3 New for this Year NO REGISTRATION AT JACKSON PARK A fantastic new website has been created this year for both registration and fundraising! All walkers and team captains can now register and fundraise from a single site. Check out the Hunger Walk web page at: chicagosfoodbank.org/hungerwalk Event entry will be quicker and easier this year! We heard your feedback from the 2016 Hunger Walk...this year there will be no lines to register or checkin you will simply walk through the large WELCOME ENTRANCE located at the south east corner of Jackson Park. Prior to the event, each participant will receive a walker bib/entry ticket bibtix and a 2017 event t-shirt, which will be available to every agency during the first week of September. These bibtix will allow all event participants to be counted without the need to be scanned or to wait in any lines. Participants simply attach their bibtix number on the front of their shirt and walk through the large WELCOME ENTRANCE. (Site map with the WELCOME ENTRANCE location is on page 16). 32 ND HUNGER WALK SATURDAY, SEPTEMBER 16, 2017 JACKSON PARK HUNGER WALK OPENS 7:00 a.m. STEPS OFF 8:30 a.m Follow these easy steps: 1. Register online by to Monday, August 28, 2017 at: chicagosfoodbank.org/hungerwalk 2. Retrieve bibtix and event t-shirts at agency pick-up locations, beginning the first week of September. (Check with your agency before you pick up). 3. BE SURE TO BRING your bibtix to the 2017 Hunger Walk and attach the bibtix to the front of your shirt. (Safety pins will be supplied). 4. Locate the WELCOME ENTRANCE at the south east corner of Jackson Park - simply walk through this entrance. Once you ve passed through, you will be counted! It s that easy!! Please note: The counting system will only count one bibtix per person and this bibtix must be worn on the front of your shirt to be counted. More than one bibtix worn or carried by the same individual will disqualify any credits for their agency. 5. Enjoy the Hunger Walk! All event t-shirts will be distributed to agency pick-up locations (throughout Cook County) during the first week of September or will be available for pick up at the Food Depository in advance of the Hunger Walk. More information to follow. WE WILL NOT have any t-shirts available at Jackson Park this year. There is NO event registration at Jackson Park. You MUST pre-register this year. Trolley transportation service will be offered to transport walkers who require assistance (ADA) between the bus drop-off area and the event site. These trolleys will run between 6:30 a.m. - 11:30 a.m. For those in need: We reserved a limited number of handicapped parking spaces in the main lot, located at Hayes and Lake Shore Drive (northwest corner lot): first come, first served. Please display handicapped parking pass. The walking course layout has been adjusted to ensure no cross-traffic between walkers who have started and participants still arriving to the event. We have a volunteer crew who will be walking the course the day before the walk as well as the morning of the walk to ensure the course is free of debris and is easy to navigate. Please remember that the course is a public outdoor walk way. We will do everything we can to make the course as smooth as possible. 4 Overview and Benefits 32nd Annual Hunger Walk Saturday, September 16, 2017 I Jackson Park (1793 East Hayes Drive) Hunger Walk Opens: 7:00 a.m. Steps Off: 8:30 a.m. Hunger Walk Ends: 11:30 a.m. Join us for the Greater Chicago Food Depository s 32nd Annual Hunger Walk on Saturday, September 16, 2017 at Chicago s beautiful and historic Jackson Park on the shores of Lake Michigan. Funds raised by the Hunger Walk support a local network of food pantries, soup kitchens and shelters fighting hunger every day throughout Cook County. For over 31 years, the Hunger Walk has grown into the area s largest anti-hunger rally that raises funds for our neighbors in need. Last year s event brought 12,000 walkers to the lakeshore to raise funds and awareness for the fight against hunger in Cook County. With live entertainment and activities for all ages, the Hunger Walk is a fun and impactful event for the whole family, friends, clients and volunteers. Make the most of your Hunger Walk involvement! As a valued member agency, there are benefits to your participation in the 32nd Annual Hunger Walk. 1: Walking Team Credits Receive $12 into your agency account for every walker you bring to participate on your agency s behalf. This year, each walker will receive a walker bibtix that contains an electronic chip that is specific to your agency. Each walker must walk through the WELCOME ENTRANCE to receive credit. (Note: If you walk through with more than one bibtix on your shirt or in your bag, the bibtix will not activate and your agency will not receive any credits). More information on Page 3. 2: Fundraising Match Receive up to $1,250 match on your fundraising! - Raise $500 and receive a $100 match - Raise $1,000 and receive a $200 match - Raise $2,500 and receive a $500 match - Raise $5,000 and receive a $1,250 match To help track the donations your team raises, we have included a pledge form within the packet. All funds must be received by the Food Depository by Wednesday, November 1, No exceptions. 3: Bus Transportation Reimbursement Once again, the Greater Chicago Food Depository has partnered with five exclusive transportation companies, in an effort to provide additional options while keeping costs low. The Food Depository will reimburse agencies for the cost of ONE bus for transportation to/from Jackson Park. Agencies will only be reimbursed for the bus rented through these five companies. Agencies will only be reimbursed if walker totals are at least 34 people (this is 75% of bus capacity). Agencies are encouraged to share transportation with other member agencies in their community area if they feel they cannot meet 75% of bus capacity. Each agency coordinator will be assigned Captain of their teams page. To get you and your team ready to walk and fundraise on behalf of your agency, just follow these easy step by step directions. Each agency coordinator will be automatically assigned Captain of their teams page. As Team Captain, you will receive an to claim your team. Click the orange CLAIM YOUR FUNDRAISING PAGE button. You will be directed to a page to create a password for your agency team page. Once your account is claimed, you have the opportunity to make a donation towards your team or you can skip the donation at that time. 6 Register to Walk and Fundraise Register to Walk and Fundraise If you are attending the Hunger Walk or fundraising on behalf of an agency, just follow these easy step by step directions. One simple registration will sign you up to fundraise and will register you to attend the Hunger Walk on behalf of your agency. Visit chicagosfoodbank.org/hungerwalk and click the Register button. Register online by to Monday, August 28, 2017 If you are making a one-time donation only and don t wish to attend the event, click the Donate button and search for the team you wish to donate to and complete the donation form. Click on the Join a team button and search for your agency by name or agency code. Register up to 25 attendees at one time and complete the necessary fields for each attendee. (When registering multiple participants, each individual will receive an to claim their own fundraising page. More information on claiming your individual page on page 6). 8 Your Agency s Fundraising Page Your Agency s Fundraising Page To access and edit your team page once logged in, click the Manage button on the top right corner of the page. Here you can: Personalize your team page. Track your fundraising progress. Send s to recruit new team members, ask for donations and thank donors. Change your fundraising goal. Fundraising Participant Center Sections Overview: The Overview tab allows you to upload a personalized photo to display on your team page. Use a group photo from last year s walk or your agency logo. Story: The Story tab allows you to personalize your story by adding text, photos and video to tell people why you are fundraising. Sharing your agency s story will help donors learn why you are fundraising. Donations: The Donations tab tracks all donations for your team. s: The s tab allows you to send s to recruit new members, ask for donations and thank your donors. Template s are available, but make sure to personalize them to your agency. Teammates: The Teammates tab allows you to see how much each member of your team has raised. Details: The Details tab allows you to change your team name, page headline, your fundraising goal and create an easy to use direct link to your page that you can share. 9 Frequently Asked Questions What if I forgot to bring my bibtix to the event? Your agency will not receive credit for your participation. Can I pick up my Hunger Walk bibtix and t-shirt on the day of the event? There will be no bibtix or t-shirts at Jackson Park. All bibtix and t-shirts will be distributed to agency pick-up locations (throughout Cook County) during the first week of September or will be available for pick up at the Food Depository in advance of the Hunger Walk. More information to follow. If I am driving to the event, where can I park my car? The use of public transportation is highly reccomended. Please refer to page 12 for directions and parking. Can I bring my pet to the event? For the safety of your animal(s), we ask that you please do not bring them to the walk (Service animals are permitted). Can I bring my bike to the event? While you may ride your bike to the event, bikes are not permitted on the course. Do I have to join an Agency team or Hunger Walk fundraising team to participate? No. If you prefer, you can participate as an individual fundraiser. How do you join a fundraising team? Go to chicagosfoodbank.org/hungerwalk, click Register, then search for the team you would like to join. What is an Agency fundraising team? An Agency fundraising team is one created by a food pantry, soup kitchen or shelter within the Food Depository s network. You may join their team online and donate or solicit online donations on their behalf. IMPORTANT: Every individual who plans to attend the Hunger Walk on Saturday, September 16, 2017, MUST register online prior to the event (register online by Monday, August 28, 2017) and bring their walker bibtix to the event. Walking through the WELCOME ENTRANCE with your bibtix is the only way your agency will get credit. There will be NO on-site registration or t-shirt distribution. (Please see registration information on page 5). How do I designate donations for a particular agency? If you are writing a check, make it payable to the Greater Chicago Food Depository and write in the memo line Hunger Walk, the name of the agency, its agency number (i.e. HW-Agency Name A00000). If you are donating online, go to chicagosfoodbank.org/hungerwalk and click Donate. Then use the Search fundraisers and teams text box to search for the agency to whom you would like to make a donation. Mail checks to: Greater Chicago Food Depository ATTN: Hunger Walk W. 10 Frequently Asked Questions I am a fundraising Team Captain. Can I assign a co-captain? All teams are allowed only one captain on the website. Feel free to have other team members assist the Team Captain in sending out s and organizing your team for event day. What are fundraising team members responsibilities? Fundraising team members should be expected to raise donations on behalf of the team and come to the Hunger Walk. Agencies are awarded $12 for every pre-registered walker who attends the Hunger Walk on their behalf with their bibtix and walks through the WELCOME ENTRANCE on Saturday, September 16, 2017 at Jackson Park. How can I promote my Hunger Walk fundraising page, or my team s page? There are several ways to promote you and/or your team page: Your team s website link can be found on the Details tab and can be easily shared on your social media platforms. Quick Help: Add it to your Facebook and Twitter pages by clicking the icons highlighted below! A suggested message can be found in the s section on your agency or individual page. 11 Thanking Donors Thanking donors The thank you letter is a critical step in the fundraising cycle. By expressing your agency s gratitude for a gift, you are sending a message that you value and appreciate the donation and that you will put it to good use. Donors who feel appreciated are more likely to give again and become regular supporters of your program. Feel free to use the thank you letter template available in the s section. Thank you letters do not have to be fancy. They can be handwritten or typed on a computer. There are, however, some fundamentals you should follow: Send the thank you letter as soon as possible after a gift is made. Include the date the letter is mailed. Include the name of your agency and the address and phone number in your thank you letter. Tell the donor what his or her donation will make possible. Acknowledge any special requests. If, for instance, a donor says that he wants his gift to be anonymous, tell him in the letter that you will honor his request. If possible, personally sign each thank you letter. 12 Event Day Basics 32nd Annual Hunger Walk Saturday, September 16, 2017 I Jackson Park (1793 East Hayes Drive) Hunger Walk Opens: 7:00 a.m. Steps Off: 8:30 a.m. Hunger Walk Ends: 11:30 a.m. We hope you can join us on September 16, 2017 as we raise funds and awareness for the Food Depository s 700 partners. The Hunger Walk is scheduled to occur rain or shine. We have emergency plans in the event of inclement weather during the event. Please remember to register online in advance of September 16 and bring your walker bibtix to the event. Anyone who forgets their bibtix on the day of the event, will NOT be counted for agency credit. We welcome people of all ages to participate in the Hunger Walk. Reminder: Agencies are rewarded for the number of walkers they bring to the event, so your team s presence on Saturday, September 16, 2017 will be beneficial. Plan Ahead 1. Identify a meeting spot for your team prior to event day, as well as a meeting spot if you get lost. 2. Create a team banner and bring it with you to the walk. 3. Travel to the event together: use public transportation, your own vehicle or rent a bus. (limited parking is available). What to bring On the day of the event please be sure to bring the following items: your walker bibtix, Hunger Walk t-shirt, comfortable shoes for walking, sunscreen, bug spray and a positive attitude! What not to bring Since Jackson Park is a public park, please do not bring the following items: glass bottles or glass objects, gas grills*, kegs or alcoholic beverages, illegal substances, fireworks, firearms or animals (service animals are permitted). (Failure to comply with the above may result in entry being denied. All containers will be subject to search. Bicycles may not be ridden on festival grounds). *If you are planning to picnic or barbecue after the walk, you are responsible to transport and drop-off any equipment to Jackson Park yourself between 6:00-7:00 a.m. You will not be able to board a bus with this equipment. The BBQ must be a charcoal grill (PROPANE TANKS ARE NOT ALLOWED) and grilling must be confined to enclosed metal containers and may only take place within dedicated grilling areas. Hot coals must be cooled or doused with water after each use and must be disposed of in coal containers provided for you. Disposing of coals on grass, at the base of trees or any other restricted area is strictly prohibited. Grilling is only for your agency walkers and not for the general public. 14 Book a Bus This year the Greater Chicago Food Depository has partnered with five exclusive transportation companies, in an effort to provide additional options while keeping costs low. If booking a bus for the event, please find the company designated to your area using the details below and the map on page 14. The Food Depository will reimburse agencies for the cost of ONE bus for transportation to/from Jackson Park with the following conditions: The bus MUST be booked with one of the following five approved transportation companies listed below. Please reference HUNGER WALK when making the reservation. The bus MUST be booked to/from Jackson Park, between the hours of 6:00 a.m. and 12:00 p.m. The Food Depository will only reimburse the cost between these times. The bus MUST remain at Jackson Park for the duration of the walk. No buses will be permitted to leave the parking area during the walk. All buses must remain parked on-site between arrival and departure for security reasons. The bus MUST be booked no later than 5:00 p.m. on Wednesday, September 6. The bus MUST be filled with at least 34 people (this is 75% of bus capacity). The bus company will be provided detailed instructions for arriving and parking at Jackson Park. 16 Bus Parking Bus Drop-off/Pick-up 32nd Annual Hunger Walk - Saturday, September 16, Jackson Park Bus Arrival (6:30 a.m. to 8:00 a.m.) Bus Departure (10:30 a.m. to 12:00 p.m.) *NO BUSES WILL BE PERMITTED TO LEAVE THE PARKING AREA DURING THE WALK. ALL BUSES MUST REMAIN PARKED ON-SITE BETWEEN ARRIVAL AND DEPARTURE FOR SECURITY REASONS* Note: If you are planning to picnic or barbecue, you will not be able to board the bus with this equipment. It must be transported separately. For walkers who need ADA accessibility, trolley transportation will be available to shuttle those requiring special assistance to and from the event, from the agencies rented bus drop-off and pick-up locations. Please remember to bring your bibtix the day of the event or your agency will NOT receive credit. All walkers must walk through the WELCOME ENTRANCE to be counted as a credit for your agency. After walking through the WELCOME ENTRANCE, participants have the chance visit the children s activities tent, get involved in advocacy efforts and take their picture in front of the giant Food Depository inflatable. Remember to upload your photos from the event to Facebook and Twitter using. WELCOME ENTRANCE: Every walker must walk through the WELCOME ENTRANCE with their bibtix to be counted as credit towards their agency.
