Spangler Deborah Townend Lori Patai Melissa Walters Stephanie Zlockie 1. President: Nancy Dunn Thank you everyone for putting the time aside to attend this meeting. I know everyone is busy. Your dedication to this organization is what sets us apart from all the others. It is important for members to attend the scheduled board meetings. We spend a great deal of time going over what happen in previous meetings when members do not attend. Particularly what was voted on. The date of the meeting is scheduled well in advance and yes we understand things do come up that keep some for attending; however the meeting minutes are ed to all members after each meeting. Please take time to read the minutes. Directors if you are unable to attend the meeting don t forget to submit your absent directors report to Angie via at angneace@gmail prior to the meeting.

2 President s report continued A special thanks to Curtain Call for being a part of our Weekend. The new brochure has arrived, it looks great. FDM will being using the brochure to mail to potential new members. Thoughts of using brochures as an overview mail out to current members as well. Thoughts were we keep FDM events in everyone s mind by snail mail outs and follow up with blast. 2. Secretary: Angie Sergent Roll call of directors, Absent Directors report received from Hayley Stewart and can be found under Judges Committee. Reminder that meeting minutes are ed to ALL members after each meeting. Please read them st Vice President: Rosemary DeMott Jazz Fusion attendance for weekend is as follows: 12 members 1 Assistant 4 Students CBS Attendance is as follows: 10 Students representing 2 member studios 4. 2 nd Vice President: Melissa Walters No Report 5. Parliamentarian: Mary Ann Cataldo No Report 6. Treasurer: Gayle Ellerbe Profit & Loss dated July 1, 2013 September 19, 2013 was discussed. Should anyone wish to review report please contact Treasurer, Gayle Ellerbe. Discussion of the Jazz Fusion weekend total income was $3,940.00; total expense for the weekend in 2012 was $3, Profit was $ For 2013 a $ $ loss is expected. Gayle noted that last year had better attendance. Postcards were mailed to promote event and this year that was not done, not sure if this contributed to less attending.

3 Treasurer report continued: Dues status currently FDM has 84 active members, 15 non- active members, 2 life members for a total of 101. Dues notice were sent out via this year and are incoming daily. Last year dues notice were snail mailed and the change this year to has not increased or decreased the # received. There was an address error on the dues notice that were e- mailed out. Gail had Indicated the PO Box # to be 1391 that is incorrect the CORRECT # is However, don t be concerned if you mailed to the incorrect PO Box. The Post Office has been notified that the error occurred and is delivering items addressed to FDM to the correct PO Box. 7. Website issues- Jr. Miss/Mr. & Mr. /Miss Dance competition forms do not print correctly from the website. The page break is incorrect. Angie will be sending Jr. Miss/Mr. & Mr. /Miss Dance competition forms that you need to use. Gayle and her son Ryan are working on this issue and will have it corrected shortly. It was suggested that all forms be sent to members as a PDF attachment. A PDF file is protected and will hold on to the format of the document originally created it is also compatible with every computer. 8. Past President: Maryann Blackwood No Report 9. Convention Manager: Annette DuBose President suite at new hotel is not very large. In prior meetings there was discussion of having a President Meet N Greet Friday night in the suite. Thoughts are the current room is a small space. Discussions of having Annette ask the hotel for a bigger suite or having the Meet N Greet in another location. 10. Break Out: Melissa Walters Postcards promoting the event will be printed and mailed this year. Angie will be in charge of mailing them. 11. Encore: Annette Gutches, Kimberly Thomson We need new signs. Melissa Walters volunteered to handle this.

Judges Committee: Elizabeth Parsons & Hayley Stewart Hayley has confirmed Bliss Kohlmeyer (Modern faculty at USF) and Paula Nunez (America s Ballet School) for judges for scholarships. I had contacted Troy Jansen as a third judge but when I didn t hear back I contacted Mitsie from Theatre Arts and Dance Alliance. I then heard from Troy the following day and he is on Call to judge. I just wanted to be able to touch base with Mitsie before finalizing with him. Elizabeth Parson has been handling judges for Twinkling/Rising and Jr. /Sr. We spoke via e- mail on Friday evening and she is in the process of finalizing the last judge for these events. I have the names of a couple people who have helped before or are interested in helping and will be contacting them shortly to work out all the details. Regarding FDM S new twitter and instagram accounts; I will be making some flyers for Thanksgiving convention so people can start following us, tagging us, and posting pictures and uploading them throughout the weekend. This will be the best time to let all the dancers know and get things rolling.

5 Judges Committee report continued: Voice Recorders: Annette will teach those who want to learn how to use them on the day of scholarship auditions. 14. Jr./Sr./ Mr./Miss Dance: Keli Clarke Mr. Dance not attending the 2013 BreakOut convention, does this affect him receiving his award $$$$? All competition rules and registration forms when through an overhaul this summer and have been updated to be more uniform. After review of last year s rules for Mr. Dance it was decided that the award would be given. Last year s rules said the title winners were expected to perform at BreakOut. It did not specify to attend. Since they didn t need them to perform, this was a gray area. The forms now say the title holders are required to attend the BreakOut convention. Keli did note that in all previous year s she does mail out and letter reminding the winner of his/her upcoming obligations. The prior year s Mr. Dance did not receive this letter which was an error on Keli s part. The following is the schedule for the Jr and Sr. Miss and Mr. Adjudicated Classes, Thursday, November The times were listed incorrectly in all previous information. Adjudicated classes: 4:30 ALL Contestant Check IN with Director (PLEASE DO NOT BE LATE) 5:30 Jr. Interviews (3 at a time, one question each dressed in their ballet black and pink) 6:00 Ballet (Jr.'s & Sr.'s) 7:00 Tap (Jr.'s & Sr.'s) 8:00 Jazz (Jr.'s & Sr.'s) 8:00 Jr's Dismissed 9:00 Modern (Sr. Contestants ONLY) 9:45 Acro (Sr. Contestants ONLY) 10:30 Sr.'s Dismissed 15. Tabulation: Al Packard & Kelly Salisbury Discussion of the prior meeting minutes as to the tabulation software. Clarification was given that nothing was wrong with the current software being used for Scholarships & November Competitions. The purpose of the discussion in the prior meeting was to confirm that we are utilizing the most effective resources we have. FDM currently has 2 different tabulations systems; 1 for Scholarships & All November competitions and one for BreakOut. Agreeing that there are different things to consider in each, Rosemary will talk to Laura, Melissa and Al to see what the differences are with the two.

6 Tabulation report continued: Rosemary and Al will get together to amend the time issue that we have had in the past when receiving the final results during competitions. To make it simple Al needs to know what you want if he knows he can say yes that is possible or say that is only possible if we revise the current software. Keli Clarke requested that a breakdown of tabulation be sent with the rules for Jr. /Miss in the future. She would also like the tabulators be closer to the backstage area. Reminder to not print competition forms from the FDM website. The page break is not correct. Angie will all members the forms to use. Gayle and her son are working on correcting the issue with the online forms and will have it corrected shortly. 16. Twinkling & Rising Star: Miriam Doktor, Valerie Weld & Stephanie Zlockie Dear President Nancy, Directors, and FDM Members. I m sorry that Miss Valerie and I are unable to attend the Fall Fusion ITS Meeting. The following changes have been put in place for the 2013 Twinkling and Rising Star Solo Title Competition. All of these changes were implemented at the Summer Board Meeting. Twinkling and Rising Star Title will take place on Thursday, November 28, at the Rosen Centre Hotel at 6:00 p.m. All contestants are required to attend the TS/RS Meeting which will take place at the Rosen Centre stage at 3:45 p.m. on Thursday, November 28. Contestants must turn in 2 CDs with the dance title, contestant name, studio, and time of the entry. If dancers have ordered the optional t- shirt, they will receive them at this meeting. The deadline date for entries is October 28. The entry fee is $60 per contestant. The optional t- shirt fee is $20 per contestant. The show order is determined by a random drawing of the contestants in the various subjects and for the variety of the competition. Each studio will be notified of their student s number as soon as the show order is completed. The Twinkling Star Female and Male Competition will go first, followed immediately by the Female and Male Rising Star Competition.

7 Twinkling & Rising Star report continued: The awards ceremonies will take place after the retiring TS and RS winners from 2012 have performed their farewell dances. The sequence of the awards ceremony will be determined by Mary Ann Blackwood for all of the title competitions (decided this at the 2013 Summer Board Meeting). Titlists are asked to stay on stage for photos after the competition. Note: Contestant certificates and special awards will be presented sometime before the final awards are announced. Note: The Judges Committee and Tabulation Committee were to come up with a way to break a tie if this should happen as it did in Because of the tie last year for Rising Star Female, FDM will pay double for our winners. If we want to avoid this in the future, those two committees should come up with a way to avoid those possibilities. 17. Royal Dance Festival: Melissa Walters No Report 18. Banquet: Mary Ann Cataldo Hand written invitations will be prepared for the President s Meet N Greet on Friday. Mary Ann will work with Nancy to organize this. Thoughts of theme for this year s banquet contact Mary Ann Nancy to speak with Mary Ann after board meeting on the person who will be honored this year. Discussion of meeting at the hotel bar before banquet for a cocktail. There will be a CASH BAR. 19. Scholarship: Mary Ann Aguis & Kelly Salisbury Auditions will be Sunday, October 13th at Brucie Klay s studio. Deadline date to register is October 1 st. Scholarship donor letters went out via this year with the exception of the few that had to be snail mailed Angie took care of mailing these. Angie will send out a reminder about Raffle Baskets that will be once again part of the November convention. Baskets will be raffled off during the banquet.

8 20. DCTES & CBS: Heather White Hagar & Kathy Follensbee: The faculty was wonderful. The concert was amazing. Thank You to all who attended. Please start thinking of what you want for next year. What can we do to get more members to attend? Discussion of preparing a questionnaire to be handed out a Future Grand Body meetings. Asking questions like why do your not attend? What classes do you want as part of the ITS weekend? Kathy and Heather will work on this questionnaire. 21. Membership & New Members: Liz Biz Bevilacqua & Ronnie Duurloo Bogart We have two new members attending the meeting today and they will be obligated in November at the Grand Body Meeting. Please welcome Lori Patini and Tamara Duvall 22. Dean of Students: Sally Blackwood Looking for someone to take over this job. It is wonderful position please contact Sally if you are interested. 23. Publicity: Valerie Weld Magazine exposure what is the cost? Nancy to contact Valerie to discuss this. 24. Unity: Rosemary DeMott We are looking for a new face to take over the duties of Unity. A request will be placed on the floor during the November Grand Body meeting. If you are interested please contact Rosemary in advance to review what the job involves. Unity will offer a $ grant. Old Business: No Report

9 27. New Business: Nancy received a letter from Andrea Szember s daughter of member Terri Szember requesting a booth at November. She is currently working for Star movement. Discussion was that Nancy respond to her with the current price for a booth let her know we are currently have a wait list for vendors and that we would be glad to put the group s name on our waiting list. Discussion of inviting a company to perform at the Royal Festival in the future. Discussion of the organization historian having the responsibility of keeping up with the anniversary of members and when they should be receiving their FDM pins Next meeting scheduled: Executive board meeting will be November 27 th 5:00 7:00 in the President s suite Board of Directors Meeting will be Thursday, November 28th following Twinkling/Rising Star competition.
