PUBLIC COMMENT Phil Cullen minutes from last meeting waiting for meeting in January. Brought here regarding recent changes to coaching all paid COMP level. Had no inkling that this was the plan for this year and would have liked more communication. Continued discussion regarding BOD decisions and policy regarding paid vs. unpaid the COMP level and parents coaching their the COMP level. Point they wanted to make was to support Dawn and Chris. Policies have to be voted on by the BOD Action Item - VP of Admin section on the bulletin with a link to approved motions 4. ACCEPTANCE OF MINUTES 1/11/2012 minutes passed by evote 5. CORRESPONDENCE now being funneled through info@sanramonsoccer.org to our Office Manager. People asking when registration opens. Need to post the open date on our website. 6. COMMITTEE REPORTS 6.1. Presidents Report

2 Club Insurance - tabled Tournament Committee Lead = Andy. Committee = Tom, Peter G, 6.2. VP of Finance Report Audit Results BOD to review offline. Overall it was great and the audit firm was terrific. SRS did very well based on normal standards. Switch to accrual basis vs. cash basis was recommended and a paid stamp used for paid invoices Fundraising and Sponsorship Approached by Rob Renderos volunteer his time to look for club sponsorships and solicit companies for the club vs. team-only options. Recommendation from VP of Finance to amend sponsorship doc to accommodate larger sponsor opportunities for larger corporations. Rob is under the sponsor alias on the SRS website Financial Guidelines If you need anything to do your job on the BOD, guidelines are in place to spend based on levels. Any abuse and debit card will be suspended. Motion to follow guidelines as outlined on the Expense Sign Off process. 2 nd Tom L. In favor unanimous for voting members present. Motion passes VP of Admin /1 Fall Registration Opens - Marketing Components & Timing Mid February timing for components to be complete and ready March U15-U19 Tryouts - Marketing Components & Timing Tryouts begin end of March/April exact date TBD Status of New Hire Paperwork/Background Checks (Rolan/Kristen) Fingerprinting to be done. Coaches contract is being redone for new season by HRideas to be more in line with an Employment Agreement (at will) vs a contract and Ivan and Andy to work out details of start date Scholar Athlete Date Feb 15, 2012 (Renata/Angela) Blast will go out to remind members to send in their applications with a copy of their report card. Committee will review grant applicants for Sr award Need Updated Coach s Bio s and Pictures for both office and Website (Andy) Pictures were practice last weekend by Lori to add to the wall. Will send to Costco to print. Names of coaches on the website are fine for now to post under staff U9-U11 COMP registration to date (Dawn) 2

3 Most teams are formed. Updated numbers and assignments will be sent to BOD. 56 paid players/commitments thus far. Tryout registrations were U9-U registrants VP of Ops Referee Committee Update Program proposal presented. Separate documentation provided to be reviewed by BOD. No vote or decision requested tonight, however next steps need to be determined. Feedback requested by the beginning of the week. Tom will go for competitive bids to see other options Pleasanton and Peter L will investigate Mustang and Ivan will check with Dublin. Update on options by Friday and next steps to be determined or negotiated within existing proposal. Everyone review required referee program and determine if we want to keep REC and REC Update on Picture Day (Don) Will provide an the next BOD meeting. Working schedule around first day of school when everyone is back Spirit Wear Update new Items? (Renata/Maryann) Customized scarf is an idea. Put samples out at Back to Soccer Night, COMP Team Manager meetings, etc. Spiritwear pictures of teams who used it last year to add to the website Lori will look into the Soccer Pro discount offered to members, BOD and staff VP of Comp U9-U11 COMP Team Update/Coaches Slate (Ivan/Tom) Andy will coach AZURI 04 Girls Coaches assigned to remaining teams and teams are being formed as tryouts are completed U12-U14 COMP Tryout Update (Ivan/Tom) #s are strong, coaches being placed Dan Diodati payment issue resolved (Ivan/Tom) Tryout Setup Recap Program Curriculum (Ivan) To be developed throughout the year Field Usage reduction per city contract Met with city and they want to share Tiffany Roberts with everyone. We normally have from 4 pm 9 pm every day except Friday. Created their own grid to accommodate other clubs and sports for Tiffany Roberts usage. A deeper discussion is needed with BOD before going back to the city 3

4 and additional sports regarding plans for Rancho San Ramon and/or Central Park plans Assigning coach for U15G Tournament Confirm U9-U14 Coaches Contracts are in process with HRideas (Ivan/Andy) Set Date for Back to Soccer Night U15-U19 COMP Tryouts Date (Ivan/Tom) Players list from High School Coaches (Tom/Ivan) Confirm Date for AZURI Summer Classic investigate all dates for all levels of tournaments for strategic placement, group of people to be developed to coordinate the event Set Date for Summer Camps In between June 15-July 10, 3 or 4 summer camps possible series of camps under development 6.6. VP of Rec Rec Plus Vs. Copper Select Update on transition (Peter & Ivan) Proposal to switch REC+ to Copper Select a hybrid program for experienced players an age pure program unless a mixed group based on #s, can make an older age group. Discussed with other clubs and all seem aligned with this option. There is a option for U14s who don t do Copper Select to go back into REC Registration and sign-ups will be announced to coincide with general registration. Pricing model to be announced and message needs to be communicated early Omar Cervantes to take over REC Director Role and Jr. AZURI program Jr AZURI will go year round as planned a feeder to entire COMP program Still looking for Futsal space and resolution of how not to have Jr AZURI and Futsal compete with each other. (Peter & Ivan) Meet next week to budget and program overview for both Copper Select & Jr AZURI then review and vote Potential Futsal Tournament Boo Fest REC tournament Reinstate a REC tournament as fun event. 7. 5 Are we having parents sign the COMP Commitment Document this year? Should we have them also sign a Sideline Behavior expectations agreement? I have one from PCA that I think we could use (Kristen) Adidas Alliance should we discontinue (Ivan) Recommendation to discontinue given the expense. Is a good thing and exposure is good but not for the expense and so few players participating. Local ID camps. Motion To not renew our contract for the Adidas Alliance Program for nd Lori.
