Annual Conference Coaches Meeting The conference coaches meeting will be held at the site of the conference tournament championship (semi-final and championship round) the night prior to the two semi-final matches. This is typically a Thursday evening. Coaches will submit agenda items to the Conference Chairperson (Ken Carver) one week prior to the meeting. Coaches will determine the following year s conference regular season schedule, vote on the players nominated for All-Conference consideration, and discuss and vote on agenda items. The conference chair will lead the discussion of the conference meeting. Minutes and proposals will be submitted to all coaches and the athletic director representative. It is highly recommended all conference coaches attend the meeting. III. Conference Playing Rules and Regulations A. Regular Season Conference Schedule 1. Regular season matches will follow a divisional format for scheduling purposes only. 2. Teams will play a home and away match with each conference opponent within their own respective division and one match with each conference opponent in the opposing division, alternating between home and away on a yearly basis. 3. The divisions for the 2017 SAC season will be as follows. Teams listed below are listed with their respective travel partner: East division teams: Southwestern Christian/St. Gregory s, Central Christian College/Oklahoma City, Bacone/John Brown University West division teams: Mid-America Christian/University of Science and Arts, Oklahoma Panhandle State/Wayland Baptist, Southwestern Assemblies of God/Texas Wesleyan 4. Match times shall be determined by the coaches at the annual coaches meeting. The prefered match start times for conference matches is 7:00pm for a weekday match and 1:00pm for a weekend match. Match dates and times may be altered by mutual agreement by both coaches and approved by the respective athletic directors. 5. The regular season champion will be based on regular season conference play. There will not be divisional champions. 3

4 B. Scouting and video sharing 1. Coaches can request two game videos from each conference opponent. IF YOUR INSTITUTION WILL NOT BE FILMING, YOU SHOULD NOT BE REQUESTING FROM OTHER SCHOOLS. 2. Requests must be made prior to the start of conference play and submitted via to each respective coach. 3. The preferred filming angle is from behind the end line of the volleyball court 4. Teams will have 24 hours after the completion of a mid-week match and until noon Monday following a two day tournament (Friday/Saturday or Saturday/Sunday) to upload the video and share the file with the requesting team. While there is no specific company or filesharing service that the conference has partnered with, Krossover.com or Dropbox.com are the two companies the majority of conference teams utilize 5. NO SCOUTING INFORMATION OR VIDEO ON SAC TEAMS WILL BE SHARED WITH TEAMS OUTSIDE OF THE CONFERENCE. C. Pre-Game Protocol 1. Athletic training support and courtside water will be provided to both teams. 2. It is recommended host schools provide a printed protocol guide to opponents and officials. 3. It is recommended host schools provide pre-match and between-game music. 4. Host schools must inform opponents of intermissions or promotions prior to the start of the match. 5. The pre-match protocol, as established by the coaches, for conference matches will proceed as follows: 60:00-50:00 Volleyball Court Available for Shared Warm-up 50:00-40:00 Visiting team court exclusively 40:00-30:00 Home team court exclusively 30:00 Coin Toss w/ Team Representatives 30:00-19:00 Volleyball Court Available for Shared Warm-up 19:00-15:00 Visiting team court exclusively 15:00-11:00 Home team court exclusively 11:00-6:00 Visiting team court exclusively 6:00-1:00 Home team court exclusively 1:00-0:00 Team huddle and announcements 0:00 Start of Match, national anthem, introduction of players D. Game Management 1. Host schools provide an announcer for pre-game activity and play-by-play. 2. In order to keep the pace of the match moving at a consistent pace between points, host schools should utilize a three ball return system. Ball shaggers are mandatory. 3. Lines judges are to be uniformed in white collared polo s with jeans and tennis shoes. 4. The host school is required to keep statistics for both teams and provide statistical summaries to opponents between sets and after the match. If the host school is unable to track statistics, they must notify the visiting team one week before play. 4

5 5. The official ball for all matches hosted by a SAC member team, including the postseason tournament, will be the Molten IV58L-3 Super Touch volleyball in red/white/blue color. This is per the 3-year exclusive deal negotiated and signed by the conference which will run from June 30, 2017 through May 31, Please note that the NAIA has a different official agreement with Baden Sports. The official ball of the NAIA, which will be utilized as a part of the NAIA National Championship Tournament, will be the Baden Perfection VX5EC premium volleyball in red/white/navy color. 6. It is recommended host institutions report scores and statistics on behalf of the visiting team. The visiting team has the right to submit their own stats. E. Officials 1. Margo Juergens will assign officials. Rate is $125 each for two officials. OPSU adds $.40 one-way mileage. JBU adds $10 per official. WBU adds $20 or $40 depending on where the official is traveling from. 2. Margo Juergens will also coordinate instruction of PAVO line judge training. 3. SAC Officials must attend a PAVO clinic at a minimum of once every two years. IV. Weekly Ratings, Results, Statistics and Awards A. Conference Rating Committee 1. The current conference rating committee consists of Ken Carver, John Brown University; Jim Giacomazzi, Wayland Baptist; Allison Roberts, St. Gregory s University and Kristen Coveneton, Southwestern Christian University. 2. Each team has 24 hours following the completion of a match to update Dakstats to be considered for ratings. 3. The weekly conference rating call will take place at 9:00 am Monday mornings. Conference ratings will occur on a bi-weekly basis in conjunction with the national ratings process as established by the NAIA. Upon the completion of the rating call, the ratings will be forwarded to the Oversight Committee for review and approval. 4. The weekly SAC rankings and awards will be ed to conference coaches Mondays by 3:00pm. B. Weekly Player of the Week Honors 1. Attacker of the Week, Setter of the Week and Defensive Player of the Week nominations will need to be submitted to SID Help by 9:00am on Monday s. Player of the Week nominations may be submitted at: 2. The Defensive Player of the Week may not be a middle, as per national guidelines. 3. In order for player nominees to be considered for the weekly awards, a complete and accurate statistical report must be submitted for each player including serve reception and service attempts. Failure to provide incomplete or inaccurate statistical information will cause the nominated player to be disqualified from consideration. C. Statistical Reporting 1. All weekly statistical reports must be submitted online via the Dakstats/Websync feature within 24 hours of match completion. Usually the SID will do this, but the head coach needs to make sure it is completed on time. 2. To submit the required statistical reports enter through the NAIA Scoreboard at: 5

6 IV. Post Season Play A. Conference Tournament 1. Regular season conference play will determine seeding for the conference tournament. The official party for each team participating in post-season play is as established by NAIA post-season guidelines. 2. The top eight teams after the completion of regular season play will qualify for the conference tournament. The conference tournament will be a single-elimination tournament with seeding based on regular season finish. Each of the top four seeded teams will host a quarterfinal game on Tuesday, November 7, Winners of the four quarterfinal games will move on to final site on Fri/Sat, November 10/11, The SAC Tournament must be completed prior to the NAIA Conference Championship deadline Host of the SAC Tournament will be Oklahoma City University as determined by their first place finish in the 2016 SAC Tournament. 4. Requirements for hosting the Conference Tournament: a. R1, R2, and both line judges must be certified. Linesmen can have USAV certification. (Officials must be assigned by the Conference Assigner.) b. All-Tournament team plaques should be presented at the end of the final match, similar to the All-Conf. protocol. c. The host institution s SID is responsible for press releases on all awards. 5. The team winning the regular season conference championship will receive one of the automatic bids to the NAIA National Championship. The second bid will be awarded to the champion of the post-season tournament. If the tournament champion is the same team as the regular champion, then the second bid will be awarded to the post-season tournament runner-up. B. Tie Breakers: For any tie in the final regular season standings, the tie will be broken in the order listed below for seeding of the post-season tournament. The tie shall be considered broken as soon as one procedure produces a difference between or among the tied teams. 1. Head-to-head record in SAC match play between tied teams. 2. Highest number of SAC sets won between tied teams. 3. Highest number of SAC sets won in all SAC matches 4. Points scored divided by points allowed in SAC matches between tied teams. 5. Points scored divided by points allowed in all SAC matches. 6. Coin Toss C. Post-season Tournament Format : Match times to be determined by the host institution. D. All-Conference Honors Voting and Nominations 1. Postseason conference honors will be based on regular season play. 2. Statistical information will be retrieved via Dakstats 3. Voting for the All-Conference team will take place at the annual coaches meeting, under the direction of Ken Carver, the conference volleyball chair. 4. Coaches must be present, fax, or their ballot prior to the meeting. The meeting will begin at 6:00pm, on Thursday at the site of the host institution for the SAC Championship Tournament. The date for the 2017 coaches meeting will be November 9 th at Oklahoma City University. 5. Coaches will rank their own nominated players. All voting must follow the nominating coach s suggested ranking. E. All Conference awards First Team All-Conference (including conference MVP). The first 12 All-Conference players will be ranked in order to be submitted for All American consideration to the 6

7 National Office. The player rank order will be established by consensus of the coaches Second Team All-Conference Honorable Mention 4. Special Honors a. Hitter of the Year b. Setter of the Year: Typically given to the highest ranked setter on the All-Conference ballot. c. Libero of the Year: Typically given to the highest ranked libero on the All-Conference ballot. d. Newcomer of the Year: Typically given to the highest ranked non-freshman/transfer on the All-Conference ballot. e. Freshman of the Year: Typically given to the highest ranked freshman on the All- Conference ballot. f. Coach of the Year 5. Plaques will be awarded to those receiving special honors, conference MVP, and 1 st team All-Conference F. All-Tournament Honorees 1. Following the Conference tournament, 1 MVP and 5 All-Tournament players will be selected from the final four teams. 2. Following the championship match, plaques will be presented to the tournament champion and the 6 All-Tournament team members. G. Expenses 1. The host institutions will bear expenses for game management and officials. 2. Visiting teams will bear all travel expenses. 3. Assigner will secure officials for conference tournament sites 7

8 Appendix A SAC Head Coaches Leadership Responsibilities I. Volleyball Chair A. Confirm that the postseason national championship qualifying plan is complete, signed by the commissioner and submitted to the NAIA national office by September 1. B. Send SAC coaches outlining deadlines, statistical reporting, tie breaker information, and SAC tournament info. C. Assign a tournament administrator to work with the host-site in the administration of the conference tournament. D. Send in SAC Tournament Results to NAIA by deadline. E. Lead conference coaches meeting at the SAC post-season tournament. Provide agenda and lead discussion of All- Conference teams, agenda items and conference schedule. F. Remind conference coaches to submit NAIA Official Rosters by deadline date and check official rosters. G. Communicate with all SAC coaches the SAC tournament format. Work with potential host sites to make sure they understand requirements and responsibilities. H. Work with SAC coaches and SIDs who are not submitting results correctly or in a timely manner. I. Forward All-Conference/Independent/Unaffiliated ballots and statistics to NAIA national office. J. Participate on all AVCA/NAI HCC monthly calls to represent the SAC and disseminate pertinent information that was discussed on the Head Coaches Committee (HCC) call. II. National Rater A. Submit preseason rating information for AVCA, NAIA and SAC when requested. B. Coordinate conference rating calls, take part in determining conference ratings and submit to NAIA by Monday morning deadline. C. Choose nomination for National Player of the week and submit. Contact Conference SID for further instructions. D. conference rating results, 1 st to Oversight Committee, 2 nd to SAC SID as well as weekly awards to SAC SID who will then forward to coaches by 3:00pm Monday E. Submit national rating vote by Tuesday morning deadline. (See NAIA manual) F. Participate in National Rating Conference Calls. There are generally 3 during the year. G. National Tournament Seeding Rank all qualifying teams the Sunday after conference tournaments are completed. III. Conference Rating Committee/ Oversight Committee A. Take part in conference rating calls and determining weekly conference ratings. B. Take part in determining weekly awards. Note: Must include SID representation in the process. C. Assist conference chair in finalizing and submitting proposals to athletic director representative. D. Take minutes during annual meeting and submit to conference coaches the week following the meeting. IV. Awards Representative A. Support the Commissioner, as needed, in ordering appropriate championship awards, shipping to the tournament site and paying from the appropriate fund. 8

9 B. Plaques to be ordered are: 1. Conference Tournament 1 MVP 5 All Tournament Team 1 SAC Tournament Champion Appendix A (continued) V. AVCA/ NAIA Head Coaches Committee Representative A. The purpose of the AVCA/ NAIA Head Coaches Committee is to advise the chair, AVCA staff and board of directors with regards to legislation, recruiting, video exchange, convention agenda, membership (renewal and new), marketing, ethics and conduct and general issues as they arise. The discussion and action items will go directly to the board for action. B.The representative will take part in the committee conference call held once a month throughout the school year C. All committee members must be AVCA members in good standing for the duration of their term. D. The representative will get input from and share significant information with conference coaches. E. Members should serve three-year terms with members terms staggered so that no more than onethird of the members are replaced each year. Members are limited to two consecutive terms and must be off the committee one year before serving again 9

11 Appendix C Video Request Guidelines Conference video exchange requests are conducted via between SAC coaches. When submitting a request to exchange video, a coach should include the following items: The date of the match being requested. The two opponents who played in the match being requested. The majority of conference coaches utilize Krossover.com or Dropbox.com to exchange video. Both of these companies offer a free exchange service where video can be exchanged and viewed on-line. When filming matches, the preferred filming angle is from behind the volleyball end line as opposed to a filming angle centered at the mid-court line. Per the rules listed in the coaching handbook, conference coaches may request up to two match videos of their choosing from each conference opponent. These requests should be made to each coach prior to the start of conference play. Coaches are expected to have their respective match video available on-line and available to share within 24 hours of completing play for a weekday match and until 12:00pm on Monday following a weekend tournament/matches. If a school is not videotaping their matches, they are not allowed to request film from opposing coaches.
