AYSO REGION 894 Regional Board Meeting Minutes January 12, 2016 Regional Board meeting was held at 7:00 PM at Crosswinds Church, 8089 Wall Triana Hwy, Harvest, AL. The following were in attendance during the meeting (if someone left early or came in late, they are still listed here and there will be a note next to any vote): Name Board Position Present John Price Regional Commissioner X Tiffney Etzel Registrar Rebecca Hammer Treasurer X Meagan Ottum CVPA X Rod Merritt Safety Director Peter McCoy Coach Administrator X Chris Boyer Referee Administrator X Aaron Luchini Assistant Referee Administrator X Dowling Bowman Director of Referee Instruction X Douglas Vechinski Director of Referee Assessment X Van Sullivan Equipment Manager Cindy Vechinski Assistant Fields Manager David Kennedy Fields Manager X Beth Sullivan Uniform Coordinator Rod Etzel Webmaster X Dan Casey Team Balance Coordinator Curtis Walker Regional Coach Trainer Angela Southern VIP Administrator X David Hutchinson Bill Livermore U5-U6 Division Coordinator 1

Attendance met the requirements for a quorum at the start of the meeting (at least 9 of 17). [Chart 5] John sent minutes out for the November 2015 board meeting. Rod E said the date at the top was January 11 th and it should be November 10 th. Angela said her name was spelled wrong. John said he would fix these issues. Meagan made the motion to approve the minutes with corrections. Rod E seconded. The motion passed unanimously. [Chart 6] Still have several open board member positions. Samantha Walker (Curtis daughter) volunteered to be secretary and write minutes, but so far no minutes have been produced. John is still hoping that it will work out. [Chart 7] Training matrix. Several board members took various courses at the winter camp. Thank you for training! [Chart 8] Daniel Casey - Dispute Resolution Chris Boyer - Dispute Resolution, Intro to Instruction, Referee Instructor John Price - Management Instructor, VIP Volunteer, VIP Buddy, Regional Board Member Douglas Vechinski - Intro to Instruction, Referee Instructor Samantha Walker - Regional Board Member Angela Southern - VIP Volunteer, VIP Buddy Randy Moriarty - Intermediate Referee Matthew Boyer - Intermediate Referee John Sloan - National Referee [Chart 9] Training opportunities [Chart 10] We need to decide when the Dick s Sporting Goods shop day will be so we can get the word out to the people that come to registration. Also need to distribute the coupons we received from Dick s to the coaches and players that want them. John also said there is an online shop option now with the Blue Sombrero website that will sell shirts and other merchandise with our logo printed on it. We would get 7.5% of the sales and it is no cost to the region. Live in Five is a section 5 meeting that will cover most of the things that would have been at the EXPO, since the turnout for the EXPO is expected to be low. John & Curtis plan to go. 2

Everyone agreed with the registration dates of Feb 13 and Feb 27. John will have a division coordinator course and division coordinator meeting after the registration on Feb 27. Peter was good with the coaches meeting starting at 6pm. [Chart 11] Unified Practices will be in lieu of player evaluations. Monday/Thursday will be boys and Tuesday/Friday will be girls. This will give us time to work with the new coaches and recruit coaches before we form teams. Rod warned that we might have the situation where we end up having to send kids away and since we will have already had practice before team formation, the region would probably have to eat the $17.50 per player insurance fee. Springfest will be a light tournament for the two weekends before spring break for U8-U12. Probably be at Endeavor so we can use small goals and play 4v4 or 5v5. U5 will be Jamboree for this spring and also next fall. U6 will start out Jamboree, but if enough coaches want to coach teams, then we might transition to teams. Rod warned that we need to communicate our play to go to Jamboree in U5 as early as possible so people will know what they are paying for. John mentioned that we (including himself) need to remember to think about VIP when we advertise and plan. Currently we expect to only have a few players. Endeavor seems to be the most handicap-friendly field that we have. We need to get a wheelchair portable toilet for that field. There will be no fee for VIP. Rebecca mentioned that we should place cones to keep people from parking in front of the ramps. Meagan says she knows the special education teachers at Monrovia and Endeavor and can talk with them about the VIP program. She said Cindy may know the middle and high school contacts. John mentioned that we should have a VIP meeting will interested parents to collaborate and solicit volunteer support. (AI: John set date for VIP meeting) 3

Peter said he will run U16/U19 boys and will form a team and play games as soon as he can. Rod E said he and Van want to coach a U16/U19 girls team. We need volunteers to help with the U14 boys and girls. EXTRA: Peter says he wants to have a tryout for EXTRA but end the end we will put everyone that tryout on a team and let them all play. [Chart 12] John mentioned that we need to turn in rosters for the teams going to national games by February 1 st. [Chart 14] Meagan says we can fix what we want at Endeavor, but we need to give them an estimate first. [Chart 20] Rebecca pointed out that there are several 2015 dates that should be Angela said we need to add something about VIP to the flyer design. [Chart 22] Rod asked that we double check the registration instructions to make sure they are correct when we register our kids. [Chart 23-24] Forecast looks like we are doing OK. We are past the slump of December and have about $20K in the bank. Rebecca said she would create a report to let everyone know how much they have left in their respective budgets. (AI: Rebecca year-to-date budget) [Chart 26] Peter talked about Champions League (see attached charts). The consensus was that this should be an extra program instead of taking over one of the practices for now and then building it up. David says we can use Crosswinds on Wednesday evening. [Chart 27] Chris said he would get Referee training dates to John. (AI: Chris Referee training and scrimmage dates) [Chart 30] David K said he is going to wait until spring to work on the upper third of Crosswinds. He also said that Crosswinds pastors are talking about developing the upper field. He said that Suzanne said she was OK with us having U19-age kids using the fields. [Chart 32] John needs to send out about division coordinators (AI) 4

Region 894 Champions League Peter McCoy Coach Coordinator 11/23/2015

What is the Champion s League? Alternative Parallel Program to the existing Spring and Fall Seasons. Primary focus on Player Development Secondary focus on developing more effective coaches

Program Goals Retain higher skilled player by providing them with advanced instruction and more challenging match situations. Prepare advanced players for middle school level soccer by U14. Increase touches on the ball for lower skilled players. Turn low skill players to high skill players. Build higher quality Region 894 regular season teams.

How do players participate? All U08, U10 and U12 (?) will be eligible. Participation is determined at the team level. All players from the teams that opt in will participate in the program. Coaches that don t want to participate will not be forced to do so.

How does it work? Participating coaches sacrifice one weekly practice to the program. Players from teams are pooled and divided up by skill. Up to 4 divisions can be created with up to 12 players per division. Players participate in 5 min warm-up and min of training targeted to the level of the players in the group. Remaining time used for short sided games.

Creating Divisions Maximum size 12; Minimum size 6 Coaches will change the division they work with each week to minimize the impression that there are better divisions than others. Players should move between divisions based upon how they improve and the number of players available each week Divisions do NOT have to be of equal size. They should be sized to keep weaker divisions smaller (maximizing touches) and stronger divisions larger (maximizing effort)

Short Sided Games Games for U08 and U10 will be played on U05/U06 fields at Hope Church Minimum team size is 3. Maximum is 4. Different balanced teams will be formed each week in each division. No goal keepers.

Short Sided Games Div Size Teams Game Format 12 3 teams w/ 4 players 2 teams play, 1 rests, 5-10 min games 9 3 teams w/ 3 players 2 teams play, 1 rests, 5-10 min games 8 2 teams w/ 4 players Both play, min games w/ breaks 6 2 teams w/ 3 players Both play, min games w/ breaks

Program Schedule U12 - Unused Endeavor fields (?), empty space at Crosswinds (?) U08-U10 Hope Church Monday Tuesday Wednesday Thursday Friday Saturday U10 Boys U10 Girls Rest U08 Boys U08 Girls U05/U06

Equipment/Coaches 4 U05/U06 lined fields 8 Goals Balls, cones and pennies for each division Player forms At least 1 coach per division, prefer 2 Coach trainer (fall season)

Program Benefits vs. Team practice Strong players get a bigger challenge Weaker players get more touches Longer practice period Coach collaboration; mentoring of new coaches Players get to know more coaches Helps with carpools

Potential Drawbacks Coach unavailability on assigned night Perceptions from players being in a weak division Parents wanting their child to be in a stronger division (even if not ready) Lack of coach participation Too much participation for available resources

Why not Select/Extra? Select/Extra is open only to those that are chosen after a tryout. Select/Extra does nothing for players struggling to learn the game. Select/Extra runs parallel and thus interferes with the fall/spring seasons.

Isn t this just a jamboree? In a sense, yes but there are significant differences. Jamboree Champions Balanced Teams Yes Yes Divisions by skill level No Yes Skill level focused training No Yes

Will this compete with club? AYSO is a recreational league, not a club league. Players with the financial resources and time will typically find more intense training in club. Champions seeks only to provide a challenging alternative.

Tournaments Spring Break March 12th Hope (8:00 AM to 10:00 AM) - U05/U06 Regular Games Endeavor (8:00 AM to Noon) - U10 Tournament (Format TBD) March 18th Hope (8:00 AM to Noon) - U08 Jamboree format Endeavor (8:00 AM to Noon) - U12 Tournament (Format TBD) Tournament would provide excellent referee training opportunity

Program expansion Games against other regions U12 - Max Roster 10, play 7; U10 rules U10 - Max Roster 7, play 5; U08 rules 2 divisions Each stronger division game must be scheduled with a weaker division game
