Treasurer s Report: Final budget for 2014 distributed at meeting. o There are 2 checks still to be cashed, totaling $ o Bank account has a balance of $4, The 2015 budget will be presented and reviewed at the February meeting and voted on at the March meeting. Fundraising Report: Introduce Fundraiser chair(s): Susan Myers and Pat Chen. They will help coordinate/oversee the 2015 fundraising activities. Discussion of 2015 Possible Fundraising Events. The goal is to have one or more fundraisers scheduled each month throughout the year. Individuals to explore fundraising potential and possible Locations/Dates. Report back to the booster club at the next meeting or over if date(s) needs to be determined sooner. o Chipotle: Pat Chen agreed to take the lead. o Angeno s: Susan Myers agreed to take the lead. o Culvers: Jenny will ask Brenda Miller to take the lead since she has set up past events with them. o Sammy s Pizza: Susan Myers agreed to take the lead. o Look Out: Michelle & Pat Chen agreed to take the lead and set up a date later in Spring. No silent auction at this event. o VFW Palmer Lake: Michelle & Pat Chen agreed to take the lead and set up a date later in the fall. Silent auction at this event. o MOA Rides: Volunteers/Groups are paid to scan tickets for rides etc. Gold Xiong agreed to take the lead. o Cub Foods Hot Dog Cart: Jenny agreed to take the lead. o Solo Pizza: 30% profit of sales. 2 Captain s Report: No Update. Old Business: Update on yearbook for 2015 Season: Pat Chen has agreed to work on this and put together a 2+ page booklet. Examples of past booklets reviewed for ideas. Sponsors will be solicited to help cover the cost of printing. Update to be given as we get closer to the start of the 2015 season. New Business: Donation to the Senior All Night Party: It was suggested to donate $ from the booster club. Motion seconded and approved. Post Card: It was suggested to create a post card with information regarding the different theme nights and mandatory parent night. Send to booster mailing list right after try outs. o Also suggested to send one this Spring regarding PCHS Volleyball summer camp, summer work outs, sand volleyball opportunities, etc. Concessions: Michelle Chen would still like to lead concessions. o It was suggested to add some food items to the 2015 concessions stand Otis Spunkmeyer Cookies (share product cost with Basketball/Wrestling) and Walking Tacos. o Also suggested to purchase generic Volleyball Super Fan t shirts and sell at concessions during home matches. 3 March 8, :30pm 8:00pm Forum Room, PCHS (location changed to BP Community Center) Meeting convened at 6:52pm (~10 in attendance). Motion presented to approve the Minutes from the 1/11/15 meeting; Motion seconded and approved. Treasurer s Report: The 2015 budget presented and reviewed. Discussed edits will be added to the budget and reviewed for final approval at the April meeting. Post meeting update from Randy: o Assistant Coach Line Item: Last year I thought Sandy would be helpful. I will check with him again this year and see how his schedule is. If he is unavailable, I will not look for anyone else. o Jersey s Line Item: I sent an to John to confirm whether or not Varsity was getting new jerseys. My impression from earlier conversations with him, that there were other sports that would get jerseys before volleyball, so we would not get them. The district will pay the full cost for Varsity. Booster clubs cannot buy uniforms, but 3 or 4 years ago, we donated $2,000. to the district, so they could purchase jerseys for Freshman and B Squad teams. o Ball Carts & Volleyballs Line Item: We have not had to purchase balls the past couple of years as I was able to get them with my district budget money. The district has cut that budget and there is a need for additional balls this year. I can get carts and a dozen balls through the district, but will need booster money for a dozen or so additional balls. Bank account has a balance of $4, Fundraising Report: Discussion of 2015 Possible Fundraising Events: o Chipotle: Pat and Tara taking lead. o Angeno s: Susan Myers reported we can pick a date M Th during the week. They do a lot of fundraising with PCHS. Susan will check to see if deliveries apply. o Culvers: Brenda Miller will set up a day in May. o Sammy s Pizza: Susan Myers reported they need a 2 week notice and we can pick a date M Th. Flyer required. We will receive 15% of profits. She will pick a day (Wednesday or Sunday) in April. o MOA Rides: Gold Xiong reported 6 10 players can participate during a 8 hour shift (3 different shifts available). Must be 16 years old or older. We will receive $50 per person completing the shift. This would be more of a JV/Varsity involvement due to the age requirement. o Solo Pizza: 30% profit of sales. Must have printed flyer. Pick a date M Th from 4 9pm. Kind of out of the way, but good food and profit margin. o Food Perspectives: Michelle Chen agreed to take the lead and report back to the group. Secretary s Report: Gina Swanson has agreed to fill this position for the 2015 season. Coaches Report: Brainerd Camp: July (tentative) 1

4 Corrected Try Out Dates: August Youth Volleyball Camp: July Post meeting update from Randy on Summer Workouts: I have submitted to John summer workouts days of Mondays and Wednesdays from 9:00 10:30, That will lead into strength training at 10:30 on those days. I am waiting to hear from John if that conflicts with any other sports. Captain s Report: Corrected Captain s Practice Dates: August New Business: Proposed to have a marketing & promotions position. Tabled for next meeting. Pirate Club Volleyball Future involvement: Line item added to the 2015 budget to support the Club program. Concessions stand is currently being reviewed for upgrades for more secure storage, possible space remodel and new equipment Budget line item increased in anticipation of the changes. o There will be an annual cost of cleaning the popcorn machine split by the boosters that use the machine. Parent Meeting Tentatively Set for August 25 th at 6:30pm. Secretary s Report: No update. Coaches Report: One of the captains for next season has moved. In addition to current captain Mikayla Hayes, two new captains have been named: Vicky Miller and Kylie Cox Brainerd Camp: July St Louis Park head coach is being replaced. The summer league is currently not finalized. Randy is reviewing the possibility of having PC host the league. Update to be provided via . Summer Volleyball Workouts will be Mondays and Wednesdays from 9 10:30am starting June 17th at Park Center High School. o Kick off work out night: June 14th 10pm Midnight at Park Center High School; Jenny Holden will submit a gym request. Randy would like the May 17 th Booster Meeting to be a time for players, parents and coaches to get together for a picnic and talk through the Summer and Fall volleyball opportunities. Treasurer s Report: Bank account has a balance of $4, Future summer costs will be the Brainerd Camp and the concessions upgrade. Fundraising Report: o Culvers: Set for August 3 rd from 5 9pm players needed to clean tables and run food to drive through. Players will need to wear PC Volleyball branded clothing. Brenda Miller will send a confirming . o Angeno s: Susan Myers will call for an available date in July. o Cub Bagging: Laura Knutson will call for possible dates and check on the hot dog cart usage. Secretary s Report: No update. Coaches Report: Randy was unable to attend the meeting, but sent an update via John thinks he can buy 50 chairs by using capital expense dollars and may not need any, or very little, money from the booster clubs. We ll hear from him in the near future. John wants to have in season weight training from August to the end of October. He will be soliciting funds from booster clubs for that. The amount he would be looking for from volleyball is about $ I said I thought we could do that, since we weren t going to have to pay for chairs. Motion presented to approve the $379.00; Motion seconded and approved. Summer league being run by Irondale. It will have 6 teams and will run for 5 weeks starting 6/17 from 6 9pm. The coaches and captains have come up with a list of players to invite and I will send s to the parents of those players. Coaches and captains also developed a list of players to ask to go to the Brainerd camp. We will be looking for 8 10 players for that and I am also sending an to parents of those players to make sure they can attend. The camp is July 14 and 15. The cost is $ and I think we sent $ already. We will stay at Camp Vanasek the nights of the 13th and 14th. It is a non profit camp and the cost is $15.00 per player/per night. I think they will be looking for a check as a damage deposit, but I m not sure yet what the amount will be. We will have the players bring $40.00 each to cover food costs. Players will also have to bring bedding and pillows as that is not provided. Andrea and Michelle will be running the midnight madness workout Sunday night. Parents are invited to come, if they like. 1

8 Captain s Report: Clothing graphics/logos being developed. Camp t shirts need to be ordered soon to have them in time for the camp. Plans are underway to make posters to hang in school for the themed night and to promote home games. Varsity players will get together the last night of try outs to make name/number volleyballs to hang on the wall during home games. In order to draw more students to home games, it was proposed to have a raffle drawing at each JV and Varsity home game for students only. They can enter their names and must be present to win. Old Business: Post card update: 116 were mailed. Extras were printed to hand out at workouts and at Speed and Strength. New Business: Proposed to have an ad in the BPAA Slowpitch Memory Book. 9 July 12, :30pm 8:00pm Caribou (Zane and 610) Forum Room, PCHS Meeting convened at 6:55pm (~10 in attendance). Moved meeting to Caribou due to the school being locked. Trying to get groups the camp girls and volleyball workouts on 2 gyms during camp week. Need 4 or 5 older girls to help with the camp. The morning workouts won t be cancelled that week. No summer workout on July 15 th. E mail to be sent out. Camp Vanasek in Brainerd is confirmed. Leave at 5:30 Monday night and return at 5:00 on Wednesday. Randy sent out 13 invites. 6 are confirmed attending. The cost is $15 a night per person that the booster will covers. The cost per person is $40 for food. Chairs will not cost the booster any money. John has capital money to spend. Captain s practice: August 10 14, Monday Thursday 8 11 Try outs: August 17 21, Monday Thursday: 8:30 11:30 & 12:00 2:00 bring your own lunch; Friday 8:30 11:30 with pizza lunch & Service a thon Morning workouts are going well; some new younger players are coming to the workouts. Some girls who came to Culvers said that they did not know that they were supposed to help. Secretary s Report: No update Coaches Report: Captains practice in North Gym Randy will ask if we can switch with basketball to have the South Gym Note: Boosters should schedule the gym as soon as possible for Captains practice to reserve South Gym Randy wants to order 12 balls at $45/each. District also purchasing balls. Agreed to purchase. Weight room fee was approved. Randy will ask for an invoice so we can pay what we approved Youth camp: 26 kids attended. $1,400 for PCVB. Chairs have been ordered no cost to PCVB. Randy to check on status of this request Pending confirmation from AD due to age, Andrew Chen will be Assistant Manager. Boosters will need to discuss and approve an appropriate stipend. 15 New Business: TJ s (Rogers High School Head Volleyball Coach) has extra 4x8 hitting boxes; we need someone to pick them up. Brenda Miller will work with Michelle. No Charge for the hitting boxes. Fundraising MYAS basketball tournament makes a lot of money. 16 October 11, :30pm 8:00pm PCHS Meeting convened at 6:37 pm (~7 in attendance). Motion presented to approve the Minutes from the 9/13/15 meeting; Motion seconded and approved. Treasurer s Report: Bank account has a balance of $ Concession averaging $300 a night even on the night we closed early. Opening at 4:30 would be a good time to open. Pink out made $200 for donation this year compared to last year of $500. Bracelets were a big hit, thought for next year. Is the school paying for the banners? Michelle will ask again. Serve a thon mailing was just sent out. Fundraising Report: Cub bagging Monday, 12/21 from 4 9 pm. Will have a sign up at banquet. This will be the North Cub location. Steak Fry 10/18, need tickets back (sold and unsold). Please give to Kayla. Still in need of desserts for steak fry and we can also do baskets as a donation. Only at about 30% for volunteers. Need to push for volunteers, a list of who has signed up will be sent to Michelle and Randy to get player volunteers. Haven t heard back from MYAS basketball with possible tournament dates. Suggestions for the serve a thon for next year: do the 9 teams at the end of the season so they can do better on serving Or change the parameters for the younger players (serve at 10 foot line and move back). Secretary s Report: No update. Coaches Report: Coaches shirts are on back order, but should be here for sections. Nothing from John on the branded mops. He was checking with the other boosters that would use it in the gym. Talks with John about the Jersey s being out of compliance. The district will pay for the cost of JV and B Squad. Will be going with long sleeves. Boosters may be asked to pay for a portion of the new jersey s. Good idea to keep it in the budget just in case. Captain s Report: No captains present. Old Business: Update on Themed Nights Changes for 2016 Add teacher s recognition night (like Totino Grace). Same night as Parents night with a special warm up t shirt for the Teachers to wear. 1

17 Parent nights went will. Continue with timing and gifts for parents. Fan night root beer floats were a big hit, smaller cups, 5 gallon ice cream was enough and 10 2L root beer. Need better organization and more volunteers. Write down the names of the winners before we call the winner s names. Breast Cancer Need a place to donate the money to. We have enough t shirts for next year. Senior & Volunteer Appreciation Night Worked well. Save the gifts for the banquet and just give them flowers next year. New Business New logo Request for window clings. We will look into that. New logo on the floor of the gym will be a PC. Installed over MEA break. Coaches Gifts Will start an e mail chain about what we can do. Look into PC Volleyball Logo specific items for next year to be sold at concessions. Recruitment of Concessions Lead for 2016 season. Maybe we trim down the food choices. Person has to be responsible for filling in when we are short on volunteers. Gold said she could take it on if needed. Possibly split between two people. Banquet Remember to send in the banquet slip, also if anyone needs rides to let coaches know. Set up at 4:00 if anyone wants to help. Jenny will send Pat Chen the programs from previous years. Randy will check to see who will be around to see if there is practice. Another idea for theme nights Youth night great ideas suggested. Include the BPAA new volleyball league. Communicate better for next year the pasta night with the captains/parents/players. U of M game 10/28/15 for the 7:00 a.m. Michelle is leading this. She will communicate to the players. Board Members looking for: a replacement for a treasurer (shadow in 2016) and any other positions. What about a volleyball tournament hosted by PC Or a preseason tournament? Randy will make a decision on this. She will have the information to hand out at the banquet. MYAS basketball tournament dates Michelle will check on dates and depending on when Nordic Ski can do it. Thoughts on if Softball wants to share with the tournament. Granite City Opportunity bring the flyer in for 10% of total bill. Buffalo Wild Wings with a flyer, 10% off the total bill. Dine in or take out. o Home Team Advantage, electronic card for Buffalo Wild Wings this is for a period of time. Might work during our season next year. Pancake breakfast fundraiser at the Champlin Park Broadway Pizza for Prom fundraiser o Saturday Morning o The kids did all the work and Braodway provided the cooks. o Cost was $6.00 for 3 pancakes, 2 sausages and fruit cup and drink. o This might be a good fundraiser for volleyball. Cub bagging Monday, 12/21 from 4 9 pm. Have a sign up at banquet. This will be the North Cub Foods. Steak Fry 10/18, was a success made $ and served 345 meals. Serve a thon made $1600 was $1000 less than last year. 28 players last year 29 players this year, 6 undeliverable both years. Many things were pretty similar. Maybe get the letters out sooner. Maybe send the schedule with the letters. Another suggestion would be to have someone else run the serves for the girls so the coaches don t have to do it. Secretary s Report: No update. Coaches Report: We will have 7 home games 5 conference and 2 non conference for the 2016 season. Captain s Report: The Captain s Vicky and Kylee will do the shopping for the gag gifts. Old Business: Elections for 2016 Board Members at the December meeting. All welcome. Banquet: o Brenda will get manager s gift cards and a thank you card. 1

Volleyballs from the steak fry for the tables. o Remind the seniors to bring their boards to display at the banquet. o Numbers for the banquet: 9 s 13, B s 8, JV s 4, V s 14, Managers will sit with the team, 7 coaches and Andrew will sit at the coaches table. Set up 4:45, Gina and Gold will do the checkin table. Pat will be in charge of AV and make copies of the DVD. Need help with set up at 4:00 if anyone is available. Michelle will get us dates for a MYAS basketball tournament this winter. Cub bagging Monday December 21, 4 9 pm. We are still very short on volunteers. Gina will send out e messages a couple of times this next week. Boosters will need to get the twitter password from the outgoing captains. Kayla will check with Vicky. Next three months: Culver s for January (Jenny will organize). Looking at Angeno s for February (Laura will organize). Chipotle for March (Pat will ask Tara to organize). Start the letters for donations for next year from the local community. Have it include a wish list created by the players, coaches and Boosters.
