Bryant Ludington MI June 5, :00 a.m. Call to Order Cheryl Whitehead 10:06 a.m. Introduction of the Board Members Cheryl Whitehead 10:07 a.m. President: Cheryl R Whitehead Vice-President: John Reed Secretary: Kris Campbell Interim Treasurer: Joe Manifold Members at Large: Jim Gillette, Mark Hill (outgoing MsAL), Carol Henke, Michele Jensen and Vicki Houk (new MsAL) Minutes of the Last Meeting Kris Campbell 10:08 a.m. All General Member Meetings can be found on the web under the Members Drop Down. 151 members as of today, 55 people answering the Questionnaire Reports: Treasurer's Report (pdf below in reports section) Joe Manifold 10:09 am Joe gave some background on his career. He handed out the financail report to everyone. Since his appointment he has reviewed the financial picture of the LAPB and developed this report. Page 1. Account info; 2. $9,200 currently, Mason County Foudation (MCF) amounts, $32,000. We are obliged to do the first resurfacing, ~$17,000. Patching and painting have been completed each year. $1,000 collected for this years member tournament. Following pages: MCF donations. NOTE:Accts don't reflect cash transactions. Joe discourages the use of cash so we can track. Last 3 pages: info for the membership about contributions to the MCF. Total donations: $83,000. Joe is currently working with PP to fix issues. Joe also distributed PBCentral to all attendees, 5% discount for your purchase and a contribution to our club. Jim G added the non-monetary contributions, shed, tents, etc... Michael W added contributions to the Fnd are tax deductable. Anne K added you can use a credit card, online. Motion: Linda Johnson, and 2 nd Vicki D Court Committee (shades) Cheryl Whitehead 10:16 am Newsletter: Activities of the Board posted on Website UNFINISHED BUSINESS: Cheryl Whitehead 10:22 am Letter of Agreement With the City of Lud lawyer at this point. We have become a voice with the City and they have been behind us. Judy Rathke wanted it noted that we do not play at the courts before 9 am or after 9 pm.

2 LAP Wish List John Reed Sun Shades cost: $30,000, guaranteed for 20 years. 3 30ft shades $5,000 for installation. 2 shades would cost $15,586. Plus the $5,000 Anne K asked about location of the shades? 2 shades at the East end and 2 at Tinkham. Michael W motion to accept, Katie seconded. Hitting Board John explained that this could be resonably done for $1200 to $1500. John suggested the West side of the court. Drinking Fountain John asked if we can use the old pipes. He didn't feel it was a major priority. He asked for a hand raise vote and about 10 people voted yes. Lynn Wolfe said there is a spigot near the dugout. Can we talk to the High School about getting a fountain? Lynn felt we could work together with the HS. Dan Neil talked about the vandalism and that was the reason the drinking fountain was taken out. Dave Roberts asked about fountains outside the restrooms. Judy Taylor asked why members just can't bring their own water. Cheryl added about the PB courts becoming a PB center and feels a drinking fountain and facilities would be useful. Joe Manifold asked about fencing between the courts. Side note: We were told by Jeff Christman that fencing between the courts would not be good for tournament play. Election of New Officers: 10:27 am Vice-President John Reed is in the second year of his two year term. Secretary Kristine Campbell is in the second year of her two year term. Treasurer: Joe Manifold was appointed as Interim Treasurer at the last LAP Board Meeting to assume the Treasurer's position. Cheryl made a motion for Joe to come on the Board. Motion:? 2nded Judy Rathke President: There are no volunteers or nominees for this position. Cheryl Whitehead has agreed to fill the position unless there is someone here that wants to take over. This is a two year term. Indoor Committee: Julie Knodel is taking over as Committee Chair, two people are still needed. Carol Pehrson, Gene Furst; looking for two more members for this committee John Reed will still assist and continue with SUG. Judy Rathke and Dar Ponko volunteered. Court Maintenance; Vicki Dorrell is taking over as Chair. Vicki will and post on an ad hoc basis when crews are required for maintenance. Cheryl noted that Joe M and Vicki D did the patching for this year. Social Committee: Jerri and Doug Christensen are willing to remain on the Committee, organising social events, will handle the contacts. Finance & Membership: Chair: Joe Manifold, Vicki Houk Tournament Planning: Chair: Jim Gillette. Our tournaments are major fundraisers. The club/member tournament gives everyone a chance to play in a tournament, new players can have fun in a tournament setting. Jim has heard from members that would like to play but don't have a partner. Jim will meet with you at the end of the meeting. Jim outlined what is needed for the tournament, volunteers, tasks, scorekeeping, tables, set up, etc... Bob Zang asked how long the tournament will last. Jim thought noon or 1pm, 4 hours.

3 be Ladder: Jim asked how many are still interested in ladder play. Jim asked how many are interested and there were enough members wanting to play. It will be a go this thurs. Should there an advanced and intermediate players? Rose asked if this will continue with the divisions. Judy R asked if it will continue each week. Yes. Someone asked Jim to explain ladder which he did. NOTE: Women's RR will be managed by volunteers: Linda Johnson, Barb Vandevorde Dar asked about Monday changing to Tues. Morning. Tues at 9am. For Kris - Check the website calendar for Tues morning if teaching is listed and delete for now. Men's RR is still in need of a manager. Fundraising: Useful info for fundraising: Cindy Helber asked about court pricing, Katie P responded $1000/court. Carol Larsen added that PB is #10 on the list of reasons why that people come to Lud, in Pure Ludington Linda Johnson added that we need to have the reason, what we are fundraising for, to take to prospective donors. Cheryl added that we have a list. Julie K will be on the committee. Tech, Website: A note on Technology and Club Website: We need some help on this. If no one steps up for training this year, at this time, there will be no one to keep up all of the benefits that we have. These include: Website: Automated Membership, Tournament information and registration, paypal, newsletters, calendar. SUG gmail notifications, (newsletters, info about the court, committee notifications, clinics) Social events, notifications of other Club's activities. Facebook Gene and Ruthanne Kyle and Barb V said they would volunteer to help. SUG will Indoor Committee. stay with the NEW BUSINESS: 11:07 am LAND ACQUISITION John Reed presented the info re: courts to the West of the current courts. There will be a discussion with the various groups that use that land. John explained with our growth we will need more courts. The City suggested to us that we ask for this property. City and mayor have agreed to our use of this land. COURT ETIQUETTE: Cell phone use. Because we have received complaints about this Cheryl asked that people not leave the courts during play to use a cell phone. We all understand emergencies come up but that is not what we are seeing. Please make/take calls between court play. To help congestion during play, please avoid standing on the sidewalk. A request has been made to mark your paddles, so that you can be located when you turn comes up. Also, be ready when your turn is coming up. Don't make others look for you. Sharon N-B req that the shades not be placed over the paddle boxes so people will not congregate there.

4 Julie K asked that water bottles and packs be kept off the benches so people can sit between games. Linda Perkins ask for people to be ready when their paddle position comes up. She also asked about bathrooms open schedule. Vicki D opens at 7:30am and Rose closes at 6:30. AED would be useful and is available. The committee will look into this. CLUB ROTATION OPTIONS ballots were passed out to each attendee before the meeting Bob Zang defined ABCD modification for all pressent. John Reed defined Open Play. Open Play is defined as a chance to play with all and NOT for competive play. Practice is the way to improve not during OP. Cheryl added that 9-11 is a time when people can play meet each other and form the community of the 'club'. She also explained the ballot. Dan Neil, speaking for Larry Moss, described paddle rotation (PR), which was what we did on Monday June 4 th. Dan suggested we do this every day of the week. (Jim responded that different days should be for diff types of play ) Dan thought too maybe use one challange court. This is not possible because of other uses of the courts in the morning, ie. Round Robins, teaching, skills and drills, etc... Bob Z answered Dan that PR worked well on Monday. Many supported this option. Cheryl describe a situation that happened yesterday with the first two boxes having two paddles each so the first filled box, 3 from the flag, had 4 paddles and they went out. This was NOT correct. The first box, or flagged box has 'ownership of the vacant court'. Players must join that box to play. Katie explained what happened on Monday, it was simple, fair and OP means there is a time to play and people to play with. Attendees voted OVERWHELMINGLY for Paddle Rotation*. CLUB INVENTORY: Craig and Judy Rathke have submitted a detailed inventory of the contents of our 'clubhouse'. This will be forwarded to the City of Ludington. We are covered under their insurance. Adjourned 11:47 am Committee Reports: Indoor: Ludington Area Winter Indoor Play at St. John's Church and West Shore Community College went very well this past winter. SignUpGenius went smoothly and both venues were well used by players. Adding the third court at the college was definitely helpful as there were times when all 3 courts were filled. Thank you to Larry Moss and several others that helped to put down the tape for the third court. I wanted to mention the names of those who helped that day but I am not sure that I would remember everyone. Those were several so the task was accomplished quickly. I, John Reed, will be stepping down from the Winter Indoor Play Committee. Julie Knodel will stay on as chairperson and Carol Pehrson and Gene Furst are staying on as well. An additional two members for this committee would be good to have. It is not a difficult to be on as a member. We had only one meeting last fall. Please consider joining this committee. I have decided that I will continue to do SignUpGenius for one more year. Tech:

5 New automated additions this year: Enhanced website with Paypal capabilities Automated forms for tournament and membership signup are now linked to Paypal making it easier to sign up and pay at the same time. Addition of the Google calendar for play times, events Ongoing tech responsibilities: monitoring the club gmail acct, helping members access or complete any associated forms, updating the LAPB calendar, assisting Board members with any database requests. Additional notes: Backboard Comparison There are many different types and styles of backboards. Most, however, fall into these categories: wood, concrete/concrete blocks, plastic, net and Bakko. Fiberglass Gel coat Polyurethane paint Sound-deadening matrix interior afforable. Wide range of costs Competitive with wood and less expensive than concrete. Ideal for practicing consistency and placement drills, easy installation. Typically takes two people 4 hours to install Complete installation kit Interlocking green fiberglass panels WOOD : Advantages: low initial expense. Disadvantages: warps, peels, requires frequent repainting, loud and noisy, poor bounce, limited design, average life of only 2-5 years PLASTICS Advantages: solid color, durable. Disadvantages: only one color, high expansion and contraction, scratches easily, warps & ripples, only available in flat Type: CONCRETE/CONCRETE BLOCK Advantages: durable, if on correct engineered footing, low noise, good bounce Disadvantages: high cost, requires frequent repainting, installation requires construction crew, permanent fixture, high ball wear from masonry, little design variety, requires special footing design *Paddle Rotation explained: Paddle Rotation is our Open Play system where players simply place their paddles in order at the end of the line or in the last box that is available where they will wait for their turn to play. Only 4 paddles to a box. Players do not need a partner or group. If a player wants to "stack paddles" with another player(s) they may do so by placing their paddles in a box that can accommodate the number in their group. A box must have 4 paddles and the flag to go onto a court. A flag is placed in the left most box. This box is next and transfers the flag when moving onto the court.

6 Those 4 players in the flagged box go out to a vacant court. Moving the flag to the next box. Following, the next 4 players go out, moving the flag to the next box and so on until all 8 courts are filled. Once a game is completed ALL players must leave the court and place their paddles in the last box. In the case where the next box, ie. the box with the flag is not filled, only 2 paddles are in that box, and the next box has 4 paddles they MAY NOT go out until the box with the flag gets the necessary 4 paddles and goes out to the vacant court. Rotation must be followed with the flagged box always having the priority. This Box is next for first vacant court even though waiting for 2 more paddles This group mustwait until the flagged box goes out and transfers the flag to their box No groups can jump ahead of the boxes of paddles. Players may decide to hold their paddle out of the rotation to rest, mix up players, visit, or wait for another group of players.
