3 4-H Livestock Committee Meeting Minutes August 12, 2014 Knights of Columbus 7:00 PM Members Present: Darin Dockter (chairperson), Barb Larson, Jim Cofield, Toni Allen, Darold Schmuhl, Heather Dehne, Meredith Schmidt Extension Staff: Christina Rittenbach, Robin Barnes Guests: June Herman, Deb Hatlewick, Sara Hatlewick, Clay Hatlewick Meeting started with introductions to meet Robin, new 4-H program assistant. Old Business 1) Thank you card requirements/process for all sponsors of livestock and static: What can be done to help get more sponsors at premium sale. At state fair, card is preaddressed to sponsors. This was tried by the Extension office a couple years ago and it wasn t successful. Meredith suggests the cards are turned into office prior to getting premium sale money. Barb and Deb suggest that it is a club or family task to push to leaders and clubs. Give leaders list of sponsors and addresses to help clubs. Christina to send this out to club leaders. MOTION: Meredith to recommend to leaders council that it be a leader requirement to help get thank you cards out. Toni 2 nd. Motion carries. 2) Livestock exhibitors turn in list of businesses: It was suggested that livestock exhibitors turn in list of businesses that they ask to come to premium sale. To make sure kids are doing the work to get businesses and get more businesses to the sale. After discussion, decided not to go this route. 3) Point show: Takes a lot of time and money. Deb and Kurt Froelich started it before. It quit because people running it left and it was difficult to get funding from businesses, it was taking away from 4-H donations. After discussion, it was decided to not have a point show. 4) Premium Buyers Appreciation Event: Have a social time so kids and buyers can meet. Sponsors are invited to the annual recognition event. People can encourage sponsors to come to this. Cloverbuds passed out water to buyers at 2014 county fair. Keep doing this in the future. 5) Bulk Bedding Purchases: It was discussed to have a $5 bedding fee per youth. Darin offered to donate bales, instead. 6) Horse in Round Robin: Sara states that state fair does not have horse in round robin and believes we should continue to follow state fair rules. Deb states there is an obstacle of the three age groups in horse versus two in other animals. Barb says if horse is added, all other animals that are not included must be in round robin as well. Take this suggestion back to the horse committee and the issue of the three age divisions. Beef, Dairy Sheep, Swine and Goats are currently in round robin. After discussion, it was decided to leave this as a discussion point with the horse committee. Survey will be sent out to everybody

4 on this issue. Sara is putting questions together to send to Christina. New Business 7) Fair/Fair Board Concerns: Deb discussed pig that was loaded up onto a trailer and died at the fair. #1 concern is animal health. Fans were moved from hogs. Fair board fans are supplemental fans. Every exhibitor needs to make sure their animals are taken care of whether it is fans or water, etc. Issue with a water fight, broken pipe, and water had to be shut off, but there were other places to get water. Deb suggested putting together a list of suggestions to prioritize animal health. Darin wants to suggest to fair board to put insulation in barns. Meredith suggests to put in the 4-H fair supplement that larger fans are fair board fans to circulate air throughout the building and exhibitors are responsible for providing fans to put directly on their animals. Deb reported on getting more money for fair improvement and will be going to horse committee to discuss using the money for new crow s nest and speaker system at the horse arena. 8) June booster fund update. Purpose is to support youth development and growth throughout the experience of undertaking a livestock project. Funds can be used in 2 ways: 1) individual scholarship awarded within 1 month after conclusion of each fair for youth to reach a certain benchmark; 2) hold youth development clinics to focus on skill development opportunities. June reviewed the handout she provided (attached). She will propose at leaders council to form a formal booster club committee instead of it being an ad hoc committee. Barb questions on why just steers are contributing to booster fund because they are the only animals who receive bids over $1000. Deb brought up example of MN county that takes a straight 12% from the premium sale earnings and whatever is left after sale expenses goes to booster club. Robin suggested premium sale include all animals, not just market animals. Darin says this has been discussed several times already and the economics make more sense to keep it just market. Bidders with extra money at the end of the sale will have the opportunity to donate to the booster fund. Money taxed from the premium sale will go towards the skill development/career achievement. Decals for the supporters of booster fund were discussed. 9) Judges a. Cole Rupprecht b. Misty Schaunaman c. Kurt Froelich d. Rick Schmidt e. Get rest of ideas into Extension office judges should be booked by Dec 1. Livestock committee needs ideas to office by 10/1. Extension office will include in the Round Robin survey what dates will work best for families for the livestock shows at the 2015 county fair. 10) Livestock Show a. Barn concerns garbage overflowing in livestock building. Deb reported that the people who were assigned to this were not completing the task. It was suggested to have a poster board of who is in charge with names and numbers in the barn so

5 those people can be contacted when issues arise. Dry erase board in livestock barn under Plexiglas will be good for this purpose. It was discussed to have a poster board for fair pictures everyone brings their pictures from the fair and posts them on the board. It was discussed that during swine show there is a need to have something to rope off traffic because it can be a safety issue with swine not being haltered. Signs are needed to redirect traffic. b. Ownership no issues. c. Ethics issues lifting of animals was observed this year. If an animal is abused, this needs to be addressed at the time. Extension staff will include in supplement to not lift lambs during show. Can discuss with judge so they are aware. Dress code can address updating at leaders council. d. Goat show confusions: Christina brought up some confusion that occurred during the goat show this year, and asked committee how the show should be handled in the future. In 2015, the meat and dairy goats will be judged separately so each will receive an overall champion and reserve champion (rosette and $10/$5 awards). An additional sponsor will be needed for this. 11) Livestock sale procedures/rules: minimum weight was discussed, possibility of taking double weights and using the average. Deb recommends taking 10% off of all animals in the premium sale rather than just off animals that go for $1000 or more. MOTION: made by Barb and 2 nd by Jim to take a straight percentage off of each animal. Motion carries to take this suggestion to the leaders council. 12) Pictures next year suggested to do it outside and take pictures after the show so they can take pictures with their ribbons after the show. Suggestion to have the animals set up for pictures. Miranda Letherman needs reimbursement for the back drop out of livestock funds. 13) Committee responsibilities no discussion 14) Fundraiser Ceph Dockter requested the livestock committee to provide overall livestock award signs to put over stalls of winners. Meredith will get list from Extension office of the overall awards and will work on getting prices for signs. Jim more fans would be nice for the back of the barn during rabbit/poultry show. Fans are about $80 a piece. Need about 4 more. Robin mentioned Spenningsby s for signs. Newman Signs was also mentioned. 15) Leaving early a few youth had permission to leave early from the fair. No other youth left early. 16) Release time - Darin would like to talk to the fair board about setting release time one hour earlier to 8:00 PM. 17) Other concerns no other concerns. Darold moves to adjurn. Toni 2 nd. 18) Herdsman award voting took place. It was remembered after adjournment that this needed to happen. One member left prior to this: Jim Cofield. Next year will have someone assigned to the task of choosing this award so livestock committee is not responsible for this. Because all clubs stepped up and helped when the incident with the pig occurred, it is proposed that the $200 is given to all clubs to be used on something that will benefit all clubs. Meredith will talk with AgCountry to verify that this is okay.

6 Stustman County 4H Booster Fund Framework 2014 Purpose: Support youth development and growth through the experience of undertaking a livestock market project Livestock projects teach many life skills, which benefit the development of future market producers and also future community members working in area business, banking, health and professional trades. All build a strong, thriving county and a strong agriculture-business collaborative environment. The fund will be utilized in two ways: o Individual scholarship, awarded within 1 month after the conclusion of each fair o Youth development clinics, skill development opportunities for primary benefit of Stutsman County youth. Scholarship Award Criteria: Eligible for just one. Supplemental scholarships: o Application turned in at time of livestock book judging o Animal in sale must have received a blue ribbon for scholarship eligibility. o Award level based on available funds, number of exhibitors receiving less than a benchmark that booster committee will set after the market sale, and application. o The scholarship would reflect the difference between a final bid and the benchmark. It is expected that youth receiving over $500 during the sale from a bidder will not receive a supplemental scholarship. Career Achievement Scholarships: o Application turned in at time of livestock book judging o Youth eligible are those who are competing in their final market sale o Level of scholarship based on booster funds available, number of applicants and application submitted Youth Development Clinics/Activities: Based on the amount of booster resources available after individual scholarships awards, the booster committee will identify and support 4H county-based challenges, activities and clinics for the primary benefit of 4H Stutsman County youth. Potential items would be: o Judging, selection clinics o Fitting clinics o Showmanship skill development o Support of consumer choice, communication arts, shooting sports, hippology and other key county
