1 J&J Cutting Edge Lawn Care 2165 Wisteria Lane Burleson, TX James Rhoades: To: James Rhoades, Owner From: Joshua Rhoades, Crew Manager Date: March 30, 2015 RE: A proposal to hire a new crew member to, weed eat, and edge in the next thirty days. Purpose: I am proposing to hire a new lawn maintenance crew member to be able to work more efficiently. Having an extra crew member will allow the crew to work much faster and be able to produce much more work. I am recommending that you hire a person within the next thirty days. The season is just starting and accounts are building rapidly. With this new member the lawn maintenance crew will be able to keep up with the demands and still provide quality work. The Current Problem with Two Crew Members Currently, we have a two-man lawn maintenance crew. When the crew arrives at a lawn, one crew member mows the front yard with the 48 inch riding mower, while the other member mows the backyard with the 32 inch riding mower. Once the crew member on the riding mower is done with the front, he is to start weed eating and edging. Once the crew member is done with the backyard, he starts blowing of the walkways. Currently, it takes an average of 40 minutes to mow a yard. That includes drive time, loading and unloading time, and mowing time. The table below shows a breakdown of the cost per yard with two crew members:
2 Crew Member Hourly Rate Time Per Yard Cost Per Yard 2 Crew Member 1 $ Minutes. $5.33 Crew Member 2 $ Minutes $5.33 Total $10.66 It is costing the company an average of $10.66 per yard to mow a yard with two crew members. They are only able to mow 12 yards in an 8-hour day. Costing the company $ dollars a day. The lawn maintenance crew is working a forty-hour work week, and completing an average of 50 accounts a week. Their speed and precision is much slower the longer the crew works. The crew slows down due to fatigue and the amount of work each person has to do at every yard. In the last two weeks, I have received four complaints from four different customers, customer #1 stated, There is a missed section of weed eating on the back fence (#1, 2015), customer #2 and #3 stated, not all of the grass was blown off the sidewalk on two occasions (#3, 2015), and customer #4 stated, that there was grass in a pool. (#4, 2015) When investigating these complaints I found that every lawn was one of the last lawns that the crew mowed that day. When I asked the crew members, they stated, that it was an oversight, and they were rushing to finish the yards in time allotted for them to finish. (Employee, 2015) In the upcoming weeks, with the addition of ten new accounts, I will have to ask them to work an extra day. That will put them over their allotted 40 hours a week, causing them to be paid overtime.
3 Additionally, having an extra crew member will cut down on fatigue. Fatigue causes muscle 3 weakness, impaired hand eye-coordination, poor concentration, and low motivation. (Channel, 2012) There is a process that the body has to go through in order to be healthy and stay functioning. This process is called homeostasis. The human body needs to be able to maintain homeostasis in order to healthy. According to this article it is stated that, Impaired function of the body is the result of endogenous changes in behavior that is accepted as a cause of stress. This happens because the body is unable to maintain homeostasis. (Qomariyatus Sholihaha, 2013) The lack of these physical skills will lead to a poorly cut yard and ultimately losing a customer. Having a third crew member will allow the lawn maintenance crew to have better focus on detail. This will lead to fewer complaints from the customers. Because, customer satisfaction is a number one goal of our company this is important to retain clients from year-to-year. Most importantly, having this extra crew member will allow the company to keep up with the growing demand of clients. The season has just started, and we have acquired ten new lawns in the last five days. With only two crew members, this demand will add another full day to their schedule, making the crew work six days a week. With the new crew member, we will be able to fit the new clients into our current five-day schedule. Solution Adding a third crew member will help many factors. The amount of fatigue that the crew members will be much less, and the cost per yard will be less. Finally adding a third crew member will allow the crew to meet the demand of the extra accounts in a regular work week.
4 4 Joshua Rhoades The amount of fatigue that the crew experiences will be reduced by half. Currently, it takes two crew members 40 minutes to complete a yard. With the addition of the third crew member that will take on the task of weed eating and edging. This will allow the crew to finish a yard at an average of 20 minutes per yard. This will decrease the amount of fatigue that the crew members will experience. Leading to fewer complaints because they will be able to be more focused on the quality of their work. By adding an extra crew member the company will save an average of $3.32 per yard. With this money saving measure, the crew will be able to complete 24 yards in an 8-hour day. This will provide the company with more room to create more income by adding more accounts. Crew Member Hourly Rate Time Per Yard Cost Per Yard Crew Member 1 $ Minutes $2.67 Crew Member 2 $ Minutes $2.67 Crew Member 3 $ Minutes $2.00 Total $7.34 With this time saving, measure we will be able to add our new clients into our regular 40-hour schedule. This will allow the crew members to have two days off a week, keep them well rested so that they can perform their duties at their maximum potential. Accounting
5 The new crew member will be hired at a rate of $6.00 per hour. His weekly hours will be 40-5 hours per week. Their weekly salary will be $240 per week. With the new crew member we can add up to 60 lawns per week, with the potential income of $2,100 per week. This would make the net profit of $1,860 before operating expenses. Conclusion Over all, hiring a new crew member will help with every aspect of the company. The amount of lawns that can be done in a week will double. This new addition will lead to a potential net profit of $1,860 per week before operating expenses. The quality of the lawn maintenance will improve due to less fatigue, and the company would double in size. Profit will increase as well as the addition of the new accounts. Hiring a third crew member is a win-win for the company, because we will be able to increase that company s net worth and overall profit.
