing adult league hockey. 80/90* 5 Junior under 16, playing junior only matches/attending training 60 3 Associate (occasional player, volunteer or person wishing to be associated with the Club including students who are away at University) 10 7 senior 5 student *Payment to be made by 30 th September to secure cheapest rate. Members joining after 1 st October should contact the Membership Secretary for payment details. Travel Expenses Car drivers to away matches will be reimbursed at the rate of 25p per mile if transporting other team members. Company car drivers are reimbursed at 20p per mile. Accommodation A contribution of 25 per head will be paid towards overnight accommodation, when necessary. Insurance Cover All players are asked to check that they have their own Personal Accident cover. The Club has Public Liability Insurance cover. KIT Shirts Skorts Socks Home White Navy White Change Red Navy Red Members chosen to play in a match are expected to wear club kit. 9 And now for the boring (but important) stuff... CLUB CONSTITUTION AND RULES The Club Constitution and Rules are available to view on the Club website. A few key extracts: Objectives The objectives of the Club shall be to promote the development and playing of hockey at all levels. The Club fully supports the principal of equal opportunities and is committed to ensuring that all persons are treated fairly and on an equal basis, regardless of gender, age, racial origin, culture, religious belief, disability or sexual identity. Discipline & Expulsion of Members The General Committee shall have the power to suspend or expel at any time any member who, in the opinion of the committee, shall have been guilty either on or off the field of conduct discreditable to the club. Before any member is expelled, the Secretary must give them seven days written notice to attend a meeting of the Committee and must inform them of the complaint against them. No member may be expelled unless he/she has first had an opportunity to appear before the Committee and answer complaints made against them and at least two thirds of the committee then present, vote in favour of his/her expulsion. Membership Membership is open to any person completing a membership application form and paying the relevant subscription as determined at the Annual General Meeting of Club Members. These include: Equity Policy Child Protection Policy Adoption of England Hockey s Code of Ethics & Behaviour Developmental Selection Policy Please take the time to familiarise yourself with them all. 9

10 THE ENGLAND HOCKEY CODE OF ETHICS AND BEHAVIOUR The Code exists to protect everyone within the game and outlines the behavior expected from all people involved in hockey - players, coaches, managers, teachers, leaders, adult helpers, spectators, parents, umpires, officials, young persons, Clubs, Associations and Leagues. Breaches of England Hockey s regulations fall under one of four categories: Safeguarding and Protecting Young People covered by the England Hockey Safeguarding and Protecting Young People Complaints and Disciplinary Regulations Red Card and Match-Day Misconduct covered by the England Hockey Red Card and Match Day Misconduct Offences Discipline Regulations Anti-doping England Hockey Anti-doping Policy and Regulations (England Hockey complies with the WADA Code) Disrepute any breaches of the Code of Ethics and Behaviour that are not covered in the three categories above are covered by the England Hockey Disrepute Offence Regulations Full information can be found on the England Hockey website ClubsFirst We are proud to be an England Hockey ClubsFirst accredited club. ClubsFirst is the England Hockey club accreditation scheme. It is the kitemark for clubs that can demonstrate that they are working towards minimum operating standards. ClubsFirst is aligned with the Sport England Clubmark accreditation, recognised nationally by National Governing Bodies, local government, education and the sporting industry. England Hockey is committed to supporting the development of safe, effective and child-friendly clubs. After much hard work by our junior sub-committee and club committee, an assessment file was submitted to England Hockey and, following a visit to the Club, we were first awarded the England Hockey ClubsFirst Accreditation in June We have subsequently been reaccredited in September 2011 and March Can you help the Club? We need more members to come forward and volunteer to help out with the running of the Club in noncommittee roles. We have a very successful junior section can you spare an hour a week to help out at junior sessions? We need volunteers to assist coaches or collect fees/take registers Tuesdays or Wednesdays from 6pm 7pm. Volunteers also needed to help to manage age group teams when the youngsters play in matches/tournaments. Are you interested in attending a Coach/Leadership Award Course? Are you interested in obtaining an umpiring qualification? Have you lots of fund-raising ideas...or want more social events?
