4 Introduction This handbook contains details of the forthcoming competitions and the entry procedures, rules and regulations relating to the competition programme. FIG & BG regulations will apply at all Scottish Competitions unless stated otherwise. This handbook must be read in conjunction with the British Gymnastics Women s Artistic Competition Handbook (available from the BG website). 7 Competition Structure Beginner / Intermediate This is the entry level of competition where gymnasts compete on Floor and Vault. 8 Competition Entries Entry Process All entries must be submitted electronically using the electronic entry form on the SG website, these can be found under each specific event within the event calendar. Postal, scanned, PDF or written entry forms are no longer accepted as of 1 st January Entry forms must be received by the stipulated closing date and time. Incomplete/Incorrect entry forms will be returned to the named contact. Methods of Payment Payment can be made via cheque to Scottish Gymnastics or BACs to the SGA Account and should be received by SG at the time of entry. If paying by BACs, clubs must use the given reference stipulated within the individual competition details. Late Entries Late entries will only be considered up to 7 days after the competition closing date and in exceptional circumstances. Late entries must be in writing via to the Events Department and the WTP. The Competition Organiser and SG will have absolute discretion whether to accept a late entry. Late entries received in the SG office (within the 7 day limit stated above) may be held on a waiting list in order of acceptance by the WTP. The Competition Organiser will replace any withdrawals with names taken from this list as spaces become available in the appropriate section/age group. A double entry fee should be submitted with the entry. Gymnasts submitted as late entries (if accepted) will go into the place vacated by a withdrawing gymnast. Clubs submitting late entries on a third or subsequent occasion in any one competition year will be charged triple entry fee for each gymnast and team. Withdrawals and Substitutions Amendments to an entry before the closing date will not incur a penalty and in the case of withdrawals, the entry fee will be refunded. Entry fees are non-refundable after the closing date. The competition organiser must be notified of any withdrawals prior to the start of the competition, this can be done via the SG Events Department. This will allow the competition organiser to adjust timings or include a gymnast on a waiting list. Where it is necessary to substitute/add a coach, the club must inform the SG events team, so the coach can be checked for membership, awards and safeguarding, before they can be accredited for the event. Where through unforeseen circumstances, this is not possible or, where information has not previously been supplied, the substitute must inform the Organiser immediately on arrival at the venue and produce their coaching award certificate, current Scottish/British membership card, safeguarding certificates and proof of a PVG accessed through Scottish Gymnastics. 8 P a g e

9 Terms & Conditions of entry to all SG competitions You agree to abide by the SG Photography guidelines at events You agree to the storing of competition scores on SG databases and the SG website The WTP reserve the right to refuse any entry and disqualify a competitor or team at any time if they do not comply with Scottish Gymnastics regulations. The person making the entry on behalf of gymnast(s) or a club, undertakes to ensure that those who they are making the entry on behalf of are fully aware of and agree to abide by the contents of this handbook. 9 P a g e

10 Competition Regulations Gymnasts Membership Gymnasts must have Scottish Gymnastics silver membership in order to enter a competition, with the exception of Floor and Vault competitions where bronze membership will be accepted. It is the responsibility of the gymnast s club to ensure that each gymnast has the appropriate level of membership. Tall Gymnasts Both bars may be raised by 10cm where a gymnast s feet touch the basic matting while she is hanging on high bar or hips touch the basic matting while she is hanging on the low bar. Where a single bar is used this may be raised so that the gymnasts feet in long hang clear the matting. Please indicate that a bar raised is required on the competition entry form using ^^ next to the gymnasts name. The request for bars to be raised must be made with the competition entry form. The bars must be raised in accordance with the F.I.G regulations. Unauthorised raising of the bars will be penalised in accordance with F.I.G regulations. Gymnast Attire Regulations of dress are contained in the F.I.G Code of Points and must be adhered to. Gymnasts Code of Conduct Clothing indicating National Team representation should not be worn by gymnasts or coaches at domestic competition. Gymnasts must not remove leotards until they are in the competitors' seating area. Any gymnasts found breaking this rule will receive a deduction for an attire violation in accordance as per FIG code of points. All competitors are expected to enter the arena smartly dressed. Gymnasts should wear either a zipped club tracksuit or leotard. Non-uniformed t-shirts and outdoor shoes are not accepted for march on. Gymnasts should ensure that long hair is tied back. No jewellery, body piercing or adornments of any kind are permitted in training or competition. Gymnasts will not be allowed to compete at any Scottish gymnastics event with jewellery on. Gymnasts are expected to maintain high standards to behaviour at all times showing respect for their fellow competitors, competition officials and coaches. 10 P a g e

11 Competition Regulations Coaches Membership Coaches who reside in Scotland must have Level 2 or above coaching qualification and must have current SG & BG Gold membership. Assisting coaches must hold a minimum level 1 coach membership or above and must have SG & BG Silver membership or above. Level 1 coaches may attend the competition in a pastoral role only and are not permitted to be present at the apparatus during competition and warm-up. Assisting with movement of springboards is permitted. Coaches without an up to date Safeguarding certificate and a current Disclosure (PVG) Record accessed through Scottish Gymnastics will not be eligible to take gymnasts on to the competition floor or accompany gymnasts to events. Safeguarding must be renewed every three years and must be valid both at the time of entry and through to the end of the event. Coaches must also hold a valid PVG certificate both at the time of entry through to the end of the event. Coaches who are substituting on the day of competition must provide a copy of their PVG accessed through SG, Safeguarding Certificate and SGA membership card at registration, otherwise they will not be permitted onto the competition floor. Coaching Practice All coaches in attendance at a Scottish Gymnastics WA event must have undergone appropriate training for skills being competed by their gymnast. It is the responsibility of the club and the coach to ensure that the coach present has the appropriate qualification for the skills being performed. The minimum qualification required for a SG WAG event is WA Level 2. A Men s Artistic Coach may take gymnasts on Vault, Bars and Floor as long as their own training covers the skills being performed. The competition organiser (or a nominated representative), have a duty to challenge unsafe practice but the ultimate responsibility on the competition floor is with the coach. In extreme cases, where a coach does not respond to the concerns being expressed, the organisers could stop the gymnast competing and remove the coach from the competition floor. Failure to adhere to these regulations will result in the withdrawal of the gymnast and is likely to negate the coach s Gymnastics Insurance. Coaches Code of Conduct Coaches are expected to maintain a high standard of dress. Standard dress would include trainers, full-length tracksuit bottoms, t-shirt or polo shirt and tracksuit top / fleece identifiable with their own club logo. Coaches should ensure that long hair is tied back, and must ensure that all jewellery is removed (or adequately covered up), small stud earrings and wedding bands are permitted. Coaches are not permitted to use mobile phones or any other electronic communication devices including tablets, to make calls, take photographs/video footage or be used for any other forms of main communication in the main arena during a competition. Coaches must ensure that their language and behaviour at all times is appropriate, reflecting highly on their club, themselves and the sport. Coaches are not permitted to eat or chew whilst in the competition arena. Coaches are expected to show respect for their fellow coaches and competition officials at all times. Coaches are allowed to approach the D Panel judges on each apparatus as specified in the rules regarding Enquiries. If requested to leave the judges table, Coaches must do so immediately. Coaches should not approach any judge out with the competition arena to enquire about scores. 11 P a g e

12 Competition Regulations Judges Membership Judges must hold current SG & BG membership, in line with the level they are qualified to. Judges must also hold a current cycle of judging award. Although it is not mandatory it is considered to be good practice for judges to attend safeguarding. Any judge who has a dual role as a coach within a club must have valid PVG and safeguarding as stated above. Coaches, Judges and gymnasts should carry current membership cards to all competitions and be prepared for these to be checked by the competition organiser or their appointed officials. All judges must ensure to return their judge availability form to the Judging officer on the WTP for Judging panels will be created, after the closing date for judge replies, for all competitions in Subsequently, these will be sent to all judges. As such, late replies will result in judges not being able to fulfil the minimum competition requirements for their qualification and their qualification will lapse. Judging Attire Navy blue jacket with navy blue skirt or full length trousers, white shirt or blouse with a collar (either short or long sleeved) Hair must be neat and not inhibit vision Jewellery, if worn, must be professional in appearance Shoes must be professional in appearance (in particular, no flip flops or trainers) Judge s Code of Conduct Judges are expected to march into the competition arena prior to the march in of the competing gymnasts, unless notified otherwise. Judges should keep their tables clean and only have on the table items required for judging, keeping all outdoor clothing and bags stored out of sight. Judges are not allowed to access mobile phones, tablets or other items on the competition floor Judges are required to stay at the venue until released by the Competition Organiser in case they are required to assist with the checking of scores. 12 P a g e

13 Volunteering Regulations By entering a Scottish Gymnastics WA Competition clubs are required to provide volunteers who will be available to assist on the day of the competition. Procedure When the competition programme goes out, each club will be contacted and asked to provide a volunteer for an allocated time slot(s) over the competition day/weekend, failure to do so by one week prior to the event taking place will incur a penalty for the club. Club contact (as named on entry form) must provide a volunteer name when requested (one week prior to the competition) The named volunteer must be at least 16 years of age, and preferably aged over 18. Please indicate if the volunteer is 16 or 17 years of age. Any coaches named as accompanying gymnasts on the floor at the competition may not also be named as volunteers. When entering any SG Women s competition each club must provide a volunteer for each individual competition, even if they run over the same day/weekend as other SG WTP events e.g. Level 6 Teams, Level 5 Teams and Gordon Forster Team Challenge are all separate competitions which run over the one weekend The volunteers contact telephone number and address should be provided to the WTP official as per request prior to each competition. It is the club s responsibility to ensure that the nominated volunteer is advised of their role at the competition, what is expected from them and the time there are required to volunteer for. (Please ask the nominated WTP official if unsure) The volunteer should then report to the Competition Organiser at their allocated time slot. Please note that some volunteers may have agreed in advance to officiate as Floor Manager, Computer or Manual Scorer etc. at specific competitions and they may be nominated as the volunteer from their club for those competitions. Competitions CANNOT run without the help of volunteers, if a volunteer cannot attend for any reason it is the club s responsibility to find a replacement. 14 General Regulations Registration Coaches and gymnasts must register electronically at the registration desk on arrival at the venue. Only coaches and gymnasts who have been previously entered on the electronic entry form and have had their Membership, Disclosure Scotland and Safeguarding status (where applicable) checked by the SG office are eligible to register on behalf of their club. Order of Performance In order to maintain a smooth and timely running of the event or where the safety, security and good performance of the gymnasts is a concern, the WTP reserve the right to alter the working order and or time/commencement of the competition round as may be deemed necessary by the organiser or authorised officials. Wherever practical the organiser shall produce and circulate to all participating clubs a provisional competition programme and running order for an event at least 2 weeks before the day thereof. Before the start of each round of competition (as notified by the competition organiser) a technical briefing will take place. The timing of this meeting will be stated in the event programme. Attendance at technical briefing is compulsory. Music Floor music is stored on the Gymdata database so if your gymnast has competed in a previous event they are not required to submit music again unless they have different music. It is the responsibility of the coach to check that the correct music is stored on arrival at the competition. Floor music should be uploaded to the Gymdata system once the competition programme has been issued. In case of technical problems it is the responsibility of the coach to ensure there is a back-up copy of music for each gymnast available at the competition. Please note the use of Disney, Andrew Lloyd Webber and Cirque de Soleil as floor music is not permitted for further details refer to and Access to Warm up Area Access to the warm up hall will be limited to the appropriate number of coaches as defined. On arrival, coaches will need to register and collect accreditation from the Competition Organiser. In the case of an event spanning more than one day, separate accreditation may be issued for each day. Competition Apparatus Unless otherwise stated the equipment at SG WTP competitions will be to FIG specifications. All competition apparatus will be provided by Gymnova. 15 Appeals on D Jury Score Any queries on the D score must be made to the Head Judge on the apparatus in the first instance. If this does not resolve the issue then coaches may appeal formally to the Jury of Appeal, where available, for a final decision. Coaches may approach the judges table, but not whilst an exercise is in progress and must immediately leave the judges table if requested. The E jury score cannot be disputed or appealed. Formal appeals should be made in writing to the Competition Controller at the event accompanied with a fee of Any appeals must be submitted within 15 minutes of the presentation of the score. An Appeal Pro Forma will be available on request at the Competition Score Desk. Only official video evidence will be accepted at SG WTP competitions at the discretion of the Head Judge/Jury of Appeal. Health and Safety The safety of all participants (gymnasts, coaches and officials) is the primary consideration. All SG policies will be rigorously applied with regards to health, safety and welfare and child protection. Coaches are reminded of their responsibility in relation to their gymnasts in the competition environment this will specifically include ensuring the gymnasts are adequately prepared (physically and psychologically) for performing their routines in a competition situation. Anyone requiring first aid assistance should speak to either a member of the events team or the competition organiser. Trophies The gymnast s club must assume total responsibility for any individual SG trophy once presented. They are also responsible for its safe return before the same competition in the following year. This also applies to the club winner of any team competition. All perpetual trophies remain the property of Scottish Gymnastics. Photography In accordance with current SG policy, flash photography is not permitted during the warm up or competition phases of any Scottish Gymnastics event. SG accredited photographers may be present at SG events and in some cases events may be videoed. These images/footage may be used by SG and our partners for the purposes of promotion, education and development of the sport. They may also be shared with relevant third part organisations for journalistic/promotional purposes. Clubs must ensure that gymnasts/parents are informed of the photography arrangements for the relevant event. Any gymnast or parent who does not wish themselves or their child to be photographed/filmed at the event must advise Scottish Gymnastics Events Department. The SG photography guidelines are available on the Scottish Gymnastics website. Spectators Spectator entry to Scottish Gymnastics WA competitions will be available on the door on the day of competition. Tickets for the National Championships may be purchased in advance via the Scottish Gymnastics Website. 15 P a g e

16 Spectators Code of Conduct Clubs should take responsibility for the behaviour of their members and supporters, spectators must: Switch mobile phones to silent during the competition. Remain supportive throughout the competition, and must not interfere with other spectators enjoyment or disturb any of the gymnasts. Refrain from moving about the seating area whilst gymnasts are competing. Remain in the spectator seating area and not enter controlled areas including competition field of play and the control desk. Treat the competition venues with respect, particularly in respect of food and drink rules. Respect all competitors, coaches and competition officials. The Competition Organiser reserves the right to remove any spectators in breach of this code of conduct. 16 P a g e

29 Appendices Apparatus Unless otherwise stated, the equipment at WTP competitions will be to current FIG specifications. Vault 125cm from the floor to the top of the vault. 20cm FIG specification matting + 10cm supplementary matting with markings as specified for vault landing. For round off entry vaults the safety collar must be correctly in place. Mat for hand placement will be provided. Springboards will be provided hard and soft coil boards for FIG competitions. In addition, for all competitions EXCEPT Scottish Junior and Senior Championships an extra soft board will be available. Bars Low bar 170cm / High bar 250cm (both +/- 1cm) from the floor to the top side of the bar. Maximum width between the bars, inside bars on diagonal is 180cm Minimum width between the bars, inside bars on diagonal is 130cm 20cm FIG specification matting + 10cm supplementary landing mat. Both bars may be raised by 10cm where a gymnast s feet touch the basic matting while she is hanging on high bar or hips touch the basic matting while she is hanging on the low bar. Where a single bar is used this may be raised so that the gymnasts feet in long hang clear the matting. The request for bars to be raised must be made with the competition entry form. The bars must be raised in accordance with the F.I.G regulations. Unauthorised raising of the bars will be penalised in accordance with F.I.G regulations.
