1 March 14 th 2013 MUTS meeting This month s meeting was held at Community center in Millstone. The meeting Members present (Shown in Bold): R. Regina, G. Mason, J. Navroski, S. Ricci, A. Defelice, B. Kokot, J.Silva, A. Lotrugio, J. Whitney, Y.Patel, S.Somers, T. Murphy, T. Littlefield, J. Parker, A. Kleschinsky, J. Bell, B. Pruthi, C. Cutler, B. Walkley, V. Farino A motion was made to accept the Feb meeting minutes; all present were in favor. MUTS General Business: An update and summary on action items coming out of this meeting is as follows (details can be found in sections further down): ACTION ITEMS: Brian K. and Rocco to follow up and meet with the other clubs representatives to discuss a possible merger. They will report on progress/status next meeting. Status: Still Open unable to meet with club representatives that past month. Jose to secure doors to shed and REC will reimburse him for doing so. Carried over Jim B to take action to verify that AED are usable as they are older and have not been checked recently. Jim to also check with Anthony V. to see if he has something to store the AED in within the Shed.. Jim W. to talk to Tom D. about ordering more tryout signs. Double sided signs with tryout dates have been ordered. Jim W. (Cary backup) to contact Rec to let them know who we will be using for lining of the fields. Jose or Cary to contact Rec get paint for lining of the fields. Tom D. to send for volunteers for initial lining of the fields. This will be done on Feb 23 rd from 8:30 to 11:30am. Tom D. to also send mail for hanging of the nets. Jose and/or Cary to contact rec and find out status of Field 12. Field 12 is not in good shape and shouldn t be used by MUTS. The fields needs to be rolled. Jim B. to follow up on getting Field 12 rolled to remove ruts and make it safe to use..
2 Jose will get a porta potty unit or two through his business. He will contact Rec first to make sure this is OK by them. Rec retained a unit for 1 month for $ Regular restrooms to open 4/15. Cary to send the completed list to the teams and Rec once its complete. Cary to talk to Kate to get paint so that fields can be lined by the contractor. B. Walkley and Cary to complete Arc s, Circles and Penalty marks on the field. GK training: OTHER NEW BUISNESS: A discussion on issuing a work bond for participation took place. It was noted that Freehold does this at a cost of $75 a family for each task you do for the organization, you get a credit back on your bond. Some discussion on doing this by individual, family or team but no conclusion reached at the time of this meeting. Looking at breaking off a sub-committee to investigate this further. Trainers: a brief discussion on if we should we allow them to the board mtgs to present. The general consensus was no, as there is no intent to have a club wide trainer and rather than present at the board mtg, the trainers can simply send mail to the Coaches. New Team: A new U11 boys team is trying to being established. The goal is to create a competitive team that can play against the academies. There will be tryouts in the spring with just some tournament play. The plan for Fall is to play MAPs, tournaments, and have rigorous training. Currently Rodrigo is slated to be the Coach. AJ question kids are going to be restricted from playing on other teams including the existing Demolition. The issue is the same kids would play on Demo that might play on this team. Some discussion ensued on how to address this but no concrete answer/conclusion was reached. It was noted by Jim B. that the creation of teams like this that may draw on and consist of kids that are mostly from outside of Millstone could lead to a less than favored status for MUTs within the township. This needs to be discussed further. Given the late date as which this was put together, for spring we will be using Rodrigo s new GK trainer for the team training. At the time of this meeting 7 teams had responded for participation the rest need to respond. There will be 8 weeks of 4 sessions 2 to 3 weeks before the season begins and the remaining during the season - $100 a session. All will take place on Saturday s from 10 to 2pm.
3 For the Fall we will look at a broader set of possible GK trainers for the club. Sal presented Paul Blodgett and there was positive feedback. A few other names were mentioned. A subcommittee will be formed to drive the selection process for the fall. MUTS Merger: No progess this month as the other club was unavailable (see action items above). Background checks: Gary discussed those that need to get their background checks must do so now as the spring season is upon us. He re-iterated the what needs to be done and reminded everyone that once the finger printing is completed, everyone must still go down to rec and get their picture ID card. ALL Coaches must do this if they want to coach this spring!! There was then some light discussion on getting finger printed every 3yrs and if it really needed to be done every 3yrs. Once done, your finger prints don t change, so technically only a background check is needed. But at the moment this is the policy for Millstone. It was noted that might change in the future but we have to abide by what is in place at this time. Redbulls: No updates this month I m repeating the information from last month for those interested: Date is set for Sept 14 th (Saturday). Gary booked 300 tickets. With that many tickets, we are entitled to participate in the Center circle banner, Redbull runway, and player escorts (11 kids) for a total of 73 spots for the kids. For a total outlay of $7500, we can have a RedBulls Player appearance. Additionally, one of their coaches and/or players will come out and do a 90 minute clinic at our facilities. We can apply the 300 tickets above toward the $7500 so this would really mean only another $1500 we would have to cover. Some discussion ensued on how to address this. Once thought was to have one of the local towns that we might combine with come to the game and/or the player appearance/clinic. A proposal was put forth to cover the cost by reserving 75 more tickets; a vote was taken and passed unanimously. Treasury: Please see Jims report for details on the treasury. Jim sent out the spring fee memo at the time of this meeting he was waiting for 1 response. A special note: We got our letter from the IRS and are officially non-profit again!!! MOSA: As reported by Rocco since Brian wasn t present, some clubs are having problems getting fields for spring and this has delayed game time assignments. MOSA stated that times are needed by 3/15. Also, please note that games ARE scheduled for Memorial Day this year but not on Mother s day. MOSA suggested to preplay Memorial Day games on Mother s day or these game can also be postplayed to 6/9 (only this game). If you are going to do it after 5/26, please notify your flight coordinator before 5/26.
4 Got Soccer & Player Passes: No discussion. Game Assignments& Refs: Preplays were again discussed. It was noted by Tracy that the only reason to do a preplay is for religious conflicts - confirmations, etc.. If one is needed for such a purpose, Tracy needs 2 wks notice. Though she can sometimes manage it with 1 week, it makes things very difficult and she would rather not have to do that. A reminder to the Coach s about the parents: please remember to tell them to only talk to ref s as if they were their own child. They are mostly young kids and its their first experience ref ing they need to be given a little leeway. Tracy also reminded everyone that the way you act as a coach is the way your parents will behave toward the refs so set the right example and be respectful to the ref s. Finally, Jim W read that coaches are responsible for all behaviors on the field at games and practices this is a part of the MUTs By-Laws. Communications: The following is from Tom s report ed prior to the meeting: - Posted February s Monthly Minutes to MUTS website. - Sent blast notifying members of the Monthly Meeting to be held on March 14 th. - Sent to coaches to alert them of blast going out to round up volunteers for Brandywine Field Prep. - Sent blast ed out to round up volunteers for Brandywine Field Prep. - Updated Team Distribution Lists. o Not updated: Storm, Rangers, Strikers, Blue Angels - Tryouts: o Posted Tryout Dates on Website o Running Tryouts Information on Millstone Township Public Access Channel through May 18 th o Got estimates for Tryouts signs: Bob DeLorenzo (50) Two-sided signs plus stakes for approximately $600 (multi-color same price) Designmysign.com Same for approximately $200. Not sure if sign thickness is same as above. Will setup signs throughout town on April 21st o Waiting for estimates for Newspaper Ads: Greater News Media should be about the same as last year for similar distribution WH Herald $200 for East Windsor Hightstown paper. o Getting Flyers updated through John Silva Whitney/Amex will print color hard copies for distribution in schools April 25th Will post flyer in Brandywine showcase Will send through District ListServ April 24 th, May 1 st, May 15 th I ll coordinate through Scott Feder. Cary to send the completed list to the teams and Rec once its complete. Please note that scrimmage requests should go to Cary and Rocco in addition to blasts this way they can make sure Rec is made aware as well.
6 The field lining contractor Genlo finally resurfaced. They are owed for past service both by Recan d by MUTS however no one can get invoice from him currently. General feeling was that we should go back to him as there is a reliability issue. All agreed to continue to use the new contractor at $225 a week for the lining. The contractor should be starting to line this coming week as all the fields are lined and will fade if not done again soon. Cary to talk to Kate to get paint so that the fields can be lined by the contractor. B. Walkley and Cary to complete Arc s, Circles and Penalty marks on the field. It was noted that Field 2 gets heavy use by everyone, including teams that should be practicing on full sided fields. To help avoid wear and tear, only 1 team will be on the field for a practice at a time and full sided teams should avoid being on it. Finally, Field 12 (parking lot field) is off limits no one from MUTs should be using that field this season. REC: Jim B. reminded everyone that to be on the fields and to Coach you must have your ID card. This applies to any program, not just the MUTs. He noted that there was no news on the Millstone park development. Finally, AED s for the check need to be checked (Action for Jim see above action items). Fundraising/FundSpending: No updates this month. Tryouts: The dates for tryouts have been set for May 4 th and May 18 th (12pm to 2pm). Signs (see above), advertizing on public broadcasting and use of local papers for advertizing will all be utilized to get the word out. Flyers are to be distributed April 21 st, May 4 th and May 11 th. It was noted that registration of all players, including current ones, must be done. Current teams are encouraged to do this ahead of time. Please note Coaches MUST be present at the beginning of tryouts in case someone comes to tryout for your team! Motion to adjourn at 9:38pm.
