2 September, 2012 Dear GOYA Advisors: Enclosed you will find an application and general information concerning the Bowling Tournament and Awards Dance, to be held on Saturday, November 3, Please read it carefully. a. Any boy or girl who is a member in good standing of the Northern New Jersey Greek Orthodox Youth Commission can enroll to participate. b. APPLICATION: On the enclosed application form, fill in the names of those who will be bowling. ONLY 25 bowlers per GOYA will be accepted due to the limited amount of lanes available to us. If a GOYA community has less than 25 bowlers, then the bowling committee may choose to complete the list with participants from another GOYA community who might have a waiting list (more than 25 bowlers). Please note that should a community decide to keep a waiting list, you make it clear to those GOYANs that there is a strong possibility they may not be able to bowl. The Bowling Tournament Committee will not make a decision to accept more than 25 bowlers from each community until all the final numbers have been tallied. If you have a waiting list, kindly notify George Stavrou to enable him to make a note of your request. (Every effort will be made to accommodate all requests to accept additional bowlers, and waiting lists will be filled, as space permits only after all churches have submitted their list of bowlers. The preferred method of submitting your lists is by ing them to George Stavrou in an Excel PDF file format. Note that the names on your lists should be in alphabetical order, beginning with the last name, then first name, then church (town) then age. c. PLEASE NOTE: The application (bowling list) with the money and registration fee must be returned on or before October 23, THIS DEADLINE WILL BE STRICTLY ENFORCED. ABSOLUTELY NO EXCEPTIONS WILL BE MADE. Each Church community participating must pay a $ registration fee. d. FEES: In addition to the registration fee for each community as specified in item (c) above, each bowler will be charged a $ fee which will include bowling shoes, two games of bowling, and admission and dinner at the Awards Dance. Any GOYAn who does not wish to bowl but wants to only attend the Awards Dance in Fairview, may do so by paying $10.00 which includes admission to the dance and dinner. Any GOYAn who only wishes to bowl, may do so by paying $13.00 which includes bowling shoes and two games of bowling. 2

3 e. All checks should be made out to the Ascension GOYA. You may submit one check to cover both, the church registration and the fees for each GOYAn. You may mail your checks to George Stavrou prior to the bowling date, or if you wish, you may bring it on the day of the event. f. REGISTRATION: ANYONE WHO IS NOT REGISTERED WILL NOT BE ALLOWED TO BOWL. Upon arrival, each advisor must report to the registration desk to register all the bowlers and pick up the name tags and other pertinent paperwork. No GOYAns are allowed at the registration table at any time. If you have bowlers who did not show up, you must notify us immediately upon arrival, so we can delete their names from the master list. You may not add or substitute any names on the day of the tournament. At this time you will receive the list of the lanes and teams your GOYAns will be assigned to. UNDER NO CIRCUMSTANCES WILL ANY BOWLER BE ALLOWED TO SWITCH OR CHANGE LANES. EACH BOWLER MUST STAY ON THE TEAM THEY ARE ASSIGNED TO, AND CAN ONLY BOWL TWO (2) GAMES. Advisors, please be mindful of the fact that the host community will be charged for all games bowled by the GOYAns regardless if the games are finished or not. Furthermore, should any team bowl more than the two (2) games allowed, the host community will be charged for the additional games. The advisors are asked to monitor each team which they are assigned to in an effort to make sure the children stop bowling once they have completed their second game. You will also receive name tags for each bowler to be worn by everyone at all times. Any youth attending the Awards Dance only, must be registered with their Church s GOYA, and their advisor must have been notified prior to this day. g. TIME AND PLACE: Registration will begin at 3:00 SHARP!! Please be on time. If you are traveling from a distance, we strongly encourage you to allow sufficient time for traveling, so that you can arrive by 3:00 pm. If any community arrives later than, or is not registered by 3:45 pm, will not be allowed to bowl. Bowling will begin at 4:00 pm at BOWLER CITY in Hackensack, NJ (Address and directions to the lanes and to the Awards Dance are attached). h. MIXED TEAMS: The teams will be chosen at random by a computer program developed by the Bowling Tournament Committee. The teams will be intermixed, so that there is no competition among the different church s youth members. You will be told what team you are on, upon registration. Again, each advisor will be given a list with the lane numbers and the team their bowlers will be assigned to. i. CHANGES AND SUBSTITUTIONS: If you have any changes or substitutions, please submit them to George Stavrou no later than October 20, No refunds will be made after this deadline, should you decide to delete any names off your lists. Should you have any scratches on the day of the tournament, kindly notify the committee immediately upon arrival, however, NO MONEY WILL BE REFUNDED for any youth who was scratched the last minute. You are once 3

4 again reminded that if you make any scratches on the day of the tournament, you CANNOT substitute that spot with another person. j. AWARDS DANCE: The Awards Dance will be held at the ASCENSION CHURCH, in Fairview NJ, following the tournament and will start approximately 7:00 pm and will end at 11:00 pm. k. DRESS CODE: Dress is casual but NEAT. l. MUSIC AND DANCING: D.J. will provide entertainment, and dancing will end at 11:00 pm. m. NOTICE: No one will be permitted to leave the bowling alley or the Church Hall where the dance will take place, unless the respective advisors have notified the bowling committee beforehand. n. RULES AND REGULATIONS: All rules and regulations of the Northern New Jersey Youth Commission program will be strictly enforced. o. ADVISORS: All advisors and chaperones are expected to help keep order both at the bowling alley and at the Awards Dance. A separate list with the Duty Roster and other information will be handed out on the day of the tournament. Please return the application to George Stavrou, at 5-34 Bryant Place, Fair Lawn, NJ no later than October 23, It would be beneficial to the committee if you can submit the names in an Excel PDF file in the following order: LAST NAME, then FIRST NAME, then CHURCH, then AGE. For the CHURCH category, please submit the town, not the name of the church (i.e. Ascension Church should be FAIRVIEW, or St. John the Theologian should be TENAFLY). 6 DUTY ROSTER AND OTHER INFORMATION FOR ADVISORS AND CHAPERONES 1. It is the responsibility of each community advisor to make sure that all GOYAns are members in good standing of each group. 2. Please make sure you remind each bowler that they are allowed to bowl ONLY two (2) games. After all bowlers finish their second game in each lane, they should inform the front desk that they are finished and ask the bowling lane personnel to shut the lane down. If any GOYAn bowls beyond the games allowed, he/she will be responsible to pay the cost of the additional games (even if only one throw was made). If there is a problem identifying the person who threw the extra ball, then all bowlers assigned to that lane have to split the cost of the game. 3. Please make sure that each bowler is wearing bowling shoes (supplied by the bowling alley.) Anyone with sneakers or any other type of shoe will NOT be allowed onto the floor of the bowling lanes. NO EXCEPTIONS. 4. Please advise your bowlers that at no time are they to manually change the computerized scores. The computer will keep score automatically, and will also identify those people who tamper with the score board, and they will be automatically disqualified from the tournament. It is also very important to tell your bowlers not to change their assigned names (their initials) displayed on the screen, because that will be the only way to identify them on the Master List. Anyone who changes their name on the screen will be automatically disqualified from the tournament. 5. It is the responsibility of the advisors to make sure that the GOYAns are bowling one after the other, without wasting time, so as not to disturb the order and continuity of the others who are bowling. 6. Anyone who is scheduled to bowl but does not bowl, or does not finish the two games, will be disqualified and will not be allowed to participate in the tournament the following year. 7. The official Northern New Jersey Youth Commission Rules and Regulations apply to this event and will be strictly enforced. We are delighted that you could join us today, and hope you ENJOY!!! 7 DIRECTIONS TO BOWLER CITY: 85 Midtown Bridge Approach, Hackensack, NJ (201) TURNPIKE/ROUTE 95 NORTH to exit 18W, continue North on Route 95 to Route 80 West (stay in the Local Lanes), get off at exit 66 (Hudson St., Hackensack) go straight and at the 2 nd traffic light make a left onto South River Street. After 6 traffic lights, you will pass under a train tressel and make an immediate right turn onto Midtown Bridge Approach. Bowler City is on the right side. FROM ROUTE 80 EAST: Stay in the local lanes, take exit 66 (Hudson St., Hackensack) and make a left turn at the end of the exit. At 1 st traffic light make a left onto Hudson Street. Proceed to the next traffic light and make a right turn, go to the next traffic light and make a left turn onto South River Street. After 6 traffic lights, you will pass under a train tressel and make an immediate right turn onto Midtown Bridge Approach. Bowler City is on the right side. FROM ROUTE 4 EAST OR WEST: Get off at the Hackensack Avenue exit (next to Riverside Square Mall) which will turn into River Street. Proceed for about one and a half miles until you come to a train tressel bridge that goes overhead. DON T GO UNDER THE BRIDGE. Make a left turn just before the bridge, which is Midtown Bridge Approach. Bowler City is on the right side. FROM ROUTE 17: Exit at Route 4 East in Paramus then follow the direction above from Route 4 East. TO THE CHURCH OF THE ASCENSION- (FROM BOLWER CITY) 101 Anderson Avenue. Corner of Anderson and Henry St., Fairview, NJ (201) From the parking lot of Bowler City, make a right, and then the first left, following the U-turn sign. At the traffic light, make a left onto River Street. Go straight until you get to Route 46. Make sure you make a left turn and take Route 46 East. Go through three traffic lights, past NJ Turnpike, and continue straight on Rt. 46 East to the next exit (Grand Avenue Exit 93). At the exit ramp, make a right at the traffic light onto Grand Avenue. You are now on 1 & 9 South. Go four more traffic lights, and take Fairview Avenue Exit and turn left crossing over Route 1 & 9 onto Fairview Avenue. Go up the hill and bear left when the road forks. You will go under an overpass and continue straight until you come to a traffic light (near the Firestone dealership). Turn left onto Anderson Avenue, proceed two blocks to Henry Street and turn left. The Church is on the left side at the corner. PLEASE NOTE: There is limited parking for cars in the parking lot adjacent to the Church. Buses are not allowed to park in the parking lot. Buses must drop off all passengers at the Church, and are to proceed to park on the street in Hudson County Park, which is located down the road from the Firestone dealership on Anderson Avenue. 7
