1 Hagerstown YMCA Gators Swim Team Presents The 18 th Annual Holiday Invitational Swim Meet Friday, December 14 th and Saturday, December 15 th What: When: Warm Up: Meet Start: Where: HAGY Gator Holiday Invitational Swim Meet Friday, December 14, 2018 (Session 1) and Saturday, December 15, 2018 (Session 2 and 3) Friday, December 14 th, Session 1 warm-ups at 5:30 PM, positive check in required by 5:45PM Saturday, December 15 th, Session 2 warm-ups for events 7 thru 38, 8:00 AM. Session 3 warm-ups will start after the conclusion of event 38. Friday, December 14 th, Session 1 at 6:15 PM Saturday, December 15 th Session 2 at 9:15 AM, Session 3 will start 45 minutes after the Session 3 warm-ups start. Session 3 will utilized dive over starts. Hagerstown YMCA Events: Swimmers may enter up to two individual events for Friday and up to four individual events on Saturday. The complete event listing is included. The cost per entry is $6.00 for individual events. Entries must be received by December 7, NO DECK ENTRIES WILL BE ACCEPTED. NO CHANGES CAN BE MADE THE DAY OF THE MEET. Friday events will have qualifying times in order to participate; minimum times are as follows: 500 Free 7:20 min. 400 IM 6:45 min Free 14:00 min. Coaches times may be acceptable Please DO NOT submit swimmers with no times or times that do not meet the minimums listed as they will not be included in Session 1.

2 Total Swimmer Limit: The meet director reserves the right to limit the number of entries. Friday evening, Session 1, will be limited to 4 heats (2 boys and 2 girls) for each event listed. Saturdays Sessions 2 and 3 will be limited to 400 swimmers to stay within the meet time constraints. Entries will be taken on a first-received basis. Awards: Saturday Only, Sessions 2 and 3: Medals will be awarded for the top 3 finishers of each event. Ribbons will be awarded to the 4 th through 10 th place finishers. No awards/ribbons will be issued for Friday s events Rules: Applicable YMCA/USA rules will govern this meet. Age is determined by December 1, This is a YMCA closed meet. Facility: The pool is a six-lane, 25-yard pool with electronic timing, touchpads, and a six-lane alphanumeric scoreboard. Seeding will take place in multiple gymnasiums and program rooms. Please bring a chair to wait in the gym/program rooms between events. Swimmer Surcharge and Programs: A swimmer surcharge of $3.00 is being collected. Programs will be available for $3.00. The program will include the listing for the meet entries. T-Shirts: Screen printed t-shirts will be available for purchase by Cre8tee, LLC on Saturday. Concessions: The Hagerstown Swim Team Parents association is pleased to provide a wellstocked concession stand throughout the event. Please note that all food and drinks must remain in the concession area. No food or drinks will be allowed in the gym, program room, locker room or pool area. Swim Vendor: A swim gear vendor (Metro Swim Shop) will be on site. Entry submission: Teams should submit their entries by using Hy-Tek Team Manager or Team Unify. NO unattached swimmers will be permitted to participate in the meet. All entries should be sent to the Hagerstown YMCA Swim team rep: pucknut65@yahoo.com. Entries must be submitted no later than December 7, Payment: Teams should submit payment for entries using one check payable to Hagerstown YMCA Swim Team and sent by December 12th to: Hagerstown YMCA C/O Hagy Gators Swim Team 1100 Eastern Blvd North PO Box 1857 Hagerstown, MD Proceeds from this event will benefit the Hagerstown YMCA swim team.

3 Head Official: Dave Tosten Volunteers: In order to run an efficient meet, we are requesting that each team provide officials to work each session. We are asking each team to provide 2 timers per Saturday sessions. Please submit volunteer information to our volunteer coordinator Noelle Todd at ktodd630@gmail.com. In addition, each team is responsible for providing an adult (Swimmer Assistant) to supervise their swimmers in the gym and to make sure they get to the Clerk of Course on time. All volunteers are required to have their background checks done by their organization. We will appreciate if Safe sport requirements are met as well. Friday Evening Distance Events, participants in the 400 IM events must provide a timer for each lane. Participants in the 500 Free and 1000 Free events must provide a timer and a lap counter for each lane. No extra Hagy Gator staff/volunteers will be available to time or count. Clerk of Course: No clerk of course will be provided for Friday Evening (session 1). A clerk of course will be provided for Saturday Morning (session 2) and will be set-up in the gymnasium. No clerk of course will be provided for Saturday Afternoon (session 3). Hagy Gators will provide notice of events to the swimmers in the gymnasium. Directions: The YMCA is conveniently located in the north end of Hagerstown and accessible from both interstate 81 and interstate 70. There is sufficient parking for over 200. Go to the right when the road ends & travel to the third traffic light (Eastern Blvd). Turn left onto Eastern Blvd & the YMCA is on the left. From I-70: Take exit 32B (Rt. 40 West). Travel on 40 west to the third traffic light at Eastern Boulevard (approximately 1.5 miles). Turn right on Eastern Boulevard and travel approximately 2 miles. The YMCA is on the right. Hotel Information: Arrangements have been made with Comfort Suites for a rate of $79.00 by mentioning YMCA of Hagerstown. (YMCA) assumes no responsibility for injuries which I, my spouse/partner, or my/our minor children may sustain as a result of my/their physical condition, my/their use of any facilities, or my/their participation in any activities, programs, exercise, or use of equipment. I acknowledge on behalf of myself, my spouse/partner, and my /our minor children and or heirs that I assume the risk of any and all injuries, illness, death, loss of damage which may result from any of the foregoing. I hereby release and discharge the YMCA, its agents, servants, and employees from any and all claims for injury, illness, death, and loss of damage which I, my spouse/partner, or minor children may suffer as a result of my/their physical condition, or improper use of equipment, this program, the use of any facility or participation in activities. Media Release: I give permission to the YMCA of Hagerstown, Maryland, Inc. (YMCA) to use indefinitely, without limitation or obligation, photos, slides, film footage, or video recordings which may include my, my spouse/partner or, my/our minor children s image or voice for purpose of promoting or interpreting the YMCA and it s programs. If I prefer to not allow my, my spouse/partner or the above registered individual(s) images be utilized, I will provide in writing a notarized request within 10 days of this registration. Loss/Damage of Personal Property: I understand that the YMCA of Hagerstown, Maryland, Inc. (YMCA) is not responsible for personal property lost or stolen while I, my spouse/partner or my/our minor children are using the YMCA or other facilities/property used by the YMCA. It is my responsibility to notify the YMCA of any incidents and contact the police myself to report and stolen property or damage. It is further agreed that I, my spouse/partner will assume full responsibility for all damage done by the registered participant to the property of the YMCA, vendors or other participants. I have read and acknowledge the waivers, releases, and conditions set forth in the Registration and I am in agreement with the terms and conditions. 10 This year we are pleased to announce our first Gingerbread House fundraiser to benefit our HAGY USA Swimmers. Each Gingerbread house was individually decorated by a HAGY USA swimmer. During the meet, we will have these on display in the lobby, giving you the opportunity to vote on your favorite. Please bring your spare change, $1 or more. All money will be accepted and anyone can vote. The Gingerbread houses were made locally by Dawn Boppe. Thank you for your support! Let s make this fundraiser a huge success!
