The meeting was called to order at 7:08pm. 2. (Moved: Tarczali/Seconded: Cadieux) That the agenda be adopted as presented. 3. 2 Tuesday, August 08, 2011/Page 2 6. OFFICER S REPORTS: President - Graham Cope: BC Soccer Premier League: The final schedule is nearing completion. Kick-off is anticipated to be September 17. TOFC will host three home matches during the fall mini-season. Graham said it was hoped to schedule one match in each of Kelowna, Vernon and Kamloops. The remaining four matches will be played in the Lower Mainland. TOFC teams will be participating in the Kelowna United International Soccer Camp. This camp offers players exposure to coaches from some of Europes most successful clubs. BC Soccer Member Services Management System: Keith and Graham met recently with Bjorn Osieck and Paul Mullen of BC Soccer to express our disappointment and concern for the manner in which the Member Services System has been rolled out. Bjorn and Paul were sympathetic. They understand KYSA s need to be sure that the association has a working database for fall registration. Graham s report provoked some dialogue on options that might available should the BCSA system continue to malfunction. It was acknowledged that some other service providers are under consideration. One such system, which has been developed by a university computer programmer in Victoria, and is currently being used by a number of Greater Victoria clubs, looks very promising both from a financial and operative perspective. Plans are in the works for WCSG technical delegate, Bob Hope, to give Graham and staff a demonstration of the system while he is in Kamloops. Bob s club is one of the user groups. Discipline Hearing: On July 22, Graham, Tom and Keith met with Owen Hunka to discuss KYSA s concerns about his coaching demeanor and to provide him with feedback from parents and coaches. Mr. Hunka was afforded the opportunity to speak on his own behalf and subsequently, the meeting was adjourned. Upon careful consideration of the facts, it was decided to relieve Mr. Hunka of his coaching duties for the balance of the season. Rep Coaches: On July 21, Graham and Michelle met with John Moon and Robert Bison. The purpose of the meeting was to allow John an opportunity to express his disappointment in not being selected to coach the Tier #1, U-13 Girls. Soccer Schools: Graham had the pleasure of handing out certificates at the conclusion of two recent KYSA soccer camps. While the registration numbers were not as high as anticipated this year, the players who attended received excellent instruction. By all accounts the players enjoyed their sessions, Graham noted.

Offsetting the revenue shortfall, expenses are tracking well below forecast. Vice-President/Discipline - Don Ferguson: Absent. U-5/U-6 Director - Jacqueline Carroll: Absent. U-7/U-8 Director - Sharon Cadieux: U-9/U-10 Director - Dawn Tarczali: U-11/U-12 Director - Mark Mackenzie: U-13/U-18 Girls Director - Colin Guise: U-13/U-18 Boys Director: No report. Position vacant as a result of Monica Jodrey s move to the coast. Rep Committee - Michelle Pearce: Frank reported in Michelle s absence. There have been no meetings of the Committee since the last board meeting. Continued...

4 Tuesday, August 08, 2011/Page 4 Rep Committee - Michelle Pearce (Continued): Frank questioned Tom in regards to the appointment of Art McDonald as the coach of the U-15 Girls Rep team. At the last meeting, it was reported that Frank Law was to take the team. Frank expressed some surprise about the change and requested an explanation for the switch. Tom noted that it had been discussed previously that should Art McDonald s personal health concerns be alleviated, that Art would return to coach this team. Frank had accepted the position on these terms. Tom said he had recently spoken with Frank in regards to Art s wish to take the team next year and he seemed to accept the news gracefully. Frank and Art were both at the tryouts and participated in the team selection, Tom noted. Frank asked if Mr. Law might act as an assistant with the team? This was seen as an option if Mr. Law was to agree. Frank asked if Art was going to be interviewed for the position, as all other Rep team coaching candidates have been to date. Frank also asked if the other new Rep team coaching candidates were going to be interviewed; noting that a number of coaches have seemingly been recruited to fill vacancies that have yet to be approved by the board. Tom replied affirmatively if the Committee can be assembled to conduct the interviews. Employment Committee - Sharon Cadieux: Sharon reported that the Committee is presently working on the development of job descriptions for the Office Manager and Rep Assistant positions. Interviews with April and Carolyn have been organized to get their feedback as to what tasks they see fall under their purview. The Committee plans to have a draft of the job descriptions available for the board to review at the next meeting. Once finalized, the Committee will then concentrate on completing a job description for the Executive Director s position. 7. STAFF REPORTS: Head Coach - Tom McManus: Rep Team Tryouts: The Rep Tryouts were held from July The Tier One teams have been selected and the coaches have been contacting the players. Any age group that has a Tier Two coach will also have had their players contacted. The Rep Committee has been in touch with players who didn t make the teams. Tom thanked Michelle, Jason Nesci and Tiffany Maricle for putting in consistent time and effort for this program. It was a long and busy week with some minor headaches which were handled. One thing that still needs to be resolved, is some players who do not want to accept their selection to the Tier One team and want to stay in Tier Two. Tom said he met with the coaches of the teams to go over the players and make the final selections. The selections were done conducted by consulting the evaluations done by the invited assessors at the tryouts, the coaches evaluations that were submitted by the players and parents from the previous year, Tom s files on the coaches and the coaches themselves.

5 Tuesday, August 08, 2011/Page 5 Rep Team Coaches: Tom is still looking for coaches for the U-16 and U-17/18 boys teams. Michelle has contacted some people she knows about this problem. Tom has spoken to Clint Zimmerman and he said he would also look around to see who is available, but wasn t able to commit himself. Ian MacKenzie has stepped forward to be the Tier Two coach for the U-13 girls team. That is if he is accepted by the board of directors at tonight s meeting. Tom will continue to look for more Tier Two coaches in the coming weeks. Summer Soccer Schools: Two weeks of soccer camps have been completed. This year s Soccer Schools are under the title sponsorship of McDonald s and Hansport. As Graham reported earlier, the numbers have not been large, but it is hoped that a significantly higher registration will be forthcoming for the last two camps in August. The Whitecaps are running their camp August It will be interesting to see how many players register and if their camp will have affected KYSA registration. KYSA will be receiving a share of the proceeds from the Whitecaps camp in return of the Association s support and assistance in promoting and staging the camp. All of the KYSA camps have gone well, Tom reported, with himself, Andy Gellowitz and Dave Martin handling the instruction. Something must be right with the program, as a lot of parents are registering their children for more than one week. Tom also reported that he did all of the set-up for the Soccer Shools every morning and helped with the take down at the end of each day. Meetings: Tom noted that he participated in the disciplinary hearing that was convened for Owen Hunka. He also attending a meeting with Keith and Dave Martin, Manager of the Kamloops Soccer Dome, to discuss the KYSA s winter requirements for the DDC and KDC. He also advised of his participation in several parent meetings in connection with the Rep Team Program. Executive Director - Keith Liddiard: Keith advised he has been involved in the following activities since the last board meeting: Newsletter: Preparing May/June/July/August edition. Keith explained there was a delay in completing the most recent edition due to the length of time it took to decide on this year s scholarship recipients and facilitating their certificate presentations and photo shoots. Final planning stage for hosting of Western Canada Summer Games. Assisting with return of equipment/inventory/organization of storage room. Obtaining quotes for enclosure of ground floor storage area next to KYSA office. Begun preparing calendar for winter KDC/DDC Programs in concert with Tom. Completing these tasks were in addition to dealing with phone, over-the-counter and inquiries, financial issues, human resources, equipment needs, purchasing supplies, web site maintenance and daily routine administrative duties.

NEW BUSINESS: Donation to the Thompson-Okanagan Football Club U-15 Girls Super-Y Team: Graham proposed that a donation be forthcoming from the KYSA in support of the fund raising efforts of the TOFC U-15 Girls Super-Y Team that has qualified for the North American USL Championships taking place in Florida, December 2-6, It was noted that there is one Kamloops-resident player on the squad: Paige Martin. (Moved: Guise/Seconded: Salituro) That a $300 donation be approved in support of the team s trip. 9. NEXT MEETING: Monday, September 19, 2011 KYSA Office - 7:00pm 10.
