It is the respnsibility f all staff t ensure that the aims f perating the ffice in an efficient manner is dne s within a safe wrking envirnment, withut risk f accident and the subsequent pain and suffering which culd result. T meet these ends we must ensure that ur emplyees are well trained and experienced t carry ut their duties in a safe and respnsible manner within an verall framewrk f safe wrking practices. As emplyees f Wrkplace Innvatin Limited we all have a part t play in making the Plicy wrk and influencing matters t prduce a safe and healthy wrk place. General Plicy Statement Wrkplace Innvatin Limited recgnises its respnsibilities under the Health and Safety at Wrk Act 1974 and ther specific legislatin and is fully cmmitted t d all in its pwer t prtect the safety, health and welfare f its emplyees. We will endeavur t prvide a safe and healthy wrking envirnment including premises, equipment and systems f wrk that are, s far as reasnably practicable, safe and withut risk t health. The target f an injury free, healthy wrk frce is all f ur respnsibility, ranking alngside the requirement f Cmmunicatins, Quality, and Finance. Wrkplace Innvatin Limited recgnises the link between safety and efficiency and places high pririty n attentin t detail by staff twards meeting safety bjectives and the preventin f accidents and injuries. Emplyees f Wrkplace Innvatin Limited are recgnised as an imprtant part f the rganisatin. The supprt f everyne in the rganisatin is required in aviding accidents and ill health and the subsequent csts and disruptin t the rganisatin and the individual. All emplyees are reminded f their bligatins and respnsibilities in law t prtect themselves and ther peple frm danger and injury. Adequate resurces, such as sufficient infrmatin, instructin and training emplyees must cmply with any training which is given and fllw the arrangements and safe systems f wrk including the use f any necessary persnal prtective clthing will be made available t ensure the implementatin f this plicy and prcedures; t mnitr and imprve safety perfrmance; and t ensure gd cmmunicatins and c-peratin. Wrkplace Innvatin Limited recgnises the rle and cntributin f staff and the need fr cnsultatin n matters cncerning the safety, health and welfare f its emplyees. We accept ur respnsibility fr health, safety and welfare f thers (public cntractrs and visitrs) that may be affected by ur business. The safety plicy will be kept up t date by peridical reviews (at least annually) and will take int accunt any new equipment, prcesses r changes t wrk which affect health and safety. Emplyees will be invlved in the Health and Safety Plicy frmulatin and review. All emplyees have access t the Health and Safety Plicy, which is filed n the netwrk. 2 Aims T cmply with the statutry requirements regarding the safety, health and welfare f ur emplyees at wrk, visitrs, trainees, general public and cntractrs t whm we have legal respnsibilities. T prvide equipment that is safe and withut risk t health. T make arrangements t ensure safety and absence f risks t health in cnnectin with the use, handling, strage and transprt f articles and substances. T prvide such infrmatin, instructin, training and supervisin as is necessary t ensure the health and safety at wrk f emplyees. T maintain any place f wrk in a cnditin that is safe and withut risks t health (including safe means f access and egress t and frm the places f wrk). T prvide and maintain a wrking envirnment which is safe and withut risks t health, including apprpriate facilities and arrangements fr the welfare f emplyees. T maintain and develp the frmal and infrmal machinery f jint cnsultatin in safety matters. T identify and wrk fr the eliminatin r cntrl f hazards. T ensure that the respnsibilities fr safety and health are prperly assigned and defined. T minimise the lsses t individuals and t Wrkplace Innvatin Limited which may arise frm accidents and dangerus ccurrences. T ensure that cntractrs meet ur wn safety requirements. T develp a framewrk twards a Zer Accident envirnment thrugh mnitring key perfrmance indicatrs and a prgramme f cntinuus imprvement. Organisatin and Arrangements fr Health & Safety Allcated Respnsibilities Overall respnsibilities fr Health and Safety lies with the Directrs. The Directrs will ensure that this plicy is carried ut and will inspect the premises and activities every 3 mnths. All staff has respnsibility fr Health and Safety. Any member f staff will reprt any failures f plicy, hazards r dangerus events t the Directrs. All emplyees have a duty t act respnsibly and nt t put themselves r thers at risk by their acts r missins. Emplyees must reprt any unsafe cnditins t the mst senir manager available and c-perate with the Cmpany n Health and Safety matters. Emplyees must use all cntrl measures and fllw safe systems f wrk. Emplyees must keep the wrkplace clean and tidy. Health and Safety will be discussed at team meetings when apprpriate and infrmatin will be recrded in the minutes and circulated t all staff. The Directrs are respnsible fr the emergency and fire evacuatin arrangements and will hld desk tp exercises t ensure that all staff knws the prcedure t include the rganisatin and recrd keeping f fire drills. 3 The Directrs have been designated as the Health & Safety respnsible persns. Emplyees wh have queries regarding health and safety shuld discuss r raise them with the Directrs. The Health & Safety (Training fr Emplyment) Regulatins Citatin and Cmmencement 1. These regulatins may be cited as the Health and Safety (Training fr Emplyment) Regulatins. 3. Fr the purpse f Part 1 f the 1974 Act: a) The meaning f the wrd wrk shall be extended t include relevant training; b) A persn prvided with relevant training is at wrk thrughut the time when he wuld be in the curse f his emplyment if he were receiving such training under a Cntract f Emplyment, but nt therwise, and the meaning f wrk and at wrk shall be cnstrued accrdingly. Meaning Of Emplyee, Emplyer Etc 1. Fr the purpses f the relevant statutry prvisins a persn prvided with relevant training shall be treated as being the emplyee f the persn whse undertaking (whether carried n by him fr prfit r nt) is fr the time being the immediate prvider t that persn f the training; and emplyee, wrker, emplyer and related expressins in thse prvisins shall be cnstructed accrdingly. Wrkplace Innvatin Limited Requirements In Relatin T a Spnsr Cmpany The requirements t fulfil Wrkplace Innvatin Limited s duty f care and criminal respnsibilities in relatin t the trainee are as fllws: Wrkplace Innvatin Limited must nly cntract with cmpanies, which can secure the health, safety and welfare f a trainee. T d this it must initially carry ut a health and safety assessment f a ptential spnsr cmpany and agree certain matter e.g. supervisin arrangements, prhibitins etc. Wrkplace Innvatin Limited need t ensure there is a written cntract with each spnsr cmpany, which includes particular health and safety clauses. Wrkplace Innvatin Limited has t ensure thrugh health and safety mnitring that a trainee cntinues t be prvided with safe and healthy wrking cnditins. A visit within ne mnth and then every 3 mnths shuld be made t ensure standards are maintained. Within the abve it is particularly imprtant t ensure all trainees receive an effective inductin bth at Wrkplace Innvatin Ltd and particularly at the spnsr cmpany. This, as with much f the training, needs t be recrded. In additin the training needs t be evaluated t ensure it was understd. This can be achieved thrugh a training evaluatin checklist. Shuld a cmpany s arrangements fr Health and Safety fall belw the necessary standard, and then Wrkplace Innvatin Limited will wrk with that cmpany t ensure that the Health and Safety requirements are brught back t a satisfactry level. In the unlikely event f a cmpany cntinually failing t meet the necessary Health and Safety standard and failing t respnd t recmmendatins then Wrkplace Innvatin Ltd, will, as a last resrt, withdraw the trainee(s) frm the cmpany. 4 Trainee Status The Health and Safety (Training fr Emplyment) Regulatins 1990 legally make Wrkplace Innvatin Limited trainees the emplyees (in Health and Safety Law) f the particular spnsr cmpany they are with fr training/wrk experience. Health and Safety Clauses The emplyer/spnsr shall; 1. Cmply with the requirements f the Health and Safety at Wrk etc. Act 1974 and all ther statutry, Apprved Cdes f Practice and fllw guidance prduced by Health and Safety Executive (HSE). In particular the emplyer shall: prvide effective cmpetent supervisin; deliver an effective health and safety inductin n recruitment; prvide suitable and sufficient infrmatin, instructin and training; prvide adequate emplyers and public liability insurance cver in respect t the emplyers activities and that f the trainee whilst at wrk; prvide any necessary persnal prtective equipment/clthing and ensure its prper use; and prvide safe and healthy; wrking envirnment; welfare facilities; equipment; safe systems f wrk; and emergency arrangements; 2. Carry ut risk assessments and where required recrd the significant findings. The emplyer shall bring the significant findings and cntrl measures t the attentin f the trainee at inductin n the first day; 3. In case f a trainee under 18 years f age, the emplyer shall assess any additinal risks which arise ut f the trainee age and lack f experience and prvide suitable cntrls measures (as required under the Health and Safety (Yung Persns) Regulatins 1997); 4. In additin fr any trainee under 18 years f age prhibit any activity which is beynd the trainee s physical r psychlgical capability which can nt be cntrlled therwise; 5. Reprt any accident; wrk related ill health r ther cnditin affecting the trainee t the enfrcing authrity as required under the Reprting f Injuries Diseases and Dangerus Occurrences Regulatins 1995 and immediately t Talent Training (UK) LLP Jb Design All peratins will be reviewed and jbs and tasks designed in such a way as t minimise the likelihd f wrk related prblems. Envirnment Adequate arrangements shuld be made t prvide the crrect levels f temperature, lighting, ventilatin and nise fr health and safety. Shuld this nt be pssible, then persnal equipment will be prvided t prtect the individual cncerned. Safe Systems f Wrk It is the duty f all thse in charge f wrk t create and then maintain safe wrking practices. 5 required t frmulate lcal safety rules, which take int accunt the particular hazards f the activities at the lcatin where they wrk. Husekeeping and Hygiene A clean and tidy wrkplace is essential t the successful achievement f safety bjectives and therefre the highest standards must be maintained. All emplyees are required t clean as they g in rder t prevent accidents and keep their areas clean and hygienic. Slips and fall Peple slipping, tripping, falling, bumping int bjects r having smething fall n them cause mst serius accidents. Cntaminates n the flr such as water, waste paper r trailing cables are the main cause f peple falling. Peple running r hurrying, especially up r dwn stairs, are the main cause f slips and trips. Special care shuld be taken during inclement weather when water can be carried int the building n shes r ther ftwear making walking cnditins hazardus. Flrs shuld be kept clean thrugh clean as yu g wrking practices. All emplyees are required t wrk r mve arund the wrkplace diligently and with cncern fr their wn and thers safety. Display Screen Equipment Wrkplace Innvatin Limited aims t reduce risks f using display screen equipment and s prvides wrk statin assessments, training and eyesight tests. Everyne wh wrks with display screen equipment (DSE) shuld be made aware f the bklet Health and Safety Guidelines fr DSE Users which cntains infrmatin abut ergnmics/envirnment, psture, eye tests and wrk patterns Accident Reprting Prcedures Arrangements All emplyees wh have an accident at wrk r are ill as a result f wrk must reprt it t the main ffice. The Directrs will infrm the Health & Safety Executive f any reprtable accidents, fill in and send f frm F2508 t the HSE. The Health & Safety Officer will investigate all accidents and ill health t determine the cause and he/she will be respnsible t put matters right. Any visitr r cntractr wh has an accident must als reprt the matter and the emplyee respnsible fr the visitr r cntractr must ensure the accident bk is filled in crrectly. Emplyees are encuraged t reprt any serius incident (whether r nt there is an injury/accident) t the Directrs. Any dangerus ccurrence will be reprted immediately t the Health and Safety Executive and F2508 by the Directrs. The cmpany aims t fulfil the requirements f the Reprting f Injuries, Diseases and Dangerus Occurrences Regulatins. First Aid bxes are kept at the receptin area. Call the emergency services and ensure the cmfrt f any injured persn. Ntices are placed arund the premises in respect f first aid. 6 Emplyees must nt take it upn themselves t render first aid and must always seek the first aider r appinted persns. Emergency telephne numbers are displayed n the first aid ntice. The cmpany aims t fulfil the requirement f the Health & Safety (First Aid Regulatins). Training Ensure emplyees/trainees are capable in terms f health and safety fr every task that is asked f them. Specific training and instructin will be prvided as apprpriate t the emplyee s wrk as identified by Risk Assessment. Fire The arrangements fr fire are as fllws: - Fire extinguishers are prvided arund the premises and are marked FIRE POINT Fire escape rutes and exits are clearly marked with FIRE EXIT signs and thrugh receptin A fire alarm system (siren) perates with a break glass peratin situated at the marked FIREPOINT If an emplyee discvers a fire, the alarm shuld be activated. Emplyees wh are nt trained shuld nt tackle a fire but prceed safely t the assembly pint via the escape rutes. Wrkplace Innvatin ccupies an ffice in a shared ffice building and the respnsibilities fr evacuatin, alarms, maintenance f equipment and signs are the respnsibility if the landlrds. Wrkplace Innvatin emplyees must cmply with the fire preventin arrangements prvided by the landlrds f the building. Equipment/Office Equipment Any fault r defect in a piece f equipment r cntrls must be ntified immediately t. The machine/equipment must nt be used until it has been repaired and safe t use again. Emplyees shuld visually check equipment befre perating them. Equipment will be maintained regularly and it is the respnsibility. Emplyees will be prhibited frm the use f equipment until they have been trained t d s, when supervisin and instructin will be prvided. The cmpany aim t fulfil the requirements f the Prvisin and Use f Wrk Equipment Regulatins. Electricity All electrical equipment will be maintained by the cmpany. Any defects r damage t electrical equipment must be reprted immediately. Anyne suffering frm an electrical shck must reprt it as an accident. N emplyee must carry ut electrical repair wrk himself r herself. An electrical cntractr will carry ut any necessary electrical wrk. Electrical equipment that requires testing and inspectin will be marked and a recrd kept f the results. Any recrds will be kept in the Health and Safety file. 7 Cntractrs & Visitrs Cntractrs and visitrs must all cme thrugh receptin (frnt entrance) and sign the visitr s bk. Cntractrs and visitrs will be accmpanied r supervised by a knwn member f staff made respnsible fr them. In the case f an emergency it is the respnsibility f that member f staff t lead them ut f the building t the assembly pint. Cntractrs must infrm Wrkplace Innvatin Limited f any hazardus substances, electrical equipment, ther equipment r anything else that might affect the Health & Safety f emplyees. Cntractrs carrying ut wrk n ur premises will be given a cpy f this plicy and be expected t abide by it. Risk Assessment fr wrk will be required f any cntractr. Any wrk experience student r trainee will be treat as any ther emplyee, hwever, particular attentin and arrangements will be made fr their supervisin, training and instructin.
