2 Thank you for your interest in PortCity Athletics Innagural Season, and Welcome to our All-Star Cheerleading Program! We feel fortunate that you have chosen our gym as your home for the season, and look forward to providing you with a safe, fun and positive atmosphere for you and your child. Our professional, knowledgeable, caring staff will deliver excellent training while instilling values of teamwork, dedication and coorperation. Welcome to our Family! We require that every child and their parent/guardian review EVERY PAGE in this packet thoroughly, and ask any questions prior to completing and signing the acknowledgements. We look forward to providing you and your child with a safe, fun, and positive atmosphere where valuable lessons on teamwork, dedication, and good sportsmanship will empower your child. PCA s passion for cheerleading will be felt the moment you walk through the doors of our new facility in South Portland, ME. We have designed our facility with both the athlete and family in mind - offering a spacious lobby, pro-shop, and a clear-span spring floor with parent viewing area. Our talented and

3 knowledgeable staff is committed to providing an environment where your child will thrive, while being pushed to their physical and mental limits. We look forward to building a lasting relationship with you and your child, and welcome any questions. See you on the floor! MANDATORY PARENT MEETING: PortCity Athletics will hold informational parent meetings for each team following tryouts, where all aspects of our all-star program will be covered in detail. Meeting dates and times will be provided with the tryout results and practice schedules. These meetings are MANDATORY and no child will be allowed to participate in practices without a parent attending the meeting. It is important to us that everyone understands all aspects of PCA s All-Star program. TEAM PLACEMENTS: Teams will be selected and results posted to our website (and/or ed) by Friday, July 1 st for the first round of tryouts. Each teams USASF Level will be determined by the coaching staff, and we will try to match the overall level of each athlete the best we can. Please trust the staff in their decisions. Remember that just because your child has the required tumbling for a specific level does not automatically qualify them for that team. They must also demonstrate level ability in jumps, stunts, motions, etc. Age also plays a role in what team each child can be on. We will follow all USASF guidelines, using the age of the athlete as of 8/31/16. If space is still available on any National or Regional All-Star team, a second round of tryouts will be held in July, with results posted the Friday immediately following. Tryouts for our competitive Open-Level team will also be held in July.

4 PROGRAM FEES: With this packet, it is our goal to provide families interested in PortCity Athletics All-Star Cheering Program with costs for the season. Please realize that some of these costs are estimated, as exact costs are not yet available from venues or vendors. Final numbers will be provided at the end of July when competition schedules are released. At that time, each child/family will receive a personalized statement listing all fees and due dates. Please carefully consider the financial commitment you are making by joining a PCA all-star team. Please Note: Some items will be due in full by certain dates, and others will be divided into monthly installments as outlined below. We ask that all items be paid through electronic withdrawal on a debit/credit card, unless otherwise agreed upon. Please refer to our financial obligation agreement and payment authorization form for more information. Monthly Tuition and Expenses: The following items will be paid on a regular, monthly basis in ten (10) equal installments due the first of each month beginning August 1, 2016 and ending May 1, There will be a late fee of $15 for any monthly installment that is not paid by the 10 th of every month. There will also be a fee of $20 for any returned transaction. If you have two returned items, we will only accept cash or money orders for the remainder of the season. 5 Competition & Coaches Fees: Some teams at PCA will begin competing in November (if ready) and finish in May. A more detailed packet listing all competitions per team will be released at the end of July. Competition fees will include registration fees, coaches travel fees, among other expenses. The above figures are estimated and may fluctuate. They also do NOT include Summit (see page 6). Clothing Fees: For National teams, this will include your child s practice wear, comp season tshirts and bows, and comp-specific tshirts and bows. For Regional teams this will include comp season tshirts and bows. (Excludes Summit items see page 6). This cost is an estimate, and may fluctuate slightly. One Time Fees and Deposit: Due to the nature of these items, the following expenses will be due on or before specific dates as outlined below. Late fees will incur 10 days after the due date, and returned check fees will apply as outlined previously. The Deposit Amount listed will secure your child s position on their team. If the deposit is not made by the first practice, that position will be opened up to other athletes, or for the next round of tryouts. 6 Due August 15 $ $ $ $ Due September 15 $ $ $ $ Choreography & Music: Every child/cheerleader will be required to pay their portion of choreography and music fees for their routine, regardless of when they join the team. We only contract with professional choreographers and music producers who are accredited and up-to-date on latest rules and techniques. Uniforms: Costs for new uniforms will vary depending on level and team, and will follow all USASF regulations. Sizing will be done in August. Sneakers are not included. Note that any crossover from a Senior level to a Junior level team may be required to purchase a second uniform or top. USASF Fee: Every child must be registered with PCA through USASF. If you have been registered previously with another gym, please provide your memebership number with your application. PCA will then invite you to switch your registration over. In the event that your prior gym does not release your registration, you will need to contact USASF directly. Specific instructions on how you can update your USASF profile and gym affiliation will be provided. PortCity Athletics upholds to promptly release from USASF any child who leaves our gym either mid season or after a season is over. We will not use your child s information to improperly register another child to any team. We will not allow your child to use any altered birth certificate for their registration.

7 DISCOUNTS: PortCity Athletics will allow the following discounts to be applied to your BASE Monthly Tuition rate: Sibling Credits: All children/cheerleaders must be from the same household First Child: Full Price Second Child: 10% off Third & Subsequent Children: 25% off Paid-In-Full Credit: Any family wishing to pay their base monthly tuition fees in full for the year will receive a 10% discount. FUNDRAISING: PortCity Athletics realizes that the costs associated with All-Star competitive cheerleading are high, and we have facilitated the formation of a parent-run booster organization for the sole purpose of fundraising. If you are interested in fundraising, please contact the PortCity Booster Club. Participating in fundraising activities can greatly reduce your financial obligation. Sponsorships: PortCity Athletics will allow athletes to obtain personal or corporate sponsors to help cover any and all costs for the season. An approved PCA sponsorship request form will be provided, and should not be altered in any way. 100% of all sponsorships will be applied directly to the athlete s account in the following order: Deposit / One time fee installment due August 15 th / One time fee installment due September 15 th / end balance on

8 total monthly tuition fees. For example, if a child receives $1,000 in sponsorship monies for a National Senior team, their deposit and one-time installments will be covered, then $260 will be applied to the final monthly installment due May 1, 2017 and that last installment will then be billed for $61. Any family obtaining a sponsorship will be provided with a statement showing how it is applied. There will be NO outside fundraising by athletes separate from the booster organization or PCA, unless agreed upon in writing between individual athletes and PCA. REFUNDS: Any payments for uniforms, competition fees, tuition, camps, clinics, choreography, music, etc. are non-refundable. If your child decides to leave the program or is asked to leave the program, you will not be reimbursed for any deposits or payments already made, and you will lose rights to any garments that you have paid for or put a deposit on. PortCity Athletics reserves the right to move a child from one team to another at any point in the season. PCA is not responsible for reimbursement of any travel arrangements if your child is moved from one team to another, or removed from the program. ADDITIONAL COSTS: Sneakers: The uniform fee does not include the cost of competition sneakers. Your child will be required to purchase their own sneakers (through the ProShop or otherwise) at an additional cost. Used sneakers may be used for practices only, and must be in good condition and free of visible wear such as rips, stains, etc. Please note that cheer sneakers are designed to

9 last for ONE competition season/year. PCA staff reserves the right to require new sneakers if used ones do not meet team guidelines. Travel: All families at PortCity Athletics are responsible for their own transportation, tolls, parking, airfare, hotel costs, etc. for all competitions. PCA will provide room blocks and special pricing when available, with instructions to each team on how to secure these discounts. Please remember that booking airfare in a timely fashion can greatly reduce your travel expenses, but will not be reimbured by PCA if it needs to be cancelled for any reason. Many of the competitions in New England are within driving distance, but many families will choose to stay overnight to avoid commuting or early morning/late night driving. Specialty Classes & Clinics: PortCity Athletics will provide specialty classes such as tumbling, stretching & flexibility, and conditioning along with specialty clinics with industry recognized instructors. Any mandatory classes (higher-level teams) will be included in your monthly fees, or offered at reduced amounts. Spots in specialty classes and clinics will be limited to keep proper instructor/athlete ratios, and offered on a first-come-first-served basis. More information to come! D2 Summit: All PCA teams who receive bids to the D2 Summit will attend this prestigious end-of-year event, held at Walt Disney World s Wide World of Sports complex in Orlando, FL on May 12-14, Additional costs will include (but are not limited to) registration fees, coaches travel fees, competition specific t-shirt and bow, etc. Information on costs will be provided as soon as calculated after a bid is received, and will depend on the level of the bid (wild card, at large, or paid). Crossovers: Children/cheerleaders who choose to cross-over from one team to another will have additional charges associated with choreography, music,

10 competition fees and uniforms. Please indicate on your information page if your child has an interest in being a crossover, understanding that there is a higher financial commitment. Teams that utilize crossovers will be determined by the PCA staff. If your child is chosen as a crossover, a detailed list of additional costs will be provided. Pro-Shop: PortCity Athletics is excited to provide a pro-shop in our new facility that will be stocked with t-shirts, bows, branded Nike pros, sports bras, water bottles, car decals, etc. for additional purchase. We have established an affiliation with Nike Sports to bring you excellent quality in branded products. GENERAL INFORMATION: Travel Rules: When traveling to out-of-state competitions, the primary purpose of every athlete is to compete. They will have scheduled practices, meetings, and team functions/events during the time you are there. These are all mandatory. While we want everyone to enjoy the trips, they are not intended to be vacations. Your child will not be allowed to miss practice times in the weeks surrounding a competition. Please do not leave for an out-of-state competition prior to the last scheduled practice. All travel plans, housing exemptions, etc. must be done by the posted dates with confirmations sent to your team rep.

11 A PARENT MUST TRAVEL WITH THEIR CHILD ON ALL TRIPS. The PortCity Athletics staff will not be responsible for chaperoning your child. If you can not attend a competition for any reason, it is your responsibility to find another parent who is willing to chaperone your child, have them stay in their room, and book all necessary travel for your child so they are properly chaperoned at all times. Any child/cheerleader who engages in ANY ILLEGAL activity will be immediately removed from the PCA program. This includes, but is not limitied to, any alcohol or drug use, cigarette use, and stealing. When you travel to any competiton, you are representing PortCity Athletics. We ask that you portray us as a respectful program with high morals and ethics. We expect everyone in the PCA family to display a high level of sportsmanship at all times. Absentee Policy: Your child is required to be at every practice, class, choreography session, special event, competition, etc. PortCity Athletics reserves the right to remove any child from the program, move them to another team, or make them an alternate because of excessive absences. If your child is involved in any other activities, please make sure they will not have conflicts. Absences should be reported to your coach directly as soon as possible. Their contact information will be provided once teams have been selected. Summer (Jul-Aug) practice attendance is important for skill building, but we do want families to be able to vacation and enjoy their summer as well. Your child will be allowed to miss no more than two weeks of practices during the summer months. You must provide any dates you will be absent to your coach at the start of the season so they can plan practices accordingly. In an effort to assist families in enjoying the summer weekends, all summer practices will be held on week nights.

12 Starting in September, your child will receive 2 unexcused absences which can be used at your discretion. Please note that you will not be allowed to use these unexcused absences the week prior to a competition. You will be notified once your 2 unexcused absences have been used. Any unexcused absences after that point will result in removal from the team. You are not allowed to miss any competition for any reason. THESE RULES WILL BE STRICTLY ENFORCED. The attendance policy has been put into place to ensure that all athletes participate with the same amount of commitment. Excused vs. Unexcused Absences Excused absences include sickness with a doctor s note, death in your immediate family, school events that result in a grade (with a note from the school explaining), etc. Unexcused absences include items such as school functions, family trips, etc. and are used at your discretion. School Cheerleading: PortCity Athletics recognizes the feeling of community and school spirit that comes from cheering with your child s high school team. We will not ban our athletes from participating in winter cheerleading through their high schools, and have specifically chosen competitions for our senior level teams to avoid as many conflicts as possible during the HS comp season. However, we encourage you to be familiar with the bonafide team rule as sanctioned by the Maine Principal s Association as we will not work our practice schedules around HS team practices. We will also not work around youth or middle school cheerleading. We can not be a top notch program unless every child involved is willing to make a 100% commitment. Team Representatives: Each team at PortCity Athletics will be assigned a designated team rep. While our staff will mostly fill these roles, we may ask for parent reps if

13 needed. The function of the rep is to help disseminate information, collect forms, organize team functions, etc. You will be notified of your team rep once teams have been selected. Please contact Lynnette and/or Devin for classes, clinics, and tumbling programs, and Lynnette for coaching or all-star program questions. Susan and/or Jeffrey will handle all billing/account questions. For questions on youth and recreational teams, please contact Peg Mowatt. Practice Schedules: All teams will have their first practice the week of July 18 th. A complete practice schedule will be provided with your tryout results, outlining dates/times/locations of practices, what days the gym will be closed, etc. Summer schedules will run from July 18 th August 31 st. Teams will practice once per week, on a weeknight, in order for families to take advantage of weekends. Fall/Winter schedule will begin in September. At that point, teams will practice twice per week - once on a weekend, and once on a weeknight. All practices will be between hours long. Additional practices for tumbling will be required depending on team placement. Routine Choreography is currently scheduled for September 9-11 th, and specific time blocks per team will be provided as soon as possible. ALL Athletes are REQUIRED to attend choreography.

14 RULES AND REGULATIONS: signing the agreement. Read each item in its entirety before General: Only registered athletes are allowed on the practice floor. Family, friends, etc. are not allowed in the practice area. Anyone not currently practicing should wait in the locker room or lobby. Everyone in the viewing area or lobby will keep conversations positive and uplifting. Any concerns or issues should be brought to PCA owners directly. No food, gum, or drinks are allowed on the mats. They must be kept in the locker room or lobby. All trash must be disposed of in appropriate trash receptacles. No cell phones are allowed in the practice area. All choreography and music is highly protected and should not be shared, traded, shown or discussed with others. NO videos or music should be uploaded to any online site such as YouTube, Facebook, etc. Every child and parent must hold the ideals and morals that the PortCity Athletics program abides by. That includes being a team player, showing respect for all members of all teams including their own and others in the gym, as well as other

15 competing teams and gyms. NO foul language should be used at any time. If for any reason we find that an athlete or parent is not upholding these qualities, they will be asked to leave the program. PCA will not work around schedules for any sports, activities, etc. that your child may participate in. Please do not interrupt a coach or instructor during practice or class. If there is an issue that you need to discuss, please contact our staff to schedule a meeting. If there is an emergency, please let one of the staff know, and we will assist to notify your child quickly. No PortCity Athletics athlete is allowed to compete with any other all- star program/gym. No athlete is allowed to wear any jewelry of any kind during practices or competitions. This is a USASF safety rule and it will be strictly enforced. PCA athletes are not allowed to show any public displays of affection while in uniform. Communication: PortCity Athletics website and s must be checked regularly for updates as that will be our primary means of communication. The link to our website is and a member login is available. Website Message Boards, Facebook groups, Facebook messenger groups, etc. must be used appropriately. Abusive language or inappropriate behavior will not be tolerated. All completed forms and information must be turned into PortCity Athletic s office as requested, and it is the responsibility of each family to advise PCA of any updates to information. Any login names and passwords, Facebook Groups for teams, etc. will all be kept strictly confidential and are not to be shared with others.

16 Attendance: Your child must attend and be ready to participate in all PCA activities, including those added throughout the season. Schedule all vacations so they do not interfere with practices and competition schedules. Notify PCA immediately of all absences or tardiness. Do not call out the day of practice unless there is an unexpected emergency. Even if you are ill, you are expected to be at practices. If you are very sick (flu, etc) then we encourage you to use one of your unexcused absences or obtain a doctor s note. Every child is required to be at every practice, class, choreography session, competition and special event. If your child is not able to fulfill their time obligation to their team, PCA reserves the right to remove them from the team, put them on another team, or list them as an alternate. Dress Code: Athletes must maintain a groomed appearance and good personal hygiene at all times. Hair must be pulled out of face and off shoulders at all practices and events. While in any PortCity Athletics clothing or representing the gym in any way, inside or outside of the gym, we expect each child and parent to hold themselves at a high standard and to represent the gym in a dignified and positive manner. At competitions athletes must be dressed in the competition uniform dress code which can include PCA gear, uniform, and/or warmups. Athletic clothing only no street clothes allowed. Outside shoes may be worn into the venue, but must be changed immediately upon arrival. Socks must be worn at all times, and must adhere to team rules.

17 Jewelry must be removed prior to meeting times, and left with a parent. Coaches will not be responsible for holding jewelry. No colored nail polish at competitions. Athletes must be in full uniform (completely buttoned and/or zipped) at all award ceremonies. PortCity Athletics Clothing/Apparel: No one may use the PortCity Athletics name or logo for any clothing, novelties, or any other use unless authorized in writing by Susan or Lynnette. Any items that are distributed to any PCA athletes, where money is being collected, must be authorized and must be handled by the PCA pro-shop. Anything created without approval will not be acceptable and can not be worn in the PCA gym, to any competitions, or to any PCA activities. Health: You must provide PCA with your current health insurance and emergency contact information. If any of this information changes during the season, you must notify us immediately. You MUST inform PortCity Athletics of ANY medical condition that may limit or prevent participation in any PCA activity. You must provide PCA with a list of medications your child is currently taking or may need to take. You must list any allergies your child has. All athletes must refrain from the use of illegal drugs, alcohol, tobacco or any other harmful substances. You must immediately notify PortCity Athletics of any injury sustained as a result of a PCA activity. If your child is unable to participate due to an injury, a physicians note must be provided and include the specific diagnosis for the injury and the duration of time that your participation is limited. PCA reserves the right to list that athlete as an alternate, move

18 them to another team, or release them from the program depending on the severity of the injury and duration of healing. Travel/Competitions: All families must book their travel arrangements in a timely fashion, when applicable. However, no travel should be booked until the competition schedule has been provided and confirmed by your coach. When room blocks are provided, you must adhere to time restraints and book your room within the allotted time to avoid excess charges to the gym, or the hotel selling out. Travel arrangements must be made around your team s practice schedule. Anyone found to have booked their travel before the last practice will be asked to change their plans. You must arrive to meeting times for all events, activities and competitions ON TIME and ready. All competition dates, venues, practice times (if applicable), itineraries, suggested travel dates, etc. will be released on the PCA website and team Facebook pages as soon as the information is available. When prizes are given to participants by event companies, only those athletes who participate on the competition floor will receive those gifts. Team Placements/Skill Levels: You agree to the PCA team placement protocols and guidelines on how specific positions within the team are determined, trusting in the judgement of our coaches for what is best for your child for a competitive, yet rewarding season. Age Requirements Tumbling Requirements Your child will be placed on age appropriate teams. Provided all skill levels are the same, they will be placed on the lowest possible age team, and then given the opportunity to cross-over to an older team provided they can meet all the requirements for the older level as well. Team placement will be based on both difficulty and technique. Your child must have the minimum standing AND running tumbling difficulty, with the proper technique. A chart outlining specific skills for each level will be available for review.

19 Building Requirements Mental Requirements Skill Requirements Your child must earn their stunt position spots on each team. PCA will not guarantee any child a specific position, and coaches will determine the best athletes for each position (flyer, base, backspot, front). All athletes must be able to stunt at their team level to maintain a position on their team. Your child is expected to keep up with the pace of their team s choreography and practices, along with skill progressions. Athletes who are unable to keep the pace will be moved to a lower skill level or age level team, regardless of them having all of the tumbling or building level requirements for the level team they are currently on. Your child is required to meet the High range for their team s skill level. If at any point in the season your child is lacking in any area, they will be required to enroll in additional classes to obtain those skills. Monthly evaluations will determine when the athlete has acquired the necessary skill and is no longer required to be enrolled in classes. Any athlete not meeting their team-level requirements for skills will be moved to a lower level team. Quitting the program because an athlete is moved or does not earn a specific skill and/or choreography position within the team does not relieve the athlete or family from their financial obligations to PCA. PCA reserves the right to name alternates to any team in the program at any time during the season. An athlete can be named as an alternate at tryouts, or can become one at any time during the year. Any child that is an alternate is required to pay tuition and necessary fees. Sportsmanship: Always set a positive example for others. Be respectful and courteous to everyone teammates, coaches, officials, competition staff, security, other gyms/teams/athletes, etc. Refrain from gossiping You will have a much more enjoyable season. Refrain from using abusive language and physical confrontations of any kind. Accept placements and awards with dignity and class. Always cheer on other teams and gyms. Allow coaching staff to handle any scoring issues at events. This is not something you should discuss, and under NO circumstances should you approach a judge or competition

20 official for any reason. Respect the relationships that we have formed with other gyms, coaches, competition companies, vendors, etc. Do not speak negatively of any affiliates of PCA, or ANY competing gyms/teams. Represent PortCity Athletics in the best possible way at all times. You are a direct reflection of our gym, and are expected to uphold our standards of conduct. Uphold proper sportsmanship at all times. Social Media: We realize that there are many venues for social media including, but not limited to, Facebook, Instagram, Twitter, Snapchat, etc. All of these give us the opportunity to stay connected and get vital information quickly and easily. We will be asking all coaches to manage a Facebook page for each team and only invite acceptable people to see that page. This way the coaches can communicate daily with you and your child. Information will be posted to our website as well. In regards to social media, we ask all parents and children to follow our social media policies and adhere to all rules. Social media can be a great way to motivate kids, show support of your team and gym, congratulate other programs, show new skills gained, etc. It is not a venue to air complaints, negative comments or opinions, or attempt to deal with perceived issues. If you have any questions, please ask before posting. We have a NO TOLERANCE policy. These rules apply to parents, athletes, coaches, staff, etc. No person is allowed to have PCA or PortCity Athletics in part or in whole as their screen name for any social media accounts. Ex. SueCoppPCA is NOT acceptable. There will be NO negative comments allowed on any forms of social media regarding any athletes, coaches, staff, teams, etc.

21 Positive comments and posts only! This includes when you write something that may not say specific names, but can be looked at as negative. Ex. wow, amazing how one kid can ruin an entire routine is NOT acceptable as it is negative without naming anyone in particular. NO inappropriate pictures or posts allowed, even if not in PCA clothing. If you are engaging in something illegal or inappropriate please do not share with everyone on social media. NO inappropriate language on social media. If you are upset, there are ways to appropriately express yourself without vulgar language. Do not post any team videos or music, live video feeds, etc. without the consent of your coach. Remember that at all times, even if you do not reference PortCity Athletics, many people know you are a part of our program and we want you to positively portray PCA on social media. All athletes, families, friends, etc must refrain from expressing any negative opinions on public message boards and social media sites. Do not post negative comments toward any other gyms, competition companies, etc. Do not make any predictions regarding our gym and our teams at various events. We prefer that you refrain from posting on these sites entirely. If you are not in compliance with this policy, we will first ask you to take down your post. If it happens again, you and your child will be removed from the program immediately.

22 PORT CITY ATHLETICS FINANCIAL OBLIGATION AGREEMENT: (All-Star Teams) 1.
